This system aims at providing the BTS team with a tool to setup and manage training sessions and courses resources either online or offline. The user should expect enhancement and modification being imple-mented over time to match the exact need of BTS teams and thus, finding area of the software not covered by this manual.

First of all you need to have a BTS USER account to be able to use the system.

Then, you need to define the Client for whom you will create the program.

Then, you need to think and write the chronological structure of your course as Events.

Note that only one event can be set to be a live Training Session.

Once the course structure has been created, you can create or upload all the Contents necessary to deliver the course and choose in which event they will be available.

At this step the Course is set. You can now organize the delivering of your course, creating and managing Journeys to be instances of all the events dedicated to participants.

Note that you can create as many Journeys as you need.

Participants can be grouped by Teams, supervised by Coaches and trained by Facilitators.

Once a journey is set, you need to confirm it. Then you will be able to send login information to the different stakeholders and to follow the course of the operations.

- Clients and Users management

- Courses and Contents management

- Events and Journeys management, including follow-up and reporting

- Facilitators management

- Coachs management

- Teams and Participants management

Client / Company & Client Primary UsersA Client is an organisation for which a BTS User sets up courses.

A Client Primary User is associated to every Client when creating it and has the ability to:

- Access to a dedicated platform with Course information: EXECUTR

- Manage Client Users

- Manage Journeys, including follow-up and reporting

- Manage Coaches, Teams and Participants

Click on the «Users» tab and then «Clients» in the navigation menu. In the page that is displayed, click the «Add a new client» button available at the bottom right.

CoursesA Course represents a group of contents necessary for delivering a program and can be structured with one or more Events. A Course is created by a BTS User and belongs to a unique Client.

The contents could be:

- Necessary information for the Facilitator to support the Course

- Information for Participants, Teams and Coaches

- Tools to be accessible for Clients, Facilitators and Participants

Click on the «Courses» tab, and in the page that is displayed, click the «Add a new course» button available at the bottom right.

Events & Training sessionAn Event represents a specific period in the global structure of a Course.

A course can be made with one or several events. The system is actually set to validate only one event as a «training session» but you can have many events before and/or after it.

For example, a basic course can be divided in three different periods : Prework (during X days), Workshop (training session during X days), Postwork (during X days).

As Events are sub-division of a Course, you will have to create all the events composing the Course before making additional actions.

Click on the «Courses» tab and then the «Event» icon in the list of icons on the relevant course. In the page that appears click on the «Add a new event» button.

Fill in the information in the dialog box that is displayed and save.

- Indicate the dates on which the event will start and end.

- Note that the reference date for each journey will be the first day of the training session.

We recomend you to create the «training session» event as your first event and its first day will be automatically set as «#Day 1». So it will be easier to set other events calculating dates from this reference date.

For example, if your training session is from #Day 1 to #Day 30, your previous event can be from #Day -30 to #Day -1 and your next event can be from #Day 31 to #Day 60.

There is no Day 0.

Remember to not cross days when creating the chronological order.

- The Event is created for the chosen course and appears in the list.

Repeat this operation for all the events that made your course.

ContentsOnce events have been created, you can add specific contents available for them. The system is able to deal with several types of contents.

Click on the «Courses» tab and then the content icon in the list of icons on the relevant course. In the page that appears click on the «Add» button.

Fill in the information in the dialog box that is displayed and save.

- For each content you can choose which event it will be available for.

- For certain types of content, you can made them available only for specific journeys.

- For certain types of content, you can choose which kind of user will have access to. (facilitator, coach, team or participants)

- The Content is created for the chosen course and appears in the list.

Repeat this operation for all the contents you want to make available for your course.

Contents auto-activation

Contents can be «auto activated» to be automatically displayed in an event. In that case the content will appear in CHANGR or CHANGR Web once the event is started.

Choosing to «allow this content to be pushed using Facilitatr», means that the content will not appear unless the Facilitator activated it manually.

Contents activation

Contents must be «activate» to be available for the course. If the content is not active, it will not appear at all and the Users will never know it.

JourneysOnce the course has been structured and populated with the necessary contents you can organize real journeys for the participants.

A Journey is one instance of delivering a Course and includes all events that make up a course in chronolo-gical order. The reference date is based on the first day of the Training Session event.

A journey is also defined to a place, by which Facilitators it will be supported and for which Participants (in which Teams) it has been setup for.

The system also uses the reference date of the Training Session to planify standard action from the system.

For example, the day before the first event, the participant will receive his login and password to access prework material, and the day prior to the session start the participant will receive the login and password for his team.

Click on the «Courses» tab and then the «Journey» icon in the list of icons on the relevant course. In the page that appears click on the «Add a new journey» button.

Fill in the information in the dialog box that is displayed and save.

- Set Training Session Start (grey field) to auto-calculate all periods relying on the events set for the course.

- Choose the facilitator that will support this journey.

- A journey is created for the chosen course and appears in the list.

You can now add specific contents for this Journey using the relevant icon in the line of your journey.

Repeat this operation for all the journeys you have to create for your course.

Initiating the journeyOnce a journey is setup properly with a course, a facilitator, teams, participants, coaches if required, and that the client has confirmed the journey, you have to initiate it.

Locate the relevant journey in the journeys list, and click on the relevant «edit Journey» tool. In the dialog that is displayed, after confirming the current setting, check the «Confirmed» checkbox at the bottom of the dialog.

Contacting Journey StakeholdersThe system sends out emails either automatically or manually depending on the «Automatic Emails» option available on the «Edit Course Information» box.

All emails sent are based on:

- The default BTS layout template unless otherwise indicated in the Course Template box

- A default BTS text template unless it has been modified by the BTS user.

If the course is set to send automatic messages: Messages are sent before the first event (when a journey is confirmed):

- To the Client Users to inform them of the confirmation

- To each Facilitator to inform him of the new training session to facilitate

- To each Participant to inform that they’ve been enrolled for the journey

- To each Coach to inform that they’ve been enrolled as coach for the journey

Messages are sent one week prior to the training session date:

> To the facilitator to remind him of the session.

> To each participant and coach to provide them with their login and password.

Messages are sent the day before the training session date:

> To the facilitator as a final reminder

> To the coaches to inform them of the start of the training session

> To each team (all participants are in copy) with the team login and password

If the course is not set to send automatic messages OR each time you want to send emails: You can send emails manually using the dedicated tool once a journey has been set.

- Select a Layout Template for the email. You can use the BTS default template or the course template if it has been uploaded.

- Select one of the existing text templates or enter a free text.

The existing text templates are those used by the system for important messages about the course, the session or the platform.

You will be able to edit the content after selecting a text template.

If you want to provide the participant with system information (his login for exemple) you can copy, from an existing text template, the relevant code in [[ ... ]] and paste it in your message.

- Select who you want to send the email for by checking / unchecking the different choices. All stakeholders are selected by default.

For example, uncheck «all teams» to be able to select the teams or the participants one by one.

When you add new participants to a session already started, don’t forget to send them their login informa-tion.

Controlling the JourneyAs the creator of the course, we recommend you to access from time to time the CHANGR Web and other tools to verify that the uploaded information is correctly deployed on the participant side.

Open the CHANGR Web, enter your administrator login and password. A new screen prompts you to enter the login of the user on behalf of which you want to access the application. Once validated, you will be log-ged into the course as either the selected participant or team.

BEWARE, any action will be recorded as done by the participant or team and cannot be rolled back!
