Introduction

• This document details the dispatch configurations available in Traumasoftv3.1.

• All system configurations are found under the System Mgt tab within the Management Portal.

• By clicking on Dispatch under System Mgt a list of configurable topics will appear.

• When a trip is assigned to a vehicle through the CAD application, select the fields you would like to have sent to your employees via text message or email.

• Pages can be sent to an individual, group or shift profile.

Trip Paging

CAD Views•Manage/Create CAD views for specific dispatcher.•Create a default view that will appear each time you log in.•Simply place check marks in the zones/subzones/facilities that you want to view.•Views are accessed on the CAD dispatch page in the top left corner just above the current date.

ZonesManage/create zones:• Zones are the top level breakdown of how you dispatch/view your CAD grid.• Subzones are a middle level breakdown of how you dispatch/view your CAD grid.• Facilities are the lowest level breakdown of how you dispatch/view your CAD grid.

Sub ZonesManage/create subzones:• Subzones are the middle level breakdown of how you dispatch/view your CAD grid.• Set up default shift profiles to display each day by clicking on the “shift profile” link and

selecting from the dialog box.

PCS Questions• Manage/create all your PCS questions by call type.

• You can also switch over to view all questions at once and manage the order in which they appear on the Schedule a Trip page.

PCS Questions• Click in the order # box and type the order in which you want your questions to appear.

TripViewer• Manage/create new companies (Subzones).• Create custom colors for Available & Unavailable Shift Profiles .• Create full block notification value (the system will notify you that you need more

resources).• Custom Comments per companies.• Custom T.A.G comments.

TripViewer• Manage/create Company facilities (lowest level on the CAD grid).• Choose to what zone/subzone the facility belongs.• Custom background header colors for each facility.• Custom Comment for each facility.

TripViewer• Assign the shift profiles you want to be assigned to each facility as a default.

Bed Board - Companies• Manage/create companies, facilities, users, departments, floors and beds.

Bed Board - Facilities• Manage/create facility demographics• Custom login text per facility• Associate to Zone, Subzone• Custom title colors for each facility

USER ADMINISTRATIONCONFIGURATION V3.1

Introduction• This document details the employee

specific configurations available in Traumasoft v3.1.

• Within the Employee section of System Mgt, you have the ability to edit all employee-specific information.

• Employees’ information affects their status within your organization and how employees interact with Traumasoft applications.

User Admin• User Admin is the central location to edit and maintain all information relevant to each

employee. • To view details and access employee information, click on an employee’s yellow index

card icon in the right hand side of the employee’s name.• To create a new employee, click on “Create Employee” in the top right corner.

User Admin General Information

• To access general information about your employee, click on the link called “General Employee Information.”

• Here, you can access demographics, emergency contact information and an image of the employee.

User Admin Permissions & Groups• To access permissions, click on “Permissions & Groups.”• Reference Permissions User Guide for full explanation on how permissions work.

User Admin Employee Profile

• To access employee profile information such as DOB, drivers license no., hire date, full/part time hire date, employee level, hourly wage, template, division, district, group, pay code and much more, click on “Employee Profile” link.

User Admin Certifications• Employment & Dated Requirements

Continued.• An employee’s unique certification

information* is logged within this page. • Add certification numbers, issuing

agency, effective date and (if applicable) expiration date.

• To add a new certification, refer to the Scheduling & Payroll Configuration Manual.

*Employees who do not meet the minimum certification requirements for a specific Shift Profile will not show as an available option when amending the schedule. In this situation verify that the employee’s certifications are valid after cross referencing the personnel requirements within the shift profile.

User Admin Cost Centers• Cost Centers• Define any employee’s primary and

associated cost centers.

Employee Levels• Traumasoft allows you to define the different qualification levels in your organization. Each

employee is associated to their highest level of qualification.

• An employee level defines the to shifts an employee is qualified to fill. The qualifications associated with the Employee Level is linked to an employee’s individual qualifications. If the employee does not meet the licensure, certification and other requirements, they will be ineligible to fill any position with the given Employee Level.

Employee LevelsCreating an Employee Level:

• Click “Create New Level” on the Employee Levels homepage.

• Name the level.• Check all boxes next to the required

certifications.• Complete remainder of optional requirements. • Click Submit.

Levels can be edited or deleted on the Employee Levels home page.

User Mail Groups• Add, edit, delete User Mail Groups in this page. • Employees can be associated to any number of user mail groups in their User Admin. � Permission

& Groups.• Mail Groups are used when sending internal mail messages, memos that require sign-off or general

memos.

GENERAL SYSTEM CONFIGURATION V3.1

Introduction

• This document details the general configurations available in Traumasoft v3.1.

• All system configurations are found under the System Mgt tab in the Management Portal.

• By clicking on General under System Mgt, a list of configurable topics will appear.

• Certification Manager allows you to automatically create, manage and track all your employees’ one time or expiring certifications, licenses, and time-sensitive documents.

• Once a certification is created, it will appear under each employee’s Employment at Dated Requirement, located in user administration.

• Certifications list order can by edited by dragging and dropping each line item.

Certification Manager

• Click “Create New Certification” in the top right-hand corner of the Certification Manager home page.

• Define the certification’s abbreviation and full name

• Select whether the certificate, licensure or form does or does not expire.

• Insert stipend amount if applicable.

• Click “Submit” when complete.

Certification Manager

• C.A.R.E® Program is an incentive-based ranking off all your employees based on key performance indicators.

• Employees earn C.A.R.E.® Points by receiving recommendations, positive evaluations, and a plethora of different positive actions.

• The goal of Traumasoft’s C.A.R.E.® Program is to reward the employees who are making a positive impact on your operation and allow employees to see how their day-to-day performance is affecting their standing with the company.

C.A.R.E® Points Import

• The Global Message Center is located on every Traumasoft user’s employee portal home page. The message center is designed to post general information to your entire organization.

• Global Message Center in the employee portal

• Global Message Center editor.

• Edit message within the Message text box and click “Update Message” when finished.

Global Message Center

• IP Whitelist allow you to control who can see punch clocks, TripViewer, Bed Board when they login. This protects from employees to be able to punch in from their smart phones and devices that are not on the approved whitelist.

• Use fully qualified IP4 address (216.1.1.14).

• Use ranges of IP4 address (216.1.1.*).

• Open range to any IP address with an *.

Stations

To add a new station click the “ Add New Station” link in the top right-hand corner.

• Within Traumasoft you can manage all your Stations’ key information, including assigning specific supervisors to each facility.

• Once a Station is created, you can assign units, personnel and resources to that station.

Stations – Adding a Station• Once you have clicked the “Add New Station” link, a pop-up window will appear with fields for you to

complete.

• Complete the station form, select Supervisors, and attach any relevant document to the station.

• Then click the “Add New Station” in the bottom right-hand corner of the pop-up window.

• Station information can be edited by clicking the “Edit” button on the Station’s home page.

Vehicles

To add a new vehicle click the “ Add New Vehicle” link in the top right-hand corner.

• Use Traumasoft to track and manage your fleet. Not only does Traumasoft offer you the Fleet Manager application, but the information stored here integrates with the entire solution.

• Track all relevant vehicle information in one location.

Cost Centers• A cost center represents each account to

which costs are allocated, including employees, Shift Profiles, equipment, vehicles and more to ensure accurate cost analysis.

• Traumasoft gives you the ability to create as many cost centers as you need with the ability to assign employees to primary and secondary cost centers.

• When scheduled, an employee will default to their primary cost center.

• To add a new cost center fill out the Name field and click “Create”

• Cost Centers can be easily modified or removed through the “Edit” and “Delete” buttons, respectively.

Cost Centers – Users• Click “Show User” to view a

dropdown list off all the employees associated with that cost center.

• To add an employee, start typing an employee’s name in the “Add Name” field and a dropdown box with available employees will appear.

• Click on the desired employee to add them to the cost center.

• Make the cost center an employee’s primary by clicking “Make Primary.”

• Employees can be removed from a cost center by clicking “Remove from CC.”

Cost Centers – Groups• Adding groups to a cost center eliminates the need to add employees individually to a cost center.• Groups are created in the Employees section of System Mgt. Employees are associated to a group

within the User Admin function. • Click “Show Groups” to view a dropdown list off all the groups associated with that cost center.• To add a group, start typing a group’s name in the “Add Name” field and a dropdown box with available

groups will appear.• Click on the desired group to add them to the cost center.• Make the cost center an employee’s primary by clicking “Make Primary.” • Employees can be removed from a cost center by clicking “Remove from CC.”

Holidays• Traumasoft gives you the ability to make custom rules for any holiday and apply those rules to specific

cost centers.• Holiday rules can apply to a single cost center or your entire organization through the “Global” option.• Within each holiday you can define if holiday pay is incremental to any worked hours on the holiday or if

the hours do not effect overtime. • Holidays can be duplicated then edited to apply to another cost center through the “Copy” link.

To add a new holiday, click the “ Add New Holiday” link in the top right-hand corner.

HolidaysOnce you click “Add New Holiday” a pop-up window will appear with open fields:

• Define the holiday and date.• The time in the selected date that employees will START accruing holiday pay.• Select the time at which employees will STOP accruing holiday pay.• Click the box next to Paid Holiday if any worked time on the holiday will affect overtime.• Select the associated cost center.• Select “Global” if the rules should apply to all cost centers for that specific date.

Radio List• Creating a Radio list allows you to manage the distribution of your radios through the Daily Worksheet. • Radios are assigned a cost center for reporting purposes.

To add a new radio click the “ Add New Radio” link in the top right-hand corner.

Radio – Add NewOnce you click “Add New Radio” a pop-up window will appear with open fields:

• Name the Radio.• Select the associated cost center.• Select “Global” if the rules should apply to all cost centers.

Next Day Shift Notifications Notifications can be sent through message, memo, and/or text. Employees will only receive text notification if they elect to in their “My Account” tab.

• Next Day Shift Notifications can be sent at the selected time.• Choose to hide partner information.• Choose short message if your employees have text character limits.

Certification Expiration NotificationsNotifications can be sent through message, memo, and/or text. Employees will only receive text notification if they elect to in their “My Account” tab.

• Select who you send notifications to -- HR, Scheduling, Supervisors and Employees.• Select the timeframes at which the notifications will go out.• Select the time of the day they go out.• Customize the message that goes out.

Occurrence Report NotificationsNotifications can be sent through message, memo, and/or text. Employees will only receive text notification if they elect to in their “My Account” tab.

• Select the time of the day the notifications gets sent.• Enter the rolling timeframe in months.• Select either occurrence or points accumulation. • Enter the threshold at which you want the notifications to start.

On Call Notifications

Notifications can be sent through message, memo, and/or text. Employees will only receive text notification if they elect to in their “My Account” tab.

• Select the time of the day the notifications gets sent.• Send notification if employee has not worked a shift in X many days.• Customize the verbiage that gets sent out.

Full Time NotificationsNotifications can be sent through message, memo, and/or text. Employees will only receive text notification if they elect to in their “My Account” tab.

• Select the time of the day the notifications gets sent.• Send notification to employee If a fulltime employee does not work more than X hours for X

consecutive pay periods or does not work more than X pay periods per quarter.• Customize the verbiage that gets sent out.

CREW SCHEDULER & PAYROLL CONFIGURATION

Introduction• This document details the configurations

available in Traumasoft v3.1’s Crew Scheduler and Payroll application.

• All system configurations are found under the System Mgt tab within the Management Portal.

• By clicking on Scheduling & Payroll under the System Mgmt tab, a list of configurable topics appears.

What is a Shift Profile?• A Shift Profile is the foundation in which your schedule is

built.

• Each Shift Profile consists of its own:

• Unique ID

• Number of personnel

• Personnel qualifications

• Shifts

• Earning codes

• Type (ALS, BLS, etc.)

• Associated Cost Center

• Vehicle

• Vehicle Qualifications (optional)

• Once a Shift Profile is created, start/stop times and frequency of shifts are entered in a Schedule Template.

• Each position can be filled through a publishing process.

Shift Profiles• Shift Profiles are the foundation on which open shifts are created and eventually filled.

• Once a Shift Profile is created and the frequency of shifts are selected, the schedule can be filled with assigned or available employees who have the appropriate qualifications.

• Below you will see a list of Shift Profiles, each with a unique ID, Type, Shift Profile Qualifications and Minimum Level Rank for each position. It includes Order, Cost Center, Status and the ability to Edit, Copy or Delete the Shift Profile.

• Next we will review how to create and manage a Shift Profile.

Shift Profiles• Basic information is required to add/edit Shift

Profiles: • Shift Profile ID• Type (ALS, BLS, etc.)• Cost Center• The number of personnel within the

Shift Profile• Vehicle Qualifications

• Vehicle Qualifications can be edited and managed by clicking on [Manage Vehicle Qualifications] below Vehicle Qualifications menu.

Templates

• Setting up a qualification will require an employee to meet specific requirement(s) before they are able to fill the position.

• Each employee is given a qualification level which determines the shifts they are eligible to fill.

• To add a new Shift Profile Qualification Template click on Add New Template.

Adding a Shift Profile Qualification Template

• To create a Shift Profile Qualification Template• Create a Template Name• Select

• Minimum Staff Licensure• Minimum Level or Rank• Open Shift Color (Optional)

• Select any required Certifications, Exams or Courses by clicking the box next to the desired qualification.

Shift Start/End• Once a Shift Profile is established, the next step is to create and associate it to a Schedule.• The Schedule will include all possible start and end times for the positions in the Shift Profile.• From the Shift Start/End main page you will see the Schedule Name, associated Shift Profile, Shift

Profile Type, Order, Number of Shifts, and Cost Center as well as the ability to edit, copy or delete each schedule.

Shift Start/End • Click Add New Schedule or Edit• Define

• Schedule Name

• Select• Shift Profile• Cost Center• The total number of standard shifts for both positions

combined. • Start and End times for each shift, color code if desired,

and the Licensure (position) for the associated timeframe.

Adding/Editing a Schedule

The Edit/Add Schedule pop-up windows have identical data fields.

Payroll Policies• Payroll policies allow you to create specific pay codes based full-time, part-time, location or

employee level.

• Each employee is assigned a paycode which determines how they accrue and receive overtime, double-time, holiday pay, allocate break times, shift lengths, pick up open shifts, and the associated cost center.

• You can apply a payroll policy to one specific paycode or the rules to apply to all paycodes by selecting the “Global” check box.

• To add a payroll policy click Add New Payroll Policy

• Create a Paycode Name and fill out the following fields at they apply.

• Finally, associate the paycode to a cost center.

Earning Codes• Create specific earning codes for Bereavement, Jury Duty, LWOP, PTO, Regular, etc…• Earning codes can eliminate, increase or have no effect employees pay.

Earning CodesAdd/Edit an Earning Code

• Click Add New Earning Code in top right hand corner.• Create a Name • Create an abbreviation (Code) • Select a Shift Type (Time-Off, Regular, Misc. or PTO)• Define the Hourly Wage Multiplier. If 0 is entered, the earning code will remove pay

for all associated employees.

Availability• Define whether employees are able to submit work availability. • Choose a Availability Submission Cut-Off Date.• The rule can be applied to one, multiple or all cost centers.

Mandatory List• Create and manage employee mandatory lists. • Drag-and-drop employees into desired position. • Divide mandatory lists by employee qualifications. • Once you have finished editing your mandatory list click “Update List(s)”.

Schedule Rules• From this page you define,

• The default view of your schedule (week, month, etc.)

• Day of the week your schedule starts.

• When shifts breaks will occur.

• The start and end days and times for your schedule.

Publish Schedule• Manually publish your schedule templates based on start date and end date for each template

you have created. This will create all open shifts based the template you built, after completion of publishing you can then fill the open shifts with your employees.

Schedule SubstitutionsFrom this page you define,

• If shift substitutions are allowed.• If an administrator needs to approve all substitutions or if they are automatically approved.• The number of hours before the start of a shift that a substitution must be submitted. • Whether Admin. notification is required.

1-1 Trades• Enable or disable trades. (enabling Trades will disable trade credits)• Allow trades for current month, current and next month, or anytime.• Define approval process (admin or automatic approval).• The number of hours a trade must be submitted prior to the effected shift’s start.• Elect Admin and Employee email notifications. • Dynamic trade policies, selecting a list of tradable pay codes for each pay code. Available shift

trades for employees will now be filtered by pay code of requesting trader (if in the allowed list of tradable pay codes, as configured)

Trade CreditFrom this page you define,

• Enable or disable trade credits. (enabling Trade Credits will disable trades)• Allow trades for current month, current and next month, or anytime.• Define approval process (admin or automatic approval).• The number of hours a trade must be submitted prior to the effected shift’s start.• Elect Admin and Employee email notifications.

Time-Off RequestsFrom this page you define,

• Enable or disable Time-Off requests.• Define approval process (manual or automatic) for employees type based on your

operation’s needs.• Require employees to maintain a specific number of hours. • Create all types of time off requests.

Time-Off Requests

• To add a new type of time-off request click on “Add New Type.• Create a name for the time-off type and associate it to an earning code.

Shift Limits• Disallow or show a warning when an employee exceeds,

• A continuous number of hours.• Has less than a specific number of hours between shifts.• Or exceeds a specific number of hours within a given timeframe.

• Define the number of weeks in a custom, the start date and time of a custom week range.

Shift Pick-ups• Enable or disable the pick-up of open shifts. • Define the timeframe for shifts available to be picked up.• Require admin approval or automatically approve.• Select notifications for admin and employees.

Assign Open• The order employees with be assigned to open shift. • Select to fill open shift by seniority, hours worked, pay rate, part-time, or full-time status.• The time at which each notification is sent.• When you require a mandatory list to kick in.

PTO-Sick• PTO-Sick and PTO-Vaca can be offered separately or as one. • The accumulation method (hire date, calendar year, or custom).• Your organization’s PTO-Sick accrual process. • The probation period for new employees (number of months after their start date that they will

begin accruing PTO-Sick.• To adjust an employee’s PTO click “Employee PTO Adjustment”

PTO-Sick• To adjust PTO levels, click “Employee PTO Adjustment” from the PTO-Sick or PTO-Vaca main pages.

• Select a pay period and edit and employee(s) hours under the “PTO Time Allowed” column.

• Once you have finished editing, click “Submit” at the bottom of the page.

PTO-Vaca• Identical to in setup to PTO-Sick, PTO-Vacation allows you to create separate rules and balances

for employee vacation time. (Please see PTO-Sick for more detail)• The accumulation method (hire date, calendar year, or custom).• Your organization’s PTO-Vacation accrual process. • The probation period for new employees (number of months after their start date that they will

begin accruing PTO-Vaca.• To adjust an employee’s PTO click “Employee PTO Adjustment”

Introduction• This document details the

configurations available in Traumasoft v3.1’s Human Resources application.

• All system configurations are found under the System Mgt tab in the Management Portal.

• By clicking on Human Resources Configs link located under the System Mgt tab, you will find a list of configurable options.

Certification Manager• Certification Manager allows

you to create, manage and track all your certifications and other time-sensitive information.

Certification ManagerAdding a New Certification:

• Click “Create New Certification” in the top right-hand corner of the Certification Manager main list.

• Define the certification’s abbreviation and full name.

• Select the certification type to be Standard (expires) or One Time (no expiration).

• Stipend Amount is optional and is calculated by entered value x total hours for the pay period (example .25 x 40 hrs = $10.00).

• Click “Submit” when complete.

Employee Certification Manager• Manage your employees certifications

• System Mgt > User Admin Configs > User Admin – Config (CTRL- U)

• Click on index card icon > Certifications

Employee Certification• This page allows you to add the

necessary information for each specific employee.

Employee Review• If you are using the automatic review process, please

follow the steps below to configure the triggers:

• Place a check mark in the enable automatic box(s) for each review type that applies; each review type has a value that will trigger the self-evaluation form in hours worked.

• In addition, you can select who will receive notifications at each step of the automatic process by placing a check mark by each permission type.

• If you are using the automatic or the manual review process, fill out the availability as a global setting to populate review/interview time slots and the break for each day.

• Note: Within the hiring and/or interview process you can specify which days/times you will not be available.

Form Manager• Mange your own dynamic forms, view/edit/delete.• Track name, description, type, creation date, last updated and author of each form.• Manage input fields and auto-populated dropdown menus from your database.• Drag & drop form elements to organize the form (completely customizable).• Manage the form elements attributes.• Custom Header and footer text .• Copy existing forms to build new ones faster.

Form Manager• Create new forms by clicking on the link titled “Create New Form” in the top right corner.

• Fill in form title, description, choose a form type and give the submit button a name.

Form Manager• To add a new Block, click on “Block Options” and choose from pre-made template blocks

(Personal Info, Education, references, Prev Employment and Matrix) or add a blank block by clicking on “Add Block.”

• Click on the block title icon (house image) to edit the properties of the block.

• Click on the specific element icon (up/down image) to edit the properties of that element.

• The up/down icon is also used to drag and drop the elements around to organize your form in your preferred display order.

* Note: prefabricated elements are not editable.

Form Manager – Block Properties• Clicking on the block icon will open the edit block

properties.

• Edit the Block Title by typing in field and clicking on “Save Title.”

• Create/edit/delete elements in the block by clicking on any of the following elements -- Input Box, Text Area, Dropdown Box, Radio, Checkbox, Text Box and Delete Block.

• Change the background color of the block by clicking the input field called “Block Color.”

Form Manager – Input Box Properties• Click on the button called “Input Box.”

• Click on the up/down icon to view properties of the element.

• Choose from pre-made format rules, Numbers Only, Date, Time and Telephone.

• Select how the element text and field will appear on the form. Horizontal will keep everything on one line and vertical will drop the field onto the second line.

• Manage the width of both the title and the field by sliding the width bars left or right. You can also type in the value in the boxes below each slider.

• Click on “Edit Line Options” to manage the title and background color for the element.

Form Manager – Text Area Properties

• Click on the button called “Text Area.”

• Click on the up/down icon to view properties of the element.

• Manage the width of text field by sliding the width bars left or right. You can also type in the value in the boxes below each slider.

• Click on “Edit Line Options” to manage the title and background color for the element.

Form Manager – Dropdown Properties• Click on the button called “Dropdown Box.”

• Click on the up/down icon to view properties of the element.

• Choose from prefabricated lists -- States, Employees, Vehicles, Supervisors, Certifications and Cost Centers.

• Populate your dropdown by typing in the “Enter Options” area; click set options when complete. Turn on “Multiple Entries allowed” by placing a checkmark in the box.

• Select how the element text and field will appear on the form. Horizontal will keep everything on one line and vertical will drop the field onto the second line.

• Manage the width of both the title and the field by sliding the width bars left or right. You can also type in the value in the boxes below each slider.

• Click on “Edit Line Options” to manage the title and background color for the element.

Form Manager – Radio Box Properties• Click on the button called “Radio Box.”

• Click on the up/down icon to view properties of the element.

• Choose from prefabricated lists -- States, Employees, Vehicles, Supervisors, Certifications and Cost Centers.

• Populate your dropdown by typing in the “Enter Options” area; click set options when complete.

• Manage the width of the element by sliding the width bar left or right. You can also type in the value in the boxes below each slider.

• Click on “Edit Line Options” to manage the title and background color for the element.

Form Manager - Company Links• Once you have created your form, link it to

your employees on the company links page.

• Click “Website Mgt,” then select “Company Links”

• Click “Links” for the category you want to place your form.

• Click on “edit” to adjust links or click on “Add New Link” to place a new link.

• Create a name for your form link; select either link type -- From URL or From Premade Form. If you select From URL, type in the correct urladdress. If you select From Premade Form, select from the dropdown menu.

Vehicle Equipment• Create/manage your company equipment that move throughout your fleet.• Track equipment type, alias, descriptions and cost center.

Vehicle Maintenance• Set your work order threshold. This will allow your mechanic to create work orders without

having to wait for approval. If the work order is above the threshold, then wait for supervisor approval.

• Send notifications to admin/manager/mechanic when vehicle requests/work orders and vehicle out of service occur.

ePCR List• To create/manage your own ePCR forms, click on “add new config” and give your ePCR a title.• Show/hide/create custom fields for your ePCR.

1. Start building your custom ePCR by clicking on “show” for each section you want to turn on.2. Allows you to create new sections to your ePCR if the desired section is not available.3. Once into a section, you can “show/hide” sub sections to turn on features. You can rename the

sub section by clicking on “rename section.”4. Turn on/off any field item in a section individually or choose to use “activate all.”5. Turn on/off any field you want to be required or choose to use “require all.”6. Left click up/down arrow icon to drag and drop in any order you want the fields to appear.7. Rename and section to be a custom name.8. Manage/create/delete any options in dropdowns.
