LA On November 15, 2010, the LADOTD started using the Statewide ERP system (SAP) to management all of it Purchasing and Financial activities. At the same time, we start using Agile Asset for our Maintenance program. Prior to that, 2005, we went into the Statewide Human Resource system (SAP).

1323 Oracle Business Intelligence (OBI) Implementation The goal of this project is to establish a department-wide business intelligence strategy, apply established BI implementation and data warehousing best practices, and set the foundation for full department-wide implementation of BI. To accomplish this the project will install, configure, build, train on, and start using a Business Intelligence (BI) tool. More specifically, the scope is to perform 3 non end-user proof-of-concepts to establish a functioning system and then perform 3 end-user rollouts (sub-projects) to demonstrate the feasibility and value of BI implementation. Also, the intent of the 3 rollouts is to establish a solid service footprint in the department. The objectives are to deliver a 3-5 year maturity roadmap, repeatable proven processes and transition the project to an ongoing program service. The goal of implementing a formal enterprise-level BI program in the department is to turn our current information into a higher yield asset for the department and public via source-to-target data roll-up into key performance indicators (i.e., dashboards, reports) and other key business insights to assist department decision making.

1405 SharePoint Implementation Mn/DOT’s Office of Information and Technology Services (OI&TS) has decided to implement SharePoint 2010 Business Productivity Online Service – Dedicated (BPOS-D). Mn/DOT’s Stewardship Council decided in December 2010 to move forward with implementation of SharePoint 2010 using the hosted service model being provided by the MN Office of Enterprise Technology (OET) which is providing this utility service for any state departments wanting to use collaborative technology tools. Microsoft SharePoint 2010 is part of Microsoft’s productivity suite allowing for collaboration. The primary goal of this project is to determine governance, strategy, a development roadmap, communications and a plan for training and support. This project will also implement three rollout projects to include the development and launch of the Transportation Innovation Knowledge Network, establishment of Collaboration Sites and MySites implementation for all employees. Microsoft Lync is also an offering as part of the BPOS-D services being provided by OET. Lync will be evaluated as part of this project and implemented dependent upon evaluation results. A Communications and Training and Support plan will be developed and implemented within the scope of this project. Four or more projects will be implemented based on the governance plan and strategy roadmap. The following rollout projects identified for implementation are: • The Transportation Innovation Knowledge Network (TIKN) will be an external facing SharePoint web site which will connect Mn/DOT with the transportation research community to help drive innovation. • Collaboration project team sites to initially include the SharePoint 2007 Pilot sites, Policy Analysis, Research and Innovation Office sites, ADA, Sustainability, Tech Connections and Workplace of Choice Flagship Initiatives, SharePoint project, and Technical Support/Project Management sites. These initial sites will be a “test” community as governance is being developed. • MySites to include on-line organization charts, on-line maps, news feeds, searchable employee skills and knowledge listings to enhance knowledge sharing and ability to find department key experts and resources. • Lync evaluation to determine whether the desktop conferencing features could serve as a replacement for Adobe Connect which is currently used for desktop conferencing.

1409 Data Center Co-Location Migration Program The executive branch agencies will begin to consolidate 38 data center/computer rooms into four major data centers that will be shared by all agencies. Three state office buildings will be upgraded to a Tier II data center definition and standard facilities. Mission critical systems or applications will move to a third party facility meeting Tier III industry definitions and standards. Consolidate the applications and servers from all six metro area Mn/DOT Data Centers and migrate them into EDC1, the new OET managed collocation Data Center. This program will have 15 separate but tightly integrated projects: High Level and detailed project discovery and planning Hardware Purchases Software Purchases Disaster Recovery of EDC1 and RTMC Network Connectivity Upgrades EDC1 Data Center installation RTMC Data Center installation P2V server migration (Physical to Virtual) migration Virtual Migration into EDC1 Virtual Migration into RTMC Application Virtualization Enhance Backup Hardware Outdated Application Rewrite Decommissioning Space RTMC Exception OET has stated that the project needs to be completed within five years from the November 2011 start date. Based on our initial discovery, Mn/DOT could have this migration completed by January 2015. Mn/DOT has one High Risk Data Center that needs to be migrated as soon as possible. Mn/DOT does not have any High Priority applications, the three applications that originally were designated as High Priority have since been downgraded. The goal of the project is to virtualize as many servers and applications prior to migrating into the new EDC1 Data Center as possible. Mn/DOT has a number of DOS based applications and databases that will need to be updated prior to migration.

I’m not sure of the platform required. The ITS page has been modified for use with most smart phones, with considerable success on the iOS, Android, and Windows Phone devices.

AL To make the ITS site open to as many platforms as possible, we opted to create a mobile-friendly, HTML based web site rather than to try to target individual platforms. This allows the user to reach the ITS web site with any mobile smart phone that is capable of rendering HTML, regardless of what operating system the device is running. We set the site up to automatically detect most mobile devices and redirect them to the mobile version of the site.

AL Pontis 5.x is still in pre-production phase and is downloaded via FTP from the software developer's FTP site. I don't see any areas for improving delivery. FTP is fast and simple. From the Trnsport perspective, my answer to question 29 would be “none”.

AR Speed up the delivery of modernized versions of existing AASHTOWare products using web based interfaces.

DE The screens for DARWIN-ME and TurboRelocation are not aesthetically pleasing. Trnsport needs improved documentation.

IA A comment to question 11 - We are still unsure at this time. One of the reasons we are not sure today is that we do not know what the state IT infrastructure consolidated costs will be, and we don’t know what AASHTO’s SaaS costs would be. Other factors are the level of difficulty to implement a SaaS configuration, complexity, staff resources needed, and integration with existing systems.

ME Some of the questions regarding where things fall (internal/external) are more mixed than a single entity answer allows.

SC As we look at commonality amongst state DOT's, I would be curious as to the level or degree of what Web Filtering is considered the norm for example...

UT I have met with UDOT management to have a discussion about UDOT IT resources compared to other states'. One thing I found difficult to analyze was getting a full picture of resources used because the consultant resources were shown on a separate table without any way to link it back to the other internal staff table. Could you send out a combined table showing each agencies internal staff next to their consulting staff resources.
