Product

Anchor points from the pavilion ceiling to the elements you want to suspend: structure, lighting, screens, signage, inflatables, etc. From a basic point with steel cable to points with manual or powered hoists.

Advantages

Improves the visibility of the booth from more areas of the site. Optimises the space in the booth and facilitates visitor access, eliminating support elements from the floor to the desired point. On-site technical support.

Guarantees and safety

The materials comply with European Union regulations. Installation work follows the safety regulations of each pavilion/centre.

Basic regulations for hanging structures

All materials used must be certified as compliant with European Union regulations. The number of points depends on each type of structure and the loads specific to each pavilion.

When a hoisting system (block-and-tackle or powered hoists) is used, an additional safety cable is mandatory and must be used.

Points anchoring powered or block-and-tackle hoists to the structure must always be vertical, and must be used with slings attached to the structure and a shackle attached to the engine.

The maximum heights for suspended elements indicated by the management of each fair must be respected.

Rigging services

In some cases, the location of the stand might have restrictions resulting in:

- The need to use structures to adapt the space for anchor point installation, incurring an additional cost.

- The impossibility of installing anchor points.

We recommend the use of fabric ceilings with C1 fireproof certification and 40% to 60% mesh, so as not to interfere with the smoke detection and fire suppression systems. These ceilings must also be attached to a European Union-approved framework structure.

All suspended wooden elements must be securely attached to a European Union-approved structure in such a way that the loads are evenly distributed. The anchor points or hoists will be attached to this approved structure.

As well as the structure type and load-bearing capacity of each centre, the distribution of weight throughout the structure must be considered when deciding the number and location of anchor points for suspending it.

How can I find out which electrical panel I need?

Add the total number of watts you need for your booth, including lighting, machinery, computer equipment, audiovisual equipment, etc.

If you have contracted a Servifira booth, do not add power consumption for lighting, as the booth includes lighting. If exhibiting machinery, consider whether it runs on a single-phase (230 V) or 3-phase (400 V) supply.

If I contract a 3-phase panel with protector for a single-phase line, how many single-phase outlets will it have?

The number of protectors installed per single-phase line is shown in this list.

An electrical plan is needed:

- For a panel of 50 kW or over

- For several panels totalling 50 kW or over on the same booth.

When do we pay for power consumption?

Power consumption is included in the price of the panel.

How can I calculate the cost of my power consumption?

Based on these figures:

1 - The number of days the fair you are exhibiting in will be open

+ 2 days, corresponding to the last 2 construction days.

2 - The number of contracted kW.

3 - Rate to apply (per day or per 24 hours)

Multiply these three numbers to obtain the total cost.

When do I need an ELECTRICAL PLAN for contracting an electrical panel?

If the total contracted kW in electrical panels for the booth during fair days comes to 50 kW or over, an electrical plan is required by the regulations of the Catalan Regional Government’s Department of Industry.

Very important information

- The rental prices of the electrical panels on fair days include their legal permits and power consumption, but do not include the electrical plan for booths with 50 kW or more contracted.

- Under no circumstances will the machine be connected for the exhibitor. Likewise, electrical outlets will not be provided (cables, extension leads, adaptors, etc.).

If contracting the electrical panel, the power associated with the panel is automatically included in the invoice.

When are the electrical panels switched on?

On the last two construction days, the electrical panels for the fair days will be switched on as the electrician-installers deliver the bulletins or electrical plans to Fira Barcelona’s official electrician, who is in charge of the connections in the pavilion*.

When is the electricity supplied?

Panels per 12 hours: they are switched on every day half an hour before the fair opens, and switched off half an hour after the fair closes each day.

Panels per 24 hours: they are kept on 24 hours a day throughout the fair. This type is recommended for refrigerators and other machinery which needs a permanent power supply.

What should I do if I don’t have an authorised elec-trician-installer?

If you do not have an electrician-installer authorised by the Conselleria d’Indústria (Department of Industry) of the Generalitat de Catalunya, we recommend contracting an electrical panel via the online Catalogue of Services. Servifira will take care of the rest.

Legal permit procedure for electrical panels

1 - Go to the Customer Services Department to obtain the electricity permit form (to obtain it, exhibitors and builders must have already paid any pending amounts).

2 - Present the following information to the Department of Industry (ICICT):

· Fira Barcelona electricity inspection bulletin.

· One-line diagram of the installed panels.

· Electric power procedure form.

3 - After the bulletin has been stamped and installation has finished, deliver the green copy to the office of the Pavilion’s head of services, with the number of the outlet where the electrical panel has been connected. (Outlet number for the Gran Vía site only).

- One (1) credential (username and password) to login the number of contracted devices to the EXHIBITION_WIFI network that is broadcasted at the exhibition halls

- The bandwidth per device depends on the bandwidth contracted (8 Mbps or 25 Mbps)

- The Wi-Fi credentials (username / password) will be sent to the main contact of the booth 3 weeks prior to the commencement of the congress

- The service will be operative from the build-up start day until the congress end. No configuration is required

Technical description:

- The cable is UTP Cat6 cable with male RJ45 connector

- The bandwidth is symmetrical with a private IP address provided by DHCP

- A full class C is assigned to each cable. IPs from .2 to .50 are reserved for static use

Services for builders Waste removal

Before construction starts, the booth construction company must pay Fira de Barcelona for a set of services, as follows:

- Cost of Fira personnel making the facilities available (opening pavilions, providing technical services, operational organisation, office personnel).

- Maintenance of pavilions for use by third parties.

- Personnel needed to allow people and vehicles to access the site.

- Layout and marking of commercial spaces for booth construction.

- Storage of booth materials in common areas (passageways, exterior avenues, etc.)

- Work pass management, checking, and delivery, according to Social Security regulations.

- Lighting pavilions during construction work.

- Use and maintenance of washrooms for builders in pavilions.

- Preventive surveillance of the site (control room, fire prevention service).

- Medical dispensary service on the site.

These services are charged according to the following price rates:

Remember that for booths contracted through Servifira, the cost of these services is included in the price.

Fira de Barcelona reminds you that all exhibitors and decoration companies must remove any waste created during the construction of their booth, and leave their space clean and ready to use at the end of the dismantling period. If necessary, they can hire our official service provider to remove rubble or waste.

If any waste is left behind after the dismantling period, the exhibitors and decoration companies must pay the costs arising from their removal, according to the relevant price rates. No waste must be left in any space on the site during all construction and dismantling days.

Resa Expo Logistic offers logistics solutions to suit your needs. “One-stop shop” solutions where we take care of the entire process of collecting goods, transport, unloading at Fira, collecting and return delivery, with online tracking of the status of your shipments.

Official logistics operator of Fira de Barcelona

- All services will be charged by the hour, respecting minimum times.

- Price rates do not include VAT.

- The basic price rates are valid from 8 am to 8 pm on working days.

- Outside this period, contracted services will incur the following surcharges: 8 pm to 8 am + 50% / Saturdays or public holidays + 50%.

- All our services must be paid for in advance, or if applicable, before the end of the month, at our offices in the trade fair site, in cash or by cheque, by Visa, Eurocard, or Mastercard, or by bank transfer to Banc Sabadell/Atlántico, Avda. de Madrid, 188, account no. 0081 0557 19 0001113820.

- Services can be cancelled at no cost up to 24 hours before the planned start time.

- Resa Expo Logistic insures its services up to a maximum of 24,000 euros per accident, offering customers extended coverage at very competitive prices. Extended coverage must be ordered in advance.

- Integrated services cover all logistics services for a flat fee (one stop shop).

- Boat Show flat fee: includes moving the boat into and out of the site, for a flat fee.

RESA EXPO LOGISTICInternational Fairs Logistics

- Goods storage: keeping and guarding goods in our warehouses (weekly rate). Includes transport to and from the warehouse (unloading and loading). If goods are stored for more than one week, there will be a surcharge of €25/m3 per week. All packages and objects must be properly identified by labels, which we supply to the client.

- Storage of empty containers: collecting containers from your booth and returning them later. Goods worth over €100 must be declared.

- Delivery times will begin 2 hours after the end of the fair, or when hoisting equipment can be brought into the sites, and will end before 8 am the next day. Materials worth over €100 will only be delivered at the specific request of the client, and in their presence. If clients do not declare the value of goods, this means that they accept responsibility for them. Packaging must be properly prepared and/or shrink-wrapped for handling. On contracting the service, the client will be given identification labels to fill in and stick to each item or package. Resa can provide package-strapping equipment to ensure stability, for an additional fee.

- Transport and forwarding: in addition to the above items for total logistic services. This can include customs management and insurance.

- Clients contracting services without drivers implicitly accept responsibility for the correct use of the machinery provided, and will be liable for any loss or damages arising from misuse or negligence.

- Logistics services by the hour include the use of machinery and personnel for the stated period only. Clients must perform the forwarding tasks or deal with the transport companies. Clients will be responsible for the correct loading and stability of the products being handled if hiring fork-lift trucks with driver by the hour.

General conditions

1. Scope

These conditions apply to any contract to provide goods, supplies, and services, as specified in the folder.

2. Contract type

All goods and supplies listed in the catalogue are contracted as rentals, except Merchandising.

3. Contract order/request

TERM

Contract requests are made through the exhibitor area of the trade fair’s website, at least 7 days before the start date of the fair construction period. Outside that period - i.e., in the seven days before the start date of the fair construction period, any orders must be placed through the event website, and will incur a surcharge of 30%.

4. Modifications

Orders can be modified, as long as the changes are made before the limit date of 7 days before the start of construction.

5. Cancellations

Order cancellations must be in writing to be valid. If the cancellation takes place before the order deadline, the exhibitor will not be required to make any payment for the cancelled order. In such case, Fira de Barcelona will send the exhibitor a credit note for the issued invoices, the issued invoices and the reimbursement of the amounts already paid, if any. If the cancellation is made after the order deadline, Fira de Barcelona will retain all amounts already paid to compensate for the costs incurred due to the cancelled order.

6. Prices

All prices in the Folder will be valid until SEVEN DAYS BEFORE the start date of the fair construction period.

Outside that period - i.e., in the seven days before the start date of the fair construction period, the prices in the EXPRESS FOLDER will be charged, if this folder is currently marketed.

If the EXPRESS FOLDER is not marketed, the Folder prices will also be valid during the construction period and while the fair is open.

These Folder prices include:

· Transport of material, if applicable.

· Basic installation, no higher than 1.80 m.

· Construction, dismantling, and collection of material.

Catalogue prices do not include VAT.

The corresponding VAT will be applied in each case.

7. Payment periods

Invoices must be paid by the expiry date. If there are expired invoices pending payment, no passes will be issued to builders or exhibitors. In all cases, any incident, omission, error, or correction relating to invoicing must be reported in writing to Fira de Barcelona before the expiry date.

9. Delivery periods for goods and supplies

During the construction period, all products are subject to availability. The contracted goods and supplies will be delivered in the following periods:

a) In general, in the afternoon of the last day of construction.

b) Any hired computer or audiovisual equipment, telephone handsets, or fax machines, will be delivered in the afternoon of the last day of construction or in the morning of the official opening day.

c) If hiring electrical panels, electric power, water, or compressed air, these services will be available two days before the official opening date. Deliveries will always be made to the booth.

During the construction period, all products are subject to availability.

These periods are applicable as long as all orders were placed before the order deadline. Otherwise, requests will be attended depending on availability and delivery of these products cannot be guaranteed until 10 am on the official opening date.

10. Removal of goods

At the end of the fair and during the next day, any hired goods will be removed by the supplier who originally delivered them. These goods must be returned in excellent working condition. The exhibitor will be liable for any damage or loss.

11. Times in which contracted in-person services will be provided

Contracted services will be provided at the booth according to the time and day requested.

12. Common provisions

No goods will be delivered, or services supplied, until the invoices issued by Fira de Barcelona for such goods or services have been paid in full.

13. Effectiveness

These conditions are effective and applicable to all goods, services, and supplies listed in the folder, unless such listings specifically state otherwise. If there should be any discrepancy between the rulings of these terms and conditions and any special conditions applying to a specific good, service, or supply, the special conditions shall apply.

Catering services and hire of machinery

1. Scope

These conditions apply to any in-booth catering service or machine hire by the client.

2. Contracts

A. Initial order

The client must first request services at least three working days before the opening date of the fair, by filling in the corresponding form. Regardless of the chosen form of payment, by way of guarantee, the client must fill in their credit card details. Fira de Barcelona will not process any order without such details.

If this deadline is not met, Fira de Barcelona cannot guarantee the availability of the service requested by the client, but will fulfil the request if possible. In all cases, Fira de Barcelona undertakes to provide the service if it has first been explicitly confirmed.

B. Replacements and refills during the fair

Refills and replacements may be ordered before 5 pm on the day before they are needed.

No services will be supplied until all invoices issued by Fira de Barcelona have been paid in full.

3. Prices and means of payment

Prices

- Prices include delivery to the booth- Catalogue prices do not include VAT. The corresponding VAT will be

applied in each case.

Means of payment

Clients may opt for any of the means of payment indicated on the form (bank transfer or bank card).

A credit card will be used as means of payment in any of the following two cases:

- If specified by the client.

- If, at the end of the Fair, there are outstanding amounts payable to Fira de Barcelona. In such cases, regardless of the chosen payment method, Fira de Barcelona will charge the outstanding amounts to the credit card. Bank transfers must be made to the following bank account:

4. Times in which services will be provided

The service times are:

- 9 am to 11 am for drinks, snacks, utensils, assorted baked goods, and fruit.

- 11 am to 1 pm for other products.

These times may vary, depending on the type and schedule of the event.

5. Machine hire

5.1 Delivery periods

Non-perishable products, beer kegs, coffee machines, and water coolers will be delivered the day before the opening of the fair, within a 2-hour period, during which the client’s designated contact person must be present at the booth.

5.2 Removal

- Coffee machines, water coolers, and kegs. They will be collected one hour before the end of the fair.

- Empty water tanks and CO2 canisters. To be collected at the end of the fair, or if requested specifically by the exhibitor.

Machines may only be removed by Alternativa Catering personnel.

5.3 Loss or breakage.

Clients are responsible for the hired machines. In the event of an item being lost, the following charges will be applied:

Nespresso coffee machine: €301 + VAT / Water cooler: €550 + VAT

Empty water tank: €9 + VAT / Beer keg: €30

CO2 canister: €60 + VAT

6. Guarantees

Once the requested catering products have been delivered and the client has signed the delivery note, they cannot be returned or changed.

7. Cancellation

Catering orders can be cancelled if the cancellation is requested before 5 pm on the day before the service was scheduled.
