BACKGROUND INFORMATION
SCHOOLS SENSITIVE DATA
The school hosts many different forms of highly sensitive data including but not limited to:
Sims Database:
- Student Personal and Private Information
- Staff Personal and Private Information
- Student Grades and Results
- Student Behaviour and Achievement Information
- School Financial and Contract Information
Network Drives:
- Student Personal and Private Information
- Staff Personal and Private Information
- Staff Photographs
You can see from these examples that it is imperative that the school makes sure that its data
security processes are stringent and efficient in order to avoid potentially unlawful or dangerous
consequences.
DATA PROTECTION AND SECURITY
Stretford Grammar Schools Remote Access System has been implemented as a significant portion
of the Schools Data Security Strategy. When using the Remote Access System, you can access,
edit, read and save any of the sensitive data you have access to in the school but the data itself
never leaves the schools servers/network. By accessing it remotely you are already ensuring that
the potential for the breach of sensitive data is reduced to zero.
All connections between your PC at home (or any other device you use to connect to the system)
and the schools network is completely encrypted to government standards. This alleviates any
danger of your communications over the internet being used or intercepted for malicious purposes.
HOW TO ACCESS THE SCHOOLS REMOTE ACCESS SYSTEM
USING A WINDOWS PC
CONNECTING TO THE REMOTE ACCESS SYSTEM
On your PC, Open your web browser (eg Internet Explorer, Google Chrome, Mozilla Firefox) and
browse to the Stretford Grammar School Website at www.stretfordgrammar.com and then access
the Remote Access Page by hovering your mouse over the “Staff” Menu and clicking on “Staff
Remote Access”.
Now click on the “Stretford Grammar School Remote Access (Windows PC) link.
This will download an RDP file as shown in the picture below:
Double click on this file to launch it and begin connecting, you will see the following warning:
Tick the “Don’t ask me again for connections from this publisher” box and then click connect (You
won’t see this warning the next time you connect).
You will now see the login screen as below:
Type in your school username and password and hit the “OK” button.
You will see that it is connecting as below:
You will then be greeted with the Remote Access Windows Environment as shown in the image
below. Using this is the equivalent of sitting at a PC in the school.
USING AN APPLE MAC
INSTALLING THE MICROSOFT REMOTE DESKTOP APP
In order to connect from a Mac, you must first install the “Microsoft Remote Desktop” App from the
Mac App Store as detailed below:
Open the Mac App Store App and Search for “Remote Desktop” and click “Install”
Once it has finished installing the button will change from “Install” to “Open”. Microsoft Remote
Desktop Is Now installed.
CONNECTING TO THE REMOTE ACCESS SYSTEM
Browse to the Stretford Grammar School Website at www.stretfordgrammar.com and then access
the Remote Access Page by browsing to the “Staff” Menu and clicking on “Staff Remote Access”.
Now click on the “Stretford Grammar School Remote Access (Mac) link.
Browse to your downloaded files and you should see something similar to the following:
Run the “Stretford Grammar Remote Access (Mac)” you just downloaded by double clicking it and
you will be greeted with the following login screen:
Enter your username in the following format -- Stretford\username eg Stretford\jk or
Stretford\mg or Stretford\j.keating
Note that this is the same username you use to login to the PCs in the school!
And then enter your school password in the password field.
A correct example is shown in the image below:
Now Click OK to begin connecting and you will be greeted with the following screen:
Click “Show Certificate” and you will see the following:
Tick the “Always trust “*.stretfordgrammar.com” when connecting to “sgs-ts-001.stretford.local” box
and click continue. Please note you will only have to do this the first time you connect!
You will then be greeted with the Remote Access Windows Environment as shown in the image
below. Using this is the equivalent of sitting at a PC in the school.

GENERAL TIPS
ACCESS THE REMOTE ACCESS SYSTEM EASILY
Once you have downloaded the connection file to your PC or Mac. You could easily copy this to
your desktop, or any other location you like to save things for easy access, so you can run it easily.
You do not need to repeatedly download the file from the website each time you want to connect.
FOLLOW COMMON SENSE DATA AND COMPUTING RULES
Even though you are using a secure remote access system, the same general common sense applies
as when using any other Computer. Always save your work as you go to avoid data loss. Never
leave your computer unattended whilst you have your connection to the Remote Access System
open. Always have a password set on your PC.
LOCK YOUR COMPUTER WHEN YOU ARE LEAVING IT UNATTENDED
Remember you can quickly lock your screen by holding the windows key on your keyboard down
and pressing the “L” key simultaneously.
LIMITATIONS OF THE REMOTE ACCESS SYSTEM
When using the Stretford Grammar School Remote Access System, you can do 95% of the same
tasks you would be able to do at any computer in the school. However there are some limitations:
- You will find graphics intensive activities are not easy to accomplish when using this. This
mainly applies to Adobe Photoshop work. As a result, the Adobe Creative Suite is not
available through the Remote Access System.
- You will find that Media (Audio or Video) Streaming, listening or viewing is not particularly
useful via the remote access system. IT is highly recommended that you do any Youtube
and any other media consumption on your home devices and not through the Remote
Access System.
Other than these two exceptions, using the system is exactly the same as using any other school
computer.
Remember to always lock your
screen when you are leaving it
unattended. A quick way is to
use the Windows Key and “L”
