Are sales allowed on the exhibit floor?

Yes. Exhibitors are allowed to make sales and distribute product on the exhibit floor. All sales activity is to be performed within an exhibitor’s rented booth space.

My company does not plan to make any sales on the floor. Do I still need to submit an ST19 form?

Yes, Minnesota State Law requires that all exhibitors, regardless of whether payment will be accepted for onsite sales or if the company is not from Minnesota. All exhibiting companies are required to complete and submit an ST19 Certificate of Compliance with their contract. A Minnesota tax ID is not necessary.

What is included with my booth space?

Each 10' x 10' booth space = aluminum rails on which draperies are hung. The back drape is 8' tall and the side rails are each 3'. Each 10' x 10' booth also includes 8 exhibitor registrations as well as the option to utilize a complimentary furnishings package of 2 chairs, an un-skirted 6' table, and a waste basket. All booth spaces receive a standard ID sign consisting of the company name and booth number. The company name and booth number will also be published in the Preliminary and Onsite Programs. Level 3 Digital Booth (more information below) is also included with booth rental.

Is the exhibit hall carpeted?

No. The hall has a concrete floor. Show management will carpet the aisles and common areas however; you order and pay for carpet in your booth space.

What do I need to provide for my booth?

Decorations, electrical, carpet, and cleaning must be provided by the exhibitor. A complimentary furniture package is available but must be ordered. You have the option of ordering everything from GES, the RiverCentre, and other vendors.

I need electricity and an Internet connection. Do they come with my booth?

No. There is complimentary wireless Internet throughout the RiverCentre that is intended for attendees and light exhibitor use for checking email, browsing the internet, or displaying a website. The wireless option is spotty and not reliable if you will be running a demo in your booth.

Electricity — You must order and pay for electricity. A form will be online in the exhibitor kit or you can go directly to the RiverCentre site.

What is a “Digital Booth”? New this year! Level 3 included.

Digital Booth access is included in the standard booth package. It is one of the exhibitor tools offered through the show management software called EXPOCAD. It is a virtual booth where you can add a searchable listing with product/service categories, company description, sales contacts, videos, brochures, etc. The Digital Booth is an easy and flexible way to promote your company’s participation in the meeting. Star of the North attendees will be directed to use the “My Expo” feature of EXPOCAD and the Digital Booth, which is the interactive online floor plan to make the most of their expo time: research and plan their trip to the exhibit floor, make pre-show connections with exhibiting companies and more — draw attendees to your booth before they set foot on the show floor by using your Digital Booth!

What is included in the exhibitor registration?

Access to the exhibit hall and The Big Party: An exhibitor registration identifies an individual with an exhibiting company. It allows that person access to the exhibit hall during show hours, set-up and tear-down and it will allow you to linger in the hall after it has closed to prep your booth for the next day’s activities. Registered exhibitors are also invited and encouraged to attend The Big Party which is fun for all attendees and will take place on Friday evening. Entrance to education programs is not included nor is CE credit available to those registered as exhibitors.

When will I receive my Exhibitor Services Online Kit?

GES will email a link to their online ordering website in late January. You will order booth carpet, the free furnishings package, booth cleaning, etc. from GES. Electric, audio visual equipment, compressed air, and water services are ordered through the Saint Paul RiverCentre.

How do I order my complimentary furnishing package?

This package is NOT automatically provided. Order your complimentary table, 2 chairs, and wastebasket by checking the “Complimentary Furnishing Package” option available online through GES.

Are email addresses obtained through the Lead Retrieval System?

The Star of the North Meeting will have a check box during registration that an attendee may elect to include their email address in the bar code on their name badge.

Can I hand-carry my exhibit into the exhibit hall?

Exhibitors may hand-carry boxes, equipment, etc. through any door. However, anything not hand-carried must be brought into the exhibit hall through the loading dock using nothing larger than a two wheel hand dolly. Exhibitors with wheeled pop-up display cases should bring them through the loading dock area. You will not incur drayage charges if you use the loading dock for your self-carried items.

What is a Certificate of Insurance (COI) and why do I need it?

All exhibitors must provide evidence, in the form of a Certificate of Insurance that they are insured for a minimum of $1,000,000 for comprehensive general liability insurance. You should contact your company’s insurance agency to request this. You must reference the show dates, the Minnesota Dental Association, Star of the North Meeting, GES Global Experience Specialists, and the Saint Paul RiverCentre as additional insured on the certificate. A sample COI is available on the show website and for those who do not have general liability insurance, contact Star of the North for options.

EXHIBIT HALL BUYER'S NIGHT RECEPTIONWe’ve revamped the popular Exhibit Hall Premiere Night and given it a new name this year — Exhibit Hall Buyer’s Night — with a focus on attracting buyers to the exhibit floor. We encourage exhibitors to offer show specials for Thursday night attendees only and to incorporate the “buyers” theme into your own marketing.

CONTRACT & ST19 FORMA contract and all forms can be found on the website at star.mndental.org.

APPLYING AND PAYING FOR SPACETo apply for exhibit space, all exhibitors must complete the Exhibit Contract and the ST19 Certificate of Compliance form. These forms can be found at star.mndental.org. Return the completed forms, along with your minimum deposit of $500 per booth space, to the Minnesota Dental Association. Booth confirmations and invoices will be sent in December after all contracts have been processed and booths assigned (for contracts received by November 1, 2017).

The exhibit fee is due in full by February 1, 2018. Failure to meet this deadline may result in reassignment of exhibit space at the discretion of the Association. For exhibitors applying after February 1, 2018, contracts must be accompanied by full payment.

*Early Bird Discount is available for exhibitors whose contracts are received and paid in full by the priority placement deadline of November 1, 2017.

**Companies renting a 10'x10' or 10'x20' configuration will be charged a $100 premium for each corner booth rented. This premium does not apply for companies renting space larger than 10'x20'.

DEPOSIT A minimum deposit of $500 per booth space must accompany your Exhibit Contract before booth space is assigned. Your company will not be placed on the floor plan until at least a deposit is received at the MDA office.

PAYMENTA $500 deposit is standard for each booth space rented. Paying in full by November 1, 2017, you’ll receive a $100 discount per booth.

Full payment of all booths is due on February 1, 2018. Contracts accepted after this deadline must be accompanied by full payment.

Visa, Master Card, American Express, or a company check made to Minnesota Dental Association are the accepted forms of payment.

SPACE SELECTIONThe Star of the North has two methods of booth placement.

1. Contracts received by November 1, 2017, are assigned space on a priority system through points earned and group classification. Points are determined by the cumulative number earned by:

• Sponsorship: 50 points – Diamond Level, 35 points – Platinum Level, 25 points – Gold Level, 15 points – Silver Level

• Twenty (20) points for companies returning their contract by September 29, 2017 AND paying in full

• Ten (10) points for companies returning their contract and ST19 by September 29, 2017

• One (1) point for each consecutive year exhibiting at Star of the North. Exhibitors not in 2016 and 2017 forfeit all points

Contracts must be received on or before November 1, 2017 to be included in the priority space assignments. After the points are tallied, companies are divided into groups as defined here:

Group 1: Contracts requiring four or more booth spaces, or those who purchased the promotional packageGroup 2: Contracts requiring less than four booth spaces, with an exhibiting history of 20 or more consecutive years in priority orderGroup 3: MDA-endorsed companies sorted by priority pointsGroup 4: All other companies in priority points order* If there is a tie within a group, the date and time the contract was received will decide the order.

2. Contracts received after November 1, 2017 will be assigned on a first-come, first-served basis.

Booth space cannot be held and a company will not be placed on the floor plan until all forms and a deposit is received at the MDA office.

No endcaps: Exhibitors requesting two corner booths must have a minimum booth configuration of 20' x 20' or larger

A $100 premium will be charged for each corner booth when purchasing a single (10' x 10') or double space (10' x 20').

CANCELLATION OR REDUCTION OF SPACE To cancel or reduce your space, you must contact us in writing.

• Exhibitors who purchased a Promotional Package will not be allowed to cancel their package with any refund.

• Exhibitors who purchased four or more booth spaces will not be allowed to cancel or reduce their space to fewer than four booth spaces with any refund.

• Cancellations and reductions of space made before November 1, 2017 will be refunded fees paid to that date.

• After November 1, 2017 but before February 1, 2018, no deposits will be refunded.

• After February 1, 2018, the exhibit fee will be returned minus a 10% fee ONLY if the booth is re-rented and the floor plan is sold out with a waiting list.

BOOTH SPECIFICATIONS Booths are 10' x 10' in dimension (except for booths marked with other dimensions on exhibit floor plan). The back of each booth extends 8' from the floor with 3' high dividers between booths. The booth is constructed with aluminum rails on which draperies are hung.

COMPLIMENTARY FURNITURE PACKAGEOnly upon the request of the exhibitor, the Association will furnish each booth space with the following:

To receive the complimentary furniture package, exhibitors must order it via the online Exhibitor Services Kit from GES by Friday, April 6, 2018.

NOT INCLUDED • Carpet: Exhibitors have the option (but it is not

included) of ordering carpeting at their own cost. The RiverCentre exhibit hall floor is gray concrete.

• Electricity, Compressed Air, Water: Utilities are not included in the exhibit fee, but can be ordered through the RiverCentre.

• Wireless internet is available complimentary throughout the RiverCentre however; bandwidth is often a challenge during peak use. If your booth presentation relies on an internet connection, it is recommended that you order a dedicated line.

EXHIBITOR REGISTRATIONExhibiting companies get 8 complimentary badges per booth space rented. This registration does not include access to any educational programming: exhibitors are not eligible for CE credit. Exhibitors get access to the exhibit hall all three days and during set-up/tear-down and they may attend The BIG Party held on Friday evening. If a company registers more than the complimentary number, the per person registration fee is $20. Registration for exhibitor personnel will be available on the Star of the North website (star.mndental.org) beginning on January 2, 2018.

SERVICE CONTRACTORGeneral Experience Specialists, Inc. (GES) is the official exhibit contractor for the 2018 Star of the North. At the end of January, your exhibit contact will receive an email from GES Online with a link to the Exhibitor Services Website. This website will include information on booth furnishings, shipments, electrical services, and other services available through GES, Saint Paul RiverCentre, and other official vendors.

A GES Service Desk will be open in the exhibit hall at which exhibitors may verify, check, or adjust requirements for installation. This service will be available during the set-up period and will be in operation throughout the entire meeting.

These regulations supplement the Rules of the Contract for the Star of the North (SON). SON does not allow exhibitors to erect displays that interfere with other exhibits, sight lines, or detract from the expo no matter how many spaces rented. Follow these regulations and the contract rules as you plan and set up your exhibit.

HANGING SIGNSProfessionally designed banners may be displayed on the back drape of the booth and/or suspended from the ceiling. Hanging signs and graphics are permitted above perimeter booths with the top of the sign at 12' or below, and in peninsula and island booths with the top of the sign at 16' or below. These must be fixed and within the confines of the booth. All hanging signs and graphics must be set back ten feet (10') from adjacent booths. No signs may be hung above the exhibit aisles. All hanging signs must be approved by MDA and will be rigged and hung by GES. Complete the Hanging Sign form in the Exhibitor Manual. Whether suspended from above or supported from below, these booths should comply with all ordinary use-of-space requirements.

LINEAR BOOTHOne or more booths exposed to an aisle on one or two sides

Exhibit must not exceed 8' in height in the back 5' of the booth or exceed 4' in height in the front 5' of the booth to promote a clear view from booth to booth.

PERIMETER BOOTH One or more booths along an outside wall of the convention facility rather than to another exhibit

Exhibit may rise up to 12' where ceiling height permits. Displays in the front 5' of the booth must not exceed 4' in height.

PENNISULA BOOTH Four or more booths exposed to an aisle on three sides

The back wall of the exhibit must be on the non-aisle side of the booth. The center 10' of the back wall can rise up to 16', but the outer 5' on each end of this wall is limited to 4' in height. All portions on the rear of the back wall (facing neighboring exhibits) must be finished with no graphics, signage or copy of any kind.

Variance requests: The Scientific Session Committee will consider requests for variance on a case by case basis. Requests must be submitted to the Minnesota Dental Association 60 days before exhibitor setup on Wednesday, April 25. Height restrictions will be strictly enforced onsite.

1. WHAT THE RENTAL FEE INCLUDESThe rental fee paid for exhibit space is for the space and a limited furnishings package of 2 chairs, 1 un-skirted table, and a waste basket and does not include carpet, receiving or handling of exhibit material, utilities, or other services. Exhibit space includes back and side drape, a uniform identification sign.

2. PAYMENTS, CANCELLATIONS AND REFUNDSExhibitors must make payment of the exhibit space rental fee according to the schedule and terms described in this contract. Minnesota Dental Association (MDA) may terminate this contract at any time after February 1 in the year of Star of the North (SON) if an Exhibitor has not paid the total fee for space rented. Cancellations and reductions of space made before the priority placement deadline (November 1, 2017) will be refunded in full of the fees paid up to that date. After the priority placement deadline, no deposits will be refunded. Refunds for exhibit space will not be given after February 1, 2018. In the event that the show is physically sold out (there is not room for expansion) and there is an established waiting list, refunds will be given in its entirety if the space is re-rented less 10% of the rental fee paid for that particular space. In the event of a cancellation, exhibitors must contact MDA in writing. Exhibitors who purchased a Promotional Package will not be allowed to cancel their package or receive refund. Exhibitors who purchased four or more booth spaces will not be allowed to cancel or reduce their space to fewer than four booth spaces with any refund.

3. OCCUPATION OF EXHIBIT SPACEExhibitors will occupy their contracted exhibit space during posted show hours. All exhibits must be completed and ready for the show by 10:30 a.m. on Thursday and must remain intact until 1:00 p.m. on Saturday. Exhibitors must be completely torn down and out of the exhibit hall by 7:00 p.m. on Saturday. The subletting of any part of an exhibitor’s space is strictly prohibited. Manufacturers’ reps applying for exhibit space must submit a list of those companies they will be representing at the time of application. A listing in the program book will be allowed for represented companies however; longevity recognition will only be given to the contracting company. A maximum of two (2) companies may be represented in one 10’x10’ booth. Exhibitors shall use only their contracted space for exhibit, display, or related purposes. There will be no interviews, demonstrations, distribution of literature, canvassing or conducting of polls or surveys outside of the exhibitor’s own rental space. In the event that an exhibitor fails to set up a booth, or occupy their contracted space by the opening of the show, that space will be considered abandoned and no refund will be sent. The Association reserves the right to decide whether to re-sell or re-assign another exhibitor into that space.

4. RELOCATIONSON reserves the right to relocate any Exhibitor in a space other than that for which the Exhibitor contracted and paid a rental fee, if SON determines it is in the best interest of the exposition.

5. EXHIBIT MATERIAL AND ACTIVITYExhibitors are able to distribute and sell merchandise from their rented exhibit space only. Inventory must be discreetly stored within an exhibitor’s booth space. Star of the North reserves the right to prevent any Exhibitor from displaying beyond the bounds of the Exhibitor’s rented exhibit space: noisy electrical devices, sound-producing movies, displays, devices, costumed mascots or anything which may prove objectionable. Exhibitors must agree to regulate those devices with noise, odor or other disagreeable features so as to abate reasonable objections to these annoyances. All aisles must be kept clear of displays. The rights and privileges of an exhibitor shall not be infringed upon by any other exhibitor. Lasers must be operated only within a suitable enclosed space with the appropriate eyewear available for any personnel staffing the booth and attendees who will be viewing/operating the laser. All demonstrations of CO₂ lasers must be conducted in a clear plastic box with all sides enclosed, including the top. Appropriate plastic colored cubicles must also be available for any other type of laser being used, particularly dye or argon lasers. No laser equipment may be left unattended in operable condition. No exhibitor will sponsor a seminar or presentation in the Twin Cities’ Anoka, Ramsey, Hennepin, Dakota, and Washington county area seven days prior to the opening of the meeting, during the meeting, or for seven days following the last day of the meeting. Exhibitors are allowed to sponsor prize drawings within their exhibit space. Any limitations on registering for or accepting the prize must be prominently displayed in the exhibit space.

6. SIZES AND PLACEMENT OF DISPLAYExhibits must be set in line with the Booth Design Regulations attached to and made part of this contract.

7. SERVING REFRESHMENTSExposition Facility Management reserves the sole right to sell or serve food, beverages, and tobacco products. Food distributed by exhibitors must be obtained through the Facility, the Saint Paul RiverCentre. 8. CONVENTION FACILITYExhibitor will not damage the exposition facility in any way, or permit it to be damaged by any substance or activity. If an Exhibitor, or the Exhibitor’s agents, employees or guests, cause damage to the exposition facility, the Exhibitor will pay facility management the amount necessary to restore the facility to the condition it was in before being damaged by the Exhibitor.

9. SUPPLIERS OF EXHIBIT SERVICESStar of the North has selected General Experience Specialists, Inc. (GES) to provide exposition services and will utilize suppliers within The Saint Paul RiverCentre to supply other services needed during the exposition. A manual will be sent to Exhibitors containing forms and instructions for renting exhibit furnishings and services from GES and RiverCentre suppliers. Exhibitors will use these suppliers for all furnishings and services needed, including utilities; or Exhibitors will notify Minnesota Dental Association and GES, in writing, 30 days prior to setup of the exposition of their intention to use other suppliers. Contractors are required to provide a Certificate of Insurance to MDA and GES.

10. SECURITYMDA will employ a security firm to guard the exposition hall against theft or damage to exhibit material starting when the facility opens for set up until the show closes and tear down begins. Each person entering the exhibit hall will be required to register and wear the appropriate name badge. All members of commercial exhibitor’s staff must be full-time employees of the exhibiting company or must be employed for the duration of the meeting. False certification of individuals as representatives of the exhibiting company to assist unauthorized persons in gaining admission to the exhibit floor is prohibited. The Minnesota Dental Association does not guarantee exhibitors against loss and does not take responsibility for theft, pilferage, or mysterious disappearance.

11. INFRACTION OF RULESUnethical conduct, unprofessional behavior, or infraction of the Contract Rules on the part of the exhibitor and/or his representatives will subject the exhibitor, his representatives, or both to dismissal from the exhibit hall, forfeiture of booth space, booth fee, and/or seniority status in booth assignment. The exhibitor may also be barred from future participation. In this event, it is agreed that no refund shall be made by the Association and that no demand for redress will be made by the exhibitor or his representatives. Any complaints regarding infractions of these rules or disputes between exhibitors should be made to the Association and its decision will be final.

12. ASSUMPTION OF RISK: GENERAL LIABILITY INSURANCE – MANDATORY!Each exhibitor MUST provide the Star of the North with a Certificate of Insurance with a minimum of $1,000,000 insurance coverage including, comprehensive general liability insurance, insuring against damage to persons and property, and hazard insurance, insuring the exhibitor’s property and its exhibit space, to fully protect it and the Minnesota Dental Association, Star of the North Meeting, General Experience Specialists, Inc. (GES), and the Saint Paul RiverCentre against all risks. The Certificate shall name the exhibitor, Minnesota Dental Association, Star of the North Meeting, General Experience Specialists, Inc. (GES), and the Saint Paul RiverCentre as additional insured. Proof of insurance is due 60 days prior to exhibitor move-in on Wednesday. Except for negligent acts or omissions on the part of the Minnesota Dental Association or its own employees, the Minnesota Dental Association assumes no liability or responsibility for any damage of any kind whatsoever or any injury of any nature that may happen to exhibitors, or to the exhibitor’s employees or property, from any cause whatsoever prior, during, or subsequent to the period covered by the contract for the rental of space, and the Minnesota Dental Association does not assume any liability or responsibility for any act or omission on the part of any exhibitor or anyone in his employ during said period of time, and the exhibitor, on signing the application for space, expressly releases and agrees to hold harmless the Minnesota Dental Association from all claims of any kind for any such alleged loss, damage, or injury to the exhibitor, his employees or property. This shall not affect claims against any other person, firm, corporation, or municipal unit.

13. CANCELLATION OF THE EXPOSITIONIn the event the exposition is cancelled for any reason, MDA will not be liable for anything except the return of the rental fee paid by each Exhibitor for exhibit space.

14. NON-ENDORSEMENTThe exhibiting of products and services at the Star of the North does not constitute endorsement by the Minnesota Dental Association of the products and services exhibited.
