About This Guide This guide is designed to provide the background and instructions you need to enroll students using the Student Records System. The guide is divided into five main sections: About This Guide defines commonly used terms, describes the responsibilities and steps in the enrollment process, and explains the function of rules and restrictions. The Enrollment Main Menu describes the features of the main menu and provides a brief review of some navigation guidelines. The Enrollment Processing Screen (EPS) defines the student registration information, screen fields, function codes, screen transfer codes, override commands, and override policies for the EPS screen. The “How To….” Sections provide the step-by-step procedures to complete the most common tasks performed as part of the enrollment process. Additional Support Screens provide a quick reference for some of the most commonly used screens.

Definitions The following terms will be used throughout this guide and on the OASIS screens. Word Definition Course An academic offering. A department submits a course request

through the Course Inventory Management System (CIMS) where it is routed through various approval agencies. Once all the necessary approvals are received, the Scheduling unit enters the course data into the Course Catalog Table in OASIS.

Subject Area Academic discipline under which a group of courses is offered. Each subject area is associated with a department. Usually the department and subject area have the same name and abbreviation. For example: Dept = History (HIST), Subject Area = History (HIST). Some departments have multiple subject areas. For example: Dept = Classics (CLASSIC); Subject Areas = Classics (CLASSIC), Greek (GREEK), and Latin (LATIN).

Catalog Number Number assigned to the course, for example, HIST 1A. Term Identifies the Academic Term. The first two positions represent the

academic year. The third position represents the specific term. For example: 08F = Fall quarter of 2008 and 081 = Summer of 2008.

Class A course that is offered during a specific term is a class. These two phrases have the same meaning and are used interchangeably.

Session Time period (designated by a code) within a term. For example, RG = regular session, 10 week quarter.

Word Definition Activity (Type) Indicates how instruction is conducted. For example, the section

may be a lecture (LEC), discussion (DIS), seminar (SEM), or lab (LAB), and so on.

Primary Activity Activity where the grade is given. Each class offered during a term must have a primary activity. For example, for a class with more than one activity (a compound class) that has a lecture, the lecture would be the primary activity.

Secondary Activity Activity offered in conjunction with the primary activity. For example, a lecture section may also require a discussion section. The discussion section is the secondary activity.

Section (number) A section represents a class meeting and is assigned a section number. For example, Communication Studies 10, lecture (LEC) 1, with discussions (DIS) 1A, 1B, and so on.

Meeting A section (See definition for section.) PTE Five-digit number that allows a student to enroll in a class

regardless of the consent indicator, enrollment rule, or closed status The PTE number is given to the student by an instructor or by a department.

SRS# The unique 9-digit SRS numeric identifier for a class section. This number displays in the Schedule of Classes and on URSA. The first three digits are the internal number of the Subject Area. The second three digits are the Course Number. The last three digits are the Section Number Assigned by the Department, Registrar or Summer Session office (for Summer Courses).

Responsibility / Guidelines Enrollment responsibilities are divided between the Registrar and the departments as follows: Registrar

• The Registrar’s Office has overall responsibility for enrolling graduate and undergraduate students and may perform all enrollment functions during the enrollment period.

Department Guidelines

NOTE: Departments may perform the various enrollment functions from the beginning of Priority Enrollment through Friday of the third week of classes (Schools through 10th week).

• You may enroll students only in your department classes

• You may process your own contract classes.

• You may NOT drop a student from any class without consulting the Registrar’s Office.

• You may move students from the wait list to enrolled status.

The Enrollment Process 1. Enrollment events and dates are established for the term. They are used by the online

enrollment application to process enrollment. You can view the dates on the Session / Events Browse (DDB) screen. For example:

Some of the Events for a Regular Session are listed below.

Event Cd Description ADD_NOWL Defines the period when students may not get on a wait list for a

class. CLFSTLST Defines the period when classes are being taught ENRL Defines the period when enrollment occurs GRDSBM Defines the period when grades are submitted NOATHDRP Defines the period when athletes may not drop a class NODRPZRO Defines the period when students may not drop to zero units NOIMPDRP Defines the period when students may not drop an impacted class

without an approved petition NONLSDRP Defines the period when non-Letters and Science students may

not drop a class UGDRPLGC Defines the period when drops by undergraduate students are

‘logical drops’ instead of ‘physical drops’ (a logical drop remains on a student’s study list but in ‘dropped’ [D] status)

2. Students use the URSA online enrollment application to enroll in classes. 3. Students are given enrollment appointments that allow them to access the URSA online

enrollment application. The appointments define the dates that students may access URSA and the number of units they can enroll in during the appointment.

4. Any changes that cannot be done on URSA may require a special petition process. Consult the Schedule of Classes for details.

Enrollment Restrictions During the enrollment process, you may encounter restrictions that prevent you from completing an action. In these situations, you can use Override codes to continue. (See The Enrollment Processing Screen (EPS) for information on Override codes.) Enrollment Rules Enrollment rules define the requirements for enrollment in a class. An enrollment rule restricts a student from entering a class if the student does not meet the required rule criteria. There are global rules that can be applied to all classes and there are department specific rules. Each rule has a Rule ID. The Rule ID can be found on the Enrollment Rules Browse (ERB) or Enrollment Rule Detail (ERD) screens. (See Additional Inquiry Screens section.) For example:

Consent There are three types of Consent that may be placed on a class: Department Consent (D), Consent of Instructor (I), and Petition or Contract Required (P). To enroll in classes with the D or I, a student must obtain a Permission to Enroll number. To enroll in a P class, a student must complete a special petition or contract in MyUCLA and obtain the necessary approval. Other Limits and/or Restrictions Other restrictions such as enrollment caps, wait list caps, time conflict, etc. may also keep a student from enrolling.

The Enrollment Main Menu When you login to OASIS, it may be helpful to use the Enrollment Menu. To do so: 1. Login to OASIS.

2. Type SIS as the transaction ID and press Enter. The Student Information System Menu displays.

3. In the Screen field, type ENR. The Enrollment Menu displays.

General Guidelines for Screens Authorized users may add, change, or delete data as follows:

• Use the TAB key to position the cursor in a field. • To update the field, type new data or type over existing data.

• To confirm a transaction, press ENTER. • To update a transaction, press F9.

• To scroll forward and view more data, press F8 • To scroll backward and view more data, press F7

• To access help, TAB to the field and press F4 • To exist the help screen, press F3

The following colors are used on the screens:

• RED: Field is required. • GREEN: Data may be entered or edited. • GRAY: Field is not available for editing or data entry.

Student Registration Information When you enter a student ID and press Enter, the student’s name displays. In addition, the registration information associated with that student appears in the upper right corner of the screen. For example:

EPS Screen Fields

Field Description UID Student university ID number. Term The academic year and quarter, e.g., 08F = Fall quarter 2008. Subject Academic discipline under which a group of courses is offered. Catlg# Catalog Number. Defaults according to the SRS number entered. Act Activity code, e.g., LEC, DIS. Defaults according to the SRS number

entered. Sec Section number. Defaults according to the SRS number entered. Fnc Function. Field used to enter the enrollment function code.

See EPS Function Codes. NOTE: You can also use this field to move to a screen with more detailed information about a specific class. See EPS Transfer Codes.

Class ID# SRS number for the class. Override Field used to enter one or more override codes. You can enter up to 8

codes. See EPS Override Commands.

Field Description SG Student Grade Type. In some cases, a student may be allowed to select a

grade type. For example, if the Class Grade Type is SO (student option), the student may select a letter grade (LG) or P/NP (Pass / No Pass), etc. Press F4 to see a list of available codes.

CG Course Grade Type established when the course is created. For example, SO = student option, LG = letter grade, NG = no grade, etc. Press F4 to see a list of available codes.

M Multiple Term Course sequence number. Some courses require classes be taken in sequence over more than one term. This field shows the number of this class in the sequence.

Unit Number of units associated with the class. Wk This field indicates the week in a term that and enrollment or Grading

function was completed. For example, if a class is dropped during the 6th week of a term, the number 6 will appear in this column.

R Summer drop refund code. Press F4 to see a list of available codes.

SC Session code. Indicates the type of session. For example, RG = regular 10 week session. Defaults.

WL Wait list position. For example, if the student is number 5 on the wait list, the number 5 appears in this column.

ST Status. For example, D = dropped, E = enrolled, W = wait list, etc. This field is automatically updated.

TrmAmtUnt Term Amount of Units. Number of units the student is taking for the term. This field is automatically updated as classes are added, modified, or deleted.

TrmWklUnt Term Workload Units. Number of workload units the student is taking for the term. This field is automatically updated as classes are added, modified, or deleted.

EPS Function Codes You can use the following function codes to complete tasks on the EPS screen. The code is entered in the Fnc field. For more detail, refer to the section for the task instructions.

Code Function Description ADD Add a class Adds a class to a Student’s study list.

See How to Add a Class for a Term. CCL Exchange Class Exchanges a class for another class.

See How to Exchange a Class or Section. CGT Change Student

Grade Type Changes the SG field for a student. See How to Change the Student Grade Type.

CSC Exchange Secondary’s

Moves the student from one secondary section to a different section for the same primary section, e.g., from DIS 1A to DIS 1B for LEC 1. See How to Exchange a Class or Section.

Code Function Description DEL Physical drop Physically removes a Section from the Enrollment Entry Table

(EET). As a result, the section will not display on the student study list. See How to Physically Delete a Class from the Study List.

DPA Drop all sections of a class

Drops all sections (both primary and secondary) of a class. You must use this function on the row on the Study List that contains the enrollment section. See How to Drop a Class for a Term

DRP Drop a one-section class

Drops a one-section class: one that does not have a secondary section. It can also be used to drop one section of a compound class if the ‘N’ override is also used. See How to Drop a Class for a Term.

MEL Move from wait list to enrolled list

Moves the student from the wait list to the enrolled list. Status field changes to E (enrolled). This function must be used with and ‘L’ or an asterisk ( * ) override or a PTE Number. See How to Manage the Wait List.

MNT Maintain data on a class

This function allows you to change Student Grade Type, Units, and Summer Drop Refund Code. You can type changes over the existing enrollment data. See How to Maintain Enrollment Data.

MWL Move to a wait list

Moves the student from the enrolled list to the wait list for a section. Status field changes to W (wait). See How to Manage the Wait List.

POS Change wait list position

Moves the student up or down on the wait list. See How to Manage the Wait List.

VAR Change variable units

Changes the number listed in the Unit field for a variable unit or alternative unit class. See How to Change Variable Units.

CWK Change week Changes the Grading/Enrollment Action Effective Week (GRD_ACTN_EFF_WK) on the EPS (WK on the screen).

EPS Transfer Codes You can use the following codes in the Fnc field on EPS to move to a screen with more detailed information about a specific class.

NOTE: Moving to another enrollment screen will not change the student’s study list. From the new screen, press F3 to return to EPS. (See Additional Inquiry Screens for more detail about each screen.)

Code Screen

ALT Alternate Sections Screen. Provides a list of the secondary sections available for a primary section. For example, it will list all of the DIS sections available for a specific LEC.

CLS Class Detail Screen. Displays schedule and enrollment data for a specific class.

Code Screen OPN Open Sections Screen. Indicates which sections are still open for a specific

class. STL Study List Screen. Displays the list of enrolled and wait-listed classes for a

student.

EPS Override Commands If a student does not meet the criteria for enrollment in a class, you may use one of these overrides to complete the enrollment task.

NOTE: In SR2, enrollment commands cannot be used after the enrollment period is over, which is normally the last day of the term. (See code E for exceptions.)

Code Explanation

* All restrictions except C, M, N, H, Z, P, and A.

A Allows you to drop classes for Athletes during the period that prevents athletes from dropping classes (defined by the NOATHDRP event).

C Allows you to change the Student Grade Type in situations where the change would not normally be allowed.

D College approval required G Grade type P/NP restrictions. For example, a student may not be allowed to

have more than 5 units of P/NP. This would override that limit. H Allows enrollment to occur when there are holds on student’s record. I Allows an impacted class to be dropped during the period that prevents

drops of impacted classes (defined by the NOIMPDRP event). L Allows enrollment when the enrollment capacity for a section has been met

(or exceeded). M Allows units to be changed when such a change would not normally be

allowed. For example, the number of units a student is enrolled in for a fixed unit course can be changed using this override.

N This override allows you to enroll or drop only one section (part) of a compound class. If you want to add just a section of a compound class use this override with the ADD function. If you want to drop just one section of a compound class use the override with the DRP function. NOTE: This cannot be used with the DPA function.

P Allows Priority Enrollment Group limits to be exceeded. Q Allows enrollment if a student does not meet prerequisites and/or co-

requisites for a class. R Allows enrollment if Enrollment Rules or Consent Required have been

placed on a class. T Allows enrollment if the class being added has a time conflict with one or

more classes already on the student’s study list. U Overrides the maximum term unit limit in which a student is allowed to be

enrolled or wait-listed (e.g., 18 units max for L&S).

Code Explanation W Allows a student to be added to the wait list. X Overrides final exam code and time conflicts. Z Drop to zero units. Allows student to drop all classes during the period,

which prevents students from dropping to zero units (defined by the NODRPZRO event).

E Allows a terminal operator to use an enrollment command in a term in which the Enrollment Event has ended. In other words, it allows an operator to use an enrollment command retroactively.

How to Add a Class for a Term

Before You Begin Keep in mind the following points:

• Departmental staff may enroll students in their department classes ONLY. • Compound classes are added beginning with the enrollment section of the class. For

example, if a class is composed of a LEC and DIS sections, enrollment would begin by entering the Class ID# of the DIS section.

NOTE: Refer to the EPS Override Commands table for more detail.

You will need the following information:

• Student ID • Section numbers for primary and secondary activities • Class ID#, also called the SRS # for the section (available on EDB screen)

Steps in the Procedure 1. Access the Enrollment Processing Screen (EPS).

2. Complete the following fields.

Field Enter ….. UID Student ID number Term The academic year and quarter, e.g., 08F = Fall quarter 2008.

NOTE: If left blank, the system defaults to the most current activated term. For example, if enrollment for 08F has started, it would default to 08F.

3. Press Enter. The student name associated with the ID displays below the ID number.

Additional registration information displays in the upper right corner of the screen. 4. Complete the following required fields to add a class.

Field Enter ….. FNC ADD displays as the default in the FN (function) field. Therefore,

you do not have to enter a code. Class ID# Enter the 9 digit SRS number of the enrollment section. You can

locate the number on the EDB screen. NOTE: Classes are added through the enrollment section in compound classes.

5. Press F9 to invoke the transaction. The system will check for conditions that may prevent

completion of the transaction, e.g., time conflicts, instructor consent, etc.

If the student meets all the criteria, the following message displays: (Go to step 8.)

How to Drop a Class for a Term

Before You Begin Keep in mind the following points:

• There are two DROP commands: DPA (drops all sections of a class) and DRP (drops a one-activity class or, when used with the ‘N’ override, drops one section of a compound class).

• For DPA, when you drop the enrollment section, the student is also dropped from all other sections of the class including the primary section.

• Specific drop dates are established for each quarter. The date the student drops will determine what shows on the student’s transcript.

You will need the following information:

• Student ID number • SRS number for the class you want to drop.

Steps in the Procedure 1. Access the EPS screen and complete the following fields.

How to Physically Delete a Class from the Study List

Before You Begin Keep in mind the following points:

• The DEL command physically removes the class from the database and the study list. • To use this command the class must have been dropped already. The ST (status) field

must contain a D. (See How to Drop a Class for a Term.) • If the class is a compound class (has more than one section), each section must be

deleted separately. For example, Physics 6A has three parts: a lecture, a discussion section, and a laboratory section. Each of these sections must be deleted separately to delete the entire class

You will need the following information:

• Student ID number • SRS number for the class you want to delete.

NOTE: In the sample screen above, three sections have a D (dropped) status. They are the only ones you can delete.

4. If the student has holds on his/her record, you will also need to input the H override in the

How to Change the Student Grade Type

Before You Begin Keep in mind the following points:

• The CGT command is used to change a student grade type. SG is the student grade type field.

• The course grading type (CG field) is established when the course is created. The CG options are listed in the field help (F4).

• If the course grade type is SO (Student Option), the student may select from a list of grading choices, e.g., PN (pass/not pass), LG (letter grade), etc. These options are listed in the field help (F4). The student’s choice is entered in the SG (student grading) field.

• If SO is not the course grade type, the student will need a petition to change the SG grading base.

• Other rules and restrictions may apply. For example, there may be a maximum number of units a student may take as Pass/No Pass (PN). In this case, even if SO is the course grading option, the student would still need a petition to change to PN if he/she had exceeded the maximum.

How to Maintain Enrollment Data

Before You Begin Keep in mind the following points:

• Use the MNT function to maintain enrollment data. The MNT function is a multi-purpose command that allows you to change Student Grade Type, Units and/or the Summer Drop Refund Code.

You will need the following information:

• Student ID number • The enrollment data you want to change

Steps in the Procedure 1. Access the EPS screen and complete the following fields.

Field Enter ….. UID Student ID number Term The academic year and quarter, e.g., 08F = Fall quarter 2008.

NOTE: If left blank, the system defaults to the student’s most current active term. For example, if enrollment for 08F has started, it would default to 08F.

3. Type VAR in the Fnc field next to the class you want to modify. 4. TAB to the Unit field and type the new number of units over the existing number. 5. Press PF9 to invoke the transaction. The system will check for conditions that may prevent

completion of the transaction, e.g., time conflicts, instructor consent, etc.

If the student meets all the criteria, the following message displays: (Go to step 5.)

R-R0110 UPDATE COMPLETED

If conditions do exist, the transaction will not be completed. An error message explaining the conditions appears at the bottom of the screen. For example:

A compound class is one that has a primary section with one or more associated secondary sections, such as a lecture with one or more discussion sections.
