Spruce Creek High School Musical Performance Arts Association Board Meeting Minutes August 13, 2019 CALL TO ORDER: President Stefanie Gracia called the meeting to order at 6:02 p.m. A forum was present. APPROVAL OF MINUTES: Approval of Minutes- Abdul Al-Hajeri approved the minutes and Robyn Forguson seconded the motion. PRESIDENTS WELCOME: -Stacie Rich was voted into communications. Alicia motioned and Abdul Al-Hajeri seconded motion. -Budget Approval- Jen Fry motioned, Ellen Kidwell seconded. TREASURER’S REPORT: Checking: $36,000.00 M/M: $29,000.00 CD: $ 40,000.00 VICE PRESIDENT: Nothing to report COMMUNICATIONS: Stacie Rich requested that all email information be sent to her by Saturday. ADULT STAFFING: Need to check that all volunteers have completed volunteer signups Friday Pep Band has been opened to all band students; signups will happen this week COLOR GUARD: Nothing to report SPECIAL EVENTS/CONCESSIONS: Band Camp- Kristin Johannson discussed Band Camp- Robyn Forguson mentioned reducing the amount of snacks and volunteers on hand during the day. Food costs were less and we were underbudget by $550 for camp. Will raise the fee by $1 next year to increase the amount of food the kids are receiving. Jennifer Fry mentioned a volunteer donation of cooling towels from a freshman parent from FPL. They made a $200 cash donation instead and it was discussed having a separate cooler next year for rinsing towels. -Pancake breakfast- Kristin mentioned printing the tickets earlier and developing a better system for distribution. Will discuss in detail at the next meeting. FOOTBALL PROGRAMS: Lesley should be getting football rosters and photos this week. There were $11-12,000 in sales. Budget is $15,000. We averaged around 80 total ads. LAKESIDE JAZZ FESTIVAL: Nothing to report

TREASURER’S REPORT: Checking: $36,000.00 M/M: $29,000.00 CD: $ 40,000.00 VICE PRESIDENT: Nothing to report COMMUNICATIONS: Stacie Rich requested that all email information be sent to her by Saturday. ADULT STAFFING:

• Need to check that all volunteers have completed volunteer signups • Friday Pep Band has been opened to all band students; signups will happen this week

COLOR GUARD: Nothing to report SPECIAL EVENTS/CONCESSIONS: Band Camp- Kristin Johannson discussed Band Camp- Robyn Forguson mentioned reducing the amount of snacks and volunteers on hand during the day. FIELD CREW: Mike Rich requested funds for an improvement and will provide more details. Stefanie mentioned that Field Crew had parents signup verbally, but they have not entered their information into signup genius. LUMINARIES: Have 1500 paper bags and 1200 tea lights. MARCHING UNIFORMS: Nothing to report HISTORIAN: Nothing to report DIRECTORS REPORT: Mr. Bosma discussed the custom-built metal frames for sound system that were previously ordered and deposit was placed. Mr. Bosma has tried to make contact with the company but has been unsuccessful and requests that the treasury check if the deposit check has been cashed. If not, please place a hold on check. Friday is pep band only and drumline and leadership will play. Middle school band day will be September 6th. All State audition registration will begin this week and be held on Sept. 14th at Lyman High. Registration will begin in the next week. German band from Europe trip will be playing with Spruce Creek band and will need help hosting 40 students starting Saturday, September 28th. Concert will be Monday, September 30th. Away games will be Deland, NSB, and Westport.

PRESIDENTS WELCOME: Stefanie welcomed new parents and returning. Stacie Rich was voted into communications position. Jen Fry motioned; Abdul seconded the motion. Budget- Abdul motioned to approve budget. Mike Rich seconded. TREASURER’S REPORT: Checking: $36,000.00 M/M: $29,000.00 CD: $ 40,000.00 VICE PRESIDENT: Nothing to report COMMUNICATIONS: Stacie Rich requested that all email information be sent to her by Saturday. ADULT STAFFING: -Spots are still available for volunteers at home games on signup genius. -Two away games- NSB and Deland will both be posted to Signup genius. -Competition will be October 12th and MPA is October 26th. -Kristin mentioned adding a link for signup genius to the weekly calendar. -Jen Fry reminded parents to have their volunteer signup complete with the school front office. COLOR GUARD: -Color guard attended freshman pep rally and received new jerseys. SPECIAL EVENTS/CONCESSIONS: -Band Camp: Kristin thanked volunteers for band camp and asked for suggestions to improve next year. -Pancake breakfast is October 19th. Tickets will be coming out mid-September and every student needs to sell 5 tickets.

FOOTBALL PROGRAMS: -Lesley mentioned that she needs help with program sales at the football games. Ad date was pushed forward this year and programs will be ready at the second game. -Stefanie mentioned selling T-shirts at the football games and will discuss at the next meeting. One slot for t-shirt sales may be added to sign up genius. Kristin reminded volunteers to wear their black band shirts and khaki pants to games. LAKESIDE JAZZ FESTIVAL: Nothing to report FIELD CREW: Mike Rich requested that volunteers sign up on signup genius. LUMINARIES: Heather Perkins discussed luminary sale process and parent chaperone responsibilities. Ellen mentioned that we will need many parent volunteers for the event. MARCHING UNIFORMS: -Lori stated that fittings went well this week at band camp. -21 concert Jackets were sold this year HISTORIAN: Band Camp photos are listed on smug-mug for parents to view. DIRECTORS REPORT: Band will be hosting the German band that the students met on the Europe trip. The students will need host families (43 students). -All State audition registration will begin next week. Auditions are September 14th at Lyman High School. CALL TO ORDER: President Stefanie Gracia called the meeting to order at 6:09 p.m. A forum was present.

APPROVAL OF MINUTES: Approval of Minutes- Jennifer Fry motioned to approve the minutes. Robyn Forguson seconded the motion.

PRESIDENTS WELCOME: -Budget Approval- Jen Fry motioned, Robyn Forguson seconded.

TREASURER’S REPORT: Checking: $26,000.00 M/M: $29,409.00 CD: $ 40,698.00 Interest: $700.00 Credit Card: $671.00 Profit & Loss: Income since June 1st – 98,000 Profit: 45,000 VICE PRESIDENT: Jenn Fry discussed Germany student visit. Currently 30 beds available. Need to discuss legality with Mr. Bosma on approved volunteers and receive daily schedule. Will set a parent meeting for all volunteers. Discussed transportation issues. COMMUNICATIONS: Nothing to report ADULT STAFFING: -New signup genius link is active and available for use. -Up to 250 students possible for Middle School Night. Stacie Rich mentioned asking the athletic director to move the additional stands onto the field. Stefanie discussed sign-out options for middle school students. Middle School students will need to stay in the main atrium before game. -Upcoming games: Away-NSB, Away: Deland, Family Days Parade COLOR GUARD: Robyn discussed color guard painting field show boxes black. SPECIAL EVENTS/CONCESSIONS: -Pancake breakfast will be on October 19th 2019. Tickets will be printed FOOTBALL PROGRAMS: Football programs are in and complete.

LAKESIDE JAZZ FESTIVAL: Nothing to report. Will discuss further with Mr. Bosma FIELD CREW: Mike Rich reported that trailer artwork is complete. Stacie Rich requested a thank you note for her father’s efforts on the trailer shelves. LUMINARIES: Heather Perkins is waiting to hear from Skylake on purchases. Discussed sending email requesting parent signups or using signup genius. Need to collect boxes for luminaries. MARCHING UNIFORMS: Natalie would like to schedule fitting for girl’s dresses. Need to send email requesting fittings and need list from Mrs. Martin of students needing fittings. HISTORIAN: Nothing to report DIRECTORS REPORT: Due to makeup from Hurricane, Mr. Bosma was unable to attend meeting. NEW BUSINESS Another chipotle meeting scheduled Monday, September 23rd, 4-8pm Night of Jazz concert with German Band on September 30th at 7pm. NEXT MEETING: Next meeting will be October 8th 2019. APPROVAL OF MINUTES: Approval of Minutes- Mike Rich motioned to approve the minutes. Robyn Forguson seconded the motion.

PRESIDENTS WELCOME: -Stefanie discussed Middle school night, 250 kids possible.

TREASURER’S REPORT: Checking: $26,000.00 M/M: $29,409.00 CD: $ 40,698.00 Interest: $700.00 Credit Card: $671.00 Profit & Loss: Income since June 1st – 98,000 Profit: 45,000 VICE PRESIDENT: Jenn Fry discussed Germany student visit. 42 students total. Only 30 COMMUNICATIONS: Stacie requested for any parents not receiving the emails to get in contact with her. ADULT STAFFING: -New signup genius link is active and available for use. Stefanie reminded parents to have their Id’s swiped at a Volusia County School. -First away game is this Friday in Deland. 2 -Upcoming games: Away-NSB, Away: Deland, Family Days Parade COLOR GUARD: Robyn discussed color guard painting the field show boxes black. There is one additional student joining color guard. SPECIAL EVENTS/CONCESSIONS: -Pancake breakfast will be on October 19th 2019. Tickets will be printed next week (5 tickets per student). Ticket sales are encouraged, but not a requirement. Stacie Rich motioned to send tickets out before German students arrive. Kristin will speak with Mrs. Martin about number of tickets printed. FOOTBALL PROGRAMS: Football programs are in and complete. Need one more volunteer for program sales at the next game.

LAKESIDE JAZZ FESTIVAL: Meeting possible in the next month. No date established yet. LUMINARIES: Need parent volunteers to drive students. FIELD CREW: Mike Rich reported that trailer artwork is complete. Stacie Rich requested a thank you note for her father’s efforts on the trailer shelves. MARCHING UNIFORMS: Nothing to report CONCERT BAND: All students in Jazz band need to have their full uniform for the next concert. Natalie will be here September 19th and 20th doing fittings. HISTORIAN: All photos will be posted on creekbandphotos.smugmug.com, password: creek band DIRECTORS REPORT: Due to makeup from Hurricane, Mr. Bosma and Mrs. Martin were unable to attend meeting. Waiting on information from Mr. Bosma on German student hosting. NEW BUSINESS -All State Auditions this weekend -Another chipotle meeting scheduled Monday, September 23rd, 4-8pm -Night of Jazz concert with German Band on September 30th at 7pm. -Currently a make-up from the previous game has not been scheduled. Unlikely due to football team being from Miami. NEXT MEETING: Next meeting will be October 8th 2019. CALL TO ORDER: President Stefanie Gracia called the meeting to order at 6:07 p.m. A forum was present.

APPROVAL OF MINUTES: Approval of Minutes- Robyn Forguson motioned to approve the minutes. Jen Fry seconded the motion.

PRESIDENTS WELCOME:

-Chipotle night a huge success- made $436.74

-Stefanie discussed having Field Night on Tuesday, October 29th at 5:30- possibly having a costume contest

-Students attended the Bethune-Cookman homecoming game with Mr. Watson

-Drive Your Ford event-students can earn money for the school-need parents to volunteer shifts to track student participation.

TREASURER’S REPORT: Checking: $21,208.00 M/M: $29,409.79 CD: $ 40,698.00 Profit since June– 38,000 profit Sales tax is paid through Quarter 3 VICE PRESIDENT: -Jenn Fry discussed Germany student visit. Students enjoyed the opportunity and many have remained in contact. -Board Christmas party tentative date on Sunday, December 15th 2019 COMMUNICATIONS: Stacie Rich working on Aunt Catfish event notice. Tickets due back Wednesday prior to the event on Wednesday, October 16th. ADULT STAFFING: -Volunteers needed for Fleming Island Competition- need to bring extra water for students -Pancake breakfast and Westport Game need additional volunteers COLOR GUARD: Nothing to report

SPECIAL EVENTS/CONCESSIONS: -Aunt Catfish Pancake breakfast needs more adult volunteers- Oct. 19th 7:30-10 am

-Kristin has requested donations from local businesses and asks that board members think of any businesses to recruit.

-Fleming Island- October 12th – booster bringing snacks and water for event. (we currently have 77 bags of snacks) FOOTBALL PROGRAMS: Football programs not as high as usual due to less home games this year. LAKESIDE JAZZ FESTIVAL: Lakeside Jazz meeting on Monday, October 14th at Atlantic High at 6:30pm LUMINARIES: Students will create bags on November 18th and 19th, Santa’s Workshop FIELD CREW: Have a few parents already signed up for Fleming Island and Mr. Bosma will be doing a final run through this week. MARCHING UNIFORMS: Consider ordering additional larger size bibs for next marching season. Current bibs are wearing out. HISTORIAN: All night of Jazz videos have been uploaded. CALL TO ORDER: President Stefanie Gracia called the meeting to order at 6:04 p.m. A forum was present.

APPROVAL OF MINUTES: Approval of Minutes- Laurie motioned to approve the minutes. Kristin seconded the motion.

PRESIDENTS WELCOME: -Drive 4 UR Ford event-only had 10-15 Band students and 3-4 Color Guard. Discussed ways to bring in additional student participation next year. Stefanie mentioned having the jazz band play.

TREASURER’S REPORT: Checking: $16,576.34 M/M: $29,411.27 CD: $40,698.61 VICE PRESIDENT: Nothing to report COMMUNICATIONS: Stacie Rich will be sending out an email this week regarding jacket orders. ADULT STAFFING: -Band pictures are this Thursday. Need additional volunteers -Need 5-6 chaperones for the Port Orange Parade -Luminaries- need multiple board members to count money both Saturdays. COLOR GUARD: Winter Guard tryouts Monday November 18th from 4-6pm and Tuesday November 19th from 4-6pm SPECIAL EVENTS/CONCESSIONS:

-Field Night-too much food was purchased this year. Kristin will reduce amount purchased for next year. Kristin recommends requesting different amounts of chips/deserts per band section next year. -Pancake breakfast- Kristin requested full list of tickets sold and tips. -Cynthia will adjust the financial spreadsheet to show ticket sales that are deposited into student accounts. Total tickets sold- 611, $3,055. Received $483 in tips. -Spring Aunt Catfish date will be March 14th 2020. -Monthly payments need to be made for end of year banquet. We owe for 2020 and 2021. FOOTBALL PROGRAMS: Leslie has $220 in football sales from last week. Leslie would like to find parents for next year’s program that have layout experience. LAKESIDE JAZZ FESTIVAL: Lakeside Jazz meeting was November 5th. Committee heads are still needed. Next meeting is December 9th. Stefanie is running marketing and looking for a marketing assistant. Lakeside festival will be held on April 17th and 18th. LUMINARIES: Supplies for Santa’s workshop are in and students will create bags on November 18th and 19th. Permits are not needed for Daytona Beach Shores and Port Orange. FIELD CREW: Mike Rich will be bringing sand to the school and we need around 10 small shovels. We will be purchasing half the amount of sand this year. Will purchase more if needed for the second weekend. MARCHING UNIFORMS: Uniforms will be cleaned after luminaries. CONCERT UNIFORMS: 31 dresses have been sold. 2 have been taken without payment. New seamstress, Holly Ann. Jacket orders will be happening next week. 37 jackets sold this year. SCRIP cards – we purchase $120,000 worth of Walmart gift cards for Halifax. We receive $3,000 in revenue. We need an invoice for this year. -Instrument step up night and Beethoven music will be November 14th, Orchestra Solo and Ensemble 11/16 12 o’clock Jazz Band One Daytona- 12/3 Port Orange Christmas Parade- 12/8 Winter Concert – 12/10 NEXT MEETING: Next meeting will be Tuesday, December 3rd 2019. TREASURY REPORT: Operating Account: $6,319.72 Money Market: $29,411.27 Certificate of Deposit: $40,698.00 Total in Account: $76,428.99

Motion of the Minutes: Abdul Al Hajeri motioned to approve the minutes from the previous month and Lori Rees motioned to second. No one opposed the minutes. PRESIDENT’S REPORT: Board positions for 2020-21 *Adult Staffing *Parliamentarian *Football Ads -E=mail Abdul whether you want to keep your position or not TREASURER’S REPORT: The bank statement was passed around and signed by the Board, Current balances of the accounts were reviewed. LUMINARIES: We have 32 drivers confirmed for Saturday the 7th and 27 confirmed for Saturday the 14th. We need Board members to be available to help count money COMMUNICATIONS: We need to look for a Graphic Artist for the Football Ads position or to help with the Board member who fills this position. PRESIDENTS WELCOME: Stefanie Gracia brought up the idea of shortening the band board meetings and using the general meetings for discussions. -Band board still has open positions for 2020. -Discussed changing the payment method (credit method) because of the 3% QuickBooks convenience fee. Stacie Rich motioned to implement fee for credit card use: Alicia seconded the motion. Motion was approved for online payments. LUMINARY CHAIR: There were neighborhoods missed this year that will be added to next years maps. Heather Perkins will reach out to HOAs in Port Orange ahead of time to coordinate. Water’s Edge will be split into smaller groups next year to reach all residents. CALL TO ORDER: President Stefanie Gracia called the meeting to order at 6:11 p.m.

APPROVAL OF MINUTES: Approval of Minutes- Laura motioned to approve the minutes. Jenn Fry seconded the motion.

PRESIDENTS WELCOME: -Stefanie is trying to get current with the sign up genius

-Open board positions will be managed by all or temporary transitional members covering the responsibilities. The open positions are:

1.Accounts receivable- parent must have experience 2. Parliamentarian- can be an incoming freshman parent 3. Events-can be incoming freshman parent 4. Adult Staffing and Football Programs

Vintage Paper Company will give us a quote on program cost and Jen Fry and Heather will possibly work on the ads until a chairperson is found.

Savannah Fundraiser Update: The Smash Brothers Game Night was a SMASH hit and should be done again next year. The Artrageous fundraiser night was not as successful and we may try this again next year for the adults. Italian Dinner night needs additional volunteers. The Chipotle night is March 24th. The proceeds will go to Savannah trip. Savannah Trip is around $4K. $3k comes from the band fundraisers. Each chaperone is charged $300 to attend.

TREASURER’S REPORT: Cindy was not able to attend. The balance is $6,798.00 She is still tracking the Italian Dinner and Pancake Breakfast tickets. VICE PRESIDENT: Jen is waiting on the final number of senior grads to order the senior grad gifts. Kristin is getting the gift bags for the gifts. We have 30-40 seniors this year. COLOR GUARD: Color Guard received 5th place at the Oviedo competition. Joy Harper is looking into fundraisers for net year. Chili’s gives back 20%- Robyn will push for this. Fundraiser will go towards paying off uniforms. We will probably not be sponsoring state finals as Mr. Bosma has concerns over possible liabilities. Papa John’s offers a fundraising week that Color Guard may consider. Mrs. Harper would like to get an electric braking system that would enable her to tow the Color Guard trailer with her truck.

SPECIAL EVENTS/CONCESSIONS: Pancake Breakfast is Saturday March 14th. Band leadership must arrive by 6:30 am. All others by 7. Utensils and napkin rolling will be done Thursday night. End of the Year Band Banquet- Friday May 22nd will be at the Plaza. DJ still needs to send Kristin a contract. This year photo booth will be a triple 4x6. Banquet payment is due to the Plaza by May 10th. We spoke about cutting back on the balloons for this year. LAKESIDE JAZZ FESTIVAL: Next meeting is Monday April 30th at Atlantic High. Sponsorships still needed. Friday night headliners will be UNF and the Navy Band. Saturday night headliner will be UNTexas and UCF. Help is needed in the VIP and rented tables area. Saturday is Atlantic Prom as well so Spruce Creek students will be needed to help. ADULT STAFFING: The band will be needing one bus for the Dr. Philips performance. There will also be chaperone drivers. This is an all competition that leaves at 7 am and performance is at 10:40. The students will stay until UCF plays. FIELD CREW: They are trying to sell our old trailer for 1k-1200. Mike was asked to get some of his band marching field crew to help with construction of the Jazz Festival stages. KICKOFF BAND COMMITTEE: Kickoff is on Tuesday May 12th 2020. We should consider using one page for uniform orders. MARCHING UNIFORMS: Jean Ann has received most of the marching paperwork form Lori Reese. ADULT STAFFING: Nothing to report COLOR GUARD: Robyn discussed renewing and rewording the color guard kickoff sheet and packet. SPECIAL EVENTS/CONCESSIONS: Stefanie discussed the end of the year activities. Mr. Bosma mentioned that he felt school would not resume this year and the board discussed alternatives for band banquet. Kristin spoke with the venue who

said any paid fees can roll over to next year. Kristin mentioned having an awards banquet at the school (without food) to recognize the seniors. Robyn motioned to cancel the end of year banquet and Jenn Fry seconded. Mrs. Martin discussed having the seniors send in a virtual diary or last will and testament for a video.

Stefanie mentioned the Freshman/returning student band kickoff. Mrs. Martin will send out an email to the middle school band directors letting them know that we will postpone the event. Mr. Bosma will create a google survey for new students to complete to get a headcount.

Mr. Bosma discussed the option that a full band show would not be possible next year due to safety concerns. He felt the football season may be postponed and the band could possibly move to pep band only.

FOOTBALL PROGRAMS: Due to the current situation, the football programs will be tabled for now until the schools release more information on the football season. FIELD CREW: Stefanie mentioned selling the smaller band trailer and asking around $500 but that we should wait until it becomes safer to sell.
