Sponsorship of hospitality events at Congress is a natural fit for any company whounderstands the importance of social connections and wants to help CSTA create alively and hospitable atmosphere at the Congress! Bring your creative event ideasand help us make the kick-off events at Congress the most talked about socialevents EVER!

Note: All refreshments (food, alcoholic and non-alcoholic beverages) will be supplied byCSTA (special occasions permit will be obtained for this event if hosted at the WestinHotel). If an off-site location is selected, an arrangement regarding cost sharing for foodand beverage will be made between CSTA and the sponsor. CSTA also providesvolunteers to assist with activities, set-up and clean-up. Any specific requests from thesponsor (related to food and beverage or entertainment) must be communicated toCSTA at least six weeks in advance of the event and may require approval from the hotelvenue and may be at the sponsor’s expense. VENDOR ALLEY 25-30 spots available (on a first come, first served basis)

If you would like to showcase your products and services and have the opportunityto interact one-on-one with Congress delegates, consider participating in VendorAlley. Vendor Alley will be set-up in the foyers outside of the meeting space on the4th floor of the Westin Hotel and delegates will be encouraged to stop by exhibitorbooths and the lounge during breaks, at lunch, and in-between sessions. Breakrefreshments and hydration stations will be served in the area which creates a naturalspot for delegates to congregate. This is a sell-out every year!

Vendor Alley participants are encouraged to add-on one or more optional activationsto their package for enhanced interactions with delegates and for increased boothtraffic (see page 11 for details).

CSTA’S PRESTIGE Awards celebrate the people, places and events that make theCanadian sport tourism industry so dynamic. These awards are presented annuallyin seven (7) categories to individuals, companies and organizations that have madeoutstanding contributions to the success of the sport tourism industry.

The awards are presented at a luncheon that takes place in conjunction with SportEvents Congress.

There are two ways to become a partner in CSTA’s PRESTIGE Awards – as presentingsponsor of the luncheon or as a sponsor of one of the award categories. Congresssponsors may also add-on sponsorship of an award category to their sponsorshippackage. See page 11 for details.

Partners who have purchased any sponsorship package offered by CSTA at SportEvents Congress are eligible to add-on sponsorship of a PRESTIGE Awards categoryat a discounted rate. This offers the added value of visibility 5-6 months in advanceof the Congress through promotion of the PRESTIGE Awards program nominations +on-site visibility at CSTA’s esteemed awards luncheon.

Partners who have purchased any sponsorship package offered by CSTA at SportEvents Congress can secure additional delegate registrations at a discount in orderto have additional company representation at the Congress.

These additional Congress registrations must be purchased at the time ofconfirmation of the sponsorship package. This special rate cannot be offered afterthe fact. If you decide at a later date to have extra company representatives inattendance, they will be required to register on-line as a delegate and pay thecurrent Congress registration rates.

Notes:

1. Title or presenting status of a conference activity or session includes mention of your company on theconference website and in the event survival guide and on any conference-related materials where thesponsored session/activity is referenced (i.e. Sport Events Congress 2016 presented by Destination XYZ orSport Events Exchange presented by Company ABC).

2. Branding/logo on Congress materials including the event survival guide and schedule, on-site and digitalsignage, etc. Corporate logos are accommodated where possible or company name.

3. A speaking opportunity to address the crowd (i.e. a 2-3 minute welcome or thank-you to the speaker) for asenior member of your company/organization to take place in conjunction with your sponsoredsession/activity at the Congress.

6. Conference registrations are valued at up to $900 per person. There is no credit for unused complimentaryregistrations and they are non-transferable.

7. Opportunity to conduct a customized promotional campaign and/or interactive activity (i.e. contest, raffleor draw, etc.) during the sponsored session/activity (at the sponsor’s cost).

8. Exhibit space includes a kiosk/booth (size = 8ft x 6ft), an 8 ft skirted table and 2 chairs plus a mention onCSTA’s website and in the Congress event survival guide as a participant in Vendor Alley. This activation iseither included in a package or available as an add-on at a special price of $1,500.

9. An electronic copy of the delegates’ list will be provided to sponsors following the conference. Hard copiesare provided to all delegates on-site.

10. Reserved table for all meals/plenary sessions for you and your guests.

11. Web ad banner is a rotating ad banner on the home page of CSTA’s website (in rotation with otherCongress sponsors). Banner includes a hyperlink (click-thru) to sponsor’s website.

12. SEC-TV offers live video programming on a television screen positioned in a high traffic area during theCongress where sponsors can feature their promotional message (max 2 mins in length) in rotation with allSEC-TV programming.

13. Inserts in delegates’ bags may include promotional literature or promotional items. Exact specs will beprovided. Estimated # of delegates = 400-425.

14. Member Profile (for DMOs who are members of CSTA) – a one-month feature on CSTA’s website in aguaranteed slot pre or post Congress (as available).

PRESTIGE EXTRA BENEFITS!

• If you choose to sponsor a PRESTIGE Awards category, your company name will be integrated into thename of the sponsored award in all references to the award, including engraving on the awards sculpture.

• Each PRESTIGE sponsor will receive two (2) guest tickets (value $75) for extra luncheon guests (note:sponsor reps have an awards ticket included with their comp Congress registration) and a reserved table atthe luncheon.

• Sponsor reps will be invited onstage to assist in the presentation of the sponsored award (PRESTIGEluncheon sponsor takes part in the official welcome)

• Your corporate ID (logo and name) will be visible on all promotional materials related to the PRESTIGEAwards including nomination forms, website, event display/signage, etc.

THE FINE PRINT

Confirmation of Participation as a Sponsor or Exhibitor

Sponsors and exhibitors may submit a confirmation form to request participation as a sponsor or exhibitor byselecting an advertised package, completing the confirmation form and submitting it to the CSTA forapproval/acceptance. Submit the confirmation form to Krista Benoit, Executive Director, Marketing & Events [email protected] or by fax at 819-682-9669.

A limited number of exhibitor spaces and sponsorship opportunities are available each year and are allocated topartners on a first come, first served basis. Returning sponsors have priority and have first choice of the optionsavailable. Sponsors from previous years do not automatically have their same position reserved from one year tothe next unless they have opted into a 2-year agreement with the CSTA (see details below).

Sponsorship Fees & Benefits

Sponsorship fees and the benefits/features associated with each package are subject to change from year to yearand are outlined in this document which is updated annually. Sponsors who commit to participate for twoconsecutive events (i.e. SEC 2017 and 2018) will have their preferred sponsorship position reserved for two yearsand will save on sponsorship fees (a staggered payment plan over 2 years is offered). There are no refunds orcredits for any sponsorship packages not utilized in year 2.

Sponsorship and exhibitor fees are invoiced and payable by cheque or credit card at least one month in advanceof the Congress. Failure to pay fees in accordance with CSTA’s payment policy may result in a sponsorshipposition or booth space being reassigned.

Official Activities & Unauthorized Events

Only those who are supporting Sport Events Congress through the payment of registration fees or sponsorshipfees are permitted to conduct business at the event or at official SEC functions.

The generosity and support of sponsors/partners of official Sport Events Congress functions shall not be abused.Persons not affiliated with SEC or the CSTA will not be permitted to attend any hospitality events or any otheractivity. Furthermore, any events or activities conducted at the Congress venue or off-site are not permitted tobe staged during the hours in which an official Sport Events Congress activity is scheduled. Please consult theofficial Schedule of Events. Organizations violating this rule may be suspended from participating in futureevents.
