Chapter 1: Getting Started

This user guide describes the Spectralink Handset Management program for the Spectralink 74-Series.

Use the Spectralink Handset Management program for the following:

• For storing, changing, deleting number and names in the phone book and for copying and sharing phone books with other handsets.

• For virtual SIM card management. You can, for example, copy all settings (phone book, registration data and so on) from the virtual SIM card to another handset.

• For profile setup and customization.

Overview of the User Interface

Spectralink Handset Management Program Main WindowThe Spectralink Handset Management program main window has three main areas.

• A menu bar where you access management commands.

• Tabbed pages where you can manage phone book and SIM card, and define profile settings.

• A status bar that shows the current status of running actions.

For handset management of Spectralink 4020, Spectralink 4040 and Spectralink 4080 you need the following.

• Appropriate charger and power supply.

• Spectralink Handset Management program. Download the program from www.spectralink.com.

• Programming kit for 74-series handsets.

Set up of the Hardware1 Connect the serial cable to the programming tool and the COM port of your computer.

2 Connect the programming tool and the power supply to the charger through the splitter.

3 Turn on the handset.

4 Place the handset in the charger.

Start the Spectralink Handset Management ProgramBefore you start managing your handset, verify that the handset is fully charged.

1 Connect the USB cable to computer’s USB port.

2 Turn on the handset.

3 Open the Handset Management program. The Connection dialog appears

4 Select a COM port from the list.

5 Click Communication Test to see if the program is connected to the handset.

6 Click Proceed.The main window appears.

NoteThe Connection window only appears the first time you open the Handset Management program on your computer. Click Show On Startup if you want the Connection window to appear each time you open the program. If you need to change the Com Port settings later and the Connection window does not appear, click Connection under Files.

Chapter 2: Using the Handset Management Program

Managing The Phone Book The Spectralink Handset Management program enables you to store, change, and delete numbers and names in the phone book, and to copy and share phone books with other handsets.

The phone book for Spectralink 4020, Spectralink 4040 and Spectralink 4080 can store up to 200 numbers including names. A maximum of 24 digits is allowed for each number. A maximum of 24 digits, including spaces, is allowed for each name.

Store Names and Numbers1 Turn on the handset, place it in the charger, and then click the Phone Book tab.

2 Click Read from Handset to read the names and numbers from the handset (if any).

3 Click an empty row and then enter a name and number.

4 When finished, click Write to Handset. The Select how to download dialog appears.

5 Select whether you want to Add list to existing phone book in handset or Replace existing phone book in handset, and then click OK.

Change Names and Numbers1 Turn on the handset, place it in the charger, and then click the Phone Book tab.

2 Click Read from Handset to read the names and numbers in the handset.

3 Select the name and/or number you want to change, and then make the appropriate changes.

4 Click Write to Handset. The Select how to download dialog appears.

5 Select Replace existing phone book in handset, and then click OK. The changed name and number is now stored in the phone book.

Delete Names and Numbers1 Turn a handset on, place it in the charger, and then click the Phone Book tab.

2 Click Read from Handset to read the names and numbers in the handset.

3 Right-click the row that contains the name you want to delete from phone book, and then click Delete Name and Number? (only in grid). The name and number are removed from the grid.

4 Click Write to Handset. The Select how to download dialog appears.

5 Click Replace existing phone book in handset, and then click OK. The name and number is now deleted from the phone book.

Delete a Phone Book1 Turn on the handset, place it in the charger, and then click the Phone Book tab.

2 Click Delete in Handset. A warning appears.

3 Click OK to confirm.

Sharing the Phone Book with other HandsetsYou can make a copy of a phone book or save the phone book to a file to share it with other handsets.

Copy the Phone Book1 Turn on the handset whose phone book you want to copy, place it in the charger, and then

click the Phone Book tab.

2 Click Read from Handset to read the names and numbers in the handset.

3 Remove the handset from the charger, and then place another handset in the charger.

4 Click Write to Handset.The Select how to write dialog appears.

5 Select Replace existing phone book in handset, and then click OK.

Save the Phone Book to a File1 Turn on the handset whose phone book you want to save in a file, place it in the charger, and

then click the Phone Book tab.

2 Click Read from Handset to read the names and numbers from the handset.

3 Under File click Save Phone Book As. The Save As dialog appears.

4 Locate the folder where you want to save the file, and then click Save.

Open a Phone Book from a FileYou can load phone book data into a handset from a file.

1 Turn on the handset, place the it in the charger, and then click the Phone Book tab.

2 Under File click Open Phone Book. The Open dialog appears.

3 Locate the relevant file, and then click Open. The phone book data is only displayed in the grid and not saved in the handset.

4 Click Write to Handset. The Select how to write dialog appears.

Click either Add list to existing phone book in handset or Replace existing phone book in handset, and then click OK.

Managing the Virtual SIM CardOn the SIM tab, you can move all virtual SIM card data from one handset to another. This way you will not loose personal information in a handset in case it is defect. The virtual SIM card contains information such as registration data, phone book, CLIP stack and profile setup.

To manage the virtual SIM card, the handset must be charged and the serial connection must be working.

Data from a virtual SIM card can be used in one handset only. The virtual SIM card file cannot be shared with other handsets, and you cannot copy it to other computers.

Transfer Virtual SIM Card Values to File1 Turn on the handset, place it in the charger, and then click the SIM tab.

2 Click Transfer SIM to File to save the SIM card values in a file. The Confirm dialog appears.

3 Click OK.

4 The Save As dialog appears.

5 Locate the folder where you want to save the file, and then click Save.

6 The handset is turned off and cannot be used.

Transfer Virtual SIM Card Values to Handset1 Turn on the handset, place it in the charger, and then click the SIM tab.

2 Click Transfer SIM to Handset to save the virtual SIM card values in the handset. The Confirm dialog appears.

3 Click OK.

Note It is recommended that you never delete a virtual SIM card file. If a file containing virtual SIM card values is deleted, the data cannot be restored and the data is lost permanently.

4 The Open dialog appears.

5 Locate the relevant file, and then click Open.

The virtual SIM card values are transferred to handset. The Confirm dialog appears.

6 Click OK. Note that the serial number of the handset has changed.

7 Click OK. The handset is turned off.

8 Turn on the handset and register the new serial number. To view the new serial number, press *99984*on the handset. The serial number is shown in the display.

Managing Profiles Using the Spectralink Handset Management program you can customize a handset by setting up a profile. You can also save a handset’s profile setting in a file or open a file containing profile settings and load these profile settings to a handset.

For detailed information about the profile settings of the 74-Series, refer to the User Guide.

It is also possible to set up a profile using a handset. For more information, see the User Guide.

Set up a Profile1 Turn on the handset, place it in the charger, and then click the Profile tab.

2 Click Read from Handset to see current profile settings.

3 Select the preferred settings from the lists.

4 Click Write to Handset to save your profile settings. The Confirm dialog appears.

5 Click OK to confirm.

Sharing Settings with other Handsets

You can copy settings or save settings to a file to share them with other handsets.

Copy Settings1 Turn on the handset whose settings you want to copy, place it in the charger, and then click

the Profile tab.

2 Click Read from Handset to read the settings from the handset.

3 Remove the handset from the USB cable and connect another handset to the cable.

4 Click Write to Handset. The settings are now copied to the new handset.

Save Settings to a File1 Turn on the handset, place it in the charger, and click Settings tab.

2 Click Read from Handset to read the settings from the handset.

3 Under File click Save Profile As. The Save as dialog appears.

4 Locate the folder where you want to save the file, enter a name, and then click Save. You can save different profile settings such as one profile for meetings and another profile for working at your desk.

Load Profiles from FileYou can load profiles into a handset from a file.

1 Turn on the handset, place it in the charger, and then click the Profile tab.

2 Under File click Open Profile. The Open dialog appears.

3 Select the relevant file and click Open.4 Click Write to Handset. The settings from the selected file are now copied to the handset.

Managing Speed DialUsing the Spectralink Handset Management program you can store, change or delete number in the speed dial list or copy and share speed dial numbers with other handsets.

The Speed dial list for Spectralink 4020, Spectralink 4040 and Spectralink 4080 can store up to 11 numbers. A maximum of 23 digits is allowed for each number.

Store Numbers1 Turn on the handset, place it in the charger, and then click the Speed Dial List tab.

2 Click Read from Handset to read the numbers from the handset (if any).

3 When finished entering the number, click Write to Handset. The Confirm dialog appears.

1 Click OK to confirm.

Change Numbers1 Turn on the handset, place it in the charger, and then click the Speed Dial List tab.

2 Click Read from Handset to read the numbers from the handset.

3 Select the number you want to change and make the appropriate changes.

Delete Numbers1 Turn on the handset, place it in the charger, and then click the Speed Dial List tab.

2 Click Read from Handset to read numbers from the handset.

3 Right-click the row containing the number you want to delete from the speed dial list. Click Clear (only in Grid) and click OK. The number is removed from the grid.

4 Click Write to Handset. The Confirm dialog appears.

5 Click OK to confirm.

Delete A Speed Dial List from a Handset1 Turn on the handset, place it in the charger, and then click the Speed Dial tab.

2 Click Delete in Handset. A warning is displayed.

Sharing the Speed Dial List with other Handsets

You can make a copy of a speed dial list or save the speed dial list to a file to share it with other handsets.

Copy the Speed Dial List1 Turn on the handset whose speed dial list you want to copy, place it in the charger, and then

click the Speed Dial List tab.

2 Click Read from Handset to read the numbers from the handset.

3 Remove the handset from the charger, and place another handset in the charger.

4 Click Write to Handset to copy the speed dial list to the new handset.

Save the Speed Dial List to a File1 Turn on the handset whose speed dial list you want to share, and then place the handset in

the charger.

2 Click the Speed Dial List tab.

3 Click Read from Handset to read the numbers from the handset.

4 Under File click Save Speed Dial List as. The Save As dialog appears.

Note You can also save the speed dial list to a file and then share the file by email.

5 Locate the folder where you want to save the file, enter a name, and then click Save.

Load a Speed Dial List from a File1 Turn on the handset, place it in the charger, and then click the Speed Dial List tab.

2 From the File menu, click Open Speed Dial List. The Open dialog appears.

3 Select the relevant file in question and then click Open. The speed dial data is only displayed in the grid and not saved in the handset.

4 Click Write to Handset, to copy the speed dial data to the handset.

Managing Broadcast GroupsUsing the Handset Management program, you can store, change and delete broadcast groups or copy and share broadcast groups with other handsets.

The Broadcast Group for the Spectralink 74-Series can store up to 16 broadcast groups, and the value of each group must be between 0 and 255. The Broadcast Group is system dependent, and if supported by the system, a MSF message can be broadcast to different groups of the system.

Store Broadcast Groups1 Turn on the handset, place it in the charger, and then click the Broadcast Groups tab.

2 Click Read from Handset to read the broadcast groups from the handset (if any).

3 Click a row and enter the number of a broadcast group.

4 When finished entering the number, click Write to Handset. The Select how to write dialog appears.

5 Click either Add list to existing groups in handset or Replace existing groups in handset, and click OK. The list is now stored in the broadcast groups of the handset.

Change Broadcast Groups1 Turn on the handset, place it in the charger, and then click the Broadcast Groups tab.

2 Click Read from Handset to read the broadcast groups from the handset (if any).

3 Select the broadcast group you want to change and make the appropriate changes.

4 Click Write to Handset. The Select how to write dialog appears.

5 Select Replace existing groups in handset and click OK.The changed broadcast group list is now stored in the broadcast group of the handset.

Delete Broadcast Groups1 Turn on the handset, place it in the charger, and then click the Broadcast Groups tab.

2 Click Read from Handset to read the broadcast groups from the handset.

3 Right-click the row containing the number of the group you want to delete from the broadcast groups. Click Clear (Only In Grid) and click OK. The group is removed from the grid.

4 Click Write to Handset. The Select how to write dialog appears.

5 Click Replace existing groups in handset and click OK. The group is now deleted in the broadcast group of the handset.

Delete all Broadcast Groups from a Handset1 Turn on the handset, place it in the charger, and then click the Broadcast Groups tab.

2 Click Delete in Handset. A warning appears.

3 Click OK to confirm. All broadcast groups are now deleted from the connected handset.

Sharing Broadcast Groups with other HandsetsYou can make a copy of a broadcast group or save the broadcast group to a file to share it with other handsets.

Copy Broadcast Groups1 Turn on the handset whose broadcast groups you want to copy, place it in the charger, and

then click the Broadcast Groups tab.

2 Click Read from Handset to read the broadcast groups from the handset.

3 Remove the handset from the charger and place another handset in the charger.

4 Click Write to Handset. The Select how to write dialog appears.

5 Click Replace existing groups in handset and click OK. The broadcast groups are now copied to the new handset.

Save Broadcast Groups to a File1 Turn on the handset whose broadcast groups you want to save in a file, place it in the

charger, and then click Broadcast Groups tab.

2 Click Read from Handset to read the broadcast groups from the handset.

3 Under File click Save Broadcast Groups as. The Save as dialog appears.

4 Locate the folder where you want to save the file, enter a name, and then click Save.

Open Broadcast Group from FileYou can load broadcast groups into a handset from a file.

1 Turn on the handset, place it in the charger, and then click the Broadcast Groups tab.

2 Under File click Open Broadcast Groups. The Open dialog appears.

3 Select the relevant file and click Open.The broadcast groups are only displayed in the grid and not saved in the handset.

4 Click Write to Handset. The Select how to write dialog appears.

5 Click either Add list to existing groups in handset or Replace existing groups in handset, and click OK. The broadcast groups are copied to the handset.

Chapter 3: Troubleshooting

This section provides you with general troubleshooting information about management problems and error messages that may occur when working with the Spectralink Handset Management program.

General Troubleshooting InformationIf an error occurs, and “Action required” does not solve the problem, verify the that the handset is properly placed in the charger and connected to the computer via the USB cable, and that the charger is connected to a proper power supply.

• From the File menu click Connection, and then in the Connection dialog click Test Connection.

If necessary, disconnect the USB cable, turn the handset off and on again, and then reconnect it to the USB cable.

Phone Book ManagementThe error messages that may occur in the Spectralink Handset Management program when managing phone book are described in the following table.

Virtual SIM Card ManagementThe error messages that may occur in the Spectralink Handset Management program when managing virtual SIM card are described in the following table.
