BACKGROUND: The University of Arizona invites you to bid on residence hall items as noted herein. This item is in a residence facility currently undergoing enhancements. To the degree possible, the aesthetic qualities of each building are being programmed to reflect the feel of the era in which each was constructed. This programmatic direction makes selection of products on style considerations, as well as appropriate construction methods very important. It will be the responsibility of the supplier to guarantee delivery so that all pieces are in perfect working order no later than 48 hours prior to installation; delivery may be accepted as early as 72 hours prior to installation.

SCOPE: FURNISH AND INSTALL THE FOLLOWING RESIDENCE HALL LVP FLOORING AND CARPET TILES FOR THE UNIVERSITY OF ARIZONA. INSTALLATION WILL INCLUDE FURNITURE MOVING AND FLOORING REMOVAL. IT WILL INCLUDE STUDENT ROOMS, CORRIDORS, AND SOME COMMON AREAS. THE INSTALL IN THE TWO HALLS CAN RUN CONCURRENTLY. THIS PROJECT WILL TAKE PLACE OVER THE SUMMER BREAK. THE DATES FOR THIS PROJECT ARE MAY 14th, 2018- JULY 3rd. THE INSTALLATION IS TO BE IN ACCORDANCE WITH THE ATTACHED DETAILED SPECIFICATION, GENERAL TERMS AND CONDITIONS HEREIN AND MANUFACTURERS REQUIREMENTS.

SUBMITTALS: A. Shop Drawings: Indicate layout plan, type of adhesive to be used, location and type of edge

strips


B. Product Data: Provide data on specified products, describing physical and performance characteristics including VOC content and flame spread characteristics; sizes, patterns, colors, and method of installation

C. Samples: Submit two full size samples illustrating color and pattern for each LVP and carpet tile specified

D. Manufacturer’s Installation Instructions: Indicate special procedures, perimeter conditions, and conditions requiring special attention (*Including any special instruction for furniture that is placed on the flooring)

E. Manufacturers cleaning instructions F. Installer must submit a schedule of the work to be done by floor and building. Submittals must be submitted for approval to the Residence Life Project Manager by April 13th, 2018

QUALIFICATIONS:

Manufacturer: Company specializing in manufacturing specified LVP and carpet tile with minimum five years documented experience

Installer: Company specializing in installing LVP and carpet tile with minimum five years documented experience approved by manufacturer

ENVIRONMENTAL REQUIREMENTS:

LVP, carpet tile and adhesives and other materials shall contain the minimum quantity possible of volatile organic compounds (VOC).

Allow materials to “outgas” for 36 prior to delivery to the site; protect from traffic and soiling. Store materials for 48 hours prior to installation in area of installation to achieve temperature

stability. WARRANTY: All materials and furnishings shall be fully guaranteed against defects in materials and workmanship for a period of two (2) years from the date of final acceptance. The installer/vendor agrees to repair or replace defective materials and workmanship over a two-year period.

INSPECTION: All materials furnished and work done may be inspected by The University of Arizona and if not in accordance with specifications, may be rejected and shall be immediately removed and other replacement materials furnished and work done in accordance with contract specifications.

PRE-INSTALLATION MEETING:

EXAMINATION:

A. Verify that surfaces are smooth and flat with maximum variation of ¼ “ in 10ft and are ready to receive work

B. Verify concrete floors are dry

PREPARATION:

A. Remove sub-floor ridges and bumps. Fill minor or local low spots, cracks, joints, holes and other defects with sub-floor filler

B. Clean and prepare floor using a skim coat of a non-shrinking water resistant compound

C. Apply, trowel, and float filler to achieve smooth, flat, hard surface.

D. Vacuum clean substrate

E. Provide protections to owners finished surfaces prior to commencement of work.

F. Allow LVP to acclimate to area in which it will be installed for at least 48 hours.

INSTALLATION: The installation is to be completed in accordance with the Manufacturer’s written instructions.

A. Installation shall be done under close and proper supervision of Residence Life or an authorized agent.


B. Hours of Operations shall be between 7am-5pm. Monday-Friday. Holiday and weekends are non-work days.

C. Keys: Temporary access cards and keys will be set up through our Lock Shop and can be signed for at 542 N. Euclid. These cards must be returned at the end of the job or charges will be applied.

D. Parking Permit: The installer is responsible for all parking. Parking permit information and costs can be provided by Parking and Transportation at (520) 626-7275 or on their website at http://parking.arizona.edu

G. Removal of all flooring. The installer is responsible for removal from the building. Coordinate approval of roll-off location.

H. Furniture moving will be required. (Typical rooms will have 2 beds, 2 desks and 2 chest of drawers, 2 mattresses and 2 desk chairs). Furniture is to remain inside of the building.

I. Apply all flooring and adhesive in accordance with the manufacturer’s instructions to maintain under bed warranty.

J. LVP to be installed in a random pattern to avoid seams from lining up.

K. Carpet to be installed quarter turned

L. Cuts to be true and straight

M. Silicone caulking to be used to seal where LVP meets the wall behind the base in any wet areas.

N. Silicone caulking to be used around closet enclosure to ensure proper seal.

O. Remove all crating and debris from project (includes old carpeting, tile and base). Vendor is responsible for coordinating their own trash removal. The University’s roll-offs cannot be utilized.

P. Leave premises in “Showroom” condition, all items free of dust. This will require vacuuming by the vendor to ensure all debris has been removed.

Q. Vendor will be responsible for any damages they cause.

R. Flooring must be installed using manufacturer’s specified adhesive and product and adhesive must be used according to manufacturer’s installation instructions.

S. Supply any necessary transitions at flooring changes. Rubber transitions to match cove base.

T. Cuts to rubber base will be no less than 18” unless the wall itself is less than 18”.

U. Vendor responsible for all field verification of measurements.

V. Vendor to supply 3% overage for attic stock. PROTECTION: A. Protect the building, as necessary, to prevent any damage.

1.This does include protection of the elevators. B. Any damage must be restored to original condition, and contractor shall be charged with the

expense thereof.

OTHER CONDITIONS: A. The construction specification used is very similar to that used previously for The University

of Arizona. Due to a program of standardization and successful use, adherence to the specifications is important.

B. Pre-Bid Conference: A one-time only MANDATORY on-site inspection will be held on

March 28th, 2018 at 10:00 AM MST at Villa del Puente, located at 575 N Highland Ave Tucson, AZ 85719 (Meet outside main entrance). Upon completion of the walk at Villa del Puente we will move onto Posada San Pedro.

PRODUCTION INFORMATION: The bidder is responsible to clearly and specifically indicate the product being offered and to provide sufficient descriptive literature, catalogue cuts and technical detail to enable The University of Arizona to determine if the product offered meets the requirements of the invitation. Failure to do so may cause the bid to be considered to be nonresponsive. This includes the "Specification Deviation Sheets". Failure to list a deviation from the established specification will require the bidder to supply exactly the specified feature, construction technique or quality of material.

AWARD: The University of Arizona reserves the right to award all items as a group due to requirement of matching stain finishes, metal finishes, and consistent construction features. Award will be made in the best interests of The University of Arizona.
