Foreword Thank you for your interest in the 2018 Australia Day Carnival. This handbook seeks to provide key information for teams planning to register for the Carnival, including:
Key dates Player eligibility and offered divisions
Requirements for entry, including team fees and umpire requirements, and
Accommodation options

Player Eligibility The following table outlines the age cut-offs for each division. Teams may seek dispensation for players who do not fall within the age cut-off dates at the organising committee’s discretion.

Dispensation requests should be sent through by team managers as soon as possible. The request should be included in your registration form, or sent through outlining all the relevant players, alongside a current team list, to [email protected].
Where Softball ACT grants a dispensation at its discretion, the relevant players may not pitch or catch. To ensure this all overage players will be brought to the plate umpires attention and opposition coaches attention before the start of a match and marked on the scorecard. Where a scorecard has not been marked with all overage players, or where it comes to the attention of Softball ACT that an overage player has pitched or caught the relevant match will be forfeited against the team at fault.
Eligibility Table
Teeball Players aged 11 or under on the 31st Dec 2017 – mixed or same-gender teams
U13s Players aged 13 or under on the 31st Dec 2017 – same-gender teams only
U15s Players aged 15 or under on the 31st Dec 2017 – same-gender teams only
U17s Players aged 17 or under on the 31st Dec 2017 – same-gender teams only
Entry requirements
Team Fees $330 (inc GST) if two umpires are provided
$550 (inc GST) if only one umpire is provided
There is no discount based on the number of players in a team.

Umpire Requirements All teams must provide a minimum of one nationally levelled umpire capable of umpiring both plates and bases or else they are not permitted to enter the competition. Where a team is unable to meet this minimum standard, they can contact [email protected], and the local Umpires’ Association will use its interstate contact network to try to help you find an umpire.
If a team provides an additional umpire (trainee or levelled) their team fee will be reduced by $220 (inc GST). This umpire must be able to umpire bases at a minimum and be able to umpire throughout the tournament. Umpiring data will be reviewed at the end of the tournament and where promised umpires have not attended, further fees may be levied against teams.

This registration form is used to register details about your team, including team name and association details, team staff, and umpires. This year, team lists will not be submitted through the form but will instead be added directly in SportsTG.
Each team to be registered must be submitted in its own form. If you are registering multiple teams for your club or association, this will mean submitting multiple forms.
Player registration and team lists Each AusDay division will be set up as a competition in SportsTG under a local ACT association. When you submit a registration form, the Softball ACT Events Committee will set up your team in that competition. There are two methods for setting up your team.
If your team is mostly from the same club or association We will set up a new team within your club. You will have access to add your existing club players to the new team. To do this:
(1) Open your club in SportsTG (2) Navigate to the “Teams” view (3) Select the team that has been created for AusDay (it will be clearly marked) (4) Hover your mouse over the “Members” button, and select “Modify Team List”. (5) Add any players from your club into the new team.
If your team is drawn from many associations We will create a new club and team under a local association, and grant you access to that club. You will need to permit across your players to this new club, then add them to the team you’ve entered. To permit a player:
(1) Open the club we’ve created for you in SportsTG (2) Hover your mouse over the “Members” button, and select “Request a Transfer/Permit” (3) Select the “Competitions” module and click “Select”. (4) Choose the player’s home association from the drop-down and click “Select Association”. (5) Choose the player’s home club from the drop-down and click “Select Club”. (6) Enter the player’s surname. (7) Select the player you wish to transfer. (8) Fill out the clearance request form. You will want to fill out:
a. Reason for clearance. b. Member record type. c. Permit type. d. Date permit from (enter 25 January). e. Date permit to (enter 29 January).
(9) Click “Submit Permit”. a. There is another button on the clearance form, “Submit Transfer”. This is used for
players permanently moving to a new club and should not be used for this tournament. Make sure you use “Submit Permit” only!

Meetings
A meeting for team managers will be held in the clubhouse at the Hawker International Softball Centre on Friday, 26th January. The meeting is planned for 08:00am, but the exact time is subject to change depending on the draw.
ALL teams must provide a representative for the manager’s meeting. A meeting of umpires will be held near the umpires’ changing rooms on Friday, 26th January.

ALL umpires must attend the umpires’ meeting.
Playing Venues
All games will be held at the Hawker International Softball Centre and the fields surrounding.
Equipment
All teams must supply their own match balls for all games. 11” optic yellow reduced injury balls will be used for Teeball Divisions. 11” optic yellow hard standard balls will be used for the Under 13 & Under 15 Divisions. 12” optic yellow hard standard balls will be used for Under 17 Divisions All teams must supply their own scorebooks. Balls, scorebooks and other equipment will be available for purchase from the Fielder’s
Choice Pro Shop in the clubhouse. All teams must use wiffle balls if undertaking pre-game batting warm up, due to limited space
and for the safety of all others in the park.

Canteen Facilities
Home Run Canteen, and possibly other vendor stations, will be operational throughout the tournament from the clubhouse.
A menu (including lunch/meals) will be provided prior to the tournament.
Water and Water Containers
As the temperature is expected to be hot during the tournament, teams are advised to bring water containers. There are taps at the back of diamonds 1, 2 and 3 which can be used for filling containers.
Water from the taps along the right and left field fences of diamonds 1 and 2 is not suitable for drinking. These taps are clearly marked as such.
Shade and Benches
While some benches will be supplied, we do not have enough to cover all teams. Teams are asked to supply their own shades and benches and if possible leave them up for the day.
Bases
Grounds people will put out bases each morning and collect them each night. Do not remove bases from the diamond.
Teams playing in the last time slot please collect bases and leave at home plate.
Environment Maintenance
Teams will be responsible for cleaning up and disposing of rubbish at the end of each game. Bins are provided on each diamond
Ambulance Service
Call “000”. Advise ambulance that you are at the: Hawker Softball Grounds (off Walhallow Street) and which diamond you are playing on.
Ambulance service has a map of the diamonds.
First Aid
First aid assistance is available from the first aid room located in the Softball ACT office

YMCA Accommodation Services
YMCA Canberra boast two accommodation facilities in Canberra that cater specifically for group needs.
Leumeah Lodge – 48 O’Hanlon Place, Nicholls
Located in the Gold Creek Village tourist precinct, Leumeah Lodge has easy access to Canberra’s attractions and sporting venues which makes it an ideal base from which to enjoy your visit to the National Capital.
Leumeah Lodge can accommodate up to 300 guests within its four accommodation blocks. This modern purpose built group accommodation property has the finest quality furnishings offering the highest standard accommodation for groups and their facilitators in Canberra. All rooms have their own three-way ensuite bathroom and individually controlled air conditioning.

Our dining room and state-of-art hot and cold buffet can service up to 200 guests in one sitting.
Our student bunk rooms have 4 bunk-beds sleeping a maximum of 8 guests. All our bunks are king-single size and fitted with an inner spring mattress for your comfort. Making them suitable for both students and adults. Rates at Leumeah Lodge include bedding, linen and towels.
Supervisors and Drivers stay within high quality hotel rooms, inclusive of tea and coffee facilities, complimentary water, mini-fridge, iron and ironing boards, and are configured to accommodate up to three guests. Single supervisor rooms can be arranged based on available at an extra cost.
Leumeah Lodge provides individually keyed rooms. High resolution recordable CCTV security cameras are located throughout the property and regular patrols are completed around the complex.
Free WIFI is available for Supervisors and Drivers throughout the Lodge. Two Common Rooms are available for groups to use during their stay at no cost, these rooms are shared between all guests on site.
Bush Capital Lodge – 191 Dryandra Street, O’Connor
Catering exclusively to groups Bush Capital Lodge offers a safe, friendly and welcoming environment. Its tranquil bushland setting coupled with quick and easy access to Canberra’s attractions and sporting venues makes it an ideal base from which to enjoy your visit to the National Capital.
Groups of just over 200 guests can be comfortably accommodated at Bush Capital Lodge. The property boasts two separate accommodation buildings, Banksia Lodge which sleep up to 150 guests, additionally the smaller Wattle Lodge accommodates up to 65 guests). When dining at Bush Capital Lodge we can comfortably seat up to 95 guests in our Banksia Lodge Dining Room.
Dorm rooms accommodate between 4 and 12 guests. All our bunks are king-single size and fitted with an inner spring mattress for your comfort. Making them suitable for both students and adults. Rates include all bedding, linen and towels are provided.
Shared bathroom facilities are located in both Lodges with separate supervisor bathrooms located throughout.
Bush Capital Lodge provides secure, internally accessed rooms with a code-entry locking system. CCTV security cameras are located throughout the public areas and corridors in both Banksia and Wattle lodges.
Free WIFI is available for Supervisors and Drivers within Banksia Lodge. Break out rooms are available at no extra cost in both Lodges to provide your group with a communal meeting area.
Outdoor recreation spaces are available for use during your stay, the property also backs onto the O’Connor Ridge Nature Reserve which provides opportunities for bushland exploration.
