Employee Self Services
Employee Self Service enables employees to update their Personnel Information, Investment
Declaration. Employees can also view their Payslips and Income Tax report.
A link will be provided by the Payroll personnel (i.e. https://skptpayroll.skpgroup.com/companyid)
& it will be opened in the users default browser i.e. Internet Explorer/ Firefox/ Mozilla/ Google
Chrome.

Login Window
• User need to type the User Name, the correct Password and click on Login button.
• These details will be given by Payroll personnel.
• If user forgets the password then user can click on Forgot Password link.
Once the user will logged in to ESS, following menu options will be displayed…

Main Menu
My Payslip
User can View/ Print selected month’s payslip.
My Tax Report
User will able to view current/ Processed Income Tax Report.
My Form 16
Once the financial year gets over and Form 16 has been generated & send to ESS, then user will be
able to view form 16.

Income Tax Calculator
This option will be helpful to the user for calculating Income Tax. These amounts will not be
updated in Ascent Payroll. User may create new declaration based on these amounts.

Change Password
Using the option user can change his login password.
Annual Salary Statement
This option shows the details of earnings/deductions and net payable amount for 12 months. This
contents the list of all the processed months in the system.
Loan Statement
This report prints details of the loan accounts.

Investment Declaration
This module will allow user to enter investment declarations for Income Tax calculation purpose.
Following screen will display the declarations submitted by user till date.
User can enter any number of estimated declarations during the financial year.
Uploaded On date will be displayed against the last submitted declaration only when it is uploaded
in Payroll software. The date of upload will be decided by Payroll personnel for the month.
User can click on New Estimated Declaration button to create new declaration. He may copy the
details of last submitted declarations. In case, last submitted declarations is available then system
will ask for the confirmation.
Chapter VI-A components are defined in Payroll software and displayed in this screen as it is.
Contribution to Provident Fund if any will be automatically picked up from the processed data in
Payroll software at the time of calculating Income Tax.
Note that only the last submitted declaration will be considered for calculation of Income Tax for
the current month.

User can preview the declaration report – i.e. Form 12BB.

An entry of an Actual Investments Declaration will be activated by Payroll personnel.
User will see the following screen when it is activated.
An Actual declaration can be entered batch wise, based on company policy.
However, user can modify the declaration till it gets approved & updated in the payroll.
Manage My Claims
Reimbursement is a Specific payment for out-of-pocket expenses. This system is also called as café
management system. The system is configured by the admin in Ascent Payroll and if employee is
eligible for reimbursement, this module will allow user to enter reimbursement claims. Once the
user clicks on Manage My Claims link, the following screen will display.

The previous claims will be populated, if any. User can click on New Claim button to create a new
claim. It will display the following screen for entry.
In this screen, user will see his café group level details. The claim number will be automatically
generated once user submits the claim.
The descriptions of
amounts shown in
columns against each
café group are as
under.
Eligibility: The annual
limit.
Accrual: Eligibility up
to the current month.
Claimed: The total of
all claimed amounts.
Paid: Actual paid
amount.
Pending: Total of
claims which are yet to
be approved.
Current: The current
claimed amount.
Balance: This is the actual balance, which user can claim for that particular group.
Balance = Eligibility – (Claimed + Pending + Current)
Enter bill date, its bill no, particulars about the bill and select the head from the dropdown list
under which user are going to claim. And finally enter the amount.

Personal Details
This module will help user change his personal information such as Address, PAN, Bank, etc. in
Payroll software. User can put a request which will be approved/ rejected by Payroll Personnel.
Approved requests will be uploaded in Payroll software.
Following screen will display the details. User can click on Change button to update the information
& send for approval.

My Documents
This module will allow users to view other documents sent by the payroll team. Hence, this module
will be available only if View Other Documents option is enabled on the Local ESS.
My Queries
This module will allow user to raise their queries to the respective departments, as assigned. It will
display the following screen for entry.
Once the user clicks on New Query button, it will display the following screen for query to be sent.

Survey
This is an optional module, activated upon request. This Survey module can be used as a tool for
collecting information as well. Survey screen displays the current status of Active Survey(s) such as
days remaining & response status as shown below.
To complete the survey, click the desired survey link.
Once completed, the status of response is changed as below. It is also possible to change response
till the survey is active.

Previous Income Declaration
This module will help to an employee who joined after 1st April of current Financial Year (F.Y.) to
enter his/her previous income details. These details are required to calculate proper income tax for
current F.Y.
User need to enter these details based on the Form No. 16 or Provisional Form No. 16 or Final
Income Tax Calculation Worksheet issued by the previous employer. User need to be careful while
entering these details because it will affect his/ her income tax calculation for current F.Y.
User need click on New Previous
Declaration to update the details.

Once the all the details are entered and click on Submit button.
Once the declaration has been
submitted, it will display the
status as shown in the snap shot.
However user can re-submit the declaration by coping the details in to new one. Uploaded On date
will be displayed against the last submitted declaration only when it is uploaded in Payroll
software.

Nomination Form
This module will allow user to update the Nominee details.
User has to click on button to add nomination. It will display the following screen for entry.
After updating the above details - user has to click on the Save button, it will display the preview of
the updated details. User need to take the printout of the document.
In case there any change, user can update the details directly on the printed form & Sign the same.
User needs to scan the signed form in PDF format & upload using the Upload Now link.

After uploads are been done, it will be sent for the approval to respective approver.
If required, modification can been done, only after current details are been approved.
