• All Florida DOT contracts are to use one tracking and administration system (Construction and Maintenance).

• Maintenance required a system:– To accommodate all Maintenance contract types (i.e.

routine maintenance, contractual services, Memorandum of Agreement, etc.).

– To allow a means of transferring Maintenance contract dollars and activity quantities from SiteManager into the the existing Maintenance Management System.

– To track and administer our renewable contracts.

• Categories are set up in PES to represent the Maintenance Activity.– The Category Work Class table is a list of

our Maintenance Activities.– The Category Work Class number

preceded by a ‘0’ is used as the Category Number.

• Approved estimate and contract information for Maintenance contracts in SiteManager is accessed through an attachment called the SiteManager/ Maintenance Management System (SM/MMS) Interface. The application is programmed in Visual Basic 6).

• In the SM/MMS Interface, the category becomes the Maintenance Activity with total cost per category provided for the user to insert quantities as appropriate for work completed.

• Copy Contract is another program accessed through the Attachment function in SiteManager. The program was developed to accommodate Florida’s Renewable Contracts.

• The original contract information is copied using a specific naming convention for renewable contracts.
