When there were just a few iPhone and Android users, IT was confident that they could set up phones and enforce security policies. But the proliferation of personally-owned devices presented new challenges:

• How to support the influx of smartphone users?

• How to know who had what devices?

• How were the devices being used? (Expecting all users to adhere fully to security policies on their own opened the door to risks.)

• How to ensure corporate data on personal devices would not compromise compliance with HIPAA and other information security regulations?

“We needed a better way to control and manage mobile devices and secure any company information on them,” said Mike Clancy.

The Solution: MaaS360 Brings MDM With Quick, Painless ImplementationMike and Rob Taylor, Manager of Technology Services at SIHO, searched for a MDM solution with some overall objectives in mind. Their preferred solution would:

• Locate any device if necessary

• Lock and encrypt devices

• Automatically enforce all SIHO security policy requirements 24/7

• Preserve regulatory compliance even after data from internal systems leaves firewalls

• Make the device enrollment process as painless as possible for both end users and IT

Using these criteria, Mike and Rob researched more than a half-dozen MDM vendors, looking at their solutions’ strengths, weaknesses and costs. Vendors included Sophos, MobileIron, Good, Dell, Wyse (formerly Trellia) and others.

Rob tracked the vendor comparisons in an online IT community called Spiceworks. While discussing another MDM product with other IT professionals there, he learned about cloud-based MaaS360 from Fiberlink, an IBM company.

Rob did his own research on MaaS360 and followed up with Fiberlink directly in a one-hour conference call and webinar, where he got to see the benefits of MaaS360, what it could do, and how easily it could be deployed.

“What really struck me the most about MaaS360 was how little implementation we would have to do onsite yet still get the control we needed from a mobile device management standpoint. I really liked that blend,” said Rob.

• It took SIHO only half a day to prepare their IT environment for the MaaS360 implementation, which involved:

• Implementing the MaaS360’s Cloud Extender

• Connecting the Cloud Extender to SIHO’s Exchange 2010 infrastructure

• A phone call with a Fiberlink tech support engineer to:

• Configure SIHO’s MaaS360 account

• Set up access for system administration

• Connect SIHO’s Cloud Extender to the Fiberlink data center, which then automatically populated MaaS360 with SIHO’s existing Exchange ActiveSync devices

“Then it was just a matter of sending out instructions to our mobile users on how to set up and enroll their devices in MaaS360,” said Rob. “The entire implementation was quick and painless.”

The Benefits: Substantial Savings on MDM and an Ongoing Relationship to Sustain SuccessCompared to the cost of MDM software with capabilities similar to MaaS360, Rob estimates SIHO saved between $10,000 and $15,000 just from not having to acquire and set up servers.

They also didn’t have to spend money on licensing software from an MDM vendor, implementing it, training IT personnel, paying per-device or user fees, and maintaining the servers and software year after year—the savings are huge.

“On-premises MDM software requires up to seven or eight servers in-house to handle different functions, and that’s not including the servers we already have in place to handle email,” he explained. “With MaaS360, we have the Cloud Extender which integrates with our existing communications infrastructure, and we’re running that as a virtual server covered by our data center licensing on a virtual host. Everything else is taken care of in the MaaS360 cloud.”
