SHEQ MAN Computerised System

In conventional systems companies have a three tier system where the third tier isnormally forms. This applies equally to so called intranet systems linked to forms. This in effect does not change the user’s life, due to the fact that they still have toprint documents or create spreadsheets.

With Lotus Notes the third tier are replaced with databases. This in effect means thatthe system is driven from the bottom up and not from the conventional Top Downapproach. The advantage of this is that we can customize the system to work for theindividuals.

6

We effectively therefore replace the bottom or third tier structure with databases. Thetop structure contains all the manuals. The Policy Manual is based on the relevantstandard. The Procedure Manual becomes the companies operating manual. Theeffect is that the Policy Manual meets the requirements of the standard every time.Should standards change the only manual replaced is the Policy Manual. This makeschanges to the system easy because lower down only small changes are thenrequired to the Procedure Manual and databases to accommodate the changes tothe new system. Explain that standards have become very specific and thereforemore focussed. For this reason we have a Policy and Procedure Manual for each. This said every database in Lotus Notes is in one “Pot”of information and thereforedata created in one database can be used in another i.e.: Personnel Lists; Tool Lists;etc. The system can also be 100% customized to the customer’s needs and rolledout to other functions i.e.: Laboratory Records; personnel Records etc. Therefore it isnot only constrained to the standards requirements.

SHEQ MAN FEATURES

We have updated the total SHEQ MAN system. This is now a Plug and Play system. The system now incorporates advanced features that include:

Updated manuals to the latest standards and Methodologies 40% reduction in Databases Shared Field Databases –Automatic Links Less Reliance on the Designer Feature Task Manager with Robot systems (All Applications) Checklists with Action lists and Reporting (All Applications) Workflow for Corrective Action and Document Review Systems Management Database including all types of Meetings and Task Manager. Personnel Database including all relevant Training Needs Analyses; Job

Observations etc. Export functionality to Excel. Attachment / Embedding Database for all external documents. Auditing Databases including all types of Audit Reports; Finding Lists;

Process Approach Models and Process Matrixes. Advanced trend analyses capabilities.

Added Advantages

The advantages of the system are:

The system includes a complete ISO 9001:2008 manual The system includes a complete TS 16949:2009 manual The system includes a complete ISO 14001:2004 manual The system includes a complete OHSAS 18001:2007 manual The system includes fully integrated databases where relevant. The system have been proven through various certifications All system requirements are fulfilled by running a paperless system High maintenance required through the use of a documented paper systems

Page 7: SHEQ MAN TECHNOLOGIES Profilesheqsolution.co.za/SHEQ MAN TECHNOLOGIES Profile.pdf · ToprovidePaperlessSoftware Technologies. SCOPE SHEQ MAN Technologies provides Training and Paperless

7

are reduced The requirements of the different standards can be incorporated into one

database Complex procedures are eliminated through doc links which guides the

Auditor to where the standards are fulfilled The system is alive and therefore the information in the databases are

updated in real time The information in the databases can be analysed and manipulated to sketch

various scenarios and generate reports If standards are updated or changed the impact on the system is minimal Full system integration is realised If the client is not satisfied with the format of a database the format can be

changed with ease to suit the companies operating system The system is extremely user friendly and personnel can be trained with ease Document and Data control are atomised Navigators and Portals are used to guide users easily through the standards

to the relevant databases The client takes ownership of the system.
