Sharing Beyond NTU Learning Repository Requirements v.1.1

1. Introduction

2009-2011 NTU received funding from JISC, for the SHARE (Supporting, Harnessing and Advancing Repository Enhancement) to integrate the learning repository tool within learning and teaching at NTU. An output of the project was that each school has its own repository and there is a repository to share resources with the whole of NTU. It was inevitable that in the process of implementing the learning repositories there would be discussions about sharing learning and teaching resources within Sharing Beyond NTU. The project team used these discussions as an opportunity to raise awareness of Open Educational Resources (OERs). By the end of the project, an OER, workshop, webinar and online guide had been produced to encourage staff engagement in sharing and using OERs and there had been a change in the “Copyright in Educational Resources Policy” so that staff were authorised to share using resources using a creative commons license. However, the Share project report concluded with respect to institutional engagement in resource sharing inside the university and beyond, that although,

some colleagues are sharing resources beyond using tools in the cloud e.g. YouTube, Slideshare etc. and the Copyright in Educational Resources Policy has authorised staff to share resources using a Creative Commons license, staff still need to be encouraged to engage with resource sharing institutionally (McGarvey 2010, p. 19)

Reflecting on this NTU would like to develop a framework for sharing open educational resources by implementing another learning repository within NOW for OERs created by NTU staff that can be shared outside of the university using a url, which will give reviewer access to the resources within the learning repository, which is will call Sharing Beyond NTU. The following outlines the requirements for Sharing Beyond NTU. It should be noted as it is not possible to restrict this functionality to a particular repository, the requirements will be complimented by additional guidance.

2. Permissions and Trusts

The permissions and trusts for the Sharing Beyond NTU learning repository will be the same as for NTU Repository, it is recommended that the NTU learning repository permissions and trusts are mapped to the Sharing Beyond NTU Learning Repository. 3. Functional Requirements for Sharing Beyond NTU

The following provides an overview of the functional requirements for the Sharing Beyond NTU

3.1 Publishing

On the “Publish to the learning repository” the languate attached to the visibility options will change to the following

Make Resource publicly available for viewing with the URL. Before selecting choose destination Sharing Beyond NTU repository.

Creative Commons Attribution-NonCommercial-Sharealike (CC-BY-NC-SA) license needs to be attached to the resource before publishing.

It is recommended that the “Rights” options are still not made visible as on Prod because the links are to the US ported Creative Commons licenses.

3.2 Metadata

The metadata template will remain the same copyright will remain with NTU or other despite a Creative Commons license being attached physically attached to the resource.

3.3 Sharing

Once a resource has been published staff can share the resource for viewing outside the university via the url for the resource.
