By reading this you have taken the first step as a candidate for the National Project Coordinator position, in the Shape Colombia – “Aulas de Inmersión” project.

About the Partnership It is now the fourth time AIESEC in Colombia works together with Secretaría de Educación del Distrito (SED Bogotá) to run and operate the AULAS DE INMERSIÓN project, an initiative derived from the Local Development Plan of the city which aims to broaden the perspectives and opportunities for the youth, manly by offering innovative, diverse and wider options of education.

First season of the project, July – December 2013: 26 international interns

1 account director, 1 project coordinator, 1 project manager Second Season of the project, November 2013 – June 2014:

100 international interns 1 account director, 5 project coordinators, 1 project manager

Third season of the project, May – December 2014: 200 international interns

1 account-project director, 10 project coordinators, 2 project managers Fourth season of the project, Feb – December 2015:

400 international interns (divided in two main phases) 1 account-partnership director, 10 project coordinators, 4 senior coordinators, and 2 project

managers The impact Up to the moment, more than 55.000 children and teenagers of the city have had the opportunity to access the AULAS DE INMERSION project, being in contact with international talent, intercultural learning and, what is maybe the biggest earning, having the opportunity to know the world within their very own classroom. 130 international cooperators (trainees), from 38 different nationalities have taken the role of facilitators in 50 public schools, they have also “taken the risk” to trust and stay in Colombia, becoming also ambassadors of the stories our country hast to tell. The relevance for AIESEC in Colombia Currently, the Secretaría de Educación del Distrito – SED Bogotá is the biggest and one of the most important partners of AIESEC in Colombia, encouraging our organization to improve and strength its performance on high scale projects management and impact delivery. We are also taking an active and direct part on the development path of the city and the country, which also makes us one of the leaders and most important contributors to the relevance and positioning of AIESEC as a global leadership development organization. The legacy Taking active part of one of the biggest current development programs in the city, also feeding the path of the Colombia to broaden the perspectives and opportunities for growth and development from its most important roots: the new generations and its minds. Now, in 2015 The project will grow, bringing to the city 400 international interns to work in 100 public schools and impact about 50.00 kids and teenagers willing to live this unique experience, to get to know a new culture, to learn a second language through the work of all these foreign people in the city. The fourth season of the project will be divided into tow main phases:

AIESEC in Colombia

Manual of Functions Area Business Development Position Name Coordinator of Schools & Trainees - SED Report to Business Development Team 14-15

Timeframe: July 2015 – January 2016 Hours: 40/ week Daily working hours: 8:00 am – 5:00 pm *Times might vary according to operational peaks and particular responsibilities.

Type of contract: Full time position (contrato laboral) Full availability required.

Job Description

The National Project Coordinator will be in charge of specific responsibilities and tracking on the implementation of the AULAS DE INMERSIÓN project, managed by Secretaría de Educación del Distrito (SED) and AIESEC in Colombia, working on general selection, matching, induction, legality, follow up and reporting processes during the period the project will take place.

Particular tasks include the accomplishment of weekly goals on segmentation and matching, legality and preparation on the AIESEC Global Internship program (incoming), direction and supervision on interns’ duties, visits and follow up to assigned schools, reporting and attendance to weekly meetings to be held at SED, the Project’s office, the AIESEC offices or schools in charge.

Direct communication and accountability to National Project Managers, National Project Director, MC BD Team and the internal coordinator or personnel in charge from SED are also main responsibilities under the position.

Required profile

Person with total time availability to work from Monday to Friday 8:00 a.m. – 5:00 p.m., results oriented, socially aware. Commitment to the accomplishment of the AIESEC in Colombia’s organizational objectives, professionalism and a strong sense of responsibility will be crucial factors for the applicant (possible position’s taker) to meet.

According to the project´s functioning and the AIESEC operational peaks/needs and the punctual SED’s requirements about the operational team, it might be necessary to develop activities, perform operations or held meetings during weekends and/or beyond the office working time, during the whole period of implementation. All applicants / position takers must be aware of it.

General awareness on the District’s Development Plan of Bogota, and basic understanding of the Colombian law on public interest management and public budget operation are also expected skills of the person holding the position.

Main Functions Matching and Selection.

• To implement the general promotion/cooperation strategies established by the managers/leaders in charge.

• To accomplish weekly matching goals according to an assigned region of the world, including: ·# of e-mails, # of calls, # interviews, # of meetings, # of promotional campaigns and others

• To implement and track all matching processes, such as mailing, massive promotion, individual promotion, LC-MC cooperation, MC –MC cooperation

To guarantee the selection of the accurate profiles according to SED’s directions and requirements.

• To guarantee the raising, matching and realization of at least 20 TNs – EPs • Supervise and execute the formal matching processes with EP host LC • To keep constant and efficient communication with the EP- LC during the matching process • To be in charge of the matching procedures and the required documents according to the

AIESEC in Colombia legality policies. • To deliver the total number/type/category of legality processes and documents derived

from the MATCHING of each EP • To guarantee the understanding and awareness of the Exchange Program Policies from the

EP, the home LC and any other parties involved. • To guarantee the understanding and awareness of the specific project requirements and

policies derived from the matching with the AULAS DE INMERSION project. Delivery (costs covered by the project’s budget)

• To coordinate and support all visa/migratory processes of the selected trainees • Reception of trainees: Arrival pick up at the bus station or airport. Assistance on general

needs at the beginning of the experience (cellphone, cédula de extranjería and general directions to learn how to move around the city)

• Cultural immersion • To coordinate and support the general induction and training about the Project´s contents

and guidelines • To support and track the preparation process at the assigned schools • To coordinate the introductory visits to schools • Supervise and execute the payments and billing processes • Supervise and execute the registration processes of trainees to health services and others

(EPS, Bank Account, ID, Migration registration, and other legal working requirements) Tracking and follow up

• To track the performance of the interns at the school through the teaching plans • To coordinate and attend periodical review visits/meetings at the assigned schools, with a

minimum of one (1) time each two weeks. • To arrange periodical One to One meetings with the trainees. • To arrange periodical group meetings with the assigned trainees. • To do periodical school visits focused on showcasing and performance documentation. • To keep constant communication with the SED personnel in charge. • To guarantee the proper delivery of information/guidelines/communication with all instances

involved with the implementation of the project at the assigned schools. • To prevent and track possible misunderstandings within the school, SED, AIESEC or other

instances. • Periodical reports to the National Project Managers and National Project Director. • To implement and follow all guidelines on the usage of the project management tools

established by AIESEC in Colombia and the project’s directives. • Update the information systems to keep the creation of knowledge (wiki, PRM, Podio, CRM,

Google Docs).

Standards & Satisfaction

• To know and use the AIESEC INTERNATIONAL guidelines for operations and exchange management (XPP).

• To guarantee the total understanding of the EP’s responsibilities and obligations derived from the matching process with AIESEC in Colombia and the AULAS DE INMERSIÓN PROJECT.

• To implement and track the implementation of acknowledgement letters/compromises, according to the project’s specific guidelines and rules.

• To know, implement and follow up the 16 components of the standards and satisfaction program established by AIESEC international.

• To plan and execute periodical follow up meetings on quality and trainee XP. ª To coordinate and support de development of spaces of follow up, feedback, and co-construction on the improvement of the quality and satisfaction standards.

• To implement surveys, interviews, qualitative and quantitative tools on the compilation of information on quality standards.

• To cooperate with the quality measurement processes for stakeholders. Schools & Trainees management

• To be the direct manager and supervisor / chief leader of the assigned trainees. • To maintain and guarantee the appropriate professional relation / management line with all

assigned trainees during the total period of implementation of the project. • To guarantee the attendance and accurate accomplishment of schedules at schools by al

the assigned trainees. • Assure the delivery of weekly and monthly lessons reports. • To deliver fortnightly and monthly reports on trainees’ performance. • To guarantee and report the accomplishment of the curricular plan delivered by the SED. • To directly report to SED coordinators on schools and trainees situations, performance and

others. • Direct accountability and report to SED personnel and coordinators when required. • Total telephonic and virtual availability for daily tracking and report on trainees and schools

performance. • To guarantee the permanent joint work among the trainee and the supporting teacher. • To guarantee the proper understanding of the roles and responsibilities inside the classroom. • Periodical delivery and updating of students’ lists, in the formal templates given by the SED

and the project’s directives. • To implement memorandums/warning letter with the trainees in charge when necessary

and/or according to directions from SED and the project’s directives. • To assure de delivery of accurate information/documents of each of the trainees, in topics

such as legality, payments and AIESEC’s formal exchange program components. Project management

• To cooperate with the sustainable use of partnerships and agreements according to Business Development national strategy.

• Generate meetings with the TN taker/Organization (SED and schools) to review the quality of XPs.

• To create and deliver qualitative periodical reports to MC/SED Bogotá according to the project’s needs and the administrative guidelines of both entities.

• To ensure the accomplishment of the minimums of service and delivery with the national partner Secretaría de Educación del Distrito.

• Work in synergy with the national PR team/NST: National Alliances Partner. Public Relations Government Support

• General showcasing of the project and its impact.

• Positioning in government scenarios. • Proper use of the respective organization brand

Reporting

• Direct communication and accountability to National Project Director and National Project Manager
