    1 Nurse Station Server (NSS)

    1.1 General

    The Nurse Station Server (NSS) is a Linux based web server running on the Ascom Elise2 platform which is interfaced via a LON Piggyback (LPB) with the teleCARE M Local Operated Network (LON).

    The NSS retrieves system information from the ISCs, SGCs and IAMs of the teleCARE M system and publishes this information on it’s own internal NSS website. The website can be accessed via an Ethernet LAN and viewed using a web browser.

    The NSS is supplied with a graphical user interface (GUI). The GUI can be modified to suit the users requirements and the language can be changed.

    Administration of the NSS is done with a web browser. Only the administrator and authorised users can access the administration web pages. The user part of the GUI running on a client computer is referred to as the Nurse Station Client (NSC). Each user’s range of access is decided by user rights which are set by the administrator.

    The NSS menu offers the user a variety of functions including logged data, assignments, ward administration, call level administration, duty administration, user administration, setup, view calls, security and log out. Within these functions there are a number of options.

    The NSS version 4.06 (or higher) supports speech communication using the NSC. The NSC runs on a client computer and is used to establish communication with the patient including; answering calls, direct communication, general- group- and nurse announcements. It is also used to enter basic information (patient data) into the information database.

    1.2 NSS Server

    • User Interface maximum file size on the NSS web server: 1.1 MB from which 506kB is used by the current system plus an additional 20kB for each installed language pack.

    • The NSS uses 1 connection on the network and all data will be sent and received through this port.

    • Every running applet communicates with the NSS once per second.

    • The addition of an NSS to a LAN will increase the network load by

    1.5 System Parameters

    The first step in setting up the NSS is to complete the procedures described in “Parameter Setup of ELISE” of the installation guide TD92020GB, or “Parameter Setup of ELISE2” installation guide TD92232GB.

    There are a number of system parameters that can be configured in the NSS. The system parameters are set for all users of the NSS during installation and can be changed later by using a web browser. Most system parameters have a default value to minimize the configuration when installing the system for the first time.

    Configuration and troubleshooting can be done from the NSS Administration page http://xxx.xxx.xxx.xxx/admin (where “xxx.xxx.xxx.xxx” is the IP address of the connected NSS).

    The system parameters specific to the NSS are:

    1.6 Network parameters

    1.6.1 IP Address

    The IP address parameter is essential for the correct functioning of the NSS. It must be a fixed address (automatically assigned addresses from a DHCP server are not supported) and it must be unique on the Local Area Network.

    Note: This parameter must be set in cooperation with the network administrator. Erroneous setting of this parameter may cause severe disturbance on the network (LAN) to which the NSS is connected.

    1.6.2 Host Name

    This parameter sets the desired host name for NSS. The “Host” name precedes the “Domain” name in the URL (for example: nss.domainname).

    Note: This parameter must be set in cooperation with the network administrator. Erroneous setting of this parameter may cause severe disturbance on the network (LAN) to which the NSS is connected.

    • Network parameters:

    1.7 ISC Settings

    In the administration pages for the ELISE2, under “teleCARE / ISC Settings”, it is important to enter the “UNITE address for NSS service”.

    This must be the IP address of the UNITE module followed by “/MUXSERVER” (as shown in the example below). This parameter defines the unite destination (i.e. IP-address/Service ) for NSS pagings.

    1.8 NSS Settings

    The NSS settings in the ELISE2 administration pages should be set in accordance with the requirements of the NSS application.

    The following “NSS settings” should be completed before starting with the NSS:

    1.8.1 Scan for ISCs/SGCs Repeat Time

    This parameter determines the repeat time for the NSS to look for new or removed ISCs or SGCs. This value can range from 0 - 14400 minutes (default value 60 minutes).

    Setting the repeat value to “0” means the NSS will only scan the system at start-up and the scan will not be repeated.

    Note: The default value is 60 minutes and it is best not to set this lower than the default setting.

    1.8.2 Read Messages Repeat Time

    This parameter determines the repeat time for the NSS to request the SGCs and ISCs for their logged messages. This value can range from 1 - 14400 seconds.The default value is 30 seconds.

    1.8.3 Save Messages to Flash Time

    This parameter determines the repeat time for the NSS to save the new found messages to the flash disk.This value can range from 1 - 14400 minutes.The default value is 30 minutes.

    Note: Decreasing this value will reduce the life of the Flash disk!

    1.8.4 Groups Mode

    This parameter determines whether the groups mode is supported. The value can be “Off”, or “On”. The setting should be “Off” as the group mode is a special applications not described in this manual.Textual Assignment

    With this parameter the textual assignment function can be turned on or off.

    1.8.5 Textual Assignment

    This parameter turns the textual assignment function on or off.

    With textual assignment set to “Off” the selections “Assignments” and Duty administration”, as well as “Configure ward duties” (under “Ward administration”), are not available in the NSS Menu options.

    1.8.6 Call Organiser Mode

    Note: The Call organiser mode will only be available in the NSC when the “Display style” is set to “Wide screen”.

    This parameter determines how the call organiser and the assignments will be displayed. The call organiser mode can be set to:

    • Off

    • Call Viewer

    • Call organiser

    Note: The options within Image Administration and Call Organiser for the call organiser modes “Call Viewer” and “Call organiser“ are only available if the NSS is licensed to use floor maps.

    1.8.7 Display style

    There are two styles of web page available and this parameter determines which type of web page will be displayed. The display style can be “Standard” or “Wide Screen” (the default is Wide Screen).

    The following view shows the “Standard” display style:

    Note: The “Standard” display is only suitable for “Textual” mode. With the display style set at “Standard”, the “Call organiser” will not be available.

    The view below shows the “Wide Screen” display style. This is the recommended selection for all users.

    1.9 Passwords

    This page allows the system administrator to change the user, admin, sysadmin and ftpuser password (see 4.2 "User administration") for full details.

    1.9.1 NSS Administrator default password

    The “nssadmin” button is used to restore the default NSS Administrator name and password. The default NSS Administrator name and password is “admin”.

    1.10 Licences

    The NSS licences are available in the following three categories:

    • Logging only licence: For logging information only.

    • Call organiser: With the complete NSS functionality without speech.

    • Call organiser with speech: With the complete NSS functionality including speech.

    Note: The NSS licence must be ordered separately.

    The full range of licences is detailed in the table below.

    The number of authorised NSS users is decided by the chosen licence. Licences can be purchased for 1 (basic single user), 10, 50 or 200 users. The logging only licence is always a single user licence.

    If no licence is available the NSS can be run in “Demo” mode, which gives full access for a limited time.

    Note: All “NNSS1” licences can be used with the NSS and NSS2 modules, but then only “Textual Assignment” mode is supported (not call organiser mode).

    Note: The functions available for a normal user depends on the “rights” assigned to the user by the administrator (see “Add user” on page 131).

    Quick Reference Tables

    Starting from chapter 2 on page 10, at the top of each page there is a small table which is an extract from table 1 and table 2. These tables serves as a quick reference to show in which call organiser mode the functions described on the associated page are available, and if the function is available in the logging only licence. It also shows which users have access to the described functions (either “Administrator” only, or “All users”).

    In example 1 below, the table shows that the page contains information about a function which is available in the call viewer (CV) and call organiser (CO) mode. It shows that the function can be accessed only by the administrator.

    2 Getting Started

    After powering up or rebooting the NSS it will automatically collect the programmed data from every ISC, SGC and all the IAMs in the system.

    Note: Collecting all the data from the ISC’s, SGC’s and IAM’s can take up to 10 minutes. The information displayed on the NSS web page during the collecting of data might be incomplete. Wait until the NSS has finished the data collection process before continuing with the NSS installation.

    Start by entering the URL of the NSS in the address box of your browser, for example: http://xxx.xxx.xxx.xxx (where “xxx.xxx.xxx.xxx is the IP address of the NSS).When connection to the website is established, the Nurse Station Server’s main window opens.

    The default language of the NSS is English. If you do not want to choose another language you should click on “Open the NSS website” at the bottom of the page and proceed with the description in section 2.2 on page 11. If you prefer to choose another language, place the cursor over “Menu” in the top-left corner of the NSS main window and a drop-down menu will appear.

    2.1 Language selection

    The drop-down menu which appears when the cursor is placed above “Menu” a shows all the available languages. Left-click with your mouse on the appropriate language.

    2.2 Opening the NSS Website

    Clicking on “Open the NSS web site” at the bottom of the screen brings you to the “User log in” of the NSS.

    The “User log in” window then opens and it contains two boxes in which you must enter a name and password to log in to the NSS.

    The NSS is supplied with “admin” as the default user “Name” and “admin” also for the “Password“. So enter “admin” in both boxes, click on “OK” to log in to the NSS web site as the administrator.

    Note: The user name is not case sensitive which means that both “admin” and “Admin” are accepted. The password is case sensitive!

    If after entering the user name and password your system asks if you want to save the password it is best to choose “No“, otherwise anyone will be able to enter the system with your user name. For this reason it is recommendable to disable the “AutoComplete” function in Microsoft Internet Explorer/Internet Options.(See Microsoft Internet Explorer help for details).

    Note: After the administrator is logged in the administrator’s name and password can be changed if required. This is described in "Security", on page 14.

    After successfully logging in the confirmation message “You are now logged into the NSS website. Select a function from the menu” will appear on the screen for a few seconds, followed by the Nurse Station Server main page.

    You now have access, as the administrator, to all available functions in the NSS.

    2.2.1 Using the browser “Refresh” button with the NSS

    Do not use the browser “Refresh” button as this will restart the NSS and re-open the NSS start page, requiring you to log in again.

    Using the browser “Back” or “Forward” button can bring up the message: “Warning: Page has expired”, therefore it is best to always go back to the “Menu” to navigate through the NSS.

    2.3 Menu Options

    The NSS menu options are: Logged data, Assignments, Call level administration, Duty administration, Ward administration, Image administration, User administration, Settings, Call organiser, Security and Log out.

    In the following chapters each of these options is described using typical application examples.

    After logging in the user can see which options are available by positioning the cursor over “Menu“.

    The “Administrator” always has access to all available menu options. The availability of the options depends on the “Call Organiser Mode” setting (see “Call Organiser Mode” on page 4).

    The options available to a “User” are determined by the call organiser “Mode” setting and the access rights of the user, which are set by the administrator.

    2.4 Security

    The security function is used to change the user (administrator) name and password and to change the ward passwords for the level 1 and level 2 security of the database.

    2.4.1 Change User Password

    Go to “Menu” followed by “Security” and left-click on “Change user password”

    The “Change user password” window will open showing four boxes:New administrator name, Old password, New password and New password (confirmation). These are used to change the administrator name and password.

    In the top box (New administrator name), enter the new name which the administrator will log in with in future.

    • In the second box (Old password) enter the old password.

    • In the third box (New Password) enter the new password.

    • In the last box (New password confirmation) enter the new password again for confirmation.

    When the new name and password have been correctly entered click on “OK” and the password changed confirmation window will appear.

    2.4.2 Change Ward Passwords

    The ward password can only be changed by the administrator or users with administrator rights. To change the ward passwords go to “Menu” followed by “Security” and left-click on “Change ward passwords”.

    The “Change ward passwords” window will open. First select the ward for which the “Level 1” and “Level 2” security passwords need to be entered or changed. Click on the down arrow in the “Name” entry box and select a ward from the drop down list then click on “OK”.

    The “Change ward password” window will open next and here the password for Level 1 and Level 2 are entered or changed to give access to the “Secure 1” and “Secure 2” data entry fields of the “Location Info” applet (see "Secure 1 and Secure 2", on page 113).

    IMPORTANT: By default the passwords for Level 1 and Level 2 are empty but it is important to enter passwords in both cases in order to have access to the Secure 1 and Secure 2 fields of the “Location Info” applet, as empty passwords will be ignored.

    • In the “Old password” enter the existing password (leave this box empty if it is the first time a password is given).

    • In the “New Password” enter the new password.

    • In the “New password confirmation” enter the new password again to confirm.

    • Click on the “OK” button to save the new passwords.

    Note: It is best to use different passwords to differentiate between Level 1 and Level 2 access authorisation.

    If an incorrect password is entered the NSS will show a warning message at the end of the line (Old password not correct).

    If the “New password” and the “New password - confirmation” are not the same then the NSS will show a warning message at the end of the line (The new passwords are not the same).

    A confirmation message will be shown indicating that the passwords for the selected ward have been changed and accepted.

    When no changes were made a message will be shown indicating that no changes were made to the password settings for the selected ward.

    Repeat the change passwords procedure for the “Level 2 password”.

    Click on “OK” to close the window and return to the NSS window.

    2.5 Settings

    The settings menu allows you to set the date and time of the NSS, set some basic options, change organiser options, make a backup of the configuration of the NSS, restore the NSS configuration from a backup copy, erase the configuration database, import and export the database.

    2.5.1 Set date and time

    Note: The ability to set the date and time of the NSS using the “Set date and time” option under “Settings” depends on the “Time Source” setting in the NSS setup GUI.

    If the time source is set to “Web browser” in the setup GUI then the “Set date and time” option can be used. If the time source in the setup GUI is set to “Time server” then changing the “Set date and time” settings will have no effect on the NSS time as the time server will over-ride the settings at the next cycle.

    To synchronize the date and time of the NSS with the values of the “Web browser” time source, do not change anything just click on “OK” at the bottom of the “Set date and time” window and the NSS will accept the date and time of the web browser time source. The “Time is set” window will then appear confirming the changes. Click “OK” to close this window.

    To manually change the date and time, first click on the “Start/stop” button. Then enter the preferred values in the “Date” and “Time” boxes under “Local PC”. Next click on “OK” and the NSS will accept the changes.

    The date and time at the top of the “Set date and time” window stops at the values when the window opened. To reload the display of the NSS time and date, click on the “Reload button” and the display will be updated.

    2.6 General options

    Go to “Menu” followed by “Settings” and left-click on “General options” to change the default system settings of the NSS.

    The “Default language” box allows you to change the current language. If the language pack of your choice is available in the NSS then the language shows up in the “Default language” drop down list. Click on the preferred language and it will be active the next time you log in to the NSS.

    Click on “OK” to return to the main menu.

    2.6.1 Logging Options

    With the option “Log page size” it is possible to adjust the amount of messages that will be displayed on one page of the “Logged data” window, see “Logged data” on page 123.

    When saving the log files using the “Download log files” option in the “Logged data” menu see "Download log files", on page 129 or using the “Automatic export” function described below, the option “CSV separator character” decides what character will be used as the separator character between the values stored in the log file (Default “,”).

    Automatic Export

    The NSS has the ability to automatically export the log files to an FTP location or send it to an email address. The “Logging options” screen contains a section entitled “Automatic export:” in which the settings can be adjusted.

    The first box entitled “Export type” is used to select the type of export, such as:

    • No export = Automatic export disabled

    • Database full only = export takes place when the logging database is full

    • Hourly = export takes place once an hour

    • Daily = export takes place once a day

    • Weekly = export takes place once a week

    • Monthly = export takes place once a month

    • Yearly = export takes place once a year

    The entry box entitled “Max size of CSV file (in kB)” is used to limit the maximum file size of the exported file (default = 1024 kB). When the exported database exceeds the maximum file size it will be broken up into multiple files.

    in the “File Name” entry box enter the name that will be used for the output file (default = LogExport.csv). When the NSS starts exporting the database, extra information will be added to the filename, like the date, the time and a running number for files that exceed the maximum file size. For example “LogExport_2006-05-12_14-18-08_1.csv”.

    The logging database can be exported using the File Transfer Protocol (FTP) or by sending it as an E-mail. The NSS can export the database to a maximum of 20 locations (FTP, E-mail or a combination of both).

    In order to use the FTP method, first click on the “Add FTP entry” button to add an FTP location to the list.

    The following data entry fields will appear for the first FTP location.

    • FTP Server Address

    • Upload path

    • User name

    • Password

    In the “FTP Server Address” entry box enter the address information of the FTP server. In the box entitled “Upload path” enter name of the location to where the files have to be uploaded to on this server.

    An FTP transfer requires a valid user name and password to be able to transfer the data, use the “User name” and “Password” entry fields to enter the correct user information.

    IMPORTANT: In order to send logging information using e-mail addresses, be sure to enter the correct location of the mail server in the ELISE system setup. How to setup the ELISE parameters of the NSS is described in the ELISE Installation Guide (TD 92232GB).

    In the “System Setup” page of the ELISE module on which the NSS is running, under the “UNITE” section click on “Mail Server” and the “Parameter setup” window will open.

    Enter the appropriate address information in the “Mail server address” entry field, then click on the “Activate” button to activate the changes.

    Note: The first time the automatic export function is initiated (or after an NSS reset) the NSS will export the complete logging database. After that the NSS will only send updates of the most recent (new) log file data.

    2.6.2 Organiser Options

    Use the “Organiser options” to change the settings of the call organiser. To select the organiser options go to “Menu” followed by “Settings” and left-click on “Organiser options”.

    Organiser Height and Width

    In the “Organiser options” menu the minimum height and width of the call organiser window can be changed. In this example the “Organiser width” is “700” pixels and the “Organiser height” is “550” pixels.

    Note: The width and height settings depends on the size of the map or maps that will be used in the call organiser and should always be based on the largest map. It is best to add 216 pixels to the height setting to allow space for the buttons at the bottom of the screen.

    If the window displaying the organiser is smaller than the values entered, scroll bars will appear which can be used to scroll through the entire map. When the window is larger, the height and width will be upscaled automatically to fit the window, this because the height and width settings only restrict the minimum size of the display.

    Unmanned Time

    If the NSC is not used for a period of time longer than the value set in the “Unmanned time” entry box, the NSC will automatically switch over to the unmanned state.

    The unmanned time is set in seconds from 0 to 99999. For more information see "Call map with speech", on page 96. The value “0” means the NSC will never automatically switch over to unmanned.

    Note: The automatic switch over to the unmanned state only works when the NSS call organiser window is displayed.

    Log Out Time

    When the NSC is set to the “unmanned” state a log out timer starts. After the log out time expires the NSC will automatically log out. The user then has to log in again using the user log in procedure, see "Opening the NSS Website", on page 11.

    The log out time is set in seconds from 0 to 99999. For more information see "Call map with speech", on page 96. The value “0” means the NSC will never automatically log out.

    Note: The automatic log out function only works when the NSS call organiser window is displayed.

    Patient or Resident

    The “Patient or Resident” box indicates how the database will be configured. The dropdown list allows the selection of either “Patient” or “Resident”.

    With patient selected the Database only allows 1 name to be entered for a specified location, for example in a hospitals where each bed has its own call button, as shown below:

    Date Format

    The “Date Format” box is used to change the display order of the date displayed in the “Birth date” entry field of the location information window. One of the following formats can be selected.

    • YYYY-MM-DD

    • DD-MM-YYYY

    • MM-DD-YYYY

    Click on the down-arrow and select the desired format from the drop down list.

    Assignment Colours

    The appearance of the “Normal assignment” and the “Assistance assignment” can be changed with the four colour selection fields, two for the foreground colour and two for the background colour.

    The values are expressed as web colours. The table below shows the default colours:

    To change one of the colours, simply enter a hexadecimal value between “#000000” and “#FFFFFF”. The first two characters after the “#” represent the amount of red used in the colour, the two characters in the middle represent green and the last two characters represent blue.

    The colours can also be changed by clicking on the colour palette which is located to the right of the selection field of each colour.

    Click on the colour palette next to the foreground colour of the “Normal assignment”. The “Colour picker” window opens, click on one of the available colours and the corresponding value will be placed in the selection field.

    The new colour will be used as the foreground colour for the “Normal assignment”. Adjust the colours if necessary and click on “OK” to close the “Organiser options”.

    2.7 Backup Configuration

    To create a backup of the NSS configuration, go to “Menu” followed by “Settings” and left-click on “Backup configuration”.

    When the “Backup configuration to local computer” window appears, click on “OK” to create a backup configuration file.

    From the “File download” window select “Save“. In the “Save as” dialog box select a location to save the file to and, if preferred, give the file a name different from the one created by the NSS. When the details of the backup configuration file have been completed, click on “Save”.

    Note: The “Backup configuration to local computer” utility will only backup the configuration data of the NSS including the assignments. Images uploaded in the image administration will not be backed up (for details see “Backup images” on page 80).

    The name of the selected file will then appear in the “Restore from File” box of the “Restore configuration” window.

    If this is the correct file, click on “OK” and the backup configuration will be loaded in the NSS.

    When the configuration is successfully restored a confirmation message appears. Click on “OK” to close the window.

    Note: Restoring a saved configuration to the NSS also restores the assignments that were active at the time the configuration was saved. Images are not part of the saved configuration, they have to be reassigned manually, as described in "Image administration", on page 67.

    2.7.2 Erase configuration database

    Caution! Erase configuration is not reversible and will remove all the stored configuration data from the NSS. Therefore this action should be carefully considered before proceeding.

    It is recommendable to create a backup copy of the configuration file before erasing. Creating a backup is described in "Backup Configuration", on page 28 of this document.

    To erase the current NSS configuration go to “Menu” followed by “Settings” and left-click on “Erase configuration database“.

    2.7.3 Export Database

    The NSS contains a database in which information about a patient or resident can be stored for each of the individual addresses. The “Export Database” function allows you to back-up the current data entered in the database of the NSS.

    To save the current database go to “Menu” followed by “Settings” and left-click on “Export Database“.

    The generate export file process starts and this is stated by the message “Generating export file”.

    When the export file is generated the NSS tries to open the “File Download” dialogue window, however, recent versions of Internet Explorer (version 6 or later) do not allow the opening of this (pop-up) window because of the latest security updates. This is indicated by the Windows information message box that pops up.

    Note: The blocking of pop-ups can be avoided by creating a security rule for the NSS Website in the internet options section of Internet Explorer, see “Adding the NSS to the Trusted Sites List” on page 160 for more information.

    The information bar on top of the NSS window shows that Internet Explorer blocked this site from downloading files to your computer.

    First close the information box by clicking on the “OK” button. Next click on the information bar with the left mouse button and select “Download File...” from the popup menu in order to enable file downloading in Internet Explorer.

    After clicking on “Download File...” the window will be refreshed which will cause the NSS to start again with the NSS main page. At this moment this is unavoidable and the user has to perform the login procedure again to login on the NSS.

    Note: Do not close and reopen Internet Explorer at this moment, as this will reset the file download state, then whole procedure must be performed again.

    When logged on, follow the same steps as described at the beginning of this section, see "Export Database", on page 32. This time the “File Download” window opens.

    Click on the “Save” button and the “Save As” window will open from which you can select a location to save the database file to and also to change the default file name if necessary. When the location and the file name are correct click on the “Save” button and the database will be exported and saved as a “CSV” file (Microsoft Excel Comma Separated Values) in the selected location.

    The “Download complete” window opens next. To view the result click on the “Open” button and the file will be opened with the default application. Click on the close button to close the window and return to the NSS main window.

    Note: Do not use Microsoft Excel to edit the exported CSV database file as this will change the date format (which should be YYYY-MM-DD). Instead use Microsoft Access or a text editor such as Notepad.

    Use the “Import Database” function to import a previously saved database into the NSS.

    To import a database go to “Menu” followed by “Settings” and left-click on “Import Database“.

    Caution! Importing a database file will completely overwrite the existing database. No merge action is performed.

    The “Import Database” window will open which can be used to locate the CSV database file.

    When the configuration is successfully restored a confirmation message appears. Click on “OK” to close the window.

    If the import fails (due to a file format error for instance), an error message will be shown that notifies the user that the file could not be read.

    A CSV file with an error in it will not be imported and the database will remain in its current state. Only when the file can be completely parsed will the database be overwritten. The only exception are fields that are longer than allowed, they will be truncated.

    Note: Additional information is available with the 'view complete log' command in the 'system troubleshoot' section of the NSS Setup GUI (http://nss-address/admin). This information includes the line number and field where the parsing stopped.

    2.7.5 System Scan

    The “System Scan” function allows you to manually update the NSS rather than waiting for the automatic scanning to update the NSS at the predetermined interval (see 1.8.1 "Scan for ISCs/SGCs Repeat Time" on page 4).

    The system scan collects the data from all of the ISCs, SGCs and IAMs and it can be used when changes are made to the settings of these modules.

    To select a system scan click on “Settings” and then select “System scan” from the menu.

    The system scan will then start immediately and this is indicated by the confirmation message “System scan started”.

    Click on the “OK” button to close the message window.

    Note: The time taken to complete the system scan depends on the size of the system and in very large systems it could take over 30 minutes.

    After a system scan has started it is best not to attempt to start another scan until the existing scan has finished. If another scan is selected during a scan the existing scan will continue until it has scanned the whole system. After the existing scan is finished the scan will start again in response to the second scan request. This will be repeated for every attempt to start a scan during an existing scan. This can cause increased LON traffic and slower system performance during the scan.

    Note: During a system scan it is possible to continue using the NSS as normal.

    3 Configuring the NSS

    In this chapter the steps and procedures for configuring a working NSS are described in the most efficient sequence. The requirements are based on the example shown in the drawing below.

    For the purpose of configuring the NSS, refer to the example of a typical hospital layout shown in the diagram below. The installed teleCARE M system with speech includes IAMs, an ISC, an NSS and teleCARE (speech) peripherals.

    The setup of the teleCARE M system, using TIP (teleCARE Installation Program), must have already been successfully completed except for the NSS related TIP issues (see TD91791GB for detailed information about setting up of the teleCARE M system using TIP).

    3.1 Call level administration

    In “Call level administration” the teleCARE M call levels, which are programmed in TIP will be assigned to the call level groups of the NSS.

    3.1.1 Assign call levels

    Here the call levels of TIP will be assigned to the “Normal group” and “Assistance group” of the NSS. Later in this manual will be described how to assign “Receivers” to the normal and assistance groups of the NSS. Both steps are required to create duty or direct assignments, which is also described further on in this manual.

    The “Assign call levels to groups” window shows the call levels which have been set up in TIP. Here you define which call levels will be handled by the NSS. A call level can be assigned to only one of the two groups.

    The call levels programmed in TIP indicate the type of call which can be made from a location, such as normal, emergency or an assistance call etc. The “Normal” and the “Assistance” group from the NSS can be programmed to contain one or more of these call levels.

    Note: Removing a call level in TIP will not remove that call level from the assigned group in the NSS. If you remove a call level in TIP you must remove that call level selection from the NSS “Assign call levels to groups” window.

    In this example the normal, medical and the toilet call will be assigned to the “Normal” group. The assistance and the emergency call will be assigned to the “Assistance” group. To do this check the appropriate box for the selected call level under the normal or assistance group.

    Note: All call levels, which have not been assigned to a Normal or an Assistance group will be handled according to the programming made in TIP.

    After completing the assignment of the call levels, click on “OK” and the “Call levels assigned” overview window will appear.

    Click on “OK” to finish the call level assignment and close the window.

    The existing call levels assigned overview can be called up at any time by selecting “Call Level Administration” from the menu and choosing “Call level assignments”. This will bring up the “Call levels assigned” overview window.

    3.2 Duty Administration

    The next step is assigning the duties used in the NSS. It is best that the duties of the NSS conform to the duties programmed in the teleCARE M system with TIP. From the popup menu go to “Duty administration”. Four duty administration options appear: “Add duty”, “Remove duty”, “Edit duty” and “Duty list”.

    3.2.1 Add duty

    Start by selecting “Add duty”.

    In the “Add duty” administration menu up to ten different duties can be defined. Every duty needs a start and an end time. At least 1 duty must be set in the NSS.

    Note: The times used in a duty must not overlap the times used in other duties. It is also not recommended to leave a gap between two duties. Example: If the duty “Day” ends at 15:00 then the duty “Evening” should start at 15:00.

    In this example three duties are going to be used. These duties are “Day“, “Evening” and “Night“. It is best to give the NSS duties the same names as the duties programmed with TIP.

    Note: The NSS does not replace the duty selector of the teleCARE M system, therefore it cannot be used as an automatic duty selector. Duty assignments created with the duty administration will be activated when the duty starts, and they will be cleared at the end of the duty.

    In the name field enter the name of the first duty (for this example “Day”). For the duty state select 1 by clicking on the down arrow. Enter 07:00 for the duty start time and 15:00 for the duty end time.

    Click on “OK” to accept the settings. The “Duty added” window will appear showing the data which has been entered. Click “OK” to close the window.

    Repeat this step for “Evening” and “Night” (to cover the 24 hour day). The “Evening” duty state is 3 and it starts at 15:00 hours and ends at 23:00 hours. The “Night” duty state is 0 and it starts at 23:00 hours and ends at 07:00 hours. The duty states selected are the same as programmed in this TIP example (see TD91791GB for detailed information about setting up of the teleCARE M system using TIP).

    Click on “OK” to close the “Add duty” window.

    The “Duty state” selected for the duties should be the same as the duty state of the duty selector connected to the teleCARE M system. If during the daytime “1” is selected on the duty selector, then the corresponding duty “Day” in the NSS should show “Duty state” 1. This way the NSS is able to collect the duty related receiver information from the teleCARE M system which will be displayed by the NSS if no assignments have been created. See Table 10. on the next page.

    3.3 Ward Administration

    This selection decides how the system will be organised in the NSS. This will be based on the floor layout on page 38, which shows Ward 1 and Ward 2.

    3.3.1 Add ward

    Start by adding the first ward. Go to “Menu” followed by “Ward administration” and left-click on “Add ward”.

    The “Add ward” window appears on the screen and here you can enter the preferred name. Type “Ward 1” and click on “OK“. Repeat this for “Ward 2“.

    3.3.2 Configure ward locations

    The next part of the setup is linking all locations to the wards that have just been created. Go to “Menu” followed by “Ward administration” and left-click on “Configure ward locations“.

    In the “Configure ward locations” window select “Ward 1” and click “OK“.

    The “Configure ward locations” window will open displaying the first 10 locations. For each location there is a check box which is used to link the location to the selected ward. Further locations are contained in additional pages which are indicated by numbers above the buttons at the bottom of the configure location window.

    Note: Any location can be linked to any ward, and it is possible to link a location to more than one ward.

    Every available location which exists in the teleCARE M system (as setup in TIP) is displayed in progressive pages, each with 10 locations. The numbers at the bottom of the page indicate the available pages and by clicking on a number will open the appropriate page.

    To select the locations which are to be linked to Ward 1, first decide which locations are to be linked to Ward 1, then check the boxes of those locations. In this example the relevant locations start on the first page and include all 10 locations. When the 10 locations on the first page have been checked move on to the next page by clicking on 2, then 3, at the bottom of the page.

    This is shown in the following figure, with the selected page circled in red:

    To save the location settings click on “OK“. The “Ward changed” window appears with an overview of the locations that have been selected for Ward 1.

    Repeat the procedure for Ward 2. When all the Ward 2 locations have been linked click “OK” and the “Ward changed” window appears showing an overview of the locations selected for Ward 2.

    3.3.3 Configure ward layout (Textual)

    Go to “Menu”, choose “Ward administration”, then “Configure ward layout”

    The “Ward Layout” display of the NSS shows the locations arranged on a grid of rows and columns. In “Configure ward layout” is decided how the locations of a specific ward will be organised. The ward layout is necessary if you want to create “Duty Assignments” or “Direct Assignments” as described in "Assignments (Textual)", on page 55.

    There are a maximum of 9 rows and 9 columns available for the ward locations. A location can only be assigned to 1 row and 1 column. The first 6 columns are reserved for bed locations the last 3 columns are reserved for locations such as doorside units and the toilet units.

    Following is an example of a typical ward layout showing the rows and columns with the locations:

    “Ward 1” will now be configured to create a layout similar to the above example.

    In the “Configure ward layout” window choose “Ward 1” and click “OK“.

    Next you configure each location in the grid by choosing the row, column and colour by clicking on the drop-down arrow and selecting from the menu, as shown in the following figure:

    In this example, for the 4 bed locations of room 101(“1 Room 101 bed 1” to “4 Room 101 bed 4”) select row 1 and column 1 to 4. For the toilet unit (5 Room 101 toilet) in room 1 choose row 1 and column 7, and for the door-side unit (0 Room 101 door) row 1 and column 8.

    The toilet unit and the door-side unit are given a different colour by clicking the down arrow and selecting the appropriate colour.

    With the entry box entitled “Group to”, locations can be grouped. If during the creation of assignments a location is selected, all the locations that are part of the same group will be selected at the same time. See "Assignment", on page 89

    In this example all locations in a single room will be grouped. For example group all the locations in room 101 to the group which will be called “101” and all the locations in room 102 to group “102” etc. The “Group to” entry field allows a maximum of three digits (0 to 999).

    Continue this in all the locations on the first page then click on 2 at the bottom of the page to open the second page of Ward 1. Repeat the procedure at all locations on page 2, then click on 3 at the bottom of the page and continue through all the remaining locations.

    Click on “OK” to save the settings for Ward 1. The next window shows the overview of the ward layout for Ward 1.

    If however a duplicate is found on the grid, the “configure ward layout” window shows the following message.

    The figure below shows how the layout for Ward 1 will appear in NSS duty assignments. (To see this go to “Menu” and select “Assignments”, then “Duty assignments”, after the ward layout has been configured. A full explanation of “Duty assignments” follows in section 3.4.5 on page 61).

    3.3.4 Configure Ward Layout

    For the assignments created using the call organiser, only the “Group to” column is necessary. When the textual assignment option is disabled, the “Group to” option is the only option available in the “Configure ward layout” window.

    This option can be used to group locations, for example group all the locations in room 101 to the group which will be called “101” and all the locations in room 102 to group “102” etc. The “Group to” entry field allows a maximum of three digits (0 to 999).

    3.3.5 Configure Ward Receivers

    For the purpose of this example only the receivers which are to be used in Ward 1 and Ward 2 will be shown.

    To configure the ward receivers go to “Menu” followed by “Ward administration” and left-click on “Configure ward receivers“.

    The next window shows the first page of numerous pages containing all of the receivers which have been programmed in TIP. Any of the receivers in the list can be assigned to the “Normal” group and the “Assistance” group of Ward 1. Each group has a column with up to 10 check boxes.

    In this example the receivers 158 to 165 will be assigned to Ward 1 and all of those receivers will be made available for both the “Normal group” and the “Assistance” group” by checking both boxes to the left of each receiver. (See Figure 114. "Configure the ward receivers of Ward 1").

    When complete click on “OK” and the “Ward configured” list for Ward 1 will appear. If everything is correct click on “OK” to close the window .

    Repeat the above described procedure for Ward 2, assigning the receivers 200 to 207 to Ward 2 for both the “Normal group” and the “Assistance” group”. When complete click on “OK” and the “Ward configured” list for Ward 2 will appear. Click on “OK” to close the window.

    3.3.6 Configure ward duties

    Setting up the Ward duties is necessary when duty assignments are going to be created as described in "Duty assignments", on page 61.

    Note: If you do not complete the “Configure ward duties” setup process, you will not be able to create duty assignments.

    To configure the Ward duties go to “Menu” followed by “Ward administration” and left-click on “Configure ward duties“.

    3.4 Assignments (Textual)

    With the configuration of the wards completed, you are now able to create assignments. There are two assignment types: “Direct Assignments” and “Duty Assignments”. With these assignments receivers can be linked to the locations, independently from those programmed in TIP.

    3.4.1 Direct Assignments

    With the direct assignments it is possible to create an assignment to a location, no matter what kind of duty is presently active. The direct assignments also stay active until they are changed or cleared. Direct assignments override duty assignments (described in section 3.4.5 on page 61) and the duties setup in TIP.

    To create a direct assignment go to “Menu” followed by “Assignments” and left-click on “Direct assignments“. From the “Select ward for assignment” window select “Ward 1” and click “OK”.

    The next window shows an overview of all the locations in Ward 1, arranged in the rows and columns which were set up in "Configure ward layout (Textual)", on page 47.

    In this example the assignment for the first location “Room 101 bed 1” will be changed. To select the location click on the check box in the upper left corner of the box for “Room 101 bed 1” (circled in red).

    Next scroll down to the bottom of the page where the current duty (Day) and two selection boxes (1 for the “Normal” group and 1 for the “Assistance” group) are located.

    Only the assignment to the Normal group will be changed in this example, so click on the down arrow of the “Normal” box and select receiver 165 from the list that appears.

    Click on “OK” and a list of the changed assignments appears.

    3.4.3 Call handling of a Direct Assignment

    When a direct assignment has been created (such as in this example for the “Normal group” of location “Room 101 bed 1”) all calls coming from that location, which have been linked to the “Normal group”, will be handled according to the direct assignment.

    A direct assignment applies to all duties, so when a “Normal” call is activated during the duty “Day”, “Evening” or “Night” receiver 165 will be contacted.

    When there is no response to the call, the call will be transferred to the last “Care Unit” of the Service group which is programmed to handle the call (in TIP). Which service group will be used is depending on the position of the duty selector.

    For example, if a “Normal” call is made during the duty “Evening” at location “Room 101 bed 1”, receiver 165 assigned by the NSS will be contacted.

    If there is no response on the call, it will be transferred to the last care unit of the “Service group”. This is the service group attached to the duty state of the duty selector created for the duty evening, in this case duty state 3, see “Duty List” on page 44.

    Open the “IAM address configuration” in TIP to be able see which service group is attached to duty state 3.

    The address configuration for “Room 101 bed 1” shows that “Duty state 3” of the duty selector is linked to service group 3. Now open the ISC/SGC Service Groups window.
