Information Thank you for expressing your interest in the Rimrock Resort Hotel as the venue for your special

event. Boasting the best views in Banff, The Rimrock Resort Hotel would provide the most

beautiful and intimate setting to host your special day. Our 4-Diamond property is both elegant

and modern with the finest cuisine in the Bow Valley. We invite you and your guests to

experience our unrivalled level of personalized service and accommodation on your wedding

day!

In this package you will find all the details of a Rimrock Wedding. We have also provided you

with a preferred suppliers and services list to help you easily piece together every aspect of your

ceremony and reception. This vendor list is a quick reference sheet of local businesses that have

participated in many weddings at the Rimrock.

Date Availability & Restrictions

The Rimrock will book weddings starting one (1) year in advance with the exception of

July and August in which we will book starting eighteen (18) months in advance and will be

subject to availability (some restrictions apply).

Restricted dates are as follows:

♦ All of June with the exception of Saturdays

♦ All of September with the exception of the Labour Day weekend

♦ The last three weekends of November commencing on the third from last Friday of the month

♦ All of December

♦ The first week of January including New Year’s Day

♦ Other date restrictions may occur based on hotel occupancy levels.

Indoor Ceremony The Rimrock will host ceremonies if they are accompanied by guestrooms as well as a food and

beverage function. The ceremony and reception must be booked in the same function space with

exception of an outdoor ceremony. A minimum reset period of three hours is required between

the end time of your ceremony and the start time of your reception/dinner to ensure proper set-up

of your reception space.

Bluebell – 50 people or less

Yarrow – 50 people or less

Hawthorn A, B or C – 60 people or less

Hawthorn AB or BC – 120 people or less

Hawthorn ABC – 200 people or less

Salon A or C – 120 people or less

Salon AB or BC – 180 people or less

Salon ABC – 400 people or less

Outdoor Ceremony

Suite Infinity

As Suite Infinity is a guestroom, it must be booked for more than one night to ensure your ceremony can be held before 4:30pm. If you do not mind your ceremony being held after 4:30pm, you can book the guestroom for one night.

Suite Infinity can hold a ceremony of up to 70 people.

If any food and beverage functions are required after the ceremony, there is a $300.00 + 5% GST labour fee for a cocktail reception and a $500.00 + 5% GST labour fee for a dinner reception.

All food and beverage must be purchased through the Rimrock Resort Hotel. No outside food and beverage is allowed.

All receptions must be finished by 9:30pm and all guests must be vacated from the guestroom by 10:00pm.

A weather call will be done 3 hours prior to the ceremony. If the ceremony needs to be held inside, it will be held in the same room as your reception.

The Rimrock Resort Hotel will provide a basic set-up which includes a white garden chair, signing table, water/tissue table with black or white linens.

Kindly note, tossing of fake rose petals, confetti, birdseed, rice, etc.… is prohibited.

Outdoor Ceremony

The Outdoor Terrace The Outdoor Terrace can hold a ceremony of up to 150 people.

There is a $2,000.00 + 5% GST non-refundable rental fee.

The Outdoor Terrace will be reserved for approximately (1) one hour for your ceremony.

If you require additional time afterwards to host a champagne toast or cocktail reception, it will be subject to availability.

A weather call will be done 3 hours prior to the ceremony. If the ceremony needs to be held inside, it will be held in the same room as your reception.

The Rimrock Resort Hotel will provide a basic set-up which includes a white garden chair, signing table, water/tissue table with black or white linens.

Wedding Reception

All function rooms used for receptions and dinners have a minimum food and beverage revenue

requirement of $100.00 per adult guest with a minimum number of guests in each function room.

All food and beverage consumed, including your cocktail reception, dinner menu, wine and bar

service and late night snack will be put towards the food and beverage minimum. Prices quoted

are subject to 18% service charge and 5% G.S.T.

Your Function Room Includes:

Complete set-up of your wedding banquet room (tables, chairs, white or black table linens, and white or black linen napkins, white china, silverware, glassware, 2 votive candles and black framed mirror centrepieces).

Gift table, guestbook table and cake table.

Option of a raised head table (dependant on function room).

Table numbers/stands, easel for seating chart, place cards and personalized menus.

Set-up and removal of chairs.

Tissues, mints, water station and coatrack (if required).

Wedding Reception (Dinner Only)

Bluebell The minimum amount of people we ask to be in Bluebell is 25. If you have 25 people or less, the

food and beverage minimum is $2,500.00. If you have more than 25 people, the food and

beverage minimum goes up to $100.00 per person to a maximum of 50 people.

Hawthorn A, B or C The minimum amount of people we ask to be in Hawthorn A, B or C is 35. If you have 35 people

or less, the food and beverage minimum is $3,500.00. If you have more than 35 people, the food

and beverage minimum goes up to $100.00 per person to a maximum of 60 people.

Hawthorn AB or BC The minimum amount of people we ask to be in Hawthorn AB or BC is 60. If you have 60

people or less, the food and beverage minimum is $6,000.00. If you have more than 60 people,

the food and beverage minimum goes up to $100.00 per person to a maximum of 130 people.

Hawthorn The minimum amount of people we ask to be in Hawthorn is 120. If you have 120 people or less,

the food and beverage minimum is $12,000.00. If you have more than 120 people, the food and

beverage minimum goes up to $100.00 per person to a maximum of 200 people.

Wedding Reception (Dinner and Dance)

Yarrow The minimum amount of people we ask to be in Yarrow is 40. If you have 40 people or less, the

food and beverage minimum is $4,000.00. If you have more than 40 people, the food and

beverage minimum goes up to $100.00 per person to a maximum of 50 people.

Salon A or C The minimum amount of people we ask to be in Salon A or C is 80. If you have 80 people or

less, the food and beverage minimum is $8,000.00. If you have more than 80 people, the food

and beverage minimum goes up to $100.00 per person to a maximum of 120 people.

Salon AB or BC The minimum amount of people we ask to be in Salon AB or BC is 130. If you have 130 people

or less, the food and beverage minimum is $13,000.00. If you have more than 130 people, the

food and beverage minimum goes up to $100.00 per person to a maximum of 170 people.

Wildrose Ballroom The minimum amount of people we ask to be in the Wildrose Ballroom is 250. If you have 250

people or less, the food and beverage minimum is $25,000.00. If you have more than 250 people,

the food and beverage minimum goes up to $100.00 per person to a maximum of 400 people.

Wedding Reception (Restaurants)

Primrose Primrose can accommodate wedding dinners of up to 40 people.

All guests would be required to order off the Primrose Group Menu.

If your wedding is more than 40 people, a buyout of Primrose would be required (200 people maximum).

From Sunday to Thursday, there would be a minimum charge of $8,000.00 plus 18% gratuity, 5% GST and a $2,000.00 rental fee.

For a Friday or Saturday, there would be a minimum charge of $12,000.00 plus 18% gratuity, 5% GST and a $2,000.00 rental fee.

Eden Eden can accommodate wedding dinners of up to 30 people.

All guests would be required to order off the Eden Group Menu and Wine List.

If your wedding is more than 30 people, a buyout of Eden would be required (60 people maximum).

October - May From Sunday to Thursday, there would be a minimum charge of $8,000.00 plus 18%

gratuity, 5% GST.

For a Friday or Saturday, there would be a minimum charge of $12,000.00 plus 18% gratuity, 5% GST.

June – September From Sunday to Saturday, there would be a minimum charge of $12,000.00 plus 18%

gratuity, 5% GST.

Guestrooms

You are required to reserve a minimum of 20% of your guest attendance in room nights, with the

exception of July, August or the September Long Weekend. With holding a room block, your

guests will receive 10% off the rate of the day at time of contracting. Be sure to advise your

guests of your wedding reservation name to ensure that they are booking under your room block.

Please direct your guests to call 1-888-RIMROCK (746-7625) to make their reservations.

**If the wedding ceremony is scheduled before 5:00 pm it is strongly suggested that the

immediate wedding party be registered in the hotel the evening before the wedding.

**We cannot guarantee guestroom availability beyond your contracted block and/or an

early check in time prior to 4:00 pm.

Rehearsal Dinners Our dedicated staff will provide a delightful, comforting and inviting atmosphere. Elevate your

senses with an exquisite fine dining experience at Eden; Primrose offers a comfortable, yet

elegant setting for you and your guests; Divas is our very own fabulous “martini jazz” lounge,

where you will take in the atmosphere as your eye s scan the unique collection of celebrity

“Diva” photographs that line the walls.

Children’s Room After dinner let the children relax by watching movies in the comfort of a private function room.

Set-up includes tables and chairs with pillows and blankets. Snacks, TV/DVD player can be

provided from The Rimrock at an additional cost and childcare services can be provided by a

recommended external company.

Spa Let The Rimrock Spa pamper you before and after your big day. Enjoy time with your partner

with our special offer of 10% off all treatments for the Bride and Groom (packages not

included). Contact the Spa at 403-762-1835 ext. 1 to book your treatments today.

Menu Tastings Menu tastings are available from Sunday to Friday between 2pm and 4pm. Only plated menu

items are available for test meals and will be at your cost at the set banquet menu prices. For

all test meals, an 18% service charge and 5% GST will apply. Please speak to The Rimrock

Wedding Coordinator should you require further information and to arrange your tasting.

Music For any events with an entertainment component taking place at The Rimrock, we are obligated

to charge a RE: SOUND and SOCAN fee.

Pictures If your wedding is confirmed at The Rimrock, you will receive complimentary access to the

hotel and hotel grounds for pictures (with the exception of the main lobby and Larkspur Lounge).

Hotel policy does not permit drones for video or photography purposes.

Food And Beverage The Rimrock will be the sole provider of all food and beverage with the exception of wedding

cakes. Final guaranteed number of guests is required two weeks prior to your function.

Cake, Party Favours & Cake Cutting All food and beverages must be provided by The Rimrock Resort Hotel. However we allow

weddings to bring their own wedding cakes or cupcakes. Here are the associated fees:

Buffet $3.00 per person reaching a maximum of $150.00 Plated $5.00 per person reaching a maximum of $225.00 Cupcakes $3.00 per person reaching a maximum of $150.00

Weddings are allowed to bring party favours to their event with the exception of alcohol. Please also note that it cannot be consumed in our banquet facilities or outlets.

Costing and Estimates Menus and wine selections must be confirmed within 80 days prior to your wedding day. Menus

are subject to change; however, we will guarantee our menus 80 days before your event. Once

your final menu and beverage requirements have been confirmed, our Conferences Team will

prepare an estimate for your wedding. These amounts will be based on historical information and

industry guidelines. For your budgeting purposes please anticipate the following:

One bottle of wine (750 ml) serves 4.5 glasses.

One bottle of sparkling wine or champagne serves 6 champagne flutes.

Estimate a minimum of 2 glasses per person for dinner.

Estimate a minimum of 3-5 pieces of hors d’oeuvres per person, based on a one (1) hour reception before the main meal.

Estimate 2 drinks per person for the first hour of a reception, then 1 drink per hour for each hour after that.

Allow 1½ hour to 1 hour and 45 minutes for a 4-course dinner.

Deposits and Final Payment Deposits for your wedding will be taken in three equal separate payments of your estimated

wedding cost. The initial deposit will be taken at time of signing to secure your ceremony and

reception space. A second deposit will be due 6 months prior to the date of the wedding. The

final deposit is due 30 days prior to your wedding. A total of 100% of the estimated wedding

cost will be required 30 days prior to your wedding date.

A Wedding Associated Deposit of $50.00 per guest is collected to cover any additional expenses

for the following items as you move through the planning process. Examples include:

Extra guestrooms you may wish to cover

Late night snack, breakfast, rehearsal dinner, etc.

Spa treatments

Room deliveries

Room service, lounge, outlets

Parking for any of your guests

Audio Visual requirements

Miscellaneous

A refund will be issued in the event of overpayment and if there is a remaining balance after the

event it will be charged to your credit card on file. Our Accounting Department will then forward

a detailed invoice three to five business days after your event. All deposits are non-refundable in

the event of cancellation.
