To access the Web Grade Sheet system, go to our district Web site at: http://myvolusiaschools.org. Select

the App (Applications) Portal icon located under the Staff Applications module, then select Mid-

Terms and Grade Sheets. You may also access the link directly at:

https://schools.volusia.k12.fl.us/grades/logon.aspx?

This link is available from any computer with Internet access, which means you may

access this system from your school computer or from your home computer at any time during the mid-

term processing cycle. You may want to save this link in your favorites or add it as a desktop icon. The

access window for the WEB grade sheet system is outlined on the Report Card Processing Calendar

provided by Technology Services. Please see page 28 for helpful hints for maximum system

performance.

Technology Services will generate a list of students (STD_C00136 Annual Goals Status Report) that were bubbled as insufficient for each case manager and an IEP Progress report will be required for the student. If the student is making sufficient progress toward his/her IEP goals and objectives DO NOT bubble this message on the web grade sheet. During the report card process Technology Services will generate a progress letter (STD_C00144 Annual Goals Letter (Kindergarten)) for all ESE students making sufficient progress towards their IEP goals.

PROMOTION

The promotion section on the grade sheet will not be available until grade period 4. The promotion message will print on the report card during grading period 4 only as follows:

IMPORTANT NOTE: All Grade 3 FCAT Level 1 students are either RETAINED OR ADMINISTRATIVELY ASSIGNED FOR GOOD CAUSE. THESE STUDENTS CAN NOT BE PROMOTED.

GOOD CAUSE EXEMPTIONS FOR GRADE 3

CODE DEFINITION

1 Limited English Proficient Students who have had less than 2 years of instruction inan English for Speakers of Other Languages Program.

2 Students with disabilities whose individual education plan indicates that

participation in the statewide assessment program is not appropriate, consistent withthe requirements of State Board of Education Rule.

3 Students who demonstrate an acceptable level of performance on an alternative

standardized reading assessment approved by the State Board of Education.

4 Students who demonstrate, through a student portfolio, that the student is reading on grade level as evidenced by demonstration of mastery of the Sunshine State Standards in reading equal to at least a level 2 performance on the FCAT.

5 Students with disabilities who participate in the FCAT and who have an individualeducation plan or a Section 504 plan that reflects that the student has received theintensive remediation in reading, as required by Florida Statute, for more than 2years but still demonstrates a deficiency in reading and was previously retained inkindergarten, grade1, grade 2 or grade 3.

6 Students who have received the intensive remediation in reading as required by

Florida Statute for 2 or more years but still demonstrate a deficiency in reading and who were previously retained in kindergarten, grade 1, grade 2 or grade 3 for a total of 2 years.

HONOR ROLL

District Academic Honor Roll students are identified in grades 4 and 5 using the following criteria per Section I, page 7 of District Policy 307:

An average of 3.0 or above quality points; No more than one C; No letter grade of D, F or I; Subject area effort grades of 1, except that one grade may be a 2; All personal development grades of S, and Handwriting is exempt from honor roll criteria.

To calculate final averages to determine honor roll (grades 4 and 5 only) the following quality points will be assigned to each letter grade:

A = 4.0 D = 1.0 B = 3.0 F = 0.0 C = 2.0 I = 0.0

Technology Services will total the grade period grades and divide the sum by the number of grade period grades. The quotient is converted to grades as follows:

3.5 - 4.0 = A 2.5 - 3.4 = B 1.5 - 2.4 = C 1.0- 1.4 = D 0.0 = F

the Staff Applications module, then select Mid-Terms and Grade Sheets. You may also

access the link directly at:

This link is available from any computer with Internet access, which means you may access

this system from your school computer or from your home computer at any time during the

report card processing cycle. You may want to save this link in your favorites or add it as a

desktop icon. The access window for the WEB grade sheet system is outlined on the Report

Card Processing Calendar provided by Technology Services. Please see page 28 for helpful

hints for maximum system performance.

Warning! You are about to enter a secure site containing confidential student information. Do not attempt to login unless you are authorized to do so. Once logged in, you are responsible for the student data contained therein. All usage of this application is subject to monitoring. It is imperative that you >> Log Off when not using this site.

Step 2: At the Grade Sheet login screen, enter your Volusia County Schools network user name and

password and press login.

Step 3: Click to select Teacher Mid-Terms & Grade Sheets.

Step 4: Click the Select an option ...

drop down box to display the available Teacher

options.

Step 5: Click to select Grade Sheets.

Step 6: On the Grade Sheets menu click the Select button for the desired section.

Step 7: Posting Grades:

Kindergarten Teacher – Kindergarten only - A progress indicator or blank must be

selected for each student for each learning area before the grade sheet may be submitted as

complete. A progress indicator or blank must also be selected for each of the Personal

Development, Social Development and Physical Development areas. You may select as

many report card messages as needed. During the fourth grading period, promotion must also

be updated for each student. (This section is not accessible until the 4th grading period.)

Primary Teacher – 1st grade - A progress indicator or blank must be selected for each

student for each subject before the grade sheet may be submitted as complete. Although only

one progress indicator may be selected for each student, each subject, you may select as many

personal development flags and report card messages as needed. During the fourth grading

period, promotion must also be updated for each student. (This section is not accessible until

the 4th grading period.)

Primary Teacher – 2nd grade - A letter grade (achievement level) or blank must be

selected for each student for each subject before the grade sheet may be submitted as

complete. Although only one grade may be selected for each student, each subject, you may

select as many personal development flags and report card messages as needed. During the

fourth grading period, promotion must also be updated for each student. (This section is not

accessible until the 4th grading period.)

Intermediate Teacher - 3rd through 5th grade - A letter grade (achievement level) or

blank must be selected for each student for each subject before the grade sheet may be

submitted as complete. Although only one grade may be selected for each student, each

subject, you may select as many personal development flags and report card messages as

needed. Effort grades must also be updated for each subject, each student on the intermediate

grade sheet. The effort grade defaults to 1 – Satisfactory. Update if necessary to 2 – Needs

Improvement or 3 – Unsatisfactory. During the fourth grading period, promotion must also

be updated for each student. (This section is not accessible until the 4th grading period.)

ESE Students – The student’s self-contained teacher is responsible for indicating if the

student is making sufficient progress towards the IEP goals. If the teacher selects the

message: Insufficient Progress Towards IEP Goals, the student will be identified to receive

an ESE Progress report. If the message is not selected, the student will receive a letter

indicating that he/she is making sufficient progress towards the IEP goals.

ELL Students – If the teacher selects the ESOL-ELP Message and the student is an ELL

student, the following message will be printed in the reading section only on the inside of the

report card. (The math section will remain blank):

“Your child is being graded according to the English Language Proficiency Standards.

His/Her class work has been accommodated to help him/her learn English. The grades on

this report card are based on his/her academic performance on the Next Generation

Sunshine State Standards and progress on English language acquisition.”

Special Area teachers will only have access to select the grade sheet for that Special Area

class.

Kindergarten Special Area grade sheet – Select a progress indicator or blank under

Grade for each student on the grade sheet. Select a progress indicator or blank under

Conduct for each student on the grade sheet.

Primary Special Area grade sheet – Select a progress indicator or blank for each

student on the grade sheet. If conduct and/or effort are selected, “Needs Improvement”

will print on the report card.

Intermediate Special Area grade sheet – Select a letter grade (achievement level) or

blank for each student on the grade sheet. The effort grade defaults to 1 – Satisfactory.

Update if necessary to 2 – Needs Improvement or 3 – Unsatisfactory. If Personal

Development is selected, “Needs Improvement” will print on the report card.

You may post all of the grades for this class or come back to it at a later date. However, be

sure to save.

Step 8: If changes are made, you must click on the Save Changes button to keep the changes. (Any

incomplete records are highlighted in yellow.) Click the Return to Section Selection button or

the Back button to return to the Section Selection screen. If you do not want to save your

changes, click the Return to Section Selection button or the Back button to return without

saving the changes.

NOTE: It is imperative that you save your changes often, especially if you are logged in for an

extended period of time. Like any other secure Web site, failure to do so will lead to time

outs and your data will be lost.

Step 9: To complete the Grade Sheet click the Select button for the desired section. The Grade

Sheet is again displayed on the screen. To display incomplete records in yellow, click the

Save Changes button again.

Step 10: Using the scroll bar on the right side of the screen, continue to update all student grade

records. Remember to select a letter grade (achievement level), progress indicator or

blank for each student on the Elementary Grade Reporting Sheet.

Step 11: When all updates are complete, click Save Changes . The Submit Section button will now

become accessible. If all updates are complete, click Submit Section .

The screen becomes low lighted and displays the message:

“Changes have been saved and the section has been submitted. If changes are

necessary, contact your Administrator.”

NOTE: You may not submit the section until there is a grade posted or blank has been clicked for

every course for every student on the grade sheet. The Submit Section button will not become

active until you click Save Changes and all records include a Progress Indicator,

Achievement Level or blank. During the fourth grading period, you must also select a

promotion code for each student.

Please be reminded that it is NOT necessary for you to print your completed grade sheets. The

grade sheets will be stored on-line for audit purposes for five (5) years. However, you may choose

to print a copy for your records. You may do so by clicking the Print Section button. (Be sure to

click Save Changes before attempting to print.) The 2011-2012 GRE Grade Sheets – Course

Grades Given report is displayed. This site uses Adobe Reader to display printable reports.

To print this report, click on the printer icon. Close the report (click the X in the top right corner of

the screen) to return to the Elementary Grade Reporting Sheet.

Step 12: Select the Return to Section Selection or Back button to return to the Grade Sheet screen.

The Grade Sheets screen is displayed. Notice that the section that has been submitted now

displays the status as Complete.

Step 13: Continue to post grades to all sections in the same manner. Remember that you must

complete all grade sheets by the deadline (posted on the Report Card Processing Calendar) to

ensure that all grades are printed on the students’ reports cards.

Step 14: Click >> Log Off to exit the Web Grade Sheets site before leaving your computer. PLEASE

DO NOT LEAVE THIS WEB SITE OPEN WHEN NOT IN USE! You are responsible

for any activity to the student records while you are logged into this site!

The following are helpful hints for maximum system performance:

We highly recommend that you use Internet Explorer.

The display settings on your computer should be 1024 by 768 pixels.

Do not open multiple browsers when using this system.

When in the actual grade sheet, always use the red Back button displayed on the top left corner of

the grade sheet and not the browser back button. If the browser back button is used you will lose

any data that has not been saved.

Please be sure to set your pop-up blocker to allow pop-ups for this site.

The site uses Adobe Reader to display printable reports. If you do not have Adobe Reader, please

download a free copy from http://www.adobe.com. If you already have Adobe Reader and you

experience printing problems, uninstall it and then download the latest version from the above link.
