PowerPoint Overview

PowerPoint is a presentation graphics application, i.e. a package that is used to create slides to be used in a presentation environment, such as a training course or a seminar. The slides you create in PowerPoint can contain a mixture of text, pictures, graphs, organisational charts and tables.

The overall look of your presentation (colour scheme, text style etc.) is determined by the design template you choose to use. PowerPoint has a selection of templates for you to choose from. When selecting a template you should consider the subject of the presentation; the style you want to adopt, e.g. professional, contemporary; the location of the presentation, and the type of people in the audience.

Some advantages of using a computer to create a presentation are:

! You can format the information on a slide using a variety of fonts, and add lines and shading to emphasise important information.

! You can choose from selection of predefined slide designs to give your presentation slides the colour scheme and text style you want.

! You can print your presentation on a variety of different mediums such as acetates and 35mm slides, or use the computer to run a slide show.

! You can produced supporting documentation such as audience handouts and Speaker notes.

Loading PowerPoint

Before creating a presentation you must load PowerPoint. There are a number of ways to do this, depending on how your system has been set up. You may be able to access PowerPoint by double clicking on the PowerPoint icon found on the desktop or within a folder window.

Typically, PowerPoint will be added as an option within the Programs menu available from the Start menu.

To Load PowerPoint Using the Start Menu 1. Click on the Start button then choose Programs, Microsoft PowerPoint.

../ To Load Using the Start Menu PowerPoint will load and the following dialogue box will be displayed. /.. 2. Specify whether you would like to create a new presentation or open an existing

presentation by selecting one of the four radio buttons.

3. Click on OK.

This option takes you step-by-step through the creation of the basic structure of your presentation. You are asked to specify the presentation's subject and the look you want to apply to the presentation. PowerPoint then creates notes, handouts, and a presentation outline that reflects your selections. Once the wizard has created the presentation, you complete it by replacing the sample text on the slides with your own.

Using this option you can select from a number of design templates. These define the choice of colours, fonts etc. used in the presentation. You can then complete the presentation by replacing the sample text on the slides with your own.

This option will create a presentation which uses a white background and black text for its slides. You then add your presentation content and select your own choice of colours/fonts etc. if required.

Selecting this option will display the Open dialogue box so you can choose a presentation file that has been created earlier.

Using a Design Template

When you create a presentation using a design template, PowerPoint will create a single slide using the chosen template's colour scheme and text style. Every slide you add to your presentation will also use these. You can change the look of your presentation at any time by selecting a different template.

To Create a Presentation Using a Design Template 1. If PowerPoint has just been loaded, select the Design Template radio button in the

PowerPoint dialogue box then click on OK. Otherwise, select the File, New menu option.

The New Presentation dialogue box will be displayed.

2. Select your preferred template then click on OK.

Select a template name from the Design Templates list for a predefined "look" for your presentation.

To create a blank presentation (white slide with no predefined colour/layout) select the General tab and choose the Blank template name from the list.

To create a presentation based on one of PowerPoint's predefined AutoContent templates, select this tab.

To use earlier template styles that were available with PowerPoint 97, select this tab and click on your chosen template name.

Using a Design Template

../ To Create a Presentation Using a Design Template Once you have selected your preferred template, PowerPoint will display the New Slide dialogue box.

3. Select the slide layout you want from those listed. Note: This box contains 24 slide layout options, each containing a different combination

of text, tables, graphs etc.

4. Once you have selected a layout, click on OK.

PowerPoint will now create a presentation containing one slide, which uses the selected template and layout. The slide contains placeholders into which you can enter text, graphics and so on. You will learn how to add text to the presentation later in this section.

Repositioning Toolbars The Standard and Formatting toolbars are normally fixed below the menu bar and the Drawing toolbar is usually fixed vertically at the left side of the PowerPoint window. You can, however, reposition a toolbar by pointing to a blank area on the toolbar and then dragging it to the required position.

Slide Pane Within the Slide pane you will see a picture of the current slide. Within this pane you can add and amend slide content to suit your requirements.

Outline Pane Within the Outline pane you can add slides and text. This pane is useful for reviewing the overall structure of your presentation as the slide headings are displayed there.

Notes Pane Within the Notes pane you can type speaker notes relating to the current slide. These can then be printed to assist the presenter deliver the presentation.

Adding Text to Slides

As you have seen, each slide layout contains placeholders into which you can place text, graphics etc. The text shown in the placeholder tells you what to do to add your own information.

Using a Text Placeholder A text placeholder lets you enter text such as titles, sub-titles and bulleted points. Any text entered will be formatted using the current design templates attributes. To enter text, simply click on the placeholder and type.

Once you have typed your text, click outside the text placeholder (editing area). Note: You can edit the text at any time within the placeholder.

Using Bullet Points Some text placeholders have been set up to format the text you enter as a list of bullet points. When you press the [ENTER] key to begin a new paragraph, a new bullet point is automatically added.

To demote the point, click on the Demote button shown on the Formatting toolbar or press [TAB]. To promote the point click on the Promote button shown on the Formatting toolbar or press [SHIFT] [TAB].

Adding and Deleting Slides

Adding a Slide When you add a new slide to your presentation, PowerPoint will insert the new slide after the current one.

To Add a New Slide 1. Display the slide after which the new slide is to be placed. 2. Menu: Select the Insert, New Slide menu option.

Note: You can also insert a duplicate of the current slide using the Insert, Duplicate Slide menu option.

Using Undo and Repeat

To reverse your most recent commands, click on the Undo button shown on the Standard toolbar or select the Edit, Undo command. Each time you click on the Undo button PowerPoint will continue to undo each action in turn.

If you undo an action then want to re-apply it, click the Redo button shown on the Standard toolbar. Alternatively, choose a number of reversed actions to redo by choosing from this button's drop-down list.

Repeating Your Last Action If you want to repeat your most recent action, use the Edit, Repeat command or press [F4]. For example, you could repeat the process of adding a new slide to a presentation.

Changing the Design Template

By selecting an alternative design template, is possible to change the look of your entire presentation at any time. Any information already entered when you change design template will be converted to the new template format.

To Apply a Design Template Select the Format, Apply Design Template menu option or click on the Common Tasks button and choose Apply Design Template as illustrated below.

Select a design template from the displayed list and then click on the Apply button.

Running a Slide Show

When you have created the slides and specified the settings for the slide show, you're ready to run the show. You can do this by selecting the View, Slide Show command, the Slide Show, View Show command or by clicking the Slide Show button shown near the bottom left corner of the PowerPoint window.

Note: If you run the show using the Slide Show button, the show will begin with the current slide.

The Slide Show Screen Options for working with the slide show can be accessed via the slide show's shortcut menu which you can display by right clicking during the show, or by clicking on the icon that appears at the bottom left of the slide show screen when you move the mouse. Amongst other things, these options allow you to move from slide to slide and to switch between the pointer and the pen used for annotating slides.

Running a Slide Show

Using the Mouse during the Slide Show As well as using the mouse to display the shortcut menu during a slide show, you can use it to move through the slide show one slide at a time by clicking the left mouse button.

Using the Keyboard during A Slide Show The following is a list of keyboard commands that are available during a slide show.

Annotating Slides You can add annotations to your slides during a slide show using the pen tool. Press [CTRL] P and the mouse pointer changes to the Pen pointer.

Point to where you want the annotation to begin, and drag to draw your annotation. Release the mouse button when the annotation is complete.

You can delete an annotation by selecting the Screen, Erase Pen shortcut menu option, or by pressing E.

Note: Annotations are automatically deleted when you move to the next or previous slide.

Note: You can change the colour of the Pen tool by selecting Pointer Options, Pen Color option from the slide show's shortcut menu.

Slide Sorter View

Another way to view a presentation is to use Slide Sorter view. In Slide Sorter view a miniature of each slide is displayed, complete with graphics and text. Slide Sorter view is useful for reviewing the flow of your presentation and offers a further method of repositioning slides. This view also highlights the slides to which a transition, a special effect which determines how the slide comes onto the screen during a slide show, has been added. For example, the transition effect Cover Right will make the next slide fly in from the left of the screen and cover the current slide.

To View a Presentation in Slide Sorter View Menu: Select the View, Slide Sorter menu option. $$$$#### Click on the Slide Sorter View button shown just above the status bar.

When you view your presentation in Slide Sorter view, the Formatting toolbar is replaced by the Slide Sorter toolbar. Using this toolbar you can set slide transitions, apply build effects, hide slides, set slide times for a timed slide show and add speaker notes.

Slide Sorter View

Reordering Slides You can easily change the position of slides in a presentation while in Slide Sorter view.

To Reorder Slides 1. Point to the selected slide and hold down the left mouse button.

2. Drag the mouse towards the slide's new position. As you drag the mouse, a grey vertical line appears between the slides.

3. When the line is at the required position, release the mouse button. The rest of the slides

are moved and re-numbered accordingly.

Deleting Slides You can easily delete slides within Slide Sorter view by clicking on the slide you wish to delete and then pressing the [DELETE] key.

To select multiple slides to delete at the same time, hold down the [CTRL] key and click on each required slide. Once all the slides you required are selected, press the [DELETE] key.

If all the slides you wish to delete are next to one another, you can speed up the selection process either by dragging over all required slides with the mouse, or alternatively clicking on the first slide, holding down the [SHIFT] key and then clicking on the last slide. These techniques will allow to you select a block of slides.

Slide Sorter View

Adding Slide Transitions A slide transition dictates how a slide will come onto the screen during a slide show. PowerPoint has many different transition effects that you can add to your presentation slides to enhance your slide show.

To add a transition, select the required slide and then choose a transition effect from the Transition drop-down list.

Note: You can also set a transition by clicking on the Slide Transition button shown at the far left of the Slide Sorter toolbar. Using this button you will be given further choices including the options for the speed of the transition and for adding a sound effect.

Adding Slide Animation Adding animation from within Slide Sorter view will enable you to specify which type of effect you would like to use to introduce each element displayed on a slide. For example, if you have a list of bullet points, you may wish these bullet points to be introduced one at a time when you click the mouse. This can be achieved by applying an animation effect.

To add animation to a slide, select the slide and then choose an animation effect from the drop-down list.

You can choose to preview how the animation will look by clicking on this button.

Exercise 1-1 24. Apply a different transition to each slide in the presentation. 25. Apply the animation effect Fly from Left for the second slide. To do this, click on the

second slide and then choose Fly from Left from the Animation drop-down list.

26. Click on the Preview Animation button to see the animation effect you have selected applied to the current slide.

27. Apply different animation effects to each slide in the presentation. 28. Now run the slide show by selecting the View, Slide Show command. Click with the left

mouse button to advance through each step of the presentation. 29. Delete the last slide from the presentation by clicking on it and then pressing the

[DELETE] key.

30. Undo the deletion of the last slide by clicking on the Undo button.

Slide Sorter View

Hiding Slides It is possible to hide a slide from your audience when running the slide show. Having a slide marked as hidden gives you an option as to whether you will actually display the hidden slide during your presentation or not. For example, if when running the presentation you find you are running ahead of time, you could choose to display one or two hidden slides to stretch the length of your presentation.

To hide a slide, select the slide you wish to have in reserve and then click on the Hide Slide button or select the Slide Show, Hide Slide menu option.

This slide will not be displayed during the slide show unless you press H just before this slide is due to be displayed. Only then will the slide be included in the slide shown presentation.

Creating a Summary Slide PowerPoint can automatically create a summary slide that will comprise the headings from a number of slides that you select.

To create a summary slide, select the slides from which the summary slide is to be created…

And then click on the Summary Slide button. The new summary slide will then be created and inserted in front of the selected slides.

This is the summary slide that would be created if the above slides were selected and it would appear as the second slide in the presentation.

Exercise 1-1 31. Follow the instructions below to create a summary slide that will include the headings for

each slide in the presentation with the exception of the first slide. — Select slides 2-6 by holding down the [CTRL] key and click on each slide with the

exception of the first slide.

— Click on the Summary Slide button and the new slide will be inserted as the second slide in the presentation.

— Apply your own choice of transition and animation to this new Summary slide.

32. Make slide 2 a hidden slide by clicking on slide 2 and then selecting the Hide Slide button.

33. Run the slide show using the View, Slide Show command. Notice as you run the slide show that the Summary Slide is not displayed as you have marked this slide has hidden.

34. Run the slide show again using View, Slide Show. This time, once the first slide has been displayed, press H and you will find that the hidden slide (Summary Slide) is included in the presentation this time around.

Saving Presentations If you want to keep your presentation to use again later, you must save it. When saving a presentation you can choose to store it in a folder that already exists, or choose to create a new folder for it.

Rules for Saving Presentations 1. Presentation names can be a maximum of 255 characters including their complete

pathname. 2. Presentation names can be a combination of numbers, letters and symbols. For example,

progress, plan95, Company Training, Sales Techniques. 3. Some characters cannot be used in presentation names. These include: \ / < > * ? " | : ; 4. Within one folder, each presentation must have a unique name.

PowerPoint will add a .PPT extension to all presentation names. However, you will not see this extension unless your system has been set up to display it.

To Save a Presentation 1. Menu: Select the File, Save menu option.

Saving Presentations

../ To Save a Presentation 2. PowerPoint will enter a suggested name into the File name text box. If you wish to

change this name, type your preferred name. 3. If the correct location for the presentation is not displayed in the list box, specify where

the presentation is to be saved, e.g. on the Desktop, or somewhere on My Computer by selecting the location from the Save in drop-down list.

4. To open the folder into which the file is to be saved, double click on the folder name.

Alternatively, to create a new folder, click on the click on the Create New Folder button and the New Folder dialogue box will be displayed.

Type in the new folder's name then press [ENTER] or click on OK. Once the new folder has been created, double click on it to open it. 5. Once the folder you want is open and its name is displayed in the Save in drop-down list

box, click on the Save button. Note: The first time you save a presentation, the File Save dialogue box will be displayed. Thereafter, when you select the File, Save command, you will not be prompted for a name and location for the presentation. PowerPoint will assume that you want to replace the original version of the file with the updated version. If you want to retain the original and save a copy of the updated version, you will have to save the updated version with a different file name, or save it in a different location. Use the File, Save As command to do this.

Closing Presentations PowerPoint allows you to have more than one presentation open at a time, and so will not close a presentation unless you instruct it to do so using the File, Close menu option. If you have made any changes to the presentation since you last saved it, PowerPoint will ask you if you want to save the changes before closing the presentation.

Having a number of presentations open unnecessarily may impair your system's performance, so save and close each presentation when you have finished working with it.

Exiting PowerPoint When you have finished using PowerPoint you can close it down using the File, Exit command.

If any presentations that have been changed since they were last saved are still open, PowerPoint will ask you if you want to save the changes to each before exiting PowerPoint.
