The remote participant would see what is on the projector screen, be able to make changes to the screen document and show their own desktop on the projection screen. Audio communication is not supported and this needs to be done separately using telephone or VoIP (e.g. Skype). This document covers the download, installation and setup of TeamViewer. Installing TeamViewer

1 Introduction

TeamViewer is commercial software produced by TeamViewer GmbH that provides screen sharing, remote control, file transfer and a text chat link between two networked PCs. TeamViewer works through firewalls and needs to be running on both PCs.

TeamViewer GmbH was founded in 2005 and is located in Germany. The TeamViewer user base is over two million computers worldwide and located in more than 50 countries. In 2007, TeamViewer GmbH released a free of charge TeamViewer version for personal, non-commercial use. The only restriction is that the duration of use is limited to 25 hours per month.

TeamViewer could be used for SPDC meetings to connect with an officer or expert who cannot attend the meeting. The remote participant would see what is on the projector screen, be able to make changes to the screen document and show their own desktop on the projection screen. Audio communication is not supported and this needs to be done separately using telephone or VoIP (e.g. Skype).

2 Installing TeamViewer

2.1 Downloading

Browse to HThttp://www.teamviewer.com/download/index.aspx TH

Click on the download button (v3.5.4140 (English) in Figure 1)

Save the TeamViewer_Setup.exe file to your PC, see Figure 2.

2.2 Installing software

Open (run) the TeamViewer installation program from where the file was saved, see Figure 3.

Click “Next >” on the Welcome window, see Figure 4.

Click the round acceptance radio button if you accept the License Agreement, see Figure 5.

Click “Next >” on the License Agreement window, see Figure 5.

Click “Next >” if you want to install TeamViewer, see Figure 6

NOTE: If you do not have the rights to install software on your PC, click the round radio button “Start without installation”.

Enter a suitable password. This password will have to be provided to the other PC user for connection – so don’t use passwords connected with your secure activities like banking.

NOTE: VPN and TeamViewer start-up on boot can be left unchecked by most users.

Click “Next >”, see Figure 7.

Click “Next >” if the install location is acceptable, see Figure 8. If you want a different location use the “Browse…” button to select a different location.

Select the start menu folder for TeamViewer. Figure 9 shows the existing “INTERNET” folder has been chosen.

Click “Finish” when the Finish window appears, see Figure 10. TeamViewer is now installed.

3 Using TeamViewer

This clause gives a quick overview of starting TeamViewer, connecting to the other user and the main software features. For more detailed information consult the PDF file of the User Manual ( HThttp://www.teamviewer.com/help/teamviewer_manual.pdf TH).

In this document the term “meeting user” means the initiating user and “remote user” is the user being connected to.

A typical (commercial) use for TeamViewer is remote trouble shooting. In this case the expert wants to view the PC screen at the trouble location. An SPDC meeting normally wants the reverse situation that is; the PC of the remote user shows the (projection screen) desktop of the meeting user.

3.1 Starting TeamViewer

Start TeamViewer by going to the programs start folder where it was installed and double click on the program, see Figure 11.

The TeamViewer start-up window has two boxes. The “Wait for a session” box shows your connection ID and password (the one you entered in the Figure 7 step). The “Create session”

box shows either a blank or your previous participants’ connection in the ID field; four round radio buttons and a “Connect to partner” button see Figure 12.

Meeting user Phone or e-mail the remote user asking them to start TeamViewer and enter the meeting user “Wait for a session” ID and password (56 351 638 and SPDCmeeting in Figure 12).

Remote user Start TeamViewer Enter the given meeting user ID (56 351 638) in the “Create session” ID field. Set the Remote support round radio button if it is not already set see Figure 13 Click on “Connect to Partner”

Remote user Enter the given meeting user session password (SPDCmeeting) in the Authentication window Password field, see Figure 14 Click “Log On”

The remote user screen then shows the meeting user desktop (projection screen) in a TeamViewer window see Figure 15. Note the TeamViewer toolbar at the top of the window.

The remote user can now see the document shown on the projection screen at the meeting. Additionally the remote user can use his keyboard and mouse to navigate and annotate the meeting users’ document as well as the meeting user.

The meeting user knows that the remote user has connected by the appearance of a grey tab in the bottom right of the meeting user screen see Figure 16.

Clicking the grey tab gives TeamViewer information and a toolbar see Figure 17.

3.2 Features

This clause shows some of the TeamViewer capabilities, for more details read the TeamViewer Manual. The user with the TeamViewer window and hence the TeamViewer toolbar (Figure 18) has the main control of the possible actions

3.2.1 Toolbar — File Transfer

Clicking “File transfer” brings up the two pane transfer window see Figure 19.

3.2.2 Toolbar — Actions

Clicking “Actions” gives a dropdown menu that includes “Switch sides with partner”, see Figure 20.

Clicking “Switch sides with partner” places the remote users’ desktop screen in a TeamViewer window on the meeting users’ screen see Figure 21. The TeamViewer window closes on the remote user PC and the screen then displays the remote user desktop application (FireFox showing the Journal of Lightning Research in this example).

3.2.3 Toolbar — View

Clicking “View” gives the dropdown menu shown in Figure 22.

Generally the default View settings work well. Figure 23 shows the size options.

3.2.4 Toolbar — Extras

Clicking “Extras” gives the dropdown menu shown in Figure 24.

There is a menu option to record a session and to exchange text “chat” messages.

4 Passwords

If you don’t set a default password for TeamViewer, then at start-up, TeamViewer will define a unique password for that session. The session password may not be particularly memorable, so setting your own Password is preferable.

4.1 Changing Passwords

The (predefined) password shown in the start-up window can be changed, see Figure 25.

Click on “Extras” in the TeamViewer toolbar for the dropdown menu, see Figure 26.

Enter the new password twice; in both the Password field and the Confirm Password field

Click the “OK” button

The TeamViewer start-up window will then have a new Predefined Password of that set in Figure 27.

5 Summary

TeamViewer is useful software for interactive visual communications where:

• There is only one remote participant to the meeting

• The internet data speed is adequate

• A separate audio communications channel is available.

6 Disclaimer

This document is intended to give an example of the screen sharing software and what it can do. It should not be interpreted as a TeamViewer recommendation. A useful comparison list screen sharing software is at

7 Security

Corporate PC users should be aware that there could be vulnerabilities in using screen sharing software. Some items of concern for IT departments are:

• Installation of ad-hoc software could corrupt the main drive. Drive imaging prior to software installation is a prudent action.

• The use of screen-sharing software, even though claimed to be “free”, may, from a corporate viewpoint, be regarded as a business use and the paid for version of the software needs to be installed.

• Unevaluated or unendorsed software causes security concerns in terms of: firewall circumvention, file sharing (viruses), encryption security and remote control of the corporate PC by unknown parties.

In summary, corporate PC users need to get the OK from their company IT department before using screen sharing software. If the company has corporately endorsed screen sharing software then that would be the one to use if it meets the screen sharing needs.
