It is the responsibility of the exhibitors to provide adequate insurance for their exhibits and materials.

StorageThe City of Waterloo/Rim Park will not be responsible for storage of any items.

exhibitor inforMation anD ConDuCtExhibitors may not at any time distribute samples, flyers, promotional material or any such product in any other area of the show grounds and premises, other than their designated table space (unless negotiated with show management prior).

Subletting is prohibited. No Exhibitor shall assign, sublet or apportion the whole or any parts of the space allotted, or have representatives’ equipment or materials from other than its own firm in the said space without the written consent of Show Management.

Items not allowed in your booth pertain to any materials that belong to other businesses that are not participating in the show i.e. business cards, flyers, posters, signs, pens or any promotional materials. Under no circumstances can someone from another business be in your booth talking to show attendees or distributing materials. This policy is designed to protect exhibitors who have made an investment to be in the show. It is also in place to protect the show viability and we appreciate your respect and cooperation in this matter. Show Management reserves the right to cease any activity it deems to be a violation of the terms and conditions and to follow the directive of Show Management. In addition any exhibitors who do not comply with this policy risk participation in future shows that we produce.

Please note that exhibitors may not make use of any tape, staples or nails on the drapery or floors at Rim Park. In the case of excess garbage left behind by exhibitors, the exhibitors will be billed for this cost through The Waterloo Region Record.

Contact your customers and prospects to let them know you’ll be at the show.

Share our Facebook Event Page!

Place our colourful flyers on your counter tops, or pass on to friends.

Include a link to the Grand River Shows website www.grandrivershows.com on your website.

Use lively displays. Consider: themes, colour, lighting, props, shelving etc. to enhance your products.

Use clean, professional tablecloths, displays and signage.

Design your table so consumers can easily browse through your products. Avoid obstacles.

Include lower priced teaser products in your booth. Opportunities will arise for you to present more valuable items to consumers.

Attract consumers to your booth with interactive demonstrations, giveaways and samples.

Be friendly and explain everything there is to know about your products or service.

Avoid defensive body language like crossing your arms or turning your back from potential clients.

Create a special promotion for the show to create business after the show! Your goal is to get consumers to remember you and your product and or service for years to come.

Provide a special promo flyer or coupon that offers discounts or incentives for people to use your product and or service.

Consider holding an event of your own at your business after the show. Use the show as a means

to promote this workshop/open house/sale.

Bring business cards and flyers. Post show sales are very lucrative.

Build a prospect list at the show and follow up with potential clients afterwards.

eLeCtriCaL Safety CoDeThings to consider when planning your booth:

Electrical Equipment connected to one power outlet must not exceed: for 120 volts – 15 amps; for 200 volts – 30-50 amps (if you require higher voltage, please contact us).

Electrical equipment should bear certification marks acceptable under the Ontarion Regulation 438/07. Equipment without these marks will not be approved. See attached table.

All electrical equipment is well maintained and in good condition. Check for the following: • frayed electrical cords • missing ground pins • missing box connectors

Extension cords should be taped to the floor to avoid tripping hazards.

Only use extension cords or power bars for portable lamps and appliances that are within the allowable amperage for the size and type of power bar.

All clamps on portable spot lights should be protected from metal to metal contact by electrical insulating pads permanently attached to the clamp.

DO NOT: Do not use open clip sign socket, latex or lamp cord

wire in displays, 2 clamp-on fixtures. Do not use zip cords or two wire cords; they are not

grounded.

Please note:The Electrical Safety Authority Inspector has the right to cut equipment cords or remove equipment if their standards are not met.

2-022 Sale or Other Disposal and Use:• No person shall use, advertise, display, sell, offer for sale or other disposal any electrical equipment unless it has been approved in accordance with Ontario Regulation 438/07• If a certification report or a field evaluation report in respect of any approved electrical equipment requires that a notice indicating the proper and safe manner of use of the electrical equipment be affixed to the electrical equipment or be provided with it, no person shall use, advertise, display, sell, offer for sale or other disposal of the electrical equipment without affixing or providing the notice in the manner required, as required by section 5 (3) of Ontario Regulation 438/07• Despite subsection (1), electrical equipment does not require approval under Rule 2-024 or Ontario Regulation 438/07 if:- it is displayed at a trade show or is activated in a demonstration of its use - permission to display or activate it is given by the Inspection Department• Where a certification report in respect of any approved electrical equipment requires that a notice indicating the proper and safe manner of use of the equipment be affixed thereto or furnished therewith, no person shall sell or otherwise dispose of the equipment without affixing or furnishing the notice in the manner required by the certification report• Notwithstanding Subrule (first point), unapproved electrical equipment shall be permitted to be displayed at trade shows when permission is given by the Inspection Department
