Master Data extraction - Prerequisites

Baseline configuration of Sourcing system must be completed

• Note: Baseline configurations will add some master data like Currencies and UOMs to the system

Business System/External System must be created in Sourcing. It represents an ERP system that is integrated with SAP Sourcing

The user account used for importing master data should have appropriate access

Setup import Scheduled Tasks if they are used to import the master data

Master Data extraction

A lot of the required configuration and/or master data in SAP Sourcing can be extracted from your ERP system and imported into SAP Sourcing. There are multiple reports for this purpose: BBP_ES_CUSTOMIZINGDATA_EXTRACT BBP_ES_CUSTOMIZINGDATA_EXT_CSV BBP_ES_MASTERDATA_EXTRACT BBP_ES_EXCHANGE_RATE_EXTRACT (only

available as Pilot note) The first report can also be started via transaction BBP_ES_CUST_DOWNLOAD and the master data report via transaction BBP_ES_MAST_DOWNLOAD.

ERP Report BBP_ES_CUSTOMIZINGDATA_EXTRACT

This main report extracts most of the configuration / master data and generates a XML file which can handle multiple languages (please note that some ERP objects like Company Code can only be maintained in a single language in ERP!). The following objects can be extracted: Company codes Purchasing organizations Purchasing groups Payment terms Material groups (product categories) Plants Condition types (pricing conditions) Currencies Units of Measure Regions (ERP Regions) Incoterms Vendor Account Groups

ERP Report BBP_ES_CUSTOMIZINGDATA_EXTRACT

You can select multiple languages

Select the version according to your SAP Sourcing release

Decide if the generated XML files should be saved on a folder on the application server or your local PC

Check which master data should be extracted and change the default name (optional)

ERP Report BBP_ES_CUSTOMIZINGDATA_EXT_CSV

This report generates a CSV file as SAP Sourcing does not support an XML import for objects like unit of measure (UOM) categories (ERP dimensions) and the unit of measure category texts. The suggestion is to extract this data only in the main language (e.g. English) and only to extract UOM categories and the related texts, but to use the report to extract all other required master data.

The report BBP_ES_CUSTOMIZINGDATA_EXT_CSV supports the following objects: Unit of measure categories

ISO codes for Unit of measure Unit of measure ISO Codes for currencies Currencies While SAP Sourcing gets from a XML file which importer should be used, for CSV it is necessary to manually select the correct importer – please make sure that the correct entry will be selected! again the recommendation is to work with XML files where possible! It is better to extract this master data to ensure that ERP and SAP Sourcing are in sync as this could cause issues, e.g. transfer a RFx award containing a line item with a UOM which does not exist in ERP could end up that the award cannot be created in SAP ERP!


Extract materials and vendors – report

BBP_ES_MASTERDATA_EXTRACT

This report allows to extract materials and vendors into a XML file

Multiple search/filter criteria Generated XML files can be imported

into SAP Sourcing without using SAP PI

Intended for the initial load of SAP Sourcing / SAP CLM, for frequent updates it is recommended to use the integration via SAP PI and change pointers


How to filter the data to be extracted?

The BADI / Enhancement Spot BBP_ES_EXT_EXTRACTION can be used to filter the master data which should be extracted. Create an enhancement implementation to allow that only certain master data gets extracted.

Dependencies of master data import

There is no single solution for the sequence to import the master data objects, different combinations can work, below is one suggestion!

Make sure that the workbook is imported successfully and that SAP Sourcing contains the required countries. This is important as for example the (ERP) regions require that countries are already imported (no ERP extraction report for countries).

Import first simple objects like payment terms, Incoterms and (ERP) regions. Next could be the CSV imports for unit of measure categories & related texts. Afterwards import the ISO codes for unit of measure and currency followed by unit of measure and currencies. Afterwards import price conditions/ item types, company codes, plants, purchasing organizations and groups.

In SAP Sourcing click at Setup (highlighted at the screenshot below), navigate to the tab System Administration and click at Import Data to manually import any XML or CSV file.
