A BW query is the central reporting interface for analyzing Business Intelligence data within the SAP NetWeaver BW architecture. This chap-ter introduces you to the BEx Query Designer, the tool for creating and maintaining BW queries.

8 BEx Query Designer

This chapter, along with the next four chapters, introduces the tools of the SAPBusiness Explorer Suite (BEx Suite). The BEx Suite is a component of SAPNetWeaver BW. The SAP BusinessObjects portfolio provides a series of otherapplications for an enterprise-wide, end-to-end reporting scenario that go farbeyond the functional scope of the BEx tools.

This chapter first provides a brief overview of the tools in the SAP BusinessExplorer Suite. You’ll then learn about the BW query as the central object for ana-lyzing data from the SAP NetWeaver BW system. Then follows a discussion of theBEx Query Designer, the tool used to create queries in the BEx suite.

8.1 SAP Business Explorer Suite

The tools in the BEx Suite let you create reports for operative reporting with com-prehensive navigation options (drilldown, slice and dice, and so on). The toolsalso let you create reports for strategic analysis to support decisions by enterprisemanagement. You can use them to create reports for ad-hoc reporting, for exam-ple.

Figure 8.1 shows how the Business Explorer tools fit into the SAP NetWeaver BWarchitecture. These tools are client applications, which means that they are notintegrated directly with the SAP GUI, but instead run on the local computer. Theobjects that are created by the Business Explorer tools, such as the BW query orweb template, are saved internally in the SAP NetWeaver BW system.

Some tools, such as BEx Analyzer, let you save objects as local versions. The indi-vidual chapters that describe the tools explain this option in detail. At this junc-

Saving the objects on the SAP NetWeaver BW server ensures that these objectsare available to all authorized users of the BW system.

8.1.2 Interaction between BEx Components

The tools of the BEx Suite can be divided into two areas for analysis: the web-based tools on one side and the BEx tools that are integrated in Microsoft Officeon the other.

The reports of the web-based tools are executed and formatted by the BEx webruntime environment, which uses the BI Consumer Services (BICS) to communi-cate with the Analytic Engine. BICS transfers the data determined by the AnalyticEngine to the BEx web runtime environment as an XML structure (BICS_VIEW).In addition to the analysis data itself, the XML structure contains a variety ofmetainformation for the executed analysis. Chapter 13 examines the BICS XMLstructure in more detail.

8.2 BW Query

Before examining the BEx Query Designer, let's take a closer look at the BWquery.

Terminology Difference: BW Query versus SAP Query

When the term query is used in the context of a BW system, it generally refers to a BWquery. You can also use an SAP query to analyze data in an SAP system, in addition tothe BW query.

In an SAP query, the reporting tool within SAP ERP, an SAP source system is used toanalyze relational application data. It is used when the analysis requirements are notcovered by the standard reports in the application.

SAP queries are not used to analyze the multidimensional data of the BW system. How-ever, an SAP query can be used as a data source during extraction from SAP source systemsto the BW system. When the term “query” is used within the context of data analysis in aBW system, the BW query is meant.

A BW query defines which data in the BW system is available for analysis withina query. A BW query is always based on one specific InfoProvider. At the sametime, a given InfoProvider can serve as the source for any number of BW queries.The InfoProvider of a BW query does not have to have persistent data storage;InfoProviders without persistent data storage—such as MultiProviders, InfoSets,and virtual providers—can also serve as the data sources for a BW query.

The BW query also determines which characteristics and key figures are availablefor analysis from the InfoProvider on which the query is based. The characteris-tics and key figures of the BW query define the fields to be selected from the Info-Provider (see Figure 8.2).

The dataset of an InfoProvider in a BW system is usually very large. In most cases,a report only needs to provide an excerpt of the available dataset for analysiswithin a report. To do so, the data of the InfoProvider can be filtered (see Figure8.2). The filtering process within the query definition can involve both actual fil-ters and default values. Filtering can be either static or dynamic. Section 8.5examines the various filtering types and procedures in more detail.

This chapter also introduces other properties and options of a BW query that youcan use to design complex analyses.

The next section first explains the structure of the BEx Query Designer and thenintroduces the more advanced options and properties of BW queries. In additionto the definition of conditions (Section 8.12.2) and exceptions (Section 8.12.3)these advanced options and properties also include the use of structures (Section8.7) and formulas (Section 8.9).

It also explains how you can use the BEx Query Designer to utilize these optionsand properties of a BW query.

8.3 Structure of the BEx Query Designer

This section explains the basic structure of the BEx Query Designer. You firstlearn about the individual areas of the BEx Query Designer and how they areused. Figure 8.3 shows the BEx Query Designer with an opened BW query. Con-ditions and exceptions have been defined for the BW query shown here.

Note that the areas of the BEx Query Designer are not all displayed all the time;instead, only those that are needed for the currently open BW query appear. Nocells have been defined in the BW query in Figure 8.3, for example, so the Cells

area is not displayed. Section 8.7 describes how to display the area for definingcells.

8.3.1 InfoProviders

In the InfoProvider area (see � in Figure 8.3), the objects assigned to the Info-Provider of the BW query are listed. You can also assign other objects to the Info-Provider, in addition to the characteristics and key figures:

� Restricted key figures

The key figures and characteristics of the InfoProvider are always availabledirectly—that is, they’re defined in the Data Warehousing Workbench (DWWB)and not in the BEx Query Designer. The key figures of the InfoProvider (Cost

stats currency through Volumes in CDM) are located directly below the Key Fig-

ures node.

Structures, calculated key figures, and restricted key figures are defined withinthe BEx Query Designer and are therefore not visible in the Data WarehousingWorkbench. Structures and key figures that are defined in a BW query are ini-tially only available locally in that BW query and are therefore referred to as localobjects.

Alternatively, you can also define structures and key figures for the InfoProvider.The objects of an InfoProvider are available to all BW queries that are based onthat InfoProvider and are therefore called global objects. Section 8.12.1 describesthe various options available for defining structures and key figures. From theperspective of the InfoProvider work area, only the globally defined object is rel-evant.

The characteristics of the InfoProvider are arranged in dimensions, analogous tothe InfoProvider definition itself; the characteristics of the dimensions are locatedbeneath the respective dimension nodes. The characteristic nodes can beexpanded further; in Figure 8.4, you’ve expanded the Company Code characteris-tic in the Organization dimension. Some or all of the following folders are foundbeneath the characteristic, depending on its specific properties:

� Attributes

� Characteristic variables

� Characteristic values

You can use the context menu of the folder for characteristic variables to create anew variable for a characteristic, without having to add it to the BW query defi-nition first. This is why the folder appears beneath a characteristic even if no vari-ables have been defined for it yet.

8.3.2 Work Area

Which areas appear in the work area of the BEx Query Designer (see � in Figure8.3) depends on the BW query definition. The Filter and Rows/Columns areasare always available. All other areas can be displayed using the function keys in

the toolbar or through the menu. In some cases, an area can be displayed only ifcertain prerequisites are met. For example, the Cells area can be displayed only ifthe definition of the BW query contains exactly two structures.

The following now briefly introduces the individual sections of the work area.

Filter

The Filter area is divided into characteristic restrictions and default values (seeFigure 8.5). Both cases involve restricting the data used for the analysis. TheCharacteristic Restrictions define the value range for the entire result set; thevalue range resulting from the restriction can be restricted further, but notexpanded, when the BW query is used. Accordingly, the characteristic restrictionsare frequently referred to as global filters.

The filters that are set as Default Values help to reduce the data volume of theinitial drilldown of a BW query; the user can removed them as required. Analo-gous to designating the characteristic restrictions as global filters, the default val-ues are also called local filters.

Rows/Columns

You use the Rows and Columns area to define the structure of the BW query (seeFigure 8.6). To do so, add the characteristics and key figures you want to display

to the Columns and Rows areas. The characteristic values of all the characteristicsin the Rows area are displayed in the rows. The characteristics you add to the Col-

umns area are displayed in the columns. The Preview area shows an initial BWquery drilldown for the current arrangement of characteristics and key figures,with two characteristic values for each characteristic.

Cells

For the Cells work area to appear, the BW query must contain exactly two struc-tures. The BW query definition results in an implicit value for each cell, which isderived from its row and column; a cell is also called a crossing point. The cell edi-tor in the Cells area lets you save an explicit definition for each cell, which isvalid for that specific cell (crossing point). You can use the cell editor to defineformulas or selection conditions for the individual cells. You can also define cellsas reference cells to enable their use in calculations for other cells. Sections 8.7and 8.12.4 deal with the definition of structures and explicit cell calculations.

Conditions

You can use the Conditions area to restrict the BW query result to the informa-tion that is relevant for analysis. During the subsequent analysis, the data thatdoes not satisfy the condition is filtered out of the display of the result area in theBW query. Typical uses of conditions include threshold value analyses (sales >EUR 10,000,000) and ranking list analyses (Top N, Bottom N). You can definemultiple conditions for a BW query. In this case, a value is displayed in the resultset only if all active conditions are fulfilled.

Exceptions

Exceptions let you highlight conspicuous values from the analysis in different col-ors, making it easier for you to recognize key figures that have extraordinary vari-ances from the expected results. You can also use exceptions together with BExBroadcaster to send a report to a previously defined group of users whenever crit-ical values are reached.

Properties

The Properties area (see � in Figure 8.3) is divided into the two context-sensitivesections Properties and Tasks.

The Tasks tab provides quick access to the functions of the BEx Query Designerthat are logical and useful for the current situation. All the functions shown hereare also available in the menu and toolbar. The Properties section displays theproperties of the currently selected object.

To edit the properties of a BW query, you can select it in a dropdown box in theProperties area. This dropdown box lets you select all the objects in the BWquery structure directly. Figure 8.7 shows the full structure of a BW query.

Depending on the respective object, either all properties or a selection of theavailable properties are displayed. If the object has additional properties that can-not be displayed directly, an Edit button appears on the corresponding tab,which displays the wizard.

Information

The Information area (see � in Figure 8.3) is divided into the two sections Mes-

sages and Where-Used List.

The Messages section displays information on the status of the BW query. Youcan generate a where-used list for the individual objects of a BW query; the resultis displayed in the Where-Used List section. The where-used list is very usefulwhen dealing with global objects (structures, restricted key figures, and calcu-lated key figures) within the BW query definition framework.

8.3.3 Menu and Toolbar

The toolbar gives you direct access to the most important commands in the BExQuery Designer; you only have to use the menu for a few important actions.Before discussing the most important commands in the toolbar, let's examine thecommands for publishing a BW query, which are only available in the BEx QueryDesigner menu.

Publishing BW Queries

The publishing function (Query � Publish) lets you distribute defined BW queriesin a role, a portal, or using BEx Broadcaster, making them available to other users.When you publish a BW query in a role (Query � Publish � In Role…), a dynamiclink for the current BW query is added to the role. The dynamic components ofthe object name, which are shown in Figure 8.9, are determined at executiontime and replaced by the current values of the local system.

As an alternative to a role, you can also publish a BW query directly in an iViewfrom within the BEx Query Designer. The iView information is saved in the PortalContent Directory (PCD). When you select the menu path Query � Publish � To

the Portal, a PCD export is started. This PCD export is web-based and carried outby BEx Broadcaster.

To publish a BW query in the SAP NetWeaver Portal, you merely have to selectthe PCD folder where the BW query is to be published. The BW query results aredisplayed in an iView of BEx Web Analyzer (see Chapter 12).

A detailed description of the steps required to publish a BW query in SAPNetWeaver Portal is available in the SAP Help under http://help.sap.com/saphelp_nw73/helpdata/en/43/6ee85d99506fcfe10000000a1553f6/frameset.htm.

When you publish a BW query to the PCD, you implicitly use the functions of BExBroadcaster; however, you can also use BEx Broadcaster explicitly (Query � Pub-

lish � BEx Broadcaster) to make BW query results available to other users.

BEx Broadcaster features myriad options for utilizing the results of BW queries. Inaddition to sending the BW query results in various formats by email, you canalso send the results to a printer or to the SAP NetWeaver portal. You can also useBEx Broadcaster for precalculation of BW query results; for example, to fill theOLAP cache. Chapter 12, Section 12.3.5 examines the features of BEx Broadcasterin more detail.

Toolbar

The BEx Query Designer features two toolbars: Standard and View. The Stan-

dard toolbar, shown on the left in Figure 8.10, contains general functions such ascreating and saving a BW query and copying and inserting objects. It also contains

a button to execute the BW query in BEx Web Analyzer and to check the BW queryfor syntax errors.

The View toolbar is portrayed in the right-hand area in Figure 8.10. The buttonsin the View toolbar let you display the individual work areas.

Technical Names

The Technical Names button (on the far right in Figure 8.10) lets you define howthe objects of the BW query are displayed. You can choose from the followingoptions:

When complex InfoProviders are involved, it’s often difficult to identify individ-ual objects based on their description (text). Depending on the design of the Info-Provider, a descriptive name may not be unique, but instead used in multipleobjects (such as navigation objects). In contrast, the technical name (key) of anobject is always unique. Therefore, it can be helpful to display the technical nameinstead of the description to identify objects more quickly.
