Business Process Procedure Overview An employee’s personnel file is organized as a series of Human Resource infotypes and info subtypes. These are structures used to group related data fields together providing organization and facilitating ease of entry of the data. Infotypes and info subtypes are numbered and represent all aspects of information related to an employees association with the organization. Examples of infotypes include: Personnel Actions - (Hiring – Promotions – Terminations) Personal Data – Name – address - phone Payroll Data Benefits Data Organizational Data Appraisal Information Work Schedule Data Pension Data Individual employee’s personnel information is accessed with the employee’s Personnel Number. When an individual personnel record is examined, the infotypes are presented in ascending, numerical order. Infosubtype data is displayed after infotype data. Since there are a large number of infotypes and infosubtypes, this BPP will not present all available options but will provide a general overview to navigating through the data available. 1.2. On the screen “Personnel File”, enter information in the fields as specified in the table below:

2.1 On the screen “Personnel File”, basic identifying information about the employee will be displayed if the Personnel Number entered was valid. This will include items such as

Name Employee Group – Subgroup Social Security Number Personnel Area - Subarea

2.1.1 Click the Eyeglasses icon to go to the infotype and subinfotype screens.

3.1 The system will now begin displaying all the Infotypes and subinfotypes that contain data for the entered Personnel number. They will be displayed in numerical order.

3.1.1 The first infotype is 0000 – ACTIONS. This screen displays HR activity that has occurred for the employee with the most recent activity being displayed.

3.1.2 Click the Forward or Backward arrows on the Application Tool Bar to navigate through the infotypes and segments. The forward button will go to the next segment of the current infotype (if any) or to the next infotype.

3.1.3 Click the OVERVIEW button to display a list of all segments of the current infotype (such as ACTIONS 0000). The list will contain; for example, all infotype ACTION segments for the selected employee in date sequence with the most current segment first. Place the cursor on a desired line and click on the Magnifying Glass icon to view a specific infotype segment.

4.1 For some infotypes, additional information is available such as the Organizational Assignment 0001 example above. When this occurs, an additional icon will appear on the Application Tool Bar that will provide access to this information. Click on the icon to view the data.

4.1.1 Click the Green Arrow back when done viewing the personnel information. This will return to the Personnel File screen and allow the entry of another Personnel Number.

4.1.2 Click the Yellow Arrow back to exit the transaction.
