Hi,
We are so glad you want to be part of the UWLSU Army. Our aim is to be the first excellent students’ union in a modern London university with a focus on retention and improving the student experience; and what better way to make that happen than by hiring as many students as possible. We believe that students make us excellent, make this a great place to work and are most equipped to better the lives of other students. The Student Activates and Gym Intern’s purpose is to ensure the smooth running of all UWLSU sports team, stay active, casual sport and the UWLSU gym. You will do this by supporting the sports and events manager with administrative tasks, membership communications and facility and equipment maintenance The union is a family and we are looking for people who are friendly with a can-do attitude who truly believe they can help improve the lives of students at UWL.This pack will give you all the information you need on the role. GUIDE TO THE STUDENTS’ UNION
University of West London Students’ Union (UWLSU) provides support, activities, events and representation for over 14,000 students studying at University of West London.
How is UWLSU run?
UWLSU is a charity run by a group of student leaders who have been democratically elected by the student body. On a day to day basis we are run by 3 full time student officers; President, VP Education, and VP Activities & Participation who are supported by a dedicated and professional staff team.
What does UWLSU do?
We exist to improve the student experience and we do that through offering the following services:
Advice Service: We support students with academic issues through advice, information and advocacy.
Course reps & Campaigns: We help students affect change within their university and supports students in running campaigns for change.
Student Activities: We support students in running and participating in a range of extra-curricular activities such as sports clubs, religious groups, political and charity groups and societies.
Events: We run a range of events that help students network and socialise as well as support students who want to put on their own events.
Employment Opportunities: We believe that students are best placed to be the face of UWLSU and as such we provide a range of part-time employment opportunities in administration, reception, communications, events, representation, commercial services and student activities.
Commercial Services: We provide a range of services for students from Freddie’s bar, kitchen and coffee house to a space that hosts special events throughout the year.

JOB DESCRIPTION
STUDENT SPORT AND GYM INTERN
ACCOUNTABLE TO: Sports and Events Manager
SALARY: £19,000
CONTRACT: 35 hours per week for 11 months (this may include some occasional evening and weekend work)
LOCATION: Ealing Campus and Brentford Campus (staff may be asked to travel to all UWL sites)
JOB PURPOSE
1. Undertake administrative and maintenance tasks relating to Sport, BUCS Fixtures and the UWLSU gym
2. Play and active role in the Community and Belonging team
3. To contribute to the organisations strategic and operational planning
KEY RESPONSIBILITIES
1. Undertake administrative task relating to sport, BUCS fixtures and the UWLSU gym as required by the Support and Events Manager
Provide administrative support for the organizing of Sporting and BUCS fixtures.
Book and liaise with external providers for pitches, coaches and transport. And occasionally accommodation.
Purchase equipment, kit, and materials as required.

Act as the first point of contact when students and sports clubs who have queries relating to fixtures, equipment, training, and gym memberships etc.
Manage and maintain the sports cupboard to a high standard, carrying out termly kit and equipment inventories
Implement the signing in and out of kit from the sports cupboard Carry out daily checks on the gym facility, reporting issues To update and maintain BUCS website Liaise with the UWLSU Communications Team and Front of House Team to
ensure activity information is correct and up to date. Measure student participation in sport. Support the training & development of student activities volunteers
through administration of the training programme including:- Booking training rooms- Printing & copying- Booking external training providers- Booking students into sessions- Purchasing training materials and equipment
Undertake administrative tasks relating to student sports finances including:
Recipient of all student activities related finance forms including invoices, expense claims, and purchase orders
Support the allocation of funds to clubs and societies through administrative support during budget time including printing, sending and responding to emails, and preparing spread sheets
Liaise with external parties in relation to payments, invoices, and purchases
Maintain the student activities budget keeping records of expenditure and income
Undertake administrative tasks relating to student sports members and memberships including:
Support the preparation and population of UWLSU’s membership system which may include liaising with a digital platform provider, and manual data input
Support students’ use of the membership system by sending informative emails and preparing information for guidance to students

Support the delivery of the membership system at the Fresher’s Fair including processing individual membership at a till point, liaising with companies related to PDQ machines and the membership system, and coordinating activities in the ‘payment area’
Book monthly Sports Club Committee meetings and prepare agenda’s
