Number of teams

AT THE EVENT

113 teams (90% ) passed technical inspection

61 teams (48%) managed to do a valid run

No cars came through technical inspection on the first day

It was even commented that “Asian teams seem more interested in taking pictures than getting cars ready”

We need to improve the quality of the teams

THE WELDING SHOP WAS REALLY BUSY!

Purpose

To help desperate teams!

To provide a safe place for teams to make minor alterations to their cars on site

To help teams procure parts

At any one time 5 or 6 teams were there

From Wednesday through to Sunday !

Ideally, there should be no cars here during the event !

THE SAD TRUTH

Most of the cars were not ready on arrival

Lots of teams only passed technical inspection toward the end

The low number of valid runs indicates that:

They did not have time for practice sessions (not able to get a handle on the right speed, number of laps)

The cars were not reliable even though they passed

Technical Documentation at the event is still poor

Some teams treat the event like going on a holiday

THINGS THAT NEED TO BE DONE

Forming a team

Registration process

University approval

Car (design, construction, testing)

Funding/sponsorship

Communications

Shipping & customs clearance (car, lithium batteries)

Team logistics (passports, accommodation, flights)

Page 13: s16 Briefing for Teams

KEY CHALLENGES

Time to build and test car

Allow sufficient time to design, build and test the car

Funding

Many teams drop out due to lack of funds

Start looking for funding early

Shipping the car in time

Customs clearance can take very long

Ship early

Get the car ready early

Shipping lithium batteries in advance (some battery electric teams did not have their batteries on arrival and could not buy them locally)

Page 14: s16 Briefing for Teams

WHEN SHOULD YOU START PREPARING

NOW

Time is of essence !

Work backwards from the point of shipping (14 Dec 2015)

Consider whether it may be better to aim for 2017 (don’t apply for 2016)

Don’t deprive other teams a chance if you think you’re not ready

The sooner you can design, build and test the car, the better your success

Shipping 14 Dec 2015

Test Car 14 Nov – 13 Dec

Phase 3 9 Sep – 13 Dec

Phase 1 1 Jul – 22 Jul

Phase 2 28 Jul – 1 Sep

Build Car 9 Sep – 13 Nov

Design Car 1 Jul – 1 Sep

Secure funding 1 Jul – 13 Nov

Tickets, shipping 14 Nov – 13 Dec

PHASE 1 REGISTRATION

Closing date: 22nd July 2015

Registration of intent

SEM participation history required

Full design details not required at this point

Pictures of the car should be as detailed as possible (real pictures preferred)

Some teams will be eliminated

We are looking for:

Teams that are likely to make it to the event in Manila

Teams that will be ready for technical inspection the moment they arrive

It is up to you to convince the selection committee

Page 16: s16 Briefing for Teams

PHASE 2 REGISTRATION

Closing date: 1 Sep 2015

Motivation for participation

Full technical submission required

Pictures of the car should be as detailed as possible (real pictures preferred)

Electrical system diagram

Propulsion system diagram

More teams will be eliminated

Same criteria

Page 17: s16 Briefing for Teams

Copyright of SHELL GLOBAL SOLUTIONS (SDN. BHD.) 17

SELECTION BASIS

Emphasis will be on

Competitiveness (previous results, good design)

Quality of submission (meeting the rules)

Likelihood that the car will be ready on arrival (degree of completion)

Sufficient funding

Motivation

Constraints

Maximum of 2 teams per institute

This is not guaranteed (it may be just ONE as it depends on availability)

If there are 2 teams, these should be from different categories

Prototype & UrbanConcept (preferred)

Two identical cars with different energy types (NOT preferred)

A PICTURE SAYS A THOUSAND WORDS - 1

What this picture says:

Not much thought into the design

Not motivated

Does not comply with rules

Not professional

Car is not ready

Chance of success = ZERO

Page 21: s16 Briefing for Teams

A PICTURE SAYS A THOUSAND WORDS - 2

What this picture says:

This team is serious

It shows compliance (dimensions, features – e.g. windows, emergency shutdown, exhaust pipes, lights, ventilation, mirrors, 5 point safety belts)

Motivation

Very professional

Chance of success = HIGH

What could be improved

Show roll bar, bulkhead

Picture of completed car or car construction in progress

Page 22: s16 Briefing for Teams

ELECTRICAL SYSTEM DIAGRAMS - 1

What do these pictures show?

Almost nothing !

Do not show key elements of the electrical system and how they are connected

Do not show compliance with rules

Page 23: s16 Briefing for Teams

ELECTRICAL SYSTEM DIAGRAMS - 2

This drawing shows:

Point to point electrical circuit diagram

Includes key electrical system elements – switches, lights, relays, fuses, kill switches

Shows voltages, fuse ratings, power ratings

Compliance with the rules

PICTURES

Use your submitted pictures to:

Demonstrate as much as possible that you comply with the rules

(Go through the rules and think how you can show it in your pictures)

Demonstrate the progress that you have made with your car

Page 25: s16 Briefing for Teams

PHASE 3 REGISTRATION

2 parts

Logistics (closing 14 Dec 2015) (Note: Students should book in SEM accredited hotels)

Off-track awards (closing 15 Feb 2016)

Includes

Registration of team members (passport, ID)

Letter from university

Shipping arrangements

Registration for off-track awards

Page 26: s16 Briefing for Teams

SHIPPING

Sea freight

Cheapest

Recommended for battery-electric teams (to ship lithium-ion batteries)

Must commence in December

Air freight

More expensive

Can start in January

Arrival in Manila does not mean the car will be on site

Customs clearance can take 2 weeks

Lithium ion batteries cannot be shipped with the car

Lithium ion batteries are difficult in Manila to find at short notice. Assume there is none available

Send these separately in advance according to DG guidelines

OUR CHALLENGE TO YOU

Have your cars go for technical inspection on Registration day

Arrive > Register > Unpack > Technical Inspection

(Note: Only teams that passed technical inspection will be granted a certificate.)

Aim not to use the Welding Garage

We would like to see it empty

Show the world that Asian teams are competitive

Don’t just think about building cars . . .

Think about energy efficient cars

Europe

Asia

Let’s close the gap !
