The board of directors, staff, and members of the JVA welcome you to the 2017 JVA Buckeye Battle presented by Rox Volleyball! Buckeye Battle is a two-day event located in Cincinnati, OH that is hosted by the JVA. This event will bring in around 220 teams from the Midwest, Mideast and Mid-South areas. We work to insure a high quality event and a great experience for all participants and their families.

We want to thank our title sponsor Rox Volleyball; our official ball sponsor Molten; our housing service Conference Direct; as well as our host, the Duke Energy Center in downtown Cincinnati. We hope our partnership with these groups makes your experience worthwhile.

This event is a fundraiser for the Junior Volleyball Association. By supporting this event, you are supporting our mission as an organization. We have strived to make this the best event possible for participants and their families. If you experience any inconvenience, please let us know so we can address it and improve future events. Directions and Parking The official address for the Duke Energy Convention Center is:

The Duke Energy Convention Center's main entrance is located at the intersection of Fifth Street and Elm

Street in downtown Cincinnati. Over 5,000 parking spaces are located immediately surrounding the Center in metered street spaces, private flat lots and privately managed garages. The garages offer direct entry to the

convention center via Cincinnati's Skywalk System.

The offices for Spectra, the management company at the Duke Energy Convention Center, are located on the second level at the Skywalk entrance (at Sixth Street and Plum Street).

Cincinnati Visitors Center: Located in the heart of downtown on Fountain Square, the Visitor Center is the place where visitors and locals alike can learn about the region’s many options for fun, dining, shopping, hotels, attractions, recreation and more. In partnership with the Cincinnati Police Department, the Cincinnati USA CVB opened the new Visitor Center on Fountain Square in 2010. It serves both local residents and out-of-town business and leisure travelers. Residents can get information about events, attractions and ideas of things to do in the region, while visitors can find information, directions, special event calendars, dining options and more. Housing We have found a wonderful partner in Conference Direct to handle all our housing needs. When searching for a housing service, our #1 priority was customer service. This is our 5th season working with Conference Direct. They have arranged for a variety of hotel options for your teams. Upon registering for the Buckeye Battle on AES, your confirmation email from AES will include a link to the hotel booking page. You can also access the form by clicking on a link that is TBD. You will need to reserve your rooms with a credit card.

The JVA does not have a “Stay to Play” policy. We have secured the best prices available and hope that you will use the rooms in our block. In addition, our housing service, Conference Direct, has arranged for incentives for teams to block rooms under our contract. JVA receives $10/room booked which helps support the mission of JVA. This event is one of our only major fund raisers. In addition, we are in line to receive a substantial credit to our cost for the convention center based on the number of rooms booked in the Cincinnati area. The room pick-up also impacts our negotiations with the convention center for best pricing in the future.

Incentives to use JVA Housing:

For every 60 rooms booked and utilized per night, the club will earn one complimentary room for that night (players, parents and coaches must participate).

Hotel Cancellation Policy: - Cancellations must be made directly thru the hotel. All cancellations will adhere to each hotel’s individual cancellation policy. Please make sure you are aware of your hotel’s cancellation policy.

Team Check-In Information All teams need to check-in at the Duke Energy Center prior to beginning play. Team check-in will take place in a location TBD.

Check in times for all teams are: Friday, 5:00-9:00pm and Saturday, 7:00am

Teams that play in the PM wave on Saturday may check in up until noon. *Teams that play Saturday morning and wait until Saturday morning to check-in will be helped on a first-come, first-serve basis. Your team will have to wait out in the lobby until the coach has checked in and has the team’s credentials. Please give yourself enough time and please make sure your roster is good to go.

The Team Rep or Coach must check-in their team. The Team Rep or Coach will be asked to verify and sign their roster. This roster will be the official roster for the event. No additions or changes to a team’s roster are allowed once a team has begun competition. At team check-in:

1) We will ask for a cell phone contact for each team. 2) You will need to verify the roster including uniform numbers. Each player is required to wear the

same jersey number throughout the entire event. This applies to all players in the libero position as well.

3) You will need to turn in the JVA Coaches’ Sign-In Form. By signing this form, you are stating that you have access to all of your players’ JVA Release of Liability Forms and Medical Release and Waiver Forms. “Access” means you have hard copies in your possession or log-in rights to the electronic file of forms. You will NOT need to turn in these forms.

4) Players and coaches may be added to the roster at the time of Team Registration but they must be able to show verification of background screening.

5) If you have a chaperone on your roster and they have a verified background screening, they will receive credentials.

Awards

A team plaque and medals will be awarded to teams that finish 1st through 3rd in all Gold Divisions. 1st place in Silver and Bronze Divisions will receive team plaques.

Team Eligibility Age Definitions Team members must meet the Age Definitions for their age group. Age Waivers will be accepted for this event if the player is in the same grade as her teammates and not more than one year older than the age definition listed below. The Team Rep/Coach must present proof of grade and a copy of a birth certificate prior to team check-in.

18 and Under – Players who were born on or after September 1, 1998 17 and Under – Players who were born on or after September 1, 1999 16 and Under - Players who were born on or after September 1, 2000 15 and Under - Players who were born on or after September 1, 2001 14 and Under - Players who were born on or after September 1, 2002 13 and Under - Players who were born on or after September 1, 2003 12 and Under - Players who were born on or after September 1, 2004 11 and Under - Players who were born on or after September 1, 2005 10 and Under - Players who were born on or after September 1, 2006

Age Waivers* JVA allows age waivers for players whose teams will compete in the club divisions. Age waivers are allowed for players who are in the same grade level as their peers and who are not more than a year older than the current age definition (above). Team reps that are requesting age waivers need to send to the JVA office a note requesting the age waiver that includes the club name, team name, player for whom the waiver is requested; proof of grade (copy of school schedule, school id, etc.) and copy of a birth certificate. JVA Insurance Forms Every participant listed on the Team Roster must complete the following: JVA Release of Liability Form JVA Medical Release and Waiver Form** **The USAV Medical Release Form is accepted The Head Coach must have hard copies of these forms with them at all times OR have online access to them at all times. The forms do NOT need to be turned in at team check in. The Coach or Team Rep will turn in a Coaches Sign-In Form that assures JVA event staff that you have access to all the necessary forms. Background Screening Every adult on a Team Roster must have a current, clear background screening. JVA recognizes USAV and AAU background screens. If a coach or chaperone is not a USAV or AAU member, they can secure a background screening from JVA. The cost is $20 and the screen is automatically renewed after one year and good for 2 years. JVA Background Screen is through NCSI. JVA will verify rostered adults for JVA Background Screening. If an adult has a screening with USAV or AAU, the member number needs to be included on the official event roster.

We will not know the exact schedules until about a week before the event. Teams will participate in pool play Saturday and bracket play on Sunday.

It is our goal to have everyone finished by 6:30p.m. on Sunday.

The entry fee for the tournament is $495.

*JVA Member Clubs registered by February 1st get a reduced fee of $465/team* *Registered by February 1st means entered in AES and Entry Fee postmarked by February 1st*

Divisions of Competition

Competition will be offered for girls’ teams in the following divisions:

Roster Submission

Complete Rosters are due in AES by March 10th. Complete rosters including verification of

background screening (see team eligibility on p. 9) for all adults on roster, and submission of paper work for any player for which an age waiver is requested. Teams whose rosters are incomplete and not submitted by 12:00pm CST, March 10th, will be required to pay an additional “pain and suffering” fee of $50 at team check-in.

Team Drops and Refunds Teams that drop out before 6:00pm CST, Tuesday, February 1st, 2016

will be refunded their entry fee, minus a 20% service/handling charge. Teams that drop after 6:00pm CST, Tuesday, February 1st will NOT receive a refund.

Using the best available information, including results posted on AES, power league websites, region ranking systems and past history; teams will be seeded by a 7-member seeding committee:

JVA has contracted AES Results Management System to provide up-to-the-minute results. Schedules and results can be found and followed on any mobile device on the JVA Dig It APP, AES Xpress APP and www.advancedeventsystems.com. This is the official schedule. There will be no paper posting of pool results or schedules. There will a “Results Station” near the main Tournament Desk to look up results and schedules.

Vendor Showcase JVA is working to put together a great showcase of vendors at the 2017 Buckeye Battle! This will be an exciting past-time for participants between matches and will be located conveniently inside the Duke Energy Center. There will be a wide variety of vendor booths featuring everything that a volleyball player, parent, coach or club director could want: uniforms, casual clothes, training aids, and things that are just plain fun.

Odds and Ends Athletic Trainers

Athletic Trainers will be available inside the Duke Energy Center. Individuals should provide their own supplies. Supplies (tape, pre-wrap, etc) will also be available for purchase, if needed.

Facility Rules No coolers will be allowed. Seating will be available for spectators on all courts; folding chairs will not be allowed in the Duke Energy Center due to potential fire hazard if open aisles were to be blocked.

Tournament Souvenirs

Rox Volleyball & Molten are the tournament sponsors and will have booths set up in the Duke Energy Center. The Pro-Shop will have tournament t-shirts, and a wide variety of volleyball apparel will also be available.

Rules of Play The 2015-17 USAV Domestic Competition Regulations will be in effect with the following exceptions:

Match Format / Warm-up Procedures

All divisions will play best of 3-set formats. Divisions that have 3-team pool(s) with no cross-over match in combination with 4 team pools in the same division will play all 3 sets to 25. Pool finish will be based on set percentage as all 3 sets will count for finish placement. 3-team pools are not our recommended format and we will do everything we can to avoid them. However, there are times where it is completely unavoidable.

All cross-over and challenge matches will be “match play”, best of 3 sets.

Matches will move ahead of schedule if time allows with the following exception: Warm-ups for matches in the 15 through 18 divisions will not begin more than 25 minutes ahead of schedule.

All warm-ups will be 2-4-4 (2 min. shared ball handling, first 4 min. court-time for serving team & last 4 min. court-time for receiving team). Teams must serve within their court-time. The team off the court should assist in ball-shagging during the on-court teams’ warm-up.

Match formats for each of the divisions will be available online at www.advancedeventsystems.com.

Officials and Team Officiating Responsibilities The Head Official will schedule a First Referee for each match. Work teams will need to provide a Second Referee, Official Scorer, Visual Scorer, Libero Tracker and 2 Line Judges. An adult on the official roster needs to be courtside at all times. The work team needs to report to the Head Official no later than the beginning of the serving team’s warm-up. For each minute the work team is late or incomplete, one point will be given to their next opponent (up to 25-0 forfeit). Each work team must have an adult present and identified to the R1 during a team’s work assignment. Pre-Match Protocol (All Non-Gold Finals)

Prior to the start of the 1st set, the full teams will line up behind the service line. At the signal of the head official, they will proceed to the center line to shake hands with their opponents. The starting line-up will remain on the court for the line-up check, and the libero shall be waived in by the head official.

Tie Breakers – DO NOT LEAVE THE HALL AFTER POOL PLAY UNTIL YOU KNOW THE RESULTS OF YOUR POOL The Tie Breaker Procedure outlined below will only be enforced in the event of a 3-way tie in which one of the teams would be eliminated from moving into the Gold Division. For all 2-way ties, the team that won the pool play match (head to head) between the two teams tied for position will take the higher position.

3-way ties for non-gold division placement will be decided by the following CRITERIA: - Match %: matches won divided by matches played - Set %: sets won divided by sets played - Point %: points scored divided by the total points scored by the teams opponents in that pool - Coin Flip

3-way ties for teams all moving onto gold division placement will be decided with CRITERIA above

3-way ties for 1st place, with 2 teams moving into the Gold/Championship Division - The team with the greater set %/point % (as described in the CRITERIA above) shall be awarded

first place. The other two teams shall play one 15-point set for the remaining playoff position. The team that wins the playoff set will be awarded 2nd, the loser will be awarded 3rd. The team that was awarded first will provide the work team for the play-off.

3-way ties for 2nd place, with 2 teams moving into the Gold/Championship Division - The teams will be seeded using the CRITERIA above. The team seeded 1st will be the bye team and

play the winner of the set between the two remaining teams. The team that was seeded 1st will provide the work team for the 1st playoff set. The loser of the 1st playoff set, will be the work team for the 2nd playoff set.

If, due to formatting, there are any other tie scenarios, the procedure outlined in the USAV 2015-2017 Rule Book, page 245-246, will be followed.

**If one of the teams in a 3-way tied pool leaves the site before the determination that a tie-break is necessary, that team will automatically become the lowest placed team (among the teams that are tied) and the remaining 2 teams will play one tie-breaking set to 25 if needed, with a work team to be assigned.

Rules of Play for Youth Divisions and Youth Boys Participation*

U-11 Divisions will use the same rules as U-12 but allow for the step-in on the serve as above.

U-10, 11, and 12 boys' teams will be allowed to compete in girls' events at age level.

U-13 and 14 boys' teams are allowed to compete in girls events up an age level.

Co-ed teams with no more than 3 boys on the floor, at any one time, are allowed to play in girls events at age level.

*AAU Girls Nat’l Championships does not provide for boys participation on girls teams or in girls divisions.

Code of Conduct / Disciplinary Action Any participant listed on the Official Roster who is causing unfavorable situations either prior to, during, or after the event is subject to disciplinary action by the Tournament Director(s).

ATTENTION Anyone discovered in possession of or consuming illegal substances will be automatically

expelled from the event. There are no warnings for alcohol or drug consumption by players or any other underage person whose name appears on the official roster.
