RI RESOURCE EXTRA
REGIONAL INFORMATION BULLETIN
ROTARY INTERNATIONAL SOUTH PACIFIC AND PHILIPPINES OFFICE
AUGUST 2015 VOL 9 No 2
Dear District Governors
Welcome to the August edition of our Rotary resource bulletin to you.
August is the designated Membership and New Club development month. Worldwide there is a lot of
activity helping clubs achieve their goals. Clubs throughout our region are organizing combined
seminars for Membership and Public Image. In the Philippines and New Zealand some will even extend
their seminars into September whilst in Australia, on the 5-6th of September, there is the Australian
Success conference being held in Canberra. RIDE Noel Trevaskis has organized this special event to
assist clubs and districts build for the future. .
In August, management was indeed
fortunate to interact and present at the Zone
7B and Zone 8 DGE networking weekend. Led
by RIPE John Germ, RID Guiller Tumangan,
RIDE Noel Trevaskis and staff members from
the Sydney Office of Rotary International
( TRF; CDS; Finance and Publications), the
event served as an opportunity to interact via
20-minute interviews with DG’sE.
In this issue…
My TRF team, led by PDG Bruce Allen, has produced some
data for July 2015. Although it is quite early to draw any con-
clusions about how the year will end, it demonstrates where
the strength has begun. Even as we try and apply forecasting
models, one of the difficulties is that most of Zone 8’s contri-
butions transpire in the last quarter of the Rotary year.
I look forward to meeting many of our Australian Rotarians in
Canberra. I will be attending and speaking on Rotary
Community Corps (RCC) and am thankful to be given this
opportunity.

The developmental priorities in Zones 7B and 8
--(1) promoting and maintaining and good
health, (2) safeguarding ecology sustainably, (3)
developing the supply chain and markets, and
(4) adding value and productivity -- are
excellent opportunities to establish the relevance
of Rotary’s Service ideal and internationality as
well as Vocational Service. The schedule of multi-
district activities likewise convey the solidarity
and collective accountability of Rotarians to
innovative social change and peace. With the
advances you have made in public image
initiatives as well as the openness of clubs to
engaging Rotary Alumni and young
professionals, I am confident that membership
growth will be a natural consequence.
In the July message of President Ravi, he
extolled the role of friendship in breaking poverty
mindset. Let us use friendship to inspire
generosity. For those who cannot commit to
being a Rotarian because of time constraints, let
us tap into their Rotary hearts and invite them to
make The Rotary Foundation one of their
preferred charity organization. Have more
friends of Rotary!
With the success of the visioning activities in
Zones 7B and 8, the stage is set to align the
districts’ annual milestones to the RI’s key
performance indicators, the presidential citation
program, and the Rotary Club Central tracking
system. For this purpose, I appeal to all Rotary
leaders to explain the value added by each of
these systems in improving our global impact.
The key performances indicators (KPIs)
encourage us to engage the hearts/heads/hands
of Rotarians through effective board involvement
in good governance at the club level and
sustained member engagement. The Presidential
Citation Program is more than an award, it is the
visible expression of our solidarity as a world
fellowship. The Rotary Club Central is both akin
to a customer service management but more
importantly, it is a symbol of our commitment to
accountability and transparency.
I believe these three systems will redound to the
attractiveness of our organization especially to
the millennial generation, to more customized
social initiatives and to sustainable high impact
programs and projects in our areas of focus.
Let us show the world we are One Rotary!

THE ANNUAL FUND OF THE ROTARY FOUNDATION
Pictures paint a thousand words and from the picture below we can see where we are at end of the first
month of our Rotary year. We focus on the Annual Fund because it is the major
contribution area with just on 75% of all contributions going here. This is the fund that
delivers our DDF and our ability to deliver the grants and scholarships so that we can “do good in the
world”.
We have some big challenges this year
with the Annual Fund
budgeted at US $130m - up from
$123m in 2014-15. While in
Australia and New Zealand we have
the issue of currency devaluation to
contend with, Districts with strong
Paul Harris Societies can deliver some
strong insulation.
The good news is that we are well
placed to grow this important
segment of contribution and
recognition. All but two Districts in our
Region have a Paul Harris Society
chair, which is 95% of all our Districts. We are well ahead of the rest of the world where 43% of all
Districts have a Paul Harris Society.
Congratulations must go to D9800 which is the first District in our region to pass 100 Paul Harris
Society members in a District. As you all know, in 2016-17 we will celebrate 100 years since the
establishment of what is now The Rotary Foundation. Let’s see how many Districts can achieve 100 or
more Society members before we enter that great milestone in our history.
Personal Giving is critical to success in achieving our contribution targets. As you can see from the
chart, the number of Rotarians
that make personal
contributions to The Rotary
Foundation is as low as 9.5% in
Zone 7B to over 90% in Zone 7A.
Australia and New Zealand can
play their part by improvement
in the number of
Rotarians that personally con-
tribute, but needless to say, the
efforts of those who do give now
are greatly
appreciated.

POLIO
We have never been as close as we are right now to the eradication of this disease. We have just recently
passed two major events in that we have now had Nigeria free of new cases for over a year and this was
followed by the wonderful news that the entire African continent has followed in similar fashion.
We are within the last 100m of a
marathon race so let’s not stumble and
fail. We have a great partnership with the
Bill and Melinda Gates Foundation. We all
know it’s the $2 for $1 deal and we have
that commitment from Bill Gates till 2018.
The big worry is the number of Clubs that
do not set a goal to contribute $1500 to
the campaign, or even make a
contribution. Please ask yourself, have
your clubs put their Polio fundraising
goals in place and what are their plans to
support this cause this year.
With only one leg of a 12 leg race it is
really too early to make any comment of
how we are performing with regard to
contribution. You should please spread the news throughout your District that we are in the home run
and that we need to put every available resource in place to ensure success. How good would it be for RI
President Nominee Ian Riseley to announce at the 2018 convention in Toronto that Rotary has succeed-
ed in wiping out polio? It would be a fitting tribute as a program started by an Australian RI President
and success announced by an Australian RI President. From humble beginnings in the Philippines, to
the last case in either Pakistan or Afghanistan, we as Rotarians can truly stand proud of our achieve-
ments.
ROTARY CLUB CENTRAL
The setting of goals in Rotary Club Central is a great way to track club activities from a club and District
perspective. This replaces the Planning Guide used in prior years. This year the Presidential Citation
has two mandatory goals as follows:
Set at least 15 goals in Rotary Club Central
Pay July semiannual dues to RI on time.
It is important that clubs do record their goals and update progress along the way. Rotary Club Central
can also record Volunteer Hours and this is in the Service Projects area. Whilst some clubs may not
wish to record them against individual projects, some are creating a
project titled “Club Name Volunteer Hours” and recording the hours against that. This is assisting
them to record and track the hours contributed as a club and taking care not to include in an overall
line such as this and individual projects.

MY ROTARY
Registration for My Rotary is important for members of clubs when they want to find out what is hap-
pening with the Rotary website and more broadly. Online Tool Adoption is one of the
requirements for the 2015-16 Presidential Citation and the requirements are as follows in this area:
Clubs must achieve 2 of the following 4 goals:
Have at least 50 percent of club members registered in My Rotary.
Post at least one initiative on Rotary Showcase
Maintain a project in need of assistance on Rotary Ideas or contribute to a project on Rotary Ideas
Have at least two club members participate in Discussion Groups on My Rotary.
At this time, Districts 3800, 9810, 9685 and 9630 have just over 30% of members registered and Active
on My Rotary.
It is so easy to register for My Rotary, we encourage all members to log in and register. If any problems,
we can assist with advising of the email they have listed.
AGE PROFILE
Do you know the age profile of the clubs in your District?
One of the findings of a recent piece of work has been to review the age profiles of all Districts in Zones 7
and 8. Perhaps the most surprising aspect of this was the poor data in this respect with dates of birth or
even year of birth not recorded for members.
To enable Rotary at a Club, District, Zone or Global level to understand its membership, it is
important to have dates of birth included. They are not provided to anyone, but are used simply to deter-
mine the profile.
An example I can provide is as follows:
This update provides a much clearer picture of our membership story. If all clubs across our 37 Districts
could provide these updates, this data will be invaluable to all members and leaders to make decisions
based on facts, rather than not understanding their respective age profiles.
We ask all members of the Rotary leadership team to assist with sourcing this information. Please the
regional RI office if you have problems . Emails through to Jenny Coburn at [email protected].

FINANCE MATTERS
A month as passed since the July Invoices have been issued to clubs. These were all emailed to officers
in mid-July and for those who have not opted out of paper, clubs would have received the paper ver-
sions by last week at the latest.
The collection status per district can be found below - commendable results for Australia and New Zea-
land while the Philippines has yet to get past the 50% mark. This is understandable though because
while invoices were sent to the Philippine district governors via courier, these are yet to be distributed
personally or via the local postal system to clubs in more challenging geographical locations of the ar-
chipelago.
If clubs have yet to receive their invoices or require assistance with payment methods, please feel free to
direct them to this office.

PAYMENT REMINDERS
1. Please always email us at [email protected] if you have paid/contributed via direct deposit, electronic funds
transfers (EFT) or telegraphic transfers. This way, we will avoid having any unidentified deposits sitting in
our accounts that are unallocated properly.
2. Please use your club number as a reference to any payment done electronically. Club names are too long to
be captured in our bank statements as the fields have character limits. If we end up with “Rotary Club of C”
as an identifier for example, that would not narrow down the possible depositors at all!
3. Invoices are in US Dollars because this is the official currency of Rotary International. Please convert this to
Australian Dollar, New Zealand Dollar or Philippine Pesos as necessary. These are posted on MyRotary
using the following link: https://www.rotary.org/myrotary/en/exchange-rates
4. For all clubs except those in the Philippines, under Bank/Electronic Transfer payment instructions, the
following bank accounts (based here in Australia) in the respective currencies are available.
DUES PAYMENTS ONLY
1. For any issues related to RDU Subscriptions, please contact RDU at subscrip-
[email protected] or +612.9633.4888.
2 The collection period is now only up to 31 October 2015. Kindly ensure prompt payment of club’s
membership dues.
TAX DEDUCTIBLE RECEIPTS FOR TARFT CONTRIBUTIONS IN FY2015
Receipts to contributions have been generated automatically once these are reported into Rotary’s accounting
system. While this has been the case since October 2014, some donors may be having problems locating these
for tax purposes. Please contact Melissa Asanza at [email protected] if these need to be resent.

MEMBERSHIP MOVES FORWARD
As we are now well into Membership month, congratulations to all Districts who have been
active in growing your clubs. We have had some problems with the starting figures and will confirm
these as soon as they are available.
We encourage you to keep working with your clubs, to proactively deliver solutions to key membership
challenges and to invite clubs to attract members and engage with their local communities.
Club size is a current topic of conversation and one which will be considered at the 2016
Council on Legislation. All Institutes worldwide will be discussing a range of topics as
requested by the Board of Directors of Rotary and this is amongst these.
It is particularly interesting to note that our two smallest districts in terms of numbers of clubs – being
9980 and 9970 in New Zealand have the largest average club size of 43 and 37
respectively.
Australia and Philippines both have average club size of 27 members. We would love to hear your
strategies for how you are working to grow the Average Club Size in your districts at
SATELLITE CLUBS
A reminder that you need to complete the Charter form for Satellite Clubs and lodge them with our office
at Club & District Support prior to the chartering of the club or registering of new members.
NEW CLUBS Please email through all new club proposals, so we are aware of the activity in this area. One
area which we often strike problems is in the naming of the club. Please have your DG Special
Representative contact us early to ensure the name is in order, as this will then enable the
proposed club to establish website, email addresses, etc. with the knowledge that the name is
in order.
