The intended audience for this guide is Service Bureau administrators and managers. It contains information about how to use the reports feature in Advanced HR 2.0. The following is a list of the other Advanced HR 2.0 User Guides; all are available for download on the Evolution Resource Center:

Advanced HR 2.0 Reporting Guide Welcome to your Advanced HR 2.0 Reporting Guide! There are two ways to run reports in Advanced HR 2.0. You can run (and schedule) Standard Reports, or create Custom Reports (using the Quick Report Writer).
Running a Standard Report Advanced HR 2.0 has a library of standard reports that you can run by clicking on the green arrow icon to the left of the report. In the near future you will also have the ability to schedule reports to run automatically in Advanced HR 2.0. Standard Reports cover everything from Absentee Lists, New Hire Lists, to Workers Comp Types.

If you have Base Manager User access or higher, go to HR Admin – Reporting - Standard Reports to view and run the available Reports. The Standard Reports display in alphabetical order. The Standard Report List screen has the following column fields and buttons.

Note: Some reports are listed as Internal System Report. These reports are only available to Admins and above roles.
The following table describes the fields and buttons on the Standard Report List screen.
Field / Button Description
Actions The Action column options are:
Execute Report – Click this option to run the report and set the report properties depending on the type of report. Displays the Set Report Properties screen, see below. Note the hover text that appears when the mouse is over the Execute Report button.
Schedule Report – [This is future functionality] – the ability to be able to schedule a report to run at a specified date/time.
Name The name of the report.
Description The description of the report.
Category The category of the report; for example: Company Setup, Employee, Compensation, etc.
Active A read-only toggle switch indicating whether this report is active or not.
Available To The level of access you want to require (in other words – the roles) to which this report is available; for example: SuperAdmin.

In the Actions column, for each report, there are two options you can select:
Click on the green arrow (hover the cursor over the arrow to see that this is the Execute Report option). Click on the green arrow and you may be able to set the report properties depending on the type of report you are running. If so, the system displays the Set Report Properties screen.

You can only select one Company at a time
The Relative Date Type is a date range for the report
The Effective Date is the start or end date for the report. It may default to today but can be changed.
In the future, you will be able to click on the blue calendar button on a report row in order to schedule the report.
Recently added standard reports include Upcoming Reviews and Upcoming Events.
The Report that is generated It is a sortable popup that can be printed or exported as a CSV, PDF, Excel, RTF, TIFF, Web, or XPS document.

Tip: Make sure that in your Browser’s settings, that pop-ups are allowed. Some Browsers may have a setting where a pop-up blocker is on by default; if so, make sure the pop-up blocker has been disabled.

The following is a list of the Standard Reports available in Advanced HR 2.0. The list is sorted alphabetically by the Name of the report.
Note: Your Service Bureau may not have implemented all the reports in this list.

Creating Custom Reports with the Quick Report Writer (QRW) The Quick Report Writer (QRW) is an Advanced HR 2.0 tool that allows you to create customized reports on most data within Advanced HR.
The Quick Report Writer allows the user the select parameters (known as Concepts) to incorporate into a custom report. In addition, you can save the Custom Report you create to be generated multiple times. Note that you cannot have multiple company data in a custom report.

You can select an Existing Saved Report to use or create a new report. The next step is to select the Report Concept. The Report Concept is a dropdown that displays different areas of information to report on.

There are multiple Concepts to choose from, for example: Employee Concept. In addition, the user can add or delete parameters to have the report draw from. The concept you choose will dictate which fields are automatically selected for the report. For example, if you select Benefits, Advanced HR selects fields that relate to benefits as you can see in the screenshot on the right below.
The Report Concept dropdown currently lets you select from the following items:
You can only select one Report Concept for each custom report but it's important to note that each Report Concept has a set of Selected Fields that will be included in the report by default. See the screenshot below.

Advanced HR will also display a list of “Unselected Fields” (for each Concept) that can be added to the Selected Fields list by clicking on the green arrow button to the right of the field name. You can remove a Selected Field by clicking on the red trash can icon.

Note: For the Licenses, Classes, Certifications, and Review concepts, we have also added an Email Acknowledged option in the Unselected Fields dropdown to let you report on whether the employee has acknowledged these emails. For example, in the Classes Concept list of Unselected Fields shown below:

Once you have selected the fields for your report, you can adjust the basic settings which include:
Note: Employee ID is actually an alphanumeric field, so it does not respond as expected when used as a sort direction field. If you want to sort a report by Employee ID, it is best to do this after exporting the report into Excel.
You can also set simple or advanced filtering. A simple filter can contain multiple criteria as the example below demonstrates.

An advanced filter can be used to perform date and numerical comparisons, either alone or in conjunction with a simple type of search. In the following example we filtered first by hire date less than or equal to 12/1/2016 and a location of Las Vegas.
Recently added comparison operators include Not Equal (<>) and Not Like, as shown in the following screenshot.

You have four options at the bottom of the screen for Saving the Report:
Save/Update Report Configuration. If you save the report you must give it a Name.
Delete Report Configuration
Output to Screen
Output to CSV
Important Note: If a user creates a custom report, that report is associated with that person’s userid. The report cannot be accessed by another user – it is user specific.

Example of Creating a Custom Report using the Quick Report Writer
The following section is an example of how to use the Quick Report Writer to create a custom report that will list the company name and code, ID, employee first name, last name, and their birthdate.
1. On the HR Admin menu, within the Reporting pane, click on the Quick Report Writer menu item.
2. The system displays the Quick Report Writer screen.
3. In the Setup section of the screen, in the Report Concept dropdown, select Employee - Concept.
4. In the Unselected Fields section, select the First Name and Last Name fields under the Field Name
column and click the green arrow to move each of these fields to the Selected Fields section on the right side of the screen.
5. Search for and add the Birthdate field to the Selected Fields section. To do this, enter ‘bir’ in the find field search box in the Unselected Fields section. The system will display the Birthdate field below. Click the green arrow to the right of the Birthdate field to move it to the Selected Fields section.
6. In the Selected Fields section, delete all other fields EXCEPT: Company Name, Company Code, Employee ID, First Name, Last Name, and Birthdate, by clicking the trash can icon next to any unwanted fields. The Selected Fields section of the screen should now look like this:

7. In the Save Report Configuration section, enter a name for the Birthdate report in the Name field and optionally, a Description of the report.
8. Click the Save/Update Report Configuration button.
9. Click the green Output to SCREEN button.
10. The system will display your custom report at the bottom of the screen in the Generated Report section, similar to the following example.
Note that because you gave your custom report a name and saved its configuration settings, you can re-use the report in the future.
