Report Writer – Getting There Report Writer extracts information from one or more categories and presents the information in a specified format. It allows the user to select records that meet certain conditions and to display selected fields in rows and columns. To begin using Report Writer, navigate to Reports & Analytics > Reporting Dashboard > Report Writer. Once there, you can choose to Run a selected report, or Create a new report. Smart Tips Choosing Copy from the Report Writer main page will create a new report with the same attributes and formatting as the copied report. Report Writer – Getting There Report Writer extracts information from one or more categories and presents the information in a specified format. It allows the user to select records that meet certain conditions and to display selected fields in rows and columns.

Report Writer – Creating a New Report Choose the formatting and basics of your report.

Smart Tips Click the ? to find out more about the Setup options available for each field.

Smart Tip From the Setup area, choose whether you want to Create Report or Start From Preset (Preset reports will present the user with the report configuration settings used to create it and allow the user to change only those elements necessary to customize the report). Smart Tip

Report Name and Report Class are required fields.

Report Writer – Selecting Fields

Within the Select Fields & Sort tab, you will select which fields you want to be included in your report. You can navigate to where the field is stored within the system (e.g. Employee Info > Demographics > Last Name) or you can search for the Field in the “Field Search” box.

Smart Tip Filter what field lists you would like to choose from in the Show drop down.

Smart Tip To add a field to your report, check the box next to the field you want added then choose:

• Add Report Field to add the field to the “Report Fields” area without sorting included.

• Add Report Field & Sort to add the field to your report

and add the field to the “Sort” area. This will allow you to choose how you want the data within this field sorted on your report.

Smart Tip Choose Add Sort to add the field to the “Sort” area only; this will not add the field to your report.

Smart Tip When choosing a field that has a drop down associated with it, check the box within the drop down of the field value you want added to your report.

Report Writer – Formatting Fields

Once you have selected which fields you want in your report within the “Report Fields” area, edit the formatting (layout, font, etc.) by clicking the Pencil Icon ().

Smart Tip Choose Edit Report Body Font to select what font type, size, and formatting you want applied to the entire report.

Smart Tip Choosing to format your fields will give you the following options:

Text Field Number Field Date/Time Field

Smart Tip Select the order your fields will appear in by clicking the radio button next to the field and then clicking ↑ or ↓ to move the field up or down.

Report Writer – Filtering Data

Choose what fields the report will be filtered by from the “Select Fields”.

Smart Tip All fields used in your report will automatically be added to the “Current Report Fields” list.

Smart Tip Check the box of the field(s) you want added to your filters and click:

• Add Hard Coded – These fields will be hard coded into yourreport and cannot be changed at run time.

• Add Additional – These fields can be changed at run time.

Report Writer – Grouping

Grouping can be used to create subsections within a report leveraging specific criteria. Grouping by cost center is a common scenario resulting in separate sections with optional and/or customized group section headers/footers and subtotals.

Smart Tip Check the box of the field(s) you want to group your report information based on, and click Add Group.

Smart Tip All fields used in your report will automatically be added to the “Current Report Fields” list.

Report Writer – Header & Footer

Format the headers and footers for your report, including page numbers, Report Title, Run Date, and font choices.

Report Writer – Preview & Save

The Preview/Save tab allows you to filter the report and then Preview the Report you created. If you are satisfied with the report, at the top of the page you can click Save and Run to run the report, or click Save to save the report without running the report.

Smart Tip To access and run your created report in the future, go to either the Reports Library page or the Report Writer tab, and click Run.
