NEED

iDurante has developed this product to address the critical issues that each

facility manager is and will face in the digital age of IoT.

Some examples:

• Lack of visibility into room booking status. This causes a risk of

overbooking, under-use or disorganized use of spaces.

• Lack of tools for booking collaborative spaces.

• Difficulty in controlling and managing tools for collaboration and room

automation.

• Lack of statistical indicators on the usage of rooms and the related

technological resources.

• Inability to attribute hierarchies and access policies to different classes of

rooms.


SOLUTION IN BRIEF

Space Booking is an integrated work space management solution that fulfills the

needs of booking, monitoring and management of collaborative spaces.

The system allows you to:

• Book meeting rooms, desks, cars, parking areas via Outlook, GMail and

Web wizard, with your smartphone or instantly through tablet outside the

door or floor wallboard.

• Control domotics, video conferencing, all multimedia and IoT systems in

the room with a single intuitive graphic interface.

• Integrate existing environment such as building automations, access

controls systems, active directory

To ensure the effectiveness of company spaces we ensure the full and

continued efficiency of them through a package of dedicated services and

processes.


BOOKING SYSTEM

System solution enables a participant or chairman of a

meeting or conference to book a space suitable for meetings

with absolute simplicity, invite participants to video

conference simultaneously, request devices, accessories or

advanced services such as a translator, a secretary or

catering. The same product can manage meeting rooms,

desks, cars, parking areas.

TABLE PANELS

Table tablets positioned inside the meeting rooms enable

smart and intuitive management of domotic scenarios. For

example you can set up a video conference with a single touch

or even activate a projection scenario that includes the

lowering of lights and darkening of the room, share a

presentation and much more.

TOUCH PANELS OUTSIDE DOOR

Tablets placed outside the door allow viewing of the meeting

room's reservation status. They enable instant booking

(anonymous or with badge) / extend booking / check-in and

check-out.

TOTEM BOOKING SYSTEM

It enables users to search, book and check-in meeting rooms

and desks.

WAY FINDER

Used to verify the usage status of meeting rooms on a floor

or defined area of the building with a quick glance, facilitating

the search for the nearest free room

CUSTOMER SATISFACTION & FAULTY

Once closed the reservation you will be able to express your

opinion and/or notify any faulty reported.

DESK LABELS

Electronic labels 4.2’’ for showing status and owners of desks.


BOOKING SYSTEM

WEB WIZARD PORTAL (End user interface)

Event reservation can be easily done via web wizard tool that helps user to find

out and book a resource.

Every resource can be profiled and reservation based on its:

- capacity: number of people that can manage (ie. Number of seats avaialble

in a meeting room).

- technology: included in the resource and usable by end user (ie.

Videoconferene equipment, smartboard, monitor…)

- services: associated to a resource and that be requested by end user (ie.

Catering, taxi, hotel, concierge…)

Space Booking can distribuite resource based on location and tipology such as

meeting rooms, desk ,cars, parking areas.

Every resource can be set in one of the following way:

- self service: every reservation is automatically accepted by the system if the

resource is available.

- check-in required: a meeting room or a desk reservation can be subjected

to check-in process. In this way user who has booked the resource must apply

check-in task before use it. If he doesn’t the after a configurable timer the

resource becomes free for other users. Check-in process can be available via

PIN code, NFC/RFID badge or mobile app.

- after acceptance of a moderator: a moderator can accept or decline

reservation requests from end users.


RESOURCE MANAGER WEB PORTAL

The resource manager web portal allows administrator or secretary to access to

global resource scheduling and perform new reservation. This instrument

enables scheduling for third part peoples.

BRANDING: Logo.

INTEGRATION: Space Booking can be integrated to LDAP/AD or Single Sign

On.

MICROSOFT EXCHANGE

Bookings can be made with a few simple steps through Microsoft Outlook thanks

to the dedicated Exchange connector. Synchronization will be bidirectional in

order to let you manage bookings from space booking web portal and outlook at

the same time.

MS EXCHANGE REQUIREMENT

Supported Versions: Exchange 2010, 2013, Office 365.

Creation of resources type rooms for every meeting room (with impersonation)

on Microsoft Exchange with mailboxes.

Creation of a single user on Exchange with mailbox dedicated to Space Booking

service with full permissions on rooms calendars in order to enable sync in read

& write mode among the systems.

In case of integration with Exchange, the master database is Exchange and

Space Booking is in slave mode. This means that in case of network interruption

end users could continue to book a meeting via Exchange and once re-

established to connection with Space Booking, this one will start automatically a

new resync.

Additional info for security:

Space Booking doesn’t need access to end users mailboxes and/or calendars.

Space Booking server is the only contact point to Microsoft Exchange. Every

other feature available in the suite (ie. outdoor touches or wayfinder) is

connected to Space Booking and not directly to Exchange.


OUTLOOK PLUGIN

It’s also available a Space Booking plugin that can be installed on top of

Microsoft Outlook to extend features on client.

PLUGIN REQUIREMENT

Supported versions: client Microsoft Outlook 2013 o later for Windows OS.

Publishing of DNS records as follow (example):

100.100.100.1 spacebooking.companymail.com

Where 100.100.100.1 is the IP associated to Space Booking server and

companymail.com is the company mail domain.


GOOGLE MAIL

Bookings can be made through webmail Google Mail. Synchronization will be

bidirectional in order to let you manage bookings from space booking web portal

and gmail at the same time.

REQUIREMENT FOR GOOGLE MAIL

Supported Versions: Google Business.

Creation of resources type rooms for

SPACE BOOKING MOBILE

You can :

• Manage your reservation (change/extend or delete)

• Create new reservation

• Activate a resource with check-in feature enabled

Free APP available on all APP stores.


ROOM CONTROLLER

SPACE BOOKING allows to control room reservation, domotics, video conferencing,

all multimedia and IoT in the room with a single intuitive graphical interface that

eliminates all existing remotes.

Room controller is an interface developed on Crestron domotic processor.

Available on xPanel for Windows e APP for Android/IOS.


SPACE MANAGEMENT

Book a room directly from the Room Controller, extend an

ongoing meeting and end the current meeting.

VIDEOCONFERENCE

Integration with room videoconferencing systems.Using the

device calls can be made and presentations, microphones,

cams and layouts can be managed.

DOMOTIC

Integration with room domotics systems. Managing

presentation scenarios and control technological equipment

(tents, lights, video projections).

VIDEO HELP DESK

New experience for an help desk service.

End user can call the Video Help Desk with just a click on

room controller.

Your support can manage all devices remotely for you.


OUTSIDE DOOR TOUCH PANELS

SPACE TOUCH

Outside door touch displays show status of meeting room and enable end users

interaction.

On every touch you can set up one or more of the following items:

- INSTANT BOOKING: anonymous booking for 30’’ minutes slot.

- EXTEND BOOKING: extension of the current meeting for 30’’ minutes slot.

- BREAK OFF: closure of the current meeting.

- CHECK-IN: in case of meeting with check-in process enabled end users could

validate and start the meeting directly from the touch. An e-mail including PIN

code associated to the event will be sent to all partecipants. Once confirmed the

meeting the reservation will be validated. In case of missed check-in the meeting

room will be free for other users.

In case of integration with NFC module every action could be authenticated via

NFC/RFID badge.

Branding: two custom logos in the footer bar (right and left).

BOOKING TOTEM SYSTEM

Inside the shared areas it’s possibile to install a totem with a touch display

enabled to:

- Identify the user via user id or badge

- Show existing personal reservation

- Make a search (map or photo) of meeting rooms or desks

- Activate check-in process

- Make a new reservation

Available from 15’’ to 32’’ (NFC reader option key).


SERVICES WALLBOARD

Each meeting is managed and serviced through a visualization tool for all current

bookings. In this way the technical staff can manage the individual needs of the

events and take immediate action in case of sudden needs. Wallboards can

integrate applications and information not just for meeting rooms, but also for

services such as catering, logistics etc.

satisfaction survey like follow:

spaces daily, always guaranteeing their complete operation.

BADGE NFC INTEGRATION

Check-in process or instant booking action can be enabled with badge NFC. NFC

reader is available only on Space Touch Lumen and enables identification of the

person via badge. Authentication is executed via LDAP/AD e requires a custom

attribute to be populated on directory folder.

CRESTRON INTEGRATION

In case of congress hall, auditorium or advanced meeting rooms with Crestron

domotic systems, it’s possible automatically startup a scenario when an event is

occurring or based on before/early temporary parameter.

MCU INTEGRATION

In case of videoconference infrastructure (Cisco and/or Pexip supported) it’s

possible (after presales survey) to enable integration in order to automate in a

sigle step booking process of a virtual room and autorun of video conference

call. This feature will enable end user to auto start the session without any other

remote controls.

BILLING MANAGEMENT

Module of billing management will enable cost management based on number

of partecipants, rooms, services associated to cost centers.
