myGateMurray StateUniversityprovides a secureportal to anon-line informationnetwork (myGate) to students and faculty. The system

providesup-to-dateaccesstostudentsenablingthemtoregisterandviewtheirclassschedules,gradereports,transcripts,degreeaudits,accountbalances,1098Ttax information,student loannotices,contact information,personal information(majors,advisors,residentialcollege,GPA,etc.),andaccountholds.StudentscanalsousemyGate torequestenrollmentverification,apply forgraduation, requesttranscripts,andupdatecontactinformation.Thissystemisinon-goingdevelopment,sootherfeatureswillbeadded.It is the student’s responsibility to check their myGate account regularly and to keep all contact information current.MoreinformationcanbefoundontheRegistrar’swebsite(www.murraystate.edu/registrar)orbyclickingthemyGatelinkonthewww.murraystate.eduhomepage.

AsapartoftheFreshmanYearExperience,newfreshmenhaveanopportunitytoscheduleforthefalltermduringasummerorienta-tionsession.Graduatestudentswhowishtotakeadvantageofadvancedschedulingmustbeadmittedbythefollowingdeadlines:April1forsummerandfallterms,andNovember1forthespringterm.Othersmayscheduleaftertheyareadmitted.Referenceshouldbemadetotheofficialuniversitycalendarfortheadvancedschedulingdatesforcurrentlyenrolledstudents.Specificschedulingtimesareassignedduringadvancedscheduling.Assignmentsarebasedonthenumberofsemesterhoursrecordedonthestudent’sMSUrecordplusthehoursenrolled(inprogress)atthetimeschedulingtakesplace.A student who attends a class without being properly enrolled will not re-ceive credit. Courses must be scheduled in the semester in which the actual coursework is completed. Attendance is expected on the first day of classes.Beforeastudentisconsideredregistered,he/shemustbeproperlyenrolledinclassandhavemadepaymentofrequiredfees.Onceastudentisofficiallyenrolledinacourse,he/shewillgainaccesstotheircoursesonCanvas.

Academic Advising Beforeastudentmayschedule,heorshemusthaveconsultedwithanacademicadvisorabouthisorherproposedclassschedule.Un-

dergraduatestudentshaveablockontheirregistrationaccessthatcanonlyberemovedbytheirassignedacademicadvisor.IntercollegiateAthleticsandHonorsProgramstudentsarerequiredtohaveadditionalapprovalfromtheappropriateprogramadvisor.

HoldsStudentsshouldchecktheirmyGatetoviewallcurrentholds.Holdsmustbeclearedpriortoschedulingclasses.Studentswiththefol-

lowingsituationswillnotbepermittedtoregisteruntiltherelatedissuehasbeenresolved:anundergraduatestudentwhohasearned45semestercredithoursandislistedwithan“undeclared”major;anundergraduatestudentwhohasearned60semestercredithoursandiscompletingamajor(asopposedtoanarea)andhasnotofficiallydeclaredasecondmajororaminor;anystudentwithanincompleteadmissionfile;anyoneonacademicsuspension;astudentwhohasanyindebtednesstotheuniversity;andanystudentwhohascompletedadegreeorcertificateandhasnotbeenadmittedtoanewprogramorstatus.

Credit HoursMurrayStateUniversitymaintainshighacademicstandardsinitscurricularofferingswithprocessesinplacetoensureconsistencyin

credithoursawardedandappropriatedesignationforthelevelofcoursecontent.Theuniversityoperatesonasemestersystemwithonehourofcreditequaltoaminimumoffifteenone-hoursessionsoflectureorthirtyone-hoursessionsoflaboratory,studio,orpracticeandtwohoursofout-of-classworkeachweek,ortheequivalentbasedonthelengthofsemester.Allcoursesarereviewedforcredithourcom-plianceandapprovedbytheUniversityAcademicCouncilbasedonproposalssubmittedbyanacademicdepartmentandroutedthroughitsacademiccollege/school. It istheresponsibilityofeachacademicdepartmenttomonitoritscoursesforappropriatecontentandtodeterminetheappropriatelevelandamountofcreditawardedforcoursecompletion.

ItisthepracticeofMurrayStateUniversitytobeconsistentinitscourserequirements,academicrigor,credithouraward,andexpecta-tionofstudentperformanceforanygivencourse,regardlessofcourselevel,format,ormodeofcoursedelivery.Ifacourseisofferedbothinatraditionalcampus-basedformatandviaanasynchronous,distance-basedmodel,thecontentandcreditawardedmustbeequivalent.Forcurricularcomponentsofferedonlyasdistance-basedcourses,theacademicdepartmentisexpectedtoprovideadeterminationandjustificationfortheappropriateamountofcreditawarded.Thisdeterminationisbasedonanexpectationthatafixednumberofcredithoursisassignedforthesuccessfulcompletionofcourseactivitiesandachievementofcoursecompetenciesasstatedinthecoursesyl-labus.

EachacademicyearconsistsofafalltermthatbeginsinAugust,awintertermthatbeginsinDecember,aspringtermthatbeginsinJanuary,andasummertermthatbeginsinMayandincludesseveralsessionsofvaryingdurations.Eachtermmaycontainparts-of-termwithinthatsemesterwhereclassesbeginandendatadifferenttimethana‘fullsemestercourse’.Theseparts-of-termclassesarewhollycontainedwithinasingleterm.Allgradesforparts-of-termcourseswillberecordedattheendoftheentireterm.Duetothenatureofschedulingcoursesduringcertaintimeswithinrespectiveterms,theuniversitymayapproveacredithourequalto50-minutesofinstruc-tionaltimeeachweekortheequivalentthereof.Inallcases,theinstructorisexpectedtoutilizeextraout-of-classcommunicationandactivitieswiththestudenttojustifyanytimemodification.

ClassificationAll students must comply with University policies, regardless of classification. Undergraduate LevelFreshman fewerthan30semesterhoursofearnedcreditSophomore 30to59.9semesterhoursofearnedcreditJunior 60to89.9semesterhoursofearnedcreditSeniors aminimumof90semesterhoursofearnedcreditPost-Baccalaureate studentstakingundergraduateclassesafterreceivingabaccalaureateorhigherleveldegreeGraduate LevelGraduate studentsworkingonanadvancedcertificate,degree,orcertification

Course Numbers Thenumbersusedtoidentifycoursesareasfollows:001-099 specialcategorypost-secondaryand/ordevelopmentalcourses100-299 lowerdivisionundergraduatecourses300-499 upperdivisionundergraduatecourses500-599 upperdivisionundergraduatecourses(requiresatleastajuniorclassification)600-799 graduatecourses800-999 doctoralcourses

(Studentsdesiringgraduatecreditmustbeadmittedtograduatestudiesprior toschedulinga600-levelorhighercourse.500-levelcoursestakenasanundergraduatestudentshouldnotbeusedtofulfillrequirementsforamaster’sorspecialistdegree.AsofSpring2011,500-levelclassesareforundergraduatecreditonly.)

Student Course Load Auditedanddevelopmentalclassesareincludedwhendeterminingthetotalhoursinastudent’scourseload.

•Undergraduate Students Theminimum full-timeundergraduatecourse load is12 semesterhours. The typical load is16hours. Studentspursuingapproved

cooperativeeducation/internshipcreditwillbeconsideredfull-timestudentswithfewerthan12semesterhours.Studentsadmittedwithconditionsoradmittedwithrestrictions,andthosewhoareonacademicwarningoracademicprobationarerestrictedto16hours.Sincethemaximumloadwithoutspecialapprovalforotherundergraduatestudentsis19semesterhours,itisnotpossibletoscheduleformorethan19hoursviamyGate.Ifanexceptionistobemadeinanyindividualinstance,theundergraduatestudentmustbeatleastsophomorestandingandhaveanoverallgradepointaverageofatleast3.00orhaveearnedatleast12hourswitha3.00fortheprevioussemester.AnapprovedUndergraduateOverloadform,signedbythestudent’sacademicadvisorandcollegiate/schooldeanmustbetakentotheRegis-

trationOffice,SparksHall.Undernocircumstancesmayanundergraduatestudentenrollinmorethan22semesterhourswithoutapprovalandaletterofjustificationfromthestudent’scollegiatedeanandtheProvostandVicePresidentforAcademicAffairs.

AstudentenrolledconcurrentlyatMurrayStateandanothercollegiateinstitutionmaynotenrollinacombinedcourseloadthatex-ceedstheapplicableMurrayStatestudentloadregulation.

Freshmanandsophomorestudentsmaytake300-levelor400-levelcourseswiththeapprovalofthechairofthedepartmentinwhichthecourseisoffered.Sophomoreswhowillbejuniorsbeforea500-levelcoursebeginsmayscheduleforthecourse,withtheunderstand-ingcoursesmayberemovedfromthescheduleifjuniorstatusisnotattainedbeforethecoursebegins.Onlythosewhoareclassifiedasgraduatestudentsmaytake600-levelorhighercourses.

•Graduate Students Theminimumfull-timegraduatecourseloadisninesemesterhours.Sincethemaximumloadwithoutspecialapprovalforgraduatestu-

dentsis13semesterhours(maximumsincludeundergraduateandgraduatelevelcourses),itisnotpossibletoscheduleformorethan13hours via myGate.Ifanexceptionistobemadeinanyindividualinstance,thegraduatestudentmusthaveanoverallgradepointaverageofatleast3.00.AGraduateOverloadformsignedbythestudent’sprogramcoordinatorandcollegiate/schooldeanmustbetakentotheRegistrationOffice,SparksHall.Undernocircumstancesmayagraduatestudentenrollinmorethan16semesterhourswithoutapprovalandaletterofjustificationfromthestudent’scollegiate/schooldeanandtheProvostandVicePresidentforAcademicAffairs.Undernocircumstanceswillanoverloadexceptionbegrantedtoastudentwhodoesnothaveacumulative3.00GPA.Nooverloadrequestswillbeapprovedforgraduateassistants.

Tobeeligibleforanassistantship,studentsmustbeadmittedtoagraduateprogramatMSU,haveearnedacumulativeGPAofatleast3.00,andbeenrolledinaminimumofsixgraduatecredithoursatMurrayState.Tomaximizeacademicsuccess,graduateassistantsmaynotcarryacourseloadexceeding13hours.Graduatestudentsintheirfinalsemesterofcourseworkmaypetition(inwriting)theUniversityGraduateCoordinatortoqualifyforanassistantshipwhileenrolledinfewerthansixgraduatehours.Non-residentgraduateassistantsseek-ingthein-statetuitionequivalencymustbeenrolledinaminimumofsixhoursofgraduatecoursework(duringfallandspringsemesters)andworkingaminimumof20(butnotmorethan25)hoursperweek.Duringthesummer,studentsonanassistantshipmustbeenrolledforaminimumofthreehoursofcoursework.

Course PrerequisitesStudentsarerequiredtocomplywiththemostcurrentcourseprerequisitesatthetimetheyregisterforthecourse.Themostcurrent

courseprerequisitesarelistedontheonlinescheduleofclassesfoundonmyGate and in the most recent Academic Bulletin.

Schedule ChangeNOTE: Dropping below full-time status may affect total fees, benefits, insurance, financial aid, athletic eligibility, veteran benefits,

international status, scholarships, etc. It is the student’s responsibility to comply with all such policies.Anyschedulechangesshouldbeapprovedbythestudent’sacademicadvisor.Additionalapproval isrequiredforathletes,students

intheHonorsProgram,veterans,internationalstudents,andthosewhowishtoauditaclass.Forchangesthatdonotrequirespecialap-proval,thestudentmayusemyGateduringthepublisheddrop/addperiods.FormsforchangesthatrequirespecialpermissionshouldbetakentotheRegistrationOfficebythepublisheddeadline.

Droppingaclassbeforetheendofthefirstdropperiodwilleliminatethecoursefromthestudent’spermanentrecord.Forclassesdroppedduringtheseconddropperiod,thestudentwillreceiveagradeofwithdrawn(W).Consultthecurrentuniversitycalendarfordatesanddeadlines.

Students should review their schedule on myGate after making changes to verify all transactions have been processed. Schedule Change Fee. Effective Fall 2014 any course change after the published deadline may be subject to a $50 schedule change fee.

Auditing of CoursesAnauditorisonewhoenrollsandparticipatesinacoursewithoutexpectingtoreceiveacademiccredit.Astudentmaynotschedule

forauditorchangeacoursefromCREDITtoAUDITviamyGate,sincethepermissionandsignatureoftheinstructorarerequired.TheauditpermissionformisavailableintheOfficeoftheRegistraroronthewww.murraystate.edu/registrarwebsite.Studentsinterestedinauditingacoursemustsecurewrittenpermissionfromtheinstructoranddiscusscourserequirementspriortoenrolling.TheapprovedauditpermissionformmustbesubmittedtotheRegistrationOfficeforprocessingbythepublisheddeadline(seeAcademicCalendar).Thesemesterhoursofanauditedclasscounttowardfull-timestatusatMurrayState;however,audited courses do not have credit nor apply to any degree or certificate program and do not figure in completion hours required for NCAA, financial aid, or veterans’ benefits eligibility.Tuitionandcoursefeesarethesameforcreditandauditcourses.Coursesthatwereauditedmaybetakenforcreditinalaterterm.Alsoaclassmaybeauditedafterhavingreceivedcreditforthecourse,butanauditgradewillnotreplace/removeanearliergrade.Instructorsreservetherighttodenyauditpermissionfortheirclasses.

Regular class attendance is expected of an auditor. Because audited classes are considered load credit, instructors have the authority to fail an auditing student if he or she does not do the required work, or fails to attend the class.AsuccessfulauditwillberecordedontherecordwiththedesignationAU.

Anychangefromaudittocreditmustbedonebythelastdaytoaddaclass.Seetheuniversityacademiccalendarforpublisheddead-lines.AchangefromCREDITtoAUDITmustbedonebythelastdaytodropacoursewithaW,andrequiresthepermissionoftheinstructorofthecourse.Refundsforwithdrawalsfromauditedcourseswillbeproratedonthesamebasisasrefundsforwithdrawalsfromcoursestakenforcredit.

Time ConflictsTimeconflictsbetweentwodifferentclassesmaybeapprovedifthetimeconflictis15minutesorless.Timeconflictsmustbeapproved

byoneorbothinstructorsinwriting.ThestudentwillsubmitanapprovedTimeConflictFormtotheRegistrationOfficeforprocessingbythelastdaytoaddaclass(seeAcademicCalendar).TheAudit/TimeConflictFormisfoundontheOfficeoftheRegistrarwebsite,www.murraystate.edu/registrar.

OverridesCourseoverridesmaybegivenatthediscretionoftheindividualinstructor,chairofthedepartmentordeanofthecollege.

Withdrawal StudentsdroppingallclassesmustsubmittheirrequesttowithdrawfromthesemesterviatheirmyGateAcademicstab.Contactthe

OfficeoftheRegistrarforadditionalinformationconcerningwithdrawalprocedures.Students who do not submit their official withdrawal request will receive failing grades in all of their courses.WithdrawalrequestsmustbecompletedbythelastdatetodropaclasswithaW(seeAcademicCalendar).Withdrawalswillberecordedonthestudent’spermanentrecord.RefundpoliciesarepublishedonlineeachsemesterintheofficialSchedule of Fees.

Withdrawingfromschoolbeforetheendofthefirstdropperiodwilleliminatethecoursesfromthestudent’spermanentrecord.Forwithdrawalduringtheseconddropperiod,thestudentwillreceivegradesofwithdrawn(W).Consultthecurrentuniversitycalendarfordatesanddeadlines.Withdrawalofanytypedoesnotremovethestudent’sfinancialobligationtotheuniversity.

Administrative WithdrawalStudentswhofailtomeettheirobligationstoMurrayStateUniversity,eitherfinancialoradministrative,maybeadministrativelywith-

drawnfromtheuniversityandloseallcreditbeingattempted.Thisincludesstudentswhowithholdorfalsifyinformationondocumentsduringtheadmissionprocess.

Active Duty Deployment WithdrawalIfanactivedutyserviceperson,anationalguardsmanorareservistisdeployedduringthesemester,he/shemaywithdrawfromthe

universitywithoutpenaltyasofhis/herdeploymentdate.ThestudentmustsubmittheirwithdrawalrequestviatheirmyGate Academics tabandprovideproperdocumentationtotheRegistrationOfficeassoonaspossible.ContacttheRegistrationOfficeat(270)809-3776ormsu.registration@murraystate.eduforadditionalinformationonthewithdrawalprocessandrequireddocumentation.

Academic RecordsDemographic and Address Change

AnystudentwhochangeshisorhernameorsocialsecuritynumberisexpectedtonotifytheOfficeoftheRegistrarandprovidere-questeddocumentation.Changingone’snamedoesnotchangethenameprintedonthediploma.Tomakethechangeonthediploma,thestudentmustcontacttheGraduationOfficeat(270)[email protected].

MurrayStateUniversityrecognizesstudentsmaywishtouseanameotherthantheirlegalname.Whenrequested,theuniversitywilluseapreferredfirstnameoncertaindocumentsandonlineinformationsources.Theofficial/legalnamewillremainonyourpermanentrecords,includingbutnotlimitedtoacademic,employment,andtaxrecords.Students may not designate a preferred last name. Students are encouraged to add a preferred first name using the Preferred First Name Form as found on www.murraystate.edu/registrar prior to the start of a semester to assist instructors in consistently addressing a student throughout the course of a semester.

Grade Appeal MurrayStateUniversity recognizes thatdifferencesofopinionor interpretationmayarisebetween studentsand facultymembers

regardingtheassignmentofcoursegrades.Theuniversityurgesthestudenttofirstseekresolutionthroughinformaldiscussionwiththeappropriatefacultymember.Thefollowingpolicyhasbeenadoptedasaformalavenuefortheresolutionofastudentgrievanceorappeal,intheeventthatsuchdifferencescannotberesolvedinformally.Theuniversityrecognizestherightofastudenttopresentagrievancetoanestablishedcommitteeandtohavethatgrievanceconsideredonitsmeritbyanexpeditiousandorderlyprocess.ItshouldbenotedthatsituationsinvolvingacademicmisconductshouldbedirectedtotheUniversityJudicialBoard.

temptedatMurrayStateandacceptedcourseworkfromotheraccreditedinstitutions.Gradepointaverages(GPAs)arerecordedforeachsemesterandacumulativeGPAisrecordedforeachlevelofcoursework(undergraduate,graduate,ESL).Ifastudentearnscreditatthesamelevelaftercompletingadegree,thecumulativeGPAwillreflectallcourseworkpriortoandafterthedegreewasawarded.

Family Educational Rights and Privacy Act (FERPA)TheFamilyEducationalRightsandPrivacyAct(FERPA)affordsstudentscertainrightswithrespecttotheireducationrecords.Theserecordsinclude:

1.Therighttoinspectandreviewthestudent’seducationrecordswithin45daysofthedaytheUniversityreceivesarequestforac-cess.Studentsshouldsubmittotheregistrar,dean,headoftheacademicdepartment,orotherappropriateofficial,awrittenrequestthatidentifiestherecord(s)theywishtoinspect.TheUniversityofficialwillmakearrangementsforaccessandnotifythestudentofthetimeandplacewheretherecordsmaybeinspected.IftherecordsarenotmaintainedbytheUniversityofficialtowhomtherequestwassubmitted,thatofficialshalladvisethestudentofthecorrectofficialtowhomtherequestshouldbeaddressed.Releaseofsuchinformationisatthediscretionoftheregistrar.

Military Federal Tuition AssistancePost 9/11, (Chap. 33) Yellow Ribbon Program

Effectivewiththefall2012semester,MurrayStateUniversityisparticipatingintheU.S.DepartmentofVeteransAffairsPost9/11,Chap.33YellowRibbonProgram.

Ifyourtuitionandfeechargesexceedthein-statetuitionandfeeamountspayableunderthePost-9/11GIBillwhilethestudentisen-rolledatMurrayStateUniversity,additionalfundsmaybeavailablethroughtheYellowRibbonProgram.InstitutionsofhigherlearningthatenterintoaYellowRibbonProgramAgreementwithVAwillchoosetheamountoffundstheywillcontributetowardtuitionandfees.VAwillmatchthatamountandissuepaymentdirectlytotheinstitutiononthestudent’sbehalf.
