An inefficient dunning and debt collection system duplicates costs, because not only the possible default but also the collection costs will lead to addi-tional losses. You are losing money and are paying on top. Thanks to CAM you will now be able to minimise your exposure to bad debt losses in an optimal man-ner and with maximum efficiency.

Our receivables management module enables the targeted, efficient handling of your dunning and debt collection processes – for individual customers or in a mass procedure, based on proposals or by a manual process. For each customer, you may suggest a pro-cess with actions like reminders by telephone, dun-ning letters or referral to collection service agencies. These actions may also be performed by CAM in a fully automated manner, if you desire and if this is possible.

Actions may be carried out as dunning run across files or as individual action. To each file, a dunning group may be consigned, defining, which actions are auto-matically initiated or suggested in which sequence and at which status of a document.

CAM generates a dunning letter in a fully automated process, e. g. with all documents still outstanding, highlighting the ones that are overdue. The template for this letter will be adapted specifically to your orga-nisation. When available, the documents can be sent directly to your printing line, thus keeping the manual effort created as low as possible at all points.

Ő Referral to collection service agencies

Do you cooperate directly with one of the following collection service agencies? In this case, you can transmit the supporting documents directly to the provider concerned. All further information and feed-back will still be available for you in CAM, so that you have an overview at all times. All actions carried out will be recorded, ensuring full access to the complete history of the customer.

Actions in CAM

The following actions are available to you: reminders by telephone, dunning letters and referral to collection service agencies. An action may be carried as dunning run across files or as individual action. All actions carried out will be recorded, ensuring full access to the complete history of the customer.

Example: Dunning letter

1. START ACTION “DUNNING LETTER” Once the dunning letter action has been initiated for a document, the related tasks are automati-cally executed. In the relevant file, a new page “dunning letter” is created.

The dunning letter is then automatically created and saved in CAM; it may be opened by clicking on the PDF-file and saved externally.

2. DUNNING LETTERSVarious, also multilingual templates for dunning letters can be consigned and edited by the user. It is also possible to run the dispatch automatically via a con-nected printing line

2. PROCESS ACTION IN A DUNNING GROUPFor each action within a dunning group, it is defined via multiple filters, which documents trigger a proposal for action, whether dunning breaks have to be consi-dered and whether an action is to start automatically.

1. OVERVIEW OVER DUNNING GROUPSA dunning group includes planned actions, their sequence, time-related execution features and limit-ations for supporting documents. All existing dunning groups are displayed clearly. Each dunning groups must be provided with a responsible person and an inbox.

Automatically receive proposals for suitable actions regarding defaulting customers! You can process these proposals or have them run automatically right away. For this purpose, a dunning group can to assigned to each file in the CAM. Dunning groups serve the purpose of classifying customers; you may for example plan different dunning processes for VIPs or notorious late payers.

Process and execute proposals for action

1. PROPOSALS FOR ACTIONFor each dunning group, the related files and the num-ber of supporting documents for the proposed action is shown. In addition to that, the total sum and other file information as e.g. open items and rating, are displayed.

Once the proposals have been processed, actions are started by a simple mouse click.

2. DETAIL VIEW OF DOCUMENTSIn the detail view, you can find out, how many suppor-ting documents are to be dunned for which sum and which status the proposal for action has reached. You may decide whether to have the proposed action car-ried out for a higher or lower quantity of documents than suggested. You may also modify the proposed actions for individual documents and change them over to other actions.

Based on your dunning groups, the system will generate proposals for action. The user will be provided with a task, supporting him or her to process and release the proposals.

2. JOURNAL OF ACTIONS RELATING TO SEVERAL FILESYou will see at a glance, who started one or several actions relating to one or several files and/or docu-ments at what time, which status they have reached and what their total balance is.

3. DETAIL VIEWThe detail view for each action run shows clearly, which supporting document is being or has been exe-cuted with which action from which file.

1. ACTION FILTERHave only the actions required by you displayed in your journal. Action filters may be stored individually, depending on need and user.

Generation of dunning and debt collection actions for a large number of files at the same time is also possible outside the scope of the proposals for action! The journal of actions relating to several files provides you with an overview over all actions including their status and responsible person. Apart from that, actions relating to several files may be executed; precise filter options facilitate the selection of the desired files and documents.

1. FILTERSLimit the selection of files and documents, in relation to which you want to execute actions, in a precise yet uncomplicated manner. Filters for files and supporting documents may be stored individually, depending on need and user.

3. DETAIL VIEWAll selected files and their supporting documents are listed in an overview screen. This offers you the addi-tional option to exclude individual documents from the action.

2. LIST OF FILES AND DOCUMENTSAfter you have pre-selected supporting documents by means of your filter, you now have the option to decide for each file individually, whether any action is to be carried out and which one.

Manual actions relating to several files enable you to process several supporting documents of several files according to individual criteria which you defined. This bulk processing also allows specific processing of indi-vidual documents in the same work steps.

1. JOURNAL OF ACTIONSAn overview over all actions started in this file with essential information as i.a. the balance of dunned documents and the status of the action run.

2. INFORMATION ON ACTION DETAILSFor each action run in a file, detailed information on all dunned documents such as type of document, dates, open amounts, DSO or dunning stage of the supporting documents can be reviewed.

You may also carry out any desired dunning and/or collection action directly in each individual customer and/or risk file! In addition to that, an action overview is provided in each file, in which all actions that have been carried out so far for the customer file concerned, i. a. related telephone logs, letters exchanged as well as all supporting documents and the details for such documents, are shown.
