PUMAS Operation Manual Guide for Declaration on Publication of Research Achievements

Version 2016.5.30

PUMAS (PUblication MAnagement System）is a web-based publication management system linked to the HPCI Publication Database. This manual explains a method for declaration on publication of research

achievements etc.

Declaration on Publication of Research Achievements

Within 60 days after completion of a research project, method(s) selected from a) Refereed papers etc, b) HPCI Research Report, c) Publication technical reports, and d) Patent must be declared. In the case where achievements are already published in above a) ～ d) and are

registered in the HPCI Publications Database during the period of project implementation, a list of them is displayed on the declaration form of PUMAS. Project Representatives must select achievements which are suitable to be certified

as achievements of the project. If the project number is not indicated in the achievements of above a) and c), or in

the case of d) patent, one should describe the explanation that it is an achievement of the HPCI project on the declaration form of PUMAS. Please refer to an example of statement in the page12 of this manual.

Update of Declaration Contents

Please update the declaration contents according to changes, such that the planned publication has been performed, the publication method of achievements is changed, and so on.

Confirmation of Status

Status from declaration up to certification can be confirmed.

Please refer the “Requirements and Procedures for Reporting Research Achievements” in the HPCI portal site shown below;

Following persons are permitted to log in to PUMAS, 1) project representatives 2) participants of HPCI project 3) HPCI-ID holder whose access is admitted by the project representative URL of log in https://www.hpci-office.jp/hpcidatabase/pumas/login.html?lang=en.

② Access the URL then open the declaration form. After the authentication of the e-mail, an entry form URL has been mailed to your e-mail address registered on the HPCI online application system. ※This temporal URL is valid for 24 hours after the log in.

① Enter your e-mail address registered in the HPCI online application system, then click the “SUMBIT” button.

④ Click the “Save” button if you want to save temporarily.

① Select publication methods of achievements as a plan.

③ Fill in the specific publication plan as far as you know.

② Select “I declare as a plan”.

② Click the “I declare publication achievements” button.

① Click the “View the list of declarable papers” button.


If the registration has already been done in the HPCI Publication Database, go to the next page （Page 10）. If not yet, go to the Page 11.

It has already been selected by the other research projects as a candidate for certification.

You can’t select achievements which other project has selected.

② Select achievements which are suitable to be certified as achievements of the present project.


Applicable contents that have been already registered in the HPCI Publication Database are indicated. The achievements that can be declared are only ones using the “Main Resource” in principle.

Go to Step 4: Selection of the presence or absence of the project number indicated （Page 12）.

Achievements to be registered in the HPCI Publication Database appear.

Although it is now under checking by the secretariat, it is available for you to select at this stage.

After the registration is completed, it will be a candidate for certification.


② Return to this “Declaration on Publication of Research Achievements” window

after the registration to the HPCI Publication Database.

Another separate registration window of the HPCI Publication Database appears as new window.

Go to Step 4: Selection of the presence or absence of the project number indicated （Page 12）.



① Click on the “Registrate to the HPCI Publication Database Now!!”.

③ Select achievements which are suitable to be certified as achievements of the present project.

Subsequently, if you want to add the achievements to declare, please repeat the Step 3 and 4.

The achievements selected in the Step 3 are added in the list. The achievements displayed are the candidate of declaration of the achievements.


Go to Step 5: Upload a reprint of paper (PDF) （Page 13）.

In this research project, research on an electronic function of the nanostructure by large-scale first-principle calculations were performed using K computer, and the XXXXX code of real space technique is its fundamental application. In this article, the atomic structure of new material YYYY is elucidated by using the XXXXX code, through the speed-up of the XXXXX code in the present research project, and it can be certificated as result of the HPCI system Research Project (project number).

If the project number is not indicated in acknowledgments of the papers etc. please select the “No, not indicated” button.(*)

② If you select the absence, fill in the explanation that it is an achievement of the HPCI project.

An example of statement is shown below. (*) If the project number is indicated in acknowledgments of the papers etc. please select the “Yes, indicated” button and

skip the above item ②.

When the upload is completed, there is no indication of “Upload a pdf file”, the indication of “PDF” will be in red.


Go to Step 6: Declaration on publication （Page 15）.

② Select the PDF file then click the “UPLOAD” button.

C Modification of the declaration contents


The processing flows will be different, depending on the state of the declaration form.

If the “Enable to edit” is indicated, go to Step 3： Modification of the declaration contents（page19 ②）.

If not, go to Step 2： Request to withdraw the declaration (page17).

A simple guidance dialog appears. Click the “CLOSE” button on the dialog to proceed. You can edit the declaration form in the following window.

Correct the contents appropriately.

④ Click the “Submit this form” button to modify the

declaration content after correction.




D Modification request from the secretariat


You will be informed of a modification request from the secretariat by e-mail shown below. Please modify the declaration form appropriately according to the request.


Go to Step 2: Withdrawal of the declaration （Page22）.

Correct the contents appropriately.

The indication will change depending on the change of situation, from declaration to certification.
