Purpose This manual will help you determine the effectiveness of the
public relations in your club. You will also obtain many
different methods of public relations. More topics include
working with the media, how to make a newsletter, and
how to make Key Club known at you school and in your
community. The main goal of this manual is to teach you
the common theme of “Making Key Club a Household
Name”.

What are Public Relations? Public relations are the internal and external communication to inform or influence specific
publics using writing, marketing, advertising, publicity, promotion, and special events. There
are two types of public relations: internal and external.
Internal involves encouraging members to get involved, getting them excited about Key Club,
and to have pride in their organization. Internal Public Relations tips include:
Share all key messages with your members
Conduct a new member training. Make it like an informal party rather than a stuffy
training session. Make it fun!
Submit club success to the Iolian or KEY CLUB magazine
Help the club realize its’ importance. Compliment and thank your members. Remind
them that they make a difference.
Appoint a public relations chair or media spokesperson
Invite a Kiwanis member of Circle K member to come talk during your club meeting
Methods
Banquet: Hold an end of the year banquet to recognize the hard work of Key
Clubbers. Be sure to include awards!
Club Bulletin/Newsletter: create a newsletter to let your members know what has
happened and what will be happening with your Key Club. Check out the How to be
a Club Editor page for tips!
Key Clubber of the Month Award: Give encouragement to your members by giving
out this award.
KEY CLUB Magazine and the Iolian: Show off your club’s success at the district level
(the Iolian) and the international level (KEY CLUB Magazine. Look at “Iolian and KEY
CLUB Magazine Articles” for more tips on submitting articles.
Club Meetings: At club meetings, be sure to recap past projects as well as promote
future ones.

External Public Relations The other type of public relations is External Public Relations. This includes advertising key club,
its mission, and its activities so that your community can have a better understanding of what
Key Club is, as well as its importance’s.
External Public Relations tips include:
Determine your target outlets. Identify every newspaper, magazine, and radio station
that reaches your community.
Determine other outside ways of publicizing Key Club in your community.
Work with your club webmaster to help create unique flyers!
Talk to your Principal or Student Activities office to see how other organizations at your
school are publicizing their own clubs
Methods
School Daily Announcements: Make certain that your message has all the right
information and the right date and explanation of the event.
Posters/ Flyers: Do not place too much information on the flier/poster. Make sure its
appealing to the eye and contains the general information! Also, make sure the font is
legible.
Brochures: An attractive an interesting brochure on your Key Club can be made and
distributed. This is great for club meetings and future Freshman night!
School/ Community Newspaper: Since Key Club is a nonprofit service organization;
oftentimes newspapers and school newspapers would gladly publish an article about
Key Club activities. In your press releases, make sure to answer the questions on who,
what, when, where, why, and how. Be concise and put the most important information
first.
Television: To draw a large crowd from outside your immediate community, try
contacting a local television station. Make sure to give the station all the information
about a project. Be 100% sure that your film spot looks professional.
Scrapbook: Put together clippings from newspapers and pictures of Key Club members
from your club doing service projects.

Role of a Club Editor Editor’s Duties:
A Club Editor is important to Key Club because he or she is responsible for all the printed material the club receives. The club editor serves as the advertiser, the communicator, and the general publicity person of a club. This role requires time and knowledge on dates and happenings of district and international events as well as to the current club projects and plans. The editor must be knowledgeable of the programs and structure of Key Club International.
The role of the club editor is that of a public relations officer. The editor makes sure the public is informed about what Key Club is and upcoming events hosted by the local Key Club members. The club editor should publicize key club by using newsletters, fliers, bulletins, and publicity stunts. Club editors have the role of making Key Club a household name within the community and the schoolCreating a Newsletter
Pick a publishing program (Microsoft Publisher, Microsoft Word, Adobe Indesign)
Pick a layout. You can use a premade template found at http://www.keyclub.org/fad/cm/prtools.aspx
Assign people to write articles for yours newsletters. (Ex: Ask your Treasurer to write an article about the importance of dues).
Create a catchy title to hook readers in! Always include the Key Club Logo, the Illinois-Eastern
Iowa District Logo, and the Key Club pencil (shown above).
Check for spelling and grammar errors. These errors make it look unprofessional.
Use pictures of events to catch the reader’s eye. Blurry pictures are a definite no-no!
Remember to include the following in every newsletter: Date, School name, Volume number, and Issue number.
Use a variety of different size fonts. The smallest you can use is 10 pt.
Try to make the newsletter fun! Include quizzes too!

Going Above and Beyond
One way of exceeding the requirements as a club Editor is to submit and article to the
Ionian. The Iolian is the official publication of the Illinois-Eastern Iowa District. It serves as an inspiration to Key Club members in our district about other service projects other Key Clubs have hosted. You can submit an article about a recent service event your Key Club
hosted by emailing it to the Iolian Editor. You must include your name, your school, what your club did, and picture of yourself as well as pictures of the event. You can also submit an article titled “My Favorite Service Project”. Encourage club members to this article explaining what their favorite project is and why. Another way of going above and beyond is by sending me your club newsletter.

Graphics Standards With nearly 250,000 members, Key Club is the largest high school service organization in the
world! One important way we can let others know about Key Club is by communicating “our
look” to others. That is, by using the same design elements—things like fonts, colors, and
symbols—to express who we are. Keeping our look consistent enables others to see Key Club
in the way we do—whether they are in Colorado or Costa Rica. For the complete graphic

Logo: Word mark:
Creating a Scrapbook Making a scrapbook is a fun way to show off your club’s success. Also, you can win awards
at District Convention for it (look at the awards booklet on iikeyclub.org). Here are some tips!
Have appropriate pictures with captions and dates to explain the events. Make the
captions clear and preferably typed.
Make sure that the scrapbook follows the criteria set by international rules (keyclub.org)
Make sure there is a table of contents and categorize by using sections with tabs
Pick an interesting theme and stick to it thorough the entire scrapbook
DON’T make the pages too sparse or too busy
DON’T do it the night before it is due. Put lots of time and effort into it
Never stretch or shirk the
logo or word mark. Make sure that there is an even amount of space an all sides of the graphics. Also, make sure you include the pencil on the top of each Key Club publication!

News Releases News releases provide the who, what, where, when, why, and how to the local media. The
most important information should appear in the first two paragraphs. Information of lesser
importance should follow. Consider the following tips: Sentences and paragraphs should be short and everyday language must be used.
Keep the news release to one page. Double-check names, spellings, and numbers.
Mention important individuals who will be at the event. Place contact person’s name and telephone number at the top of your letterhead.
Include the date and release time for the story. Write a short headline, which sums up the news release contents.
Include photographs with advance and follow-up news releases. Identify all the essential facts in a caption that identifies the picture. People in the photograph should
be identified from left to right. Only quality photographs should be submitted. Black-
and white glossies are the best choice for publication. Always use the Key Club graphic standards

Submitting Articles to Iolian and Keynoter The Iolian is the Illinois-Eastern Iowa District publication. The Iolian serves as a mini-newspaper
that gives club members and club officers service project and fundraising ideas they can carry
out at their school. Also in the Iolian, there is information about upcoming district and
international events. The Iolian is not only a great way to publicize your club, but by submitting
articles for the Iolian, your club can receive some awards! You can find the newest issues of
the Iolian at iikeyclu.org under the “District Publications” tab! Here are some requirements for
writing articles and where to send them!
Write about a recent event your Key Club members participated in or a service
project of fundraiser your club hosted
o You can even write an article about your experience at the Fall Leadership
Rally!
Articles need to be at least 180 words long
Include a picture of yourself as well as members participating in the event (if possible)
Proof-read your article for any spelling or grammatical mistakes
Include your name and what school you are from
Type the article out in a word document with the pictures, your name, and school and
attach it to an email
Email your document to the Iolian Editor, Jasmine Bains, at [email protected]

Key Club International’s Keynoter:
The Keynoter is Key Club International’s magazine that is published regularly (you can find it at
keyclub.org by searching “Keynoter”. It’s a great idea for you or your club to submit an article
for the magazine because it is viewed by Key Club members all over the world! You just need
to fill out the report and attach your article and colored pictures to it; all of the guidelines are
on the report sheet! Remember to mail it to the address listed!

Keynoter Magazine Report Form
Key Club magazine is the official publication of Key Club. The Key Club Department assumes the responsibility
of providing an official publication to all members. It contains stories of interest concerning clubs, districts, and
Key Club International. Suggestions for projects and feature stories of unusual projects completed by various
clubs are included.
Key Club magazine is written by members of the Content Management Team at Kiwanis International under the
supervision of the Key Club Department. Reports, newspaper clippings, and letters from clubs provide the biggest
part of the material used. The magazine also provides a medium for official announcements about the
convention, international dues, or other business of the organization.
All clubs should regularly submit material for the magazine. Written material should give all pertinent details and
be accompanied by good action photographs.

Role of a Club Webmaster As webmaster, your job is not only creating and maintaining your club website, but also managing anything technologically- related in your club. Obviously, you’re extremely proficient with computers and probably have had experience making some sort of website before. Here are some guidelines to help you with your job this year.
Duties and Responsibilities
• Create and maintain a website with at least 7 pages of information
• Keep close contact with other officers and members to keep the site up-to-date • Make sure all of the links on the website work • Help out other officers when they need it • Upload all meeting minutes and agendas on the website • Help the club with any technological issues
• Work with the Public Relations committee to spread the word of Key Club (if your club has one)
Webmaster’s Checklist!
Weekly Duties • Update your website with club meeting agendas, upcoming events, directions to event locations, news/updates,
and anything else that would make people want to come back.
Monthly Duties
• Attend some club board meetings to discuss the website, and ask the rest of the board for suggestions/ feedback. Do a survey with your club to see if anything should be added.
• Upload pictures and club newsletters
• Link to District publications (the Iolian)
Annual Duties • Create and maintain a full-scale website with at least 7 pages of quality information.
• Make sure that if your club pays for your domain/hosting, the fee gets paid so your club website stays on!
• Make sure to put all contact information of your officers on your website and be sure they are recent. (See rules of Contact Information)
• The contact information of your District Executive Officers and your Lieutenant Governor should be on the website as well. For more information please consult the district website at http://iikeyclub.org

Build a website for your club
Website Building! This may sound like a really scary
concept, but it really isn’t! The internet now has many
resources available to build free websites. Websites such as http://wix.com,
http://webs.com, and http://weebly.com offer a wide variety of resources
to easily build your website. A website allows your Key Club to go public. It
also makes it much easier to present information to members!
Step 1: Pick a website host!
Pick a good and reliable website host! Then register an account for your
school, make sure the username and password aren’t personal so that it is
easy to transfer information over time!
Step 2: Create web pages!
Don’t know what pages to make? Here are some examples of “standard”
pages to have!
Home: An introduction, a little bit about Key Club, history, etc.
Officer Roster: Contact Information for your current club officers.
Past project information: Inform new club members about your club’s
history and projects you have completed in the past.
District Information: Display information about the II District!
Calendar: Keep a calendar of upcoming service projects and events!

Being Recognized as a Distinguished Editor Requirements:
Start your binder early and fill it in throughout the year. Remember that your binder cannot exceed 4 inches.
Board Correspondence: produce and distribute at least 5 articles of correspondence for the district board members ( evidence of communication with the board)

Appointed District Positions Hello I-I Key Clubbers!
The Illinois-Eastern Iowa District of Key Club International is seeking Key Club members to fill the position and fulfill the responsibilities of the following appointed positions on the District Board:
District Project Chair New Club Building and Reactivation Chair(s) Technology Chair Any individual appointed to these positions will be required to attend all meetings of the District Board, Fall Leadership Rallies, and District Convention (DCON) in the spring. It is also highly recommended that the individual attend International Convention (ICON) this summer in Washington, DC from July 1-7 AND (if possible) Key Leader- April 26-28, Hudson, IL. Go to key-leader.org for more info. Since we are stressing the importance of attendance, please feel free to contact Governor Will Kelley (see contact information below) for dates of the aforementioned events.
Descriptions, expectations, and specific responsibilities of each position are listed below:
District Project Chair: The Illinois-Eastern Iowa District Project is the Spastic Paralysis Research Foundation. As we partner with the I-I Districts of Kiwanis International and Circle K International, Key Clubbers throughout the district raise funds for conditions that fall into the category of Spastic Paralysis research. The District Project Chair will be responsible for promoting awareness of Spastic Paralysis throughout the district, educating the clubs and the District Board about Spastic Paralysis, establishing fundraisers to be completed throughout the year, and possibly planning/leading forums at Fall Leadership Rallies and/or District Convention in the spring. The District Project Chair will serve as chair of the District Project Committee, which is composed of members of the District Board. This individual will be expected to fulfill these responsibilities in a timely and efficient fashion; he/she must update the board on the District Project Committee’s progress at each board meeting and must complete a committee report when asked by any Executive Officer.
New Club Building and Reactivation Chair: The New Club Building and Reactivation (NCB&R) Chair works with the I-I Key Club District Board, potential clubs/sponsors, and Kiwanis clubs. This individual will be responsible for developing new clubs and working with those clubs on suspended status, seeking their reactivation and essentially working to bring them back into good standing. The New Club Building and Reactivation Chair will be responsible for locating schools in the Illinois-Eastern Iowa District that do not have Key Clubs, creating/editing the New Club Building and Reactivation packet that all new and reactivated clubs receive, and working personably and willingly with all potential clubs. The NCB&R Chair will also be responsible for planning/leading possible forums at Fall Leadership Rallies and/or District Convention in the spring. The New Club Building and Reactivation Chair serves as chair of the New Club Building and Reactivation Committee, which is composed of members of the District Board. This individual will be expected to fulfill these responsibilities in a timely and efficient fashion; he/she must update the board on the New Club Building and Reactivation Committee’s progress at each board meeting and must complete a committee report when asked by any Executive Officer. Please note that multiple New Club Building and Reactivation Chairs may be appointed.

Technology Chair: The Technology Chair works with the District Board to help maintain the district website – www.iikeyclub.org – and any district reflectors. He/she also encourages clubs and divisions to build websites and provides materials/resources on how to do so. The Technology Chair is expected to have experience with updating websites and creating overall technology and website-building resources. It is also expected that this individual update the district website in a timely and efficient fashion. The Technology Chair will be responsible for planning/leading any forums at Fall Leadership Rallies and/or District Convention. He/she will serve as chair of the Technology/Public Relations Committee composed of members of the District Board. This individual must update the board on the Technology and Public Relations Committee’s progress at each board meeting and must complete a committee report when asked by any Executive Officer. If you are applying for the position of Technology Chair, please note any previous web-building experience you have, as well as any websites you have created, on the additional sheet mentioned at the bottom of the application.

As a potential member of the District Board, it is important that you realize the application deadline is not negotiable. I will be evaluating your ability to complete this task in a timely manner.

Running for Iolian Editor Unlike the past years, the Iolian Editor position is now an elected position rather than an appointed
one. This is because the Iolian Editor has the almost the same responsibilities as the other Executive
District Board members (monthly contact with board members as well as the district governor, monthly
newsletters for the district mailing, and update reports given at each board meeting).
Here is some information about the setup of election for this position at District Convention. Each of the
candidates for this position will be required to give one speech to the entire convention and one
speech to each of the caucus rooms (there will be five. In the caucus rooms, the candidate for this
position will give there speech and use the remained of the time to answer questions about their
qualifications for this position, their goals for the year, and their overall knowledge of Key Club. Then on
Saturday of District Convention, the House of Delegates (two representatives from each club) will elect
the new District Executive Board members (Governor, Statistical Secretary, Secretary, Treasurer, and
Iolian Editor). There is an optional one-minute speech at the House of Delegates.
Note that in February, the I-I District website (www.iikeyclub.org) will have all forms necessary for you
to fill out to be considered a candidate (this includes the candidate biography and literature that

Become a candidate: check out the District Convention Registration packet (sent between
early January and February), then fill out all appropriate forms
Ask questions, learn from your District Board, study Bylaws, attend District and Divisional events
Prepare to give speeches well in advance- rehearse
Keep yourself educated- read Club District Mailings, latest issues of The Iolian and Lt. Governor
Newsletters (Iolian and District Mailing available via iikeyclub.org)
Find out as much as you can about the position you want to run for! Ask the person currently
holding it, read their
Know a LOT about Key Club. No matter your position, you need to either know the answers to questions or know
o Read up on Key Club on the websites, in the District Guide, and through newsletters.
Get some experience! Whether serving as Club President or Freshman Representative, a little bit of club experience will not only give you something to pad your resume, but it will more importantly allow you the chance to see what makes a Key Club work.
Practice your public speaking! Talking in front of people becomes easier if you practice...and we don't just mean
DON’T campaign on social networking sites or in person before the candidate meeting or else you face penalties or disqualifications
