NoSpamProxy® can be operated in your IT env-ironment (on premise) or as a managed service and runs on a Microsoft Windows Server. Thanks to its integration into the Microsoft Management Console (MMC), control and operation is more intuitive and efficient for administrators of Microsoft environments than isolated appliance solutions.

Even if the email infrastructure is to be completely or partially transferred to the cloud, NoSpamProxy® can be integrated in a customized fashion. As the first email security gateway with an Office 365 con-nector, NoSpamProxy® can send and receive emails to Office 365 accounts. If it is installed in Azure, you can work with Office 365 to create a fully cloud-ba-sed email solution that includes additional, granular security features that Office 365 does not provide, but that is imperative for organizations.

The central software components of Protection, Encryption, and Large Files offer a unique integra-tion with Active Directory as well as connectors to De-Mail and DOI. For the operation of a web portal, for the transmission of large filesystems, and for the encrypted communication with email recipients who do not yet have their own certificate or PGP key, the software is superimposed on the Internet Informa-tion Server (IIS) which is contained in the Microsoft Server so that no additional software components are required.

To protect against spam, spyware, and malware, NoSpamProxy® Protection scans every email upon receipt as the first SMTP gateway, and classifies it using different anti-spam filters. If an email is classified as spam, the system will not accept it. The anti-spam gateway can only pass through messages that are classified as trustworthy. The special feature: if a trustworthy email is not accepted, the function principle of NoSpamProxy® Protection ensures that the sender is informed about the delivery that has been blocked.

Many companies have been using spam solutions for a long time and there are many products on the market. So why use NoSpamProxy®?

NoSpamProxy® is one of the very few solution pro-ducts that is compliant in all areas of strict German law (especially in accordance with §206 German Criminal Code [StGB], §88 German Telecommunica-tions Act).

It avoids any legal consequences that result from the acceptance of an email by the company’s email gateway. Even the claims for damages because of emails lost in quarantine areas, as determined by cur-rent court judgments, cannot affect NoSpamProxy® users. High productivity enhancement and maximum protection combined with minimal operating costs also distinguish NoSpamProxy® from many other solutions.

The quarantine trap of traditional anti-spam solutions

The problem with all spam protection solutions is that a software decides whether an email is classified as spam or gets passed on. However, not all spam messages are detected and trustworthy emails may even get blocked (false positives). These same false positives are a risk for traditional anti-spam solu-tions. If such messages are deleted or quarantined, incorrectly classified emails will no longer be found.

Secure communication through information from the sender

If NoSpamProxy® Protection incorrectly detects a message as spam, the anti-spam gateway will refuse to accept the email. Unlike other spam solutions, the sender receives a message that the email was not deli-vered. He can react to it by calling the recipient asking him to send him an email. This addresses the Level of Trust function of the gateway, so that emails from this sender are accepted in the future. A spammer is no longer interested in the recipient’s address because of the additional amount of work involved. This has the additional advantage that after a while, the volume of spam which is sent to NoSpamProxy®-protected domains will be significantly reduced.

The signature and encryption of emails with PGP or S/MIME provides you with up-to-date data protection and legal security. Email encryption – not that important? This opinion has changed significantly as seen in many current surveys. The reasons for this lie in the clearly increased threat of industrial espionage and automated email screening by intelligence services. As a gateway solution, NoSpamProxy® Encryption takes over the cen-tral administration of certificates and keys and makes your email encryption solution easier and more intuitive than ever.

In many industries, encrypted communication with suppliers or external service providers is required (such as the automotive industry, discount food retailers). More and more invoices sent via email are intercepted and modified. Email encryption gives you legal certainty as to which orders you have sent by email and which invoices you have submitted by email. By offering encrypted email communication with customers or clients, companies can also effectively distinguish themselves.

Confidentiality can be quick and easy

Centralized email signature and email encryption via the NoSpamProxy® Encryption Gateway allows you to communi-cate with your partners in a very secure and easy fashion. Since

the keys and certificates are only managed at the gateway and not the clients, users do not need to handle electronic keys.

The security rules in the sense of corporate governance are auto-matically centrally implemented. Of course, received messages are

already decrypted at the gateway and are available to the user as usual for further processing. This allows access via SSL-encrypted connections with smartphones and tablets, as well as the archi-ving of the emails in unencrypted form.

PDF Mail: sending emails and documents securely

For the frequent situation that recipients do not have a PGP key or personal certifi-cate, NoSpamProxy® Encryption provides another simple way for the secure sending of emails and documents that does not place any restrictions on the recipient with the PDF Mail function. For this purpose, NoSpamProxy® Encryption automatically converts the email with all attachments into a password-protected PDF document. This password is auto-matically sent to the recipient by SMS, or the recipient can assign his own password by logging in to the NoSpamProxy® web portal. The recipient simply needs a PDF reader to open the message. PDF Mail is especially useful for com-panies who want to send sensitive or personal data without email certificate, encryption software, or SSL encryption.

Email encryption and certificates

Certificates are required within the framework of secure encryp-tion of emails which can be used for the S/MIME method according to the X.509 standard or with a PGP key. NoSpamProxy® En-cryption centralizes and automa-tes the administration of these certificates. The acquisition of the certificates is automated for users. IT administrators benefit from a variety of helpful manage-ment functions.

PGP Mail

Pretty much better in privacy. Of course, PGP keys can also be generated, imported, and managed using NoSpamProxy® Encryption. With the support of PGP email, NoSpamProxy® Encryption provides another way to easily exchange encrypted data and messages.

Exchange of large files easily, securely, and without media break

NoSpamProxy® Large Files allows users to send files of any size directly from the email client. Users can send large files that exceed the restrictions of the email program without a break in the media and with a single click. This application is uncomplicated and compa-rable with the sending of conventional file attachments. In contrast to the popular file transfer services, the data is provided on a custo-mer-specific web server and transmitted via SSL encryption. This fulfills the requirements for security-critical business requirements as well as IT governance.

Settings can be quickly and easily changed on the NoSpamProxy® Large Files administration interface. The interface also provides reporting functions, such as for sales campaigns, in order to determine which recipients of an email campaign have actually downloaded the offered file.

The regularly published reports of the Radicati Group on global email usage show that the average size of files that users want to send as email attachments increases year by year. The email infrastructure is severely burdened as a result. The transfer of large files via email is often sim-ply forbidden by a size limit. This results in an additional burden on the IT department which has to set up access for external communication partners to an FTP server. Frequently, users “help themselves” with free cloud services such as Dropbox, which cannot be administrated by the IT department and often violate data protection laws by transferring data to cloud servers abroad.

Treatment of suspicious attachments via Large Files

Depending on the result of the spam check by the Protection module, the system can be configured to separate file attachments from the actual message and load them onto the web portal where it can be subjected to more detailed examinations. The recipi-ent receives the original message with a link for the attachment. The message can be supplemented by a warning in order to once again sensitize the user. Disclaimer option for flexible email signatures

NoSpamProxy® offers more than email security

Uniform or up-to-date email signatures are a recurring issue in IT departments, which ties up resources unnecessarily or is implemented using niche tools, which must be maintained as an extension of the respec-tive email server. Using the NoSpamProxy® Secure Email Gateway, this requirement can be solved elegantly without additional software.

Use email disclaimers as a marketing tool

Frequently, the adaptation of disclaimers fails, for example, to give information on events, product innovations, or promotions by the fact that the implementation can only be carried out by the IT department and because of a lack of capacity, the marketing requirements cannot be realized quickly and easily enough. The NoSpamProxy® disclaimers option includes a web interface, which allows the au-

thorized representatives from the marketing depart-ment to manage, design, and modify the disclaimer independently after a short instruction. By selecting attributes from Active Directory groups, it is possible to maintain different disclaimer texts for different groups of persons or divisions.
