AOG Resources Ltd always encourages a mutually beneficial relationship with Recruit-ment Agencies to provide their temporary staff with a seamless payroll solution.

This brochure serves to highlight the advan-tages of these commercial relationships via AOG Resources Ltd commitment to ongoing training, bespoke tailored advice, compli-ance, take‐on processes, reporting and com-munications, core benefits and added values.

Contractors consistently recommend AOG Resources to new Agencies on the basis that we only charge for the actual days that they work and do not penalise them a full week’s margin.

This visionary approach is indicative of AOG Resources service provision which in turn adheres to the highest possible standards ofcompliance which has underpinned the com-pany since it was formed in 2007.

By its very nature, the payroll services sector is increasingly subject to legislative change and new legal guidelines, all of which are actively embraced by AOG Resources Ltd.

Our commitment to all aspects of compli-ance ensures that Recruitment Agency clients receive total ‘peace of mind’ whilst Freelancers and Contractors are provided with appropriate levels of advice and service.

AOG Resources is an integral element of many Agencies’ preferred supplier lists and we trust our current client portfolio and proven track record will meet your require-

To ensure that all parties fully benefit from AOG Resources products and services, we provide Agency staff with a training and development programme from the outset of our relationship.

AOG Resources Ltd team will visit each Agency branch and demonstrate our payroll solutions in a ‘live’ working environment. The training provides clear operational guidelines and invaluable product knowledge to help Agencies to integrate our solutions efficient-ly.

The training programme also serves to strengthen the relationship between AOG Resources and Agencies whilst giving Con-sultants the opportunity to resolve any areas of confusion or doubt.

Following the training and consultation period, AOG Resources will provide ongoing support to both Consultants and Contractorsduring the registration process and through-out the relationship’s lifecycle.

AOG Resources will also actively explore any mutually beneficial marketing initiatives to promote each Agency relationship in the form of co-branded leaflets, website links and PR campaigns.

The templates below are taken from our train-ing and development presentation which provides an easy to follow guide as to the general function of an umbrella company and the specific elements of AOG Resources

Given the significant influence of the Agency Worker Regulations introduced in 2011, AOG Resources provides specific AWR training programmes to Agencies and Consultants.

Designed to provide an understanding of the legislation itself, the training also serves as a practical guide to the solutions offered by AOG Resources and their actual implementa-tion. The training and processes are also designed to complement your current sys-tems and ‘take-on’ procedures.

AWR training is supported by initial monthly meetings with Agency team leaders to provide legislation updates, practical assis-tance and a forum where any issues can be raised and resolved. It is anticipated that these meetings will be held on a quarterly basis once AWR processes and understand-ing have been perfected.

Consultants are also encouraged to maintain a constant dialogue with AOG Resources sales & client services team as a matter of course.

In the course of referring a Contractor, each Agency (and Consultant) will have two primary points of contact within AOG Resources, as outlined in the training programme.

Initially, a member of the AOG Sales team will provide the Contractor with details of our Um-brella product, how it actually operates and what requirements they themselves need to fulfil.

An illustrated and independent recommendation is then generated by the online Best Advice Matrix (BAM) based on the Contractor’s professional status and answers to a series of approved questions, plus assignment details and personal attitudes towards risk and paperwork.

The recommendations provided by the Best Advice Matrix are tailored to the Contractor’s individual circumstances and fulfil two vital requirements of the Agency:

1. The BAM demonstrates that the Contractor has made their own choices to generate a recommendation.

2. The BAM creates a formal audit trail of all advice, illustrations and recommendations provided prior to a Contractor registering with AOG Resources.

Contractors automatically receive a copy of the said recommendation by email, plus addi-tional information including ‘What is an Umbrella Company?’ and ‘How to Claim Expenses’, before they actually register.

Their details are then added to the AOG Resources sales tracking system and they are con-tacted directly to confirm their eligibility and complete the sign-up process.

Once the application process is complete, the Contractor receives their agreement via email which needs to be verified and supported by proof of identification documentation including Driving License (with picture) or Passport Number.

AOG Resources Ltd IT department will liaise with your development team to integrate fully the information required to comply with AWR legislation and to produce the necessary reports including Assignment Schedules, Contracts, Termination Details and reports on Pay Between Assignments (PBA) where applicable.

Similarly, our payroll team will import all necessary information required to process weekly payment schedules.

Designed to save time and to maximise efficiency, our systems are based on Excel spread-sheets which can be simply manipulated using CSV or other file formats common to most businesses.

Reporting process

AOG Resources payroll team send an updated schedule listing all ‘live’ candi-dates which needs to be completed with number of days, hours and rates on a weekly basis; this also serves as our pay-roll request from the Agency.

This schedule is then integrated into our payroll process with incentivised referrals calculated monthly (in arrears and after thefirst Wednesday of every month).

A full report is then sent to the Agency outlining generated margins and percent-age to be passed back. Our software can also produce a variety of additional reports relating to the number of Consultant refer-rals or number of Contractors per product, for example. This invaluable information is available upon request.

As a matter of course, AOG Resources main-tains a meaningful dialogue with Contractors to ensure we receive the information we require in a timely manner.

Each Contractor is spoken to individually and the process closely monitored until their registration is complete. We only contact the Consultant should we fail to receive the infor-mation we require after two or three days; we then seek the help of the Consultant to arrange a suitable time to call or to provide more information.

Once a Contractor’s status is ‘live’, the Con-sultant and one of our Contracts Managers receive emails confirming information about the company and start dates.

The Contracts Manager will then liaise with the Consultant to ensure we have all the infor-mation required to produce an Assignment Schedule which is sent to the Contractor and the Consultant.

To help Contractors maximise their take-home pay, we contact them if they do not submit an expenses claim after two weeks.

Given the recent introduction of AWR legislation in October 2011, AOG Resources is com-mitted to hosting regular review meetings with Agencies to discuss current conversions, potential issues and improvements to communication processes.

Held at either AOG Resources headquarters in Welwyn Garden City, Hertfordshire or at Agencies’ offices on a monthly or bi-weekly basis, these meetings with decision makers and heads of department will serve to cement the ongoing commercial relationships between both companies.

We hope that this meeting schedule underlines AOG Resources commitment to assisting Agencies to adjust to the requirements of AWR and to refine the working processes between us. AOG Resources is more than willing to lead the meetings and compile a mean-ingful agenda which could include:

Review meetings

A Practical Review of AWR

Total Conversions & Sales Forecasts

Future Concerns & Next Step

Agency Feedback & Updates

Account Management & Responsibilities

Specific Requests & Any Other Business

Of course, this agenda can be tailored to the requirements of each individual Agency, but the suggested headings provide a guide to how each meeting might be structured.

As ever, the intention of a meeting schedule is to highlight often complex issues arising from the new legislation and to offer Agencies a range of AWR-compliant solutions.

AOG Resources has a transparent relationship with HMRC and other Government depart-ments and is committed to providing the highest level of compliance at no extra cost to Recruitment Agencies.
