1 IntroductionThis document describes the main user functions of ProNovia SAP DMS ChangeDoc.

1.1 Other documents

All relevant and available documents are found in the ProNovia Support Center: http://support.pronovia.ch.

1.2 Prerequisites

Prerequisites for using ProNovia products:

· ProNovia products to be used must be installed and setup correctly on the relevant systems.

· ProNovia products must be properly integrated, activated and configured. Details see document ProNoviaBasic Library, Integration and Enhancement Manual.

· To use ProNovia products, valid licenses for each product must be loaded on each system. Details seedocument ProNovia Basic Library, Integration and Enhancement Manual.

· The necessary permissions for the display and maintenance of SAP objects must be present.

2 ApplicationThe usage of ProNovia SAP DMS ChangeDoc depends on the customer definition and the integration on thesystem. It may be possible, that a change document and also the original will be created automatically or thechange document has to be created by user request and the original has to be maintained manually.

This chapter describes possible applications of ProNovia SAP DMS ChangeDoc. The customer specificintegration must be described in the project documentation.

2.1 Integration into AFW applications

All new ProNovia applications are based on the ProNovia Application Framework (AFW). The sections followingdescribe the usage of ProNovia SAP DMS ChangeDoc in AFW applications.

2.1.1 CHD in the relation widget

Contents and specially the title of the relation widget are freely definable in customizing. The screenshots below are just examples.

If for a document info record ProNovia SAP DMS ChangeDoc is configured, then in the ProNovia ApplicationFramework relation widget the change document and assigned functions are displayed.

If no change document is assigned and the current document status allows the creation, then thecorresponding function is available:

If a change document is assigned, then this is displayed including any original files:

Depending on status various functions for editing and display are available on the change document and anyoriginal files.

2.1.2 CHD in the PRM configuration

This description is only valid for the CFM configuration as AFW widget and is available with CFM(PRM) V6.

Within the CFM configuration a change document assigned to a document info record is displayed in aseparate column. Note that columns can be configured freely, also if they are displayed or not.

If a change document has assigned an original file, this file can be displayed directly by clicking on thecorresponding CHD icon.

2.2 Integration into old ProNovia applications

Older ProNovia applications are based on ProNovia SAP Client Framework. The sections following describe theusage of ProNovia SAP DMS ChangeDoc in PCF applications.

2.2.1 ProNovia SAP PLM GUI Tabs

The standard package of ProNovia SAP PLM GUI provides a customizing example for document object„ChangeDoc“:

The tab name and the possible push buttons functions can be defined in the ProNovia SAP PLM GUI settings.

2.2.2 ProNovia SAP ProcessManager Workbench Functions

This description is only valid for the "old" PRM Workbench, which was used before ProNovia SAPPLM ConfigurationManager version 6. With version 6, for compatibility reasons, this old PRMWorkbench is still abailable.

If a change document is assigned to a document, it will be displayed in the PRM workbench:

Clicking icon in column CHD the original or the change format will be displayed.

Using the icon’s context menu the change document (-original) can be edited or displayed.

It depends on the status and the authorization which editing function will be provided.

2.3 Integration into SAP standard objects

ProNovia SAP DMS ChangeDoc can be integrated as screen enhancement in standard SAP Objects (materialmaster record, change master record, document info record). In the sections following the usage of ProNoviaSAP DMS ChangeDoc in such enhancements is described.

2.3.1 CHD Dialog Modules

ProNovia SAP DMS ChangeDoc provides different dialog modules, which can be integrated in SAP DMS. Themodules can also be integrated into other dialogs. Also ProNovia SAP PLM GUI offers a tab, which uses aCHD dialog module.

The following dialog modules can be integrated (the frame is not part of the module; it can be defined differentlyor be missing at all):

Elements of the dialog modules

Element Description

This text will appear instead of the push button, if according the settingsfor the current document in the current state ProNovia SAP DMSChangeDoc is not active.

Text is selectable in the basic settings and may be different from the textshown on the left.

Depending on the authorizations, the settings and the current status of thechange document, one of the following functions will be performed.

· Creation of a change document.

· Change of the original to a change document. (Function only availablewith SAP Gui)

· Display of the original or the view format for the change document. (Function only available with SAP Gui)

Icon and text can be adjusted in the settings and therefore be different fromthe text shown.

Element Description

Push button indicates, whether a change document for a document exists.Red = no change document exists, green = change document exists.

Initiates an information dialog with information about the change document:

Document / Document type Key, current status and description of the change document.

Display of document info record for the change document via SAP DMSstandard transaction CV03N.

2.3.2 SAP DMS Tabs

ProNovia SAP DMS ChangeDoc can be integrated into SAP DMS transactions as additional tab. For detailsabout the dialog module please refer CHD Dialog Modules . The picture below shows how such integration,using dialog module „Midi 2“:

2.4 Checks and Actions on Status Change

Depending on the settings, a status change on the leading document will initiate different checks and actionsby ProNovia SAP DMS ChangeDoc:

· Automatic creation of the change document.

· Control whether a change document is existing and if not, depending on the settings, the status change willbe denied.

· Control, whether the change document shall be created

· Status synchronization of the change document with the status of the leading document acc. to the settings.Status change on the change document can then again trigger a forced input of the original file or thecreation of a display format.
