Increase Quality – Maintaining a high standard of excellence in developing quality products earns the company goodwill amongst its customers (internal or external). PM team helps in improving the quality of a product by PM Plans that allocate budget, resources, testing methods that keep the pace of production high, both qualitatively and quantitatively. Communications – Improper communication among employees can lead to misunderstandings and negatively impact the performance of the organization. A PM can bridge among the diversified branches of project undertaking. Reducing Risks – The probability of getting hit by an unwanted or unexpected event has increased manifold in today’s competitive business environment. Why PM is important? The PM Team can ID the potential risks, take their time to rectify them and help the organization save valuable resources. In case of worst crisis, the PM Team can opt for Change Management methods to attain the desired goals. Team work is a must and communications is reduces risk. Strategic goals are the blueprint of the task undertaken by an organization. For instance, a software company aims to prepare software and related programming codes, whereas an infrastructure company has a targe of constructing dams, bridges and other construction works. A PM Team helps the company in achieving the strategic goals, as it streamlines the tasks of a company in taking many important decisions.

Every project has a set of objectives to meet. These relate to how quickly the project needs to be completed, how much it should cost, and what quality level will be achieved. (The PM is responsible for these once they accept the project)

Prior to accepting responsibility for a project, the PM may/will need to negotiate for resources. Knowing the type of project is the key to this, and the four types of a project are as follows:

This is the most straightforward type of project. The stakeholders all know exactly what needs to be done and they how it needs to be done. This type of project tends to move along steadily and the problems that may arise are usually quite predictable.

Project Types: 2-Going on a Quest

Stakeholders know what they want to achieve, but are not so clear as to how to achieve it.

Typically several strands of the project happen at the same time, which come together to meet certain deadlines.

Common in Research & Development.

NASA was given a brief to put a man on the moon by the end of 1969. When they were asked to do this at first, there was no known way to do it. Separate teams were set up to deal with the rocket, nutrition for the astronauts, and so on.

Project Types: 3-Making a Movie

The project manager should be very strong with their PM discipline

Methods to be used are known, but the end result is not so clear.

Often occurs with creativity projects, where the final result could be a masterpiece or a flop, hence the title “making a movie.”

The person with ultimate responsibility needs to be aware of how the end result may not be well liked, even though a standard process has been followed.

This is the highest risk type of project. The main stakeholders are not only unclear about how things need to be done, but are also not totally sure about what the end result should be.

Neither of these cope well with projects that are iterative in nature (typically IT projects). New techniques such as Agile, SCRUM, eXtreme have arisen to cope with these high complexity projects. How are IT different from regular projects? Regular projects build up from a foundation (think of house building) and once started the foundation cannot be changed. IT projects allow ANY element of the project to be changed at any time. E.g. the project is 2/3 done and we discover we need more performance/speed. An IT project will swap out the foundation layer – the hardware – without a qualm. Nothing is fixed in an IT project until it’s done!!
