    Purpose of the Resume

    The purpose of a resume is to secure an interview. Your resume objective is to highlight your qualificationsand accomplishments to prospective employers, and persuade them to want to interview you.

    An effective resume demonstrates your ability to meet an employer's needs; moreover, it stimulates theirdesire to meet you. Compose your resume using information that you generate through:

    Your self assessment (knowledge of your skills, abilities and interests).

    Analysis of each work and volunteer position you have held (identifywhat you accomplished, what skills you developed).

    Incorporate the key competencies recruiters are looking for, including:initiative, flexibility, confidence, team orientation, results orientation,analytical thinking, leadership, decision making, customer service, timemanagement and communication skills. Describe how you havedeveloped these skills through your paid and volunteer work, and class

    projects.

    If a job posting requests specific skills note in your resume how youhave developed these skills through your work, volunteer and classroomexperiences.

    Length of Resumes

    Business resumes are generally one to two pages in length depending on your experience andqualifications. As you move through your career, it will not be uncommon to have a two or three pageresume. One notable exception is the investment banking industry. Recruiters insist on a one pageversion a highly focused document is key.

    Creating a Professional Image

    Your resume needs to create a positive first impression. To do this:

    Use a standard resume format (chronological or combination).

    Ensure there are no typing or spelling mistakes.

    Have a well-organized layout with headings and text properly aligned.

    Use a standard font, such as Times or Arial, between 10 11 points.

    Have sufficient white space so recruiters can write comments.1 margins are preferred.

    Avoid using attention-getting gimmicks. Your abilities and presentationshould sell themselves.

    Print your resume on same paper as your cover letter; preferably whiteor light coloured, plain bond paper.

    Types of Resumes

    There are three standard types of resumes: chronological, functional and combination. Most employersprefer the chronological format because it highlights your career progress. Functional resumes aremost appropriate for senior executives because they present a broad profile without reference to specific jobs.

    The combination resume combines elements of both chronological and functional styles. The combinationformat works well if you have held a variety of jobs with the same employer or if you are moving into adifferent career area.

    Chronological

    This type of resume places your skills within the context of your employment history and demonstrates yourcareer progress. Guidelines include:

    Information is presented in reverse chronological order(most recent dates first).

    Your education is noted prior to your work experience.

    Work history is summarized chronologically.

    Each work experience is noted including your job title,name of employer, dates of employment, along with a brief

    job description and a notation of what you accomplishedwithin that job.

    Functional

    This resume style is useful for marketing extensive executive-level career experience. Guidelines forcomposing this type of resume include:

    Functional or skill-based headings are used to described areas of expertise gained during yourworking career (i.e. Management, Credit and Finance, Administration, Human ResourceManagement). Specific accomplishments are listed in each area.

    Accomplishments and skills are not linked to specific positions but rather as the outcome of the wholecareer.

    A chronology of employment follows, listing position, name of employer and dates only.

    Combination

    This type of resume utilizes a mix of chronological and functional formats as the name suggests. It is mostuseful for people who have been promoted or have held several positions with one employer. Employmenthistory is listed in reverse chronological order with areas of expertise (using functional or skill-basedheadings) grouped together for emphasis in each position.

    Outline of a Chronologica l Resume

    The Chronological Resume is the resume of choice for most recruiters. The following highlights the key

    components you should include, as well as some optional sections:

    1. Name and Contact Information

    2. Profile

    3. Computer Skills (for students targeting jobs using their technology skills)

    4. Education (relevant class projects can also be added)

    5. Work Experience (most recent jobs listed first)

    6. Extracurricular Activities

    7. Activities and Interests (optional)

    Name

    Your name should be in capitals and/or boldface. If you generally use a different first name, put it inquotation marks after your official first name. i.e. Xiaoyang Shawn Yan. Or, if you prefer, simply note thename you wish to go by, i.e. Shawn Yan.

    Contact Information

    Include address, city, province, postal code, e-mail address, website address (optional), and telephone number. Ensure that amessage can be left on your telephone voice-mail or with a reliableperson who is fluent in English. Your voice-mail should be briefand professional. Check your email messages daily as somerecruiters are using email as their primary means ofcommunication with applicants.

    Profile

    The profile replaces the old notion of Objective. In a few lines, it highlights your skills, traits andaccomplishments that are included in the body of your resume. It presents the most relevant informationabout you to the reader, helping you to be screened to the yes pile. It is useful to develop more than oneprofile so you can customize your resume for different jobs and different employers.

    Example of a Profile:

    A Sauder School of Business (UBC) student majoring in Accounting and Finance with recent businessexperience. Proven self-starter with strong leadership and communication skills developed throughexecutive positions held in student organizations. Proficient in Microsoft Office with good knowledge ofMicrosoft Access. Fluent in English and Mandarin, with conversational Spanish.

    Computer Skills

    Recruiters looking for IT professionals have requested that your ITskills appear at the beginning of your resume. They can quickly

    assess if your technology skills match their needs. Categorizeyour skills using subheadings such as Languages, P latforms andApplications.

    Education

    Note your education at the beginning of your resume as this highlights that you offer recent and relevantbusiness training. State:

    Current Degree:

    Title of Degree, Name of School, Location of School, and Completion Date (i.e. Bachelor ofCommerce, University of British Columbia, Vancouver, BC, May 200X).

    Option.

    GPA or Honours.

    Scholarships and Awards

    Courses related to the position you are seeking. Limit list to a maximum of 8 courses.(Optional onlyif it adds value)

    Specialized Training:

    Work Experience

    This is the key area recruiters examine to assess your suitability for a position. They are specifically lookingto see if your experience and skills match the requirements of the position for which they are recruiting, so itis important to spend time focusing on relevant information.

    Recruiters review your competencies in leadership, decision-making, initiative, flexibility, customer service,team orientation, results achievement, analytical thinking, time management and communication skills. Besure to assess the requirements of the employer, and specifically describe how you have developed theseskills through your work experience.

    First describe your position through a scope statement. Basically this will outline the main responsibilitiesof the job and who you reported to, indicating the level of the position.

    Then, describe your key accomplishments in detail. This allows you to demonstrate your transferable skillsand core strengths. Use strong action verbs (see page 11 for J ob Description Verbs) to describe youraccomplishments and skills.

    Format:

    List work experience in reverse chronological order most recent jobsfirst.

    Name of employer, location.

    Position title. If the job title is directly related to the career you aretargeting, then list the job title ahead of the name of the employer.Alternatively, if the employer is a well-known corporation, it may be moreprestigious to note the name of employer first.

    Dates of employment. Use only years - no months. Right aligned.

    Scope Statement to describe level and overall description of theresponsibilities of the job.

    Accomplishment statements demonstrating your specific skills and howthey benefited the employer.

    Concise and specific phrases instead of complete sentences.

    Use Action Verbs in the past tense to start each point. For currentemployment, use present tense.

    Use business and technical terms, volumes, or dollar amounts thatdescribe your work. Quantify your experiences by noting %, #and $. Ifyou increased profitability, note it in dollars ($) or by percentages (%). Ifyou led a project team, note the number of team members.

    Extracurricular Activities

    Recruiters are interested in assessing your volunteer work for your employability skills in areas such as

    leadership, management, and problem solving.

    These activities also give an employer an indication of what youare like as a person. Include:

    Volunteer activities (list in reverse chronological order;include your leadership roles)

    References

    During interviews recruiters may request a Reference List and Letters of Reference. In North America DONOT include your references on the resume and DO NOT indicate References available upon request.Employers and recruiters assume that you will provide references when the time is appropriate. Create aseparate Reference List to bring to an interview.

    Your references can be your former managers, supervisors, and seniormanagers. References must be aware of your work and accomplishments whilein their employ. If none of the fore mentioned are available, a senior co-worker,trainer, a supplier or customer you worked with could also be references.

    If your work experience is from outside of North America, you may wish to alsoinclude names of Professors who have agreed to comment on your classroomperformance.

    Always call your prospective references to ask for their permission to use theirnames. Take the opportunity to renew your contact with them and review yourkey accomplishments so they will be able to speak favourably about you. Whenan employer has asked for your reference list, call your references to let themknow the name of the company, the position and highlights of the job so they canbe prepared to answer questions. Remember to call to thank your referencesafter a prospective employer has contacted them, and also after you havesecured employment.

    References should be presented in a consistent format, which includes: Your name, address and contact information at the top of the page Name, title and contact information of your references (the standard is

    three) A brief note under each name explaining their relationship to you (i.e.

    supervisor)

    Always ASK yourreferences if they arewilling to act as your

    Elec tronic Recruiting

    On-line Applications

    Many large corporations and high tech firms recruit through their web sites. These employers use computerdatabases for resume storage and retrieval. They often request you complete an on-line application. Thisapplication takes the place of your resume. Use key words and technological language as related to the jobyou are applying for. Transfer as much relevant information as you can from your resume into the on-lineapplication.

    Keep in mind the following:

    Use nouns over verbs as these systems search for specific nouns which identify the applicant ashaving the experience they require. i.e. programmer, purchaser

    Consider including a Key Word section at the top of your resume. In this section note as manykey nouns which describe your experience and skills

    Use industry jargon, and industry nouns

    Do not use fancy fonts such as italics, underlining, shadows, boxes, bullets, bolding

    Avoid vertical and horizontal lines

    List phone numbers on a separate line

    Remove all indentations

    Resumes submitted via E-Mail

    Recruiters often request students to apply via e-mail. When applying via e-mail:

    Create a professional, brief e-mail message.

    In the Subject line note the job posting you are applyingfor.

    As with any business correspondence, be brief andprofessional.

    Proofread, proofread, proofread. Avoid spelling and

    grammar errors, using informal language, and using adirective, demanding tone.

    Do not bombard the recruiter with emails. If they haventresponded within 1-2 weeks, send a follow-up email.

    When emailing aresume save it as:

    Sending your resume as an Attachment:

    The majority of recruiters request you attach your cover

    letter and resume as a Word document saved as ASCII(*.txt), RTF (*.rtf), or HTML format.

    Sending your resume within your e-mail message:

    Some IT recruiters prefer that you write your cover letterand resume within the email message.

    Limit your text to 65 characters per line to ensure that thedocument formats correctly.

    It is recommended you send a copy of this e-mail messageto a friend to ensure the cover letter retains its original

    format.

    Recruiters are aware that your cover letter will not besigned.

    Resumes posted on the Web

    RESUME DATABASES:

    Resumes can be posted on the web in a resume database such asat these Canadian sites: Monster.ca, Workopolis.com,Careerclick.com, Jobshark.com. These sites draw the attention ofrecruiters who are searching for candidates with specific skills.

    J obtrak.com suggests you consider the following when posting aresume on a web database:

    Overall reputation of the site

    Cost to post (most are free for applicants looking for work)

    Ability to update and delete your resume

    How long your resume will be stored on the site before it isautomatically deleted.

    Posting a Web Resume

    A web-based resume gives you flexibility with regard to graphics

    and overall presentation format. To develop a web resume:

    1. Obtain web space in which you can develop your web sitefrom an internet service provider.

    2. Design your web site using web authoring tools, such as:Dreamweaver, GoLive or Notepad.

    3. Build your web resume including meta tags which are usedby search engines to find your site. Meta tags include keywords and descriptions of your skills and experience.

    4. Upload your web site to your web space.

    5. Register your site on several search engines. i.e.Yahoo.com - scroll down to How to suggest a site, orAltavista.com - scroll down to Submit a site.

    Tips on Web Writing from the Columbus Group:

    Eliminate verbal nouns. i.e. Instead of Take into account, useConsider.

    Eliminate extraneous words: By eliminating redundancies andrepetition, the reader can easily find what they are seeking andquickly move through the copy.

    Who, What, Where, When, Why: Tell your readers the Five Ws at

    the beginning of your document: Who is this for, what is in it,where will you find things, when it took place, and why is it here.

    Dont say click here the user expects to click when a hyperlinkis present and expects an action to occur. I.e. Instead of clickhere to download my Database Management Report, use Checkout my Database Management Project. (PDF, 350K)
