RITUAL 1 - Do a DE-STRESS DOWNLOAD at least once a day.
Try it right now! Set a timer for 5 minutes, then start writing down everything in your mind that you want to get done. Don’t worry about prioritizing or even writing in a straight line – just get what’s on your mind down on paper!

RITUAL 2 - BATCH it!
First, brainstorm.
What tasks can you bundle together and get done in one sitting? (e.g., answering email each day, writing blog posts, scheduling social media, making phone calls, invoicing, checking in on staff and teachers, etc.) Some of these are daily tasks; others might be once-a-week tasks.
Next, batch your week!
Plan it out, using the template on the following page.

RITUAL 3 - Train yourself to use a POMODORO TIMER
Learn to work in 25 or 50 minute sprints, preferably 50. Don’t let anything – or anyone! – interrupt you during your sprints. (This includes the ding announcing a new email in your inbox or the buzz on your phone alerting you to a text.)
What interruptions could you control or eliminate?
What time of day is best for you to do your sprints?

Productivity Rituals: The Pomodoro Timer
What could you do in between your sprints? (i.e., stretch, drink water, run the stairs, do squats in your office chair, etc)
What rewards can you give yourself to celebrate your successful sprints?

Discover Your Genius Zone
What are your STRENGTHS in running your studio?
What part of your role in the studio comes EASILY and EFFORTLESSLY to you?
What do ENJOY the most about your role as studio owner or director?
What would other people say you are most GIFTED in? Where would other people say your STRENGTHS lie?
STUDIO EXPANSION PROGRAM 5.4 Worksheet: Discover Your Genius Zone © Studio Expansion Program Page !2
My GENIUS ZONE is …
What do you dislike doing? What parts of your role annoy or frustrate you?
If you could only do ONE PART of your current role – just 1% of everything you do, what would that be?
What can you OUTSOURCE, AUTOMATE or DELEGATE?
Start your list - and begin to reclaim your time.
TIP: Your OAD list will eventually become the basis of your Studio Systemization Manual, so you’ll want to keep adding to it! And if you have a specific team member to whom you’ll delegate a task, put HIS/HER initials in the column.

Quarterly Planning + Trello = A Monthly Sanity-Saver
Every quarter (January, April, July, and October), sit down with your to-do lists, a calendar, and the ARTS quadrant and plan out the next quarter on paper.
Next, organize those tasks on a monthly Trello board. Here’s a simple template to follow.
P.S. Plan to tackle just one big project a week, and don’t forget to add in due dates. Oh yes, and remember that in Trello, it’s easy to delegate by assigning a Team Member to a specific task.
