1.What is wrong with the field youhave? This sounds like a stupidquestion but actually you are trying

to find out what has gone wrong with thecurrent situation and what are theclients expectations. If you don't knowwhat's broken then it is difficult to knowhow to fix it. Perhaps a new field is notthe answer. Does the existing field sim-ply receive too much traffic or is thereinadequate personnel and resources tomanage a grass field. If you are switch-ing from a synthetic surface to a grassfield, be sure that the grass system issuitable for the specific sport and totalnumber of events. See the Q & ~s forOctober 98 and January 99 concerning''how much is too much traffic."

2. How many events are scheduled forthe field? If you ask how many gamesare played on the field then you maygrossly underestimate the true level ofactivity on the field. Instead, ask for thenumber of events and consider an eventto be any game or activity that con-tributes to the decline of the field. An"event" should include all games andpractices, band, physical education class-es, concerts, ceremonies, etc. The goal inasking this question is to help the clientthink about the type and amount ofactivities proposed for the field.Prioritizing activities on the new fieldmay serve to reduce the total amount oftraffic that the field receives. Are thereany special events like rock concerts,motor cross, or tractor pull?

3. What are the expectations?Athletic directors, coaches, players,grounds managers, sports commentatorsand fans all want the same thing-a safeand attractive field that maximizes play-er performance and fan enjoyment. Let'sface it, we're in the entertainment busi-ness and the field is the stage. What youneed to find out is what are they willingto tolerate when the field begins todecline. Here are two undeniable truthsthat clients need to know when buildingfields. Most native soil fields provide avery acceptable surface except whenexcessively dry or wet. Irrigation can,take care ofthe dry conditions but nativesoil fields, even those with drainsinstalled, will experience muddy gamesduring heavy rain. Sand-based systemsreduce muddy conditions but they usual-

ly have periods of instability when heav-ily worn or during the first year afterconstruction. Increasing the amount ofclay in the root zone mix can increase thestability and growing potential for sand-based fields. This will certainly requiresoil testing and a rootzone quality con-trol program to achieve the proper soilmixture that maximizes stability yet stillallows for adequate drainage. The clientshould be informed of all the advantagesand disadvantages for a particular typeof field construction. Materials andworkmanship are usually under warran-ty; however, the performance of the play-ing surface is usually not an item thatcan be guaranteed by the contractor.

4. Are there mandatory donations?Find out if there are any donations thatare expected to be used in the project toreduce cost. Some examples includesand, topsoil, and gravel; irrigation anddrainage equipment; earth moving andgrading; and labor of all sorts. Don'tcompromise on tight specifications withdonated items. There should still be awritten contract for donated items.Often times when things are donatedthere is no accountability on materials orscheduling of construction. Cash is thebest donation; it always works and isnever late.

5. Are there acceptable local materi-als? Field materials that can vary bygeographical location are sand, gravel,topsoil, and sod. To accurately estimatefield cost these items must be specified,located, tested, and approved.

6. Funding? Is the funding secure forthe project and if so, how much is allo-cated for field construction. The fundraising strategy may combine severalseparate parts of a facility; that is, main-tenance area, service track, security sys-tem, stadium, landscaping, etc., in orderto attract large donations. This is a goodstrategy for fund raising, however, thebudget and bid process for the fieldshould be separate from all other facilityimprovements. You don't want the ath-letic director forced into making a deci-sion between better soil for the field orremodeling in the press box-the fieldusually looses.

7. Putting together the team. In mostcases the owner will not have the neces-sary expertise to design and build anathletic field. Consultants, design firms,and construction companies specializing

in sports fields are readily available.Check references to make sure that theyactually have experience building fields.Even though the field was built properly,a simple phone call to the current sportsfield manager can provide a great deal ofinsight on necessary care and field per-formance. Do your homework. As theowner be sure that you have an agentlooking out specifically for your interestsin the field design, construction, andgrow-in process.

8. Develop a schedule of events thatincludes design, bid, construction, grow-in, and all other activities on the field forthe first year. Failure to plan is planningto fail. The design phase could take fromone to four months to complete. Takingbids and awarding the job can proceedrather quickly, from 15 to 30 days.Thorough development of the field speci-fication will greatly facilitate the bidprocess. For example, the specificationsfor rootzone materials and gravel areusually stated in the design document.Different contractors may use differentrootzone materials to satisfy the samespecification. Because of the competitivebid process an inferior rootzone materialmay be used even though it meets a spec-ification. It would be better if the ownerdesignates the supplier for the rootzonematerials prior to the bid process so thatall contractors can bid on the same mate-rial rather than just the same specifica-tion. A consultant, design company, ordesignlbuild construction company canhelp with this process.

These are some of the considerationswhen developing a new field. Be sure toassess what you already have and howyou want it 'to be improved. When sub-stantial funds are used to build some-thing new, you certainly expect to see animprovement in the facility. It is an easyprocess to develop a field that looks nicefor the first game, but it is a real accom-plishment to build one that plays goodthrough out the season. With properplanning and allocation of resources youcan have both. ~
