DOCUMENT & CONTENT REPOSITORY - The DocuPhase DM Core is the heart of the platform providing the primary user interface for document and content management functions, such as search and retrieval, view, annotation, revision control, email notification and document lifecycle management. It also provides the user interface for system and administration functions for user management, security, print, email and fax, as well as providing the foundation and user interface for the other cores for Web Forms, Process and Workflow Automation, and Analytics.
MULTIFUNCTION SERVICE - Aids the integration of DocuPhase with Multi-Function devices by providing support to accept and separate incoming documents into DocuPhase as multi-page documents based on patch codes separators.
DATA EXCHANGE SERVICE - Allows data to be passed between the DocuPhase database and any existing ODBC compliant database within an organization, based on events within DocuPhase.
ACTIVE DIRECTORY INTEGRATION SERVICE - ADIS provides single sign-on capability by synchronizing users and groups between DocuPhase and Active Directory or LDAP.
FULL TEXT SERVICE - Provides optical character recognition (OCR) of scanned documents to enable full-text searches of documents stored in the DocuPhase repository.
MULTI-INDEX INSERTER - A plug-in service that works as an extension of Data Exchange Service providing the creation of a one-to-many index relationship of items stored in DocuPhase. Thus, a single item may be a virtual copy.
ILINK - Provides seamless integration with core line of business applications. A hotkey, or customized button, is placed on top of an existing line of business application with iLink to give users to direct access to documents and content stored in DocuPhase, as well as the ability to create barcode separator sheets or directly update index values. Setup is point and click; no coding or scripting is required.
IRETENTION MANAGER - Provides document lifecycle management and is a tool to aid in regulatory compliance. It allows the definition of retention periods documents by document type and other conditions stored within the DocuPhase repository and managed functions provide for document deletion based on defined retention periods and conditions.

WEB FORMS - Web Forms provides a simple and powerful way to create web forms for data collection and surfacing data buried in other systems to a web-based interactive form. Any paper form can be converted to web forms that is mobile ready and responsive. Web forms can use electronic signatures and move through workflows with attached documents. They can be used to auto-fill PDF’s, have automated calculations, validation rules and are easily integrated into existing applications. Web forms are designed using a drag and drop interface and require no programming to develop or deploy. Web forms can be posted to any website and serve as a starting point for any process.
WET SIGNATURE - Allow users to physically sign forms using a stylus or their finger on a touch screen or using a track pad or mouse. This feature is important when designing Web Forms for mobile devices that need to be accepted or acknowledged by the user. Authenticated users can digitally sign a section, lock it down and prevent data tampering.

N PROCESS WORKFLOW AUTOMATION - The graphical interface rules-based automated workflow module from DocuPhase. Ad hoc workflow is native to the DocuPhase DM Core, however the Process Workflow Automation core introduces a new level of workflow through incorporation of business rules and automatically triggered events in the business process.
BUSINESS PROCESS DESIGNER - With a simple drag-and-drop interface, use the DocuPhase Business Process Designer to draw processes and define the rules which are applied to documents stored in DocuPhase.
PROCESS WORKFLOW MANAGER - Allows monitoring of work and tasks as the processes occur.
ADVANCED ANALYTICS - Monitor, analyze, forecast and ultimately transform your business. DocuPhase Advanced Analytics provides insightful business intelligence to increase visibility into operations, accelerate decision making and unlock the value of your data. SCANDOX - An intuitive single capture tool that scans, sorts, and indexes documents and tasks easily and efficiently before submitting them to DocuPhase. ScanDox provides true internet transport of documents, and full functionality in a disconnected environment with automatic upload to the DocuPhase platform when an internet connection is available.
BARCODER - Creates barcode separator sheets to automate the document indexing process. BarCoder also executes database look-ups to auto-populate index fields, greatly reducing data entry and further ensuring accuracy. BarCoder is also ideal for customers who scan using a Multi-Function Device (copier, printer, scanner).
XTRACTOR - Reads barcodes, performs zonal OCR, and conducts advanced forms processing. By implementing Xtractor to “grab” an index value and performing database look-ups through Data Exchange Service, DocuPhase greatly reduces manual indexing and provides an easy to use end-to-end business process solution.
IDOX ERM - The ERM (Enterprise Report Management) module (technology formerly referred to as COLD) which automatically captures and indexes PDF print streams generated by core line of business/legacy systems.
MCAPTURE - Capture items remotely and submit them directly to the repository with our mobile app mCapture, available on Android and Apple IOS devices.

Use any mobile device to view documents, manage
tasks and share information with clients. The
iPhone and iPad are fully supported with gesturing
capabilities enabled. The mCapture application
captures items remotely and submits them directly

Centralized repository
All of your structured and unstructured data goes
into a centralized hub with granular security and
controls to be viewed, shared, accessed, and revised.
Version control ensures the most current edition is
available, eliminating multiple varieties of the same
document, image, or file. The integrity of all previous
versions is maintained, with a complete audit trail of
all activity surrounding every file within the system.
Dynamic linking
DocuPhase uses common index fields to link
together related documents for easy retrieval. Users
can find documents in logical and useful ways,
eliminating data “silos” as seen in traditional folder
systems. For example: a user will be able to find
“Invoices” and “Checks” related to a particular order
number or vendor name within the same search.
Ad hoc workflowAd hoc (Latin for “for this purpose”) workflow moves documents pertaining to a specific purpose, case, or situation based on the business process to which the documents belong. The Ad Hoc Workflow controls the different stages your document goes through in your business process
and who is responsible for handling it.
Reporting
Users check the status of documents in the Ad-
Hoc Workflow environments with reporting. For
example: a Manager can generate a report to
determine the number of documents in a process
by status, thereby allowing a decision to be made on
allocation of resources.
Browser-Based Digital Document Repository
The heart of the DocuPhase platform, the document
repository, is a WEB Server application and is the
main browser-based user interface for all users
who want to search, retrieve, view, fax, print, email,
or apply annotations to the documents stored in
DocuPhase. It also contains the administration
component where system administrators can add
and manage users, build user and group security,
and create new DocuPhase applications. The
DocuPhase document repository is sold as part of
the concurrent user license and is included with all
base user sales.
The DocuPhase document repository also provides
basic Ad-Hoc Workflow for business process
automation and reporting. All documents stored
in DocuPhase maintain a complete Audit Trail
for compliance purposes. DocuPhase’s complete,
modular approach provides a scalable solution
that can meet the demands of the users with the
most complex data issues and highest document
volumes. With DocuPhase’s intuitive user interface,
users find any document quickly and easily. Our
users have enjoyed dramatic ROIs from labor
reduction and productivity improvement almost
immediately after implementation.
MULTIFUNCTION SERVICE
MultiFunction Service “breaks” documents based
on a Patch Code when a “batch” of documents
are scanned from a Multi-Function Device (copier/
printer/scanner). Typically, Patch Code separator
sheets are mass printed and available next to the
MFD. When a user scans a batch of documents, they
insert the Patch Code separator sheets between
the documents, then scan the stack in the MFD.
MultiFunction Service then “breaks” or separates the
documents based on the patch codes and stores
those documents in DocuPhase.
DATA EXCHANGE SERVICE
Data Exchange Service passes data between the
DocuPhase database and any existing ODBC
compliant database within an organization. Data
is pushed into or pulled out of these databases,
automating the indexing process as documents
are captured and sent to the DocuPhase repository.
Data Exchange Service is a Windows service that
runs in the background and is executing an
XML script.
ADIS
Active Directory Integration Service (ADIS) provides
automatic synchronization between users and
groups within a domain Active Directory and
DocuPhase. The service manages users and groups
in one location (Active Directory) rather than
managing them separately, creating opportunity for
mismatched users.
FULL TEXT SERVICE
Full Text Service is the indexing process that allows
for full text searches in DocuPhase. Different than
searching for documents using index fields, full
text service indexes across scanned images, Word
documents, Excel spreadsheets, HTML files, text files,
and image-over-text PDF files. A full text search is
combined with an indexed search to pinpoint very
specific information contained within a document.
MULTI-INDEX INSERTER
Multi-Index Inserter gives the option for multiple
documents with different index values to point to
the same image in DocuPhase. For example, one
company check pays 10 separate invoices. When
the check is scanned, Multi-Index Inserter accesses
the company’s accounting database, finds those
10 invoices, and creates 10 separate documents
in DocuPhase. Each of the 10 separate invoices’
information correlates with the scanned check. A
search on the check number will result in a hit list
containing the invoices paid by that specific check
OR a search for a specific invoice number will give a
result set containing the check used to pay
the invoice.
ILINK
iLink lets users put a customized “button” on
top of any existing application being used in the
organization. The button has several customizable
functions, such as retrieving images, scanning
images, or creating a barcode separator sheet from
within an existing third party application. There is no
programming or scripting involved, just point-and-
click to setup.
iLink integrates core systems with DocuPhase
without any costly programming. iLink’s point-and-
click interfaces are simple and intuitive, buttons
are added to any windows application in minutes.
With a single click of a button, users can query for
documents stored in DocuPhase, scan and
automatically index documents, or create a barcode
cover sheet without ever switching applications.
IRETENTION MANAGER
iRetention Manager defines retention periods
associated with a variety of documents stored
within the DocuPhase repository. Defining retention
periods for documents is important in order to
properly manage a document’s life cycle—from
creation to destruction—in compliance with
internal company guidelines, standard federal
regulations, and/or state regulatory compliance
retention policies.
Using iRetention Manager, a specific retention
period is associated to an application within
DocuPhase or varying retention periods are defined
for different document types within a DocuPhase
application. In addition, organizations can define a
“trigger date” for a document, which will officially
begin applying the retention period policy based on
that “trigger date.”
When a purge report is executed within iRetention
Manager, a report will be created indicating the
number of documents (based on application or
document type) that are eligible for destruction
based on that application or that document-type
retention policy. The user then has the ability to
purge all of the documents or to individually
select the document types to purge from the
DocuPhase repository.

The Process Workflow Automation Core is a powerful
workflow automation application that has robust
functionality and is controlled by intuitive visual
process modeling. It will increase the visibility
into your business processes, productivity, and
accountability while reducing bottlenecks.
The Process Workflow Automation core converts any
business process into a browser-based, web-enabled
application without programming or development.
Define the functionality of a process simply by
typing instructions and connecting the workflow
with the easy-to-use graphical interface.
Automated Workflow Capabilities
Workflow automation is the automatic routing of
items based on pre-determined business rules.
As the workflow items reach their destination, the
relevant user(s) are alerted and given the proper
information to complete their task. Once completed,
the system automatically sends the information
through to the next checkpoint in the workflow, all
the way through to completion.
Reducing the manual requirements within your
workflow will increase process predictability and
decrease errors.
Prioritized Queues
Prioritized queues consist of all the tasks each
employee is subscribed or assigned to, in order of
the user’s and the task’s specific priorities. These
queues may have one or many users with access
to them, depending on the number of people
appointed to each particular task. As work items are
completed or priorities change, the dynamic queue
adapts in real time, making your workflow a flexible
and intuitive part of the business.
Mobile Support
The workflow and tasks within DocuPhase can be
viewed and completed remotely from any mobile
device. mCapture, available on Android and Apple
devices, captures items remotely and submits them
directly into the workflow.
Parallel Processes
DocuPhase functions with several step-by-step

BUSINESS PROCESS DESIGNER
The Business Process Designer provides a graphical
interface for defining and implementing processes
with associated tasks. Tasks contain defined actions
for the user, as well as a description of the task and
instructions or steps for completing a task. Tasks can
be ordered and dependent on the completion of
other tasks with the ability to define states that can
automatically move task items to the next step of
the business process.
Any number of processes can be defined, and each
process can have a unique start event derived from
a specific state of a document contained in the
DocuPhase platform or from an external database
event. DocuPhase also includes tools for data
exchange and synchronization, as well as the ability
to launch external programs and processes.
WORKFLOW MANAGER
As an integrated part of DocuPhase, the Workflow
Manager module monitors work and tasks as the
processes occur. Managers can see the work to be
done, who is working, and productivity statistics in
real-time. Named resources by group or individuals
can then be dynamically assigned to tasks for load
balancing or re-prioritizing work.
ADVANCED ANALYTICS
DocuPhase Advanced Analytics provides insightful

ScanDox is a unified solution for distributed,
efficient, and accurate data capture, addressing
more than simple scanning. ScanDox offers a rich

ScanDox has an intuitive workspace where users
easily and efficiently perform document scanning,
sorting, and indexing tasks prior to submitting to
DocuPhase. Additionally, ScanDox includes pre-
configuration of scanners and document processing
settings at the central location. The end user needs
only to select a profile, connect a scanner, and
begin scanning. The settings associated with the
connected scanner are automatically selected
by ScanDox.
BARCODER
BarCoder produces bar coded document separator
pages to be used during the scanning process to
automate the indexing of documents
into DocuPhase.
BarCoder can also execute a database lookup into
an existing database or third-party application to
auto-populate index fields, greatly reducing the
amount of data entry required during the capture
process. Additionally, BarCoder is ideal for customers
who wish to scan using Multi-Function Devices
(copier, printer, scanner).
BarCoder is completely integrated into DocuPhase
and requires no programming or scripting to use.
New DocuPhase applications are automatically
configured. BarCoder also integrates into third party
applications through an API interface to completely
automate production.
XTRACTOR
Xtractor is the DocuPhase recognition module that
reads barcodes, performs zonal OCR, and conducts
advanced forms processing. By implementing these
technologies, utilizing Xtractor, and performing
database look- ups, the amount of manual indexing
required by the customer is greatly reduced.
Xtractor provides barcode and character recognition
completely integrated with DocuPhase to automate
the indexing process. Xtractor works with document
separator and indexing sheets produced within
DocuPhase’s BarCoder program or existing
documents using customized templates.
For example: Xtractor has been optimized for
processing high volumes, such as mortgage
documents and converts bar-coded document
numbers produced by document prep companies
to the actual document type text used by processors.
Xtractor also has sub- page processing that allows
it to search for specific content or formats to index
documents or extract data from any page of a multi-
page document.
