    Welcome to a world unique experience! On the 10th of August 1628, the warship Vasa claimed her place in the history books by sinking on her maiden voyage.

    Today Vasa engages and excites those of curious and enquiring minds, whatever their age. She is a public attraction of a kind seldom seen. With almost 1,5 million visitors a year, the Vasa Museum is by far Scandinavia’s most visited museum and has been listed on the World’s Top Museums on Trip Advisor for three years in a row.Vasa can now truly be said to be riding high on the honor and fame she sought on the king’s behalf - but never found…

    We are delighted to have hosted more than 2 500 evening arrangements since the museum opened in 1990. We at the Vasa Museum pride ourselves in putting our clients first at all times and our main dedication lies in creating an unforgettable evening for you and your guests.

    The Ship Hall The spacious Ship Hall is the perfect venue for dinners and receptions for both small and large. The Ship Hall accommodates up to 800 seated guests and up to 2 000 guests at standing receptions.

    Start with a drink and a tour around Vasa presented by our expert guides before taking your seat for dinner under the warship’s magnificent bow. With Vasa as a unique backdrop and the grandiose atmosphere of the Ship Hall, we promise you an evening to remember.

    The Vasa Museum’s RestaurantThe Vasa Museum’s Restaurant treats its guests to a maritime themed dining experience with captivating views of lightships and ice breakers navigating the archipelago’s waters outside. The Vasa Museum’s Restaurant accommodates up to 150 seated guests and up to 240 guests at standing receptions.

    Begin your evening with a guided tour of the salvaged warship Vasa, presented by our expert guides before enjoying drinks and dinner in our restaurant.

    SustainabilityThe Vasa Museum is environmentally certified according to the international standard ISO 14001, and continuously works with sustainability.

    The Vasa Museum’s Restaurant focuses on locally produced and organic ingredients, and works actively with environment and sustainability issues.

    On the Vasa Museum ’s Restaurant’s prices there is 25 % VAT on rent and staff.

    VenuesThe Vasa Museum and the Vasa Museum ’s Restaurant are closed between the 23rd and the 25th of December and on the 1st of January.

    The Ship HallThe Ship Hall accommodates up to 800 seated guests and 2 000 guests at standing receptions. The Ship Hall is mainly available for banquettes or similar events. The Vasa Museum is not suitable for fairs, exhibitions, press conferences, election night watch parties, sales or any other similar arrangements. Due to the preservation of the Vasa, there are restrictions regarding what you may do during your event. Events requiring extensive equipment or changes are not suitable for the Ship Hall.

    The Ship Hall is available between 18.00 - 23.00 during the low season and between 19.00 - 24.00 during the high season. Arrival time may vary depending on the size of the group and the specifics of the event. For further details, please contact the booking office directly

    Entertainment › The client has the opportunity to arrange music and other kinds of entertainment during their event at the Vasa

    Museum. All entertainment must first be approved by the Vasa Museum’s Booking Office. If the client changes or withholds information about the entertainment, the museum has the right to cancel the entertainment during the event.

    › By law the Vasa Museum is obligated to report any music entertainment to STIM. › Due to the Ship Hall’s sensitive environment the sound level cannot exceed more than 79 dB. Therefore, we can

    suggest suitable entertainment. › Rehearsals and sound checks cannot start before the Vasa Museum’s closing hours; low season (1/9-31/5) at

    17.00 (Wednesdays at 20.00) and high season (1/6-31/8) at 18.00. › During the event a dressing room can be arranged for artists, deliveries or event staff in one of the Vasa

    Museum’s conference rooms. Keys to the room are trusted to the person in charge of the event and is to be returned at the entrance by the end of the event.

    Equipment and set up › All set ups in the premises must be approved by the Vasa Museum’s Booking Office. If you wish to receive more

    information regarding the museum’s restrictions, please contact the booking office. › Stage set up is permitted before our regular opening hours. Exception is granted very rarely and is highly

    restricted. Additional fees may apply. › Technical set up may only be authorized from 16.00 (low season), 19.00 on Wednesdays, and 17.00 (high

    season) if such procedure does not interrupt the regular museum activities. Exception is granted very rarely and is highly restricted. Additional fees may apply.

    › All goods or garbage must be removed by the client as soon as the event ends to avoid interference with the cleaning of the premises. If additional cleaning due to littering is needed, the client will be charged.

    › Delivery of goods to the event may only be done through the existing climate regulating doors at the Vasa Museum’s goods entrance. The system may not be altered. The Vasa Museum’s staff must be contacted upon arrival at +46 (0) 8 519 548 55 or +46 (0) 8 519 548 33.

    › Entrance gate dimension for delivery of goods: Height: 2 m (6,5 ft), width: 1,2 m (3,2 ft), length 2,8 m (9,2 ft)

    Additional information › The Ship Hall has a permanent temperature of 18 degrees Celsius. Therefore, we recommend our guests to dress

    warmly. The client can pre-order warming ponchos. The client is responsible for the return of the ponchos. Loss or damage of a poncho will be debited with 450 sek/poncho.

    › A large part of the floor at the entrance level is made out of cobble stones. › Unsupervised wardrobe, portable racks with hangers and lockers are available inside the museum. › For information regarding our list of equipment please visit our website.

    The Vasa Museum’s RestaurantThe Vasa Museum’s Restaurant accommodates up to 150 seated guests and up to 240 standing guests. The Vasa Museum’s Restaurant is not suitable for fairs, exhibitions, press conferences, election night watch parties, sales or any other similar arrangements. Events requiring extensive equipment or changes are not suitable for the Vasa Museum’s Restaurant.

    Bar and dance › A bar and dance floor can be arranged in the restaurant after arrangements in the Ship Hall. For such cases the

    Vasa Museum debits a fee of 4 500 sek and the Vasa Museum’s Restaurant debits a starting fee of 8 000 sek (excl. VAT), minus the total bar selling.

    › This has to be booked well in advance before the visiting date as another party might book the premises.

    Special conditions regarding evening tours The tour should begin 30 minutes after the Vasa Museum’s regular opening hours; at 17.30 in the low season (1/9- 31/5: we do not offer evening tours on Wednesdays) and at 18.30 during the high season (1/6 - 31/8). A tour thatends later than 18.30 in the low season or 19.30 in the high season can be confirmed at the earliest two months inadvance. Depending on the availability of the Ship Hall, should the group arrive late, the Vasa Museum does notguarantee a length of 30 minutes for the guided tours. The length of the tour will be adapted based on the time ofarrival. The Vasa Museum does not guarantee exclusivity and multiple guided tours can be booked on the sameevening.

    StaffWe provide staff for guided tours, hosts, catering and serving. For events needing additional time for planning, organising or extra staff, the Vasa Museum and the Vasa Museum’s Restaurant reserve the right to charge an additional fee. This is arranged separately and after mutual agreement.

    ResponsibilitiesThe client is responsible for › Informing the guests about the Vasa Museum’s non-changeable temperature of 18 degrees Celsius (ponchos are

    available for ordering, for more information please have a look under Additional information). › Rules of the premises and restrictions being thoroughly followed. › Informing any external personnel about the Vasa Museum’s and the Vasa Museum’s Restaurant’s conditions,

    regulations and restrictions. › Ascertaining that the Vasa Museum’s instructions for entering and exiting the premises are followed. This

    applies to both guests and any external personnel. › Ascertaining that the number of guests does not exceed the number of reported guests. › Ascertaining that the emergency exits are not blocked and that the instructions from the Vasa Museum’s and the

    Vasa Museum’s Restaurant’s staff regarding how to safely store your items are followed. › Ascertaining that everyone abides to the staff’s orders in case of emergency. › Electing a person in charge who is on the premises during the entire event and notifying the name and phone

    number to the Vasa Museum and the Vasa Museum’s Restaurant. Notification must be made one day before the visit.

    › Reporting any damages occurred to the premises, the equipment or the inventories to the museum/restaurant staff.

    The Vasa Museum and the Vasa Museum’s Restaurant do not take any responsibility for items left on the premises after the event.

    Damages made by the client, the client’s staff, delivery services, suppliers or guests will be charged to the client.

    Booking ConditionsPreliminary bookingWhen a preliminary booking is made the booking office will provide the client with a deadline for a definite answer, usually after 14 days. If we receive inquiries for the same dates an answer may be required prior to the deadline.

    Written confirmationThe Vasa Museum’s Booking Office sends the client a confirmation as soon as the booking is definite and the estimated number of the guests are set. This confirmation needs to be signed and returned to the event office within 14 days.

    AlterationsThe final number of guests must be confirmed one month before the event and will form the basis of payment. Thereafter, the client is allowed to increase the number, not decrease it, with a maximum of 10 % and must give notice 14 days prior to the visiting date. When re-booking or changing a previous arrangement a new booking confirmation with the new conditions will be sent to the client.

    CancellationsCancellations must be made in writing and sent to [email protected]. Conditions for cancellation are provided with the booking confirmation. The fees for cancelling a signed contract are as follows:

    Cancellation of Arrangements in the Ship Hall & Evening tours and dinner in the restaurantThe client has the right to cancel up to 4 months before the event without any extra charge. › For cancellations made 4 to 2 months before the event:

    100 % of the rental fee will be charged › For cancellations made 2 months to 14 days before the event:

    100 % of the rental fee and the following food cost will be charged: Seated dinners 670 sek/guest (excl. VAT) Buffet plate 313 sek/guest (excl. VAT) Cocktail receptions 179 sek/guest (excl. VAT) › For cancellations made later than 14 days before the event

    100 % of the rental fee and 100 % of the cost for food & beverages will be charged

    Cancellation of Evening toursThe client has the right to cancel up to 2 weeks before the event without any extra charge. › For cancellations made 13 days to 7 days before the event:

    50 % of the fee will be charged › For cancellations made later than 7 days before the event:

    100 % of the fee will be charged

    If the signed conditions are not followed or international payments not made on time, it will be seen as a cancellation made by the client and the above stated cancellation fees will be applied.

    PaymentPayment for venue hire and evening toursInternational paymentsInternational reservations require full payment 30 days prior to the booked event. The Vasa Museum will send a Pro Forma invoice by e-mail. If the client fails to make the payment on time, it will be seen as a cancellation made by the client and the cancellation fees stated under Cancellations will be debited.

    National Payments/Final debitingThe final payment on outstanding debts must be paid by invoice, no later than 30 days after the invoicing date. Interest charges are applied on late payments and follow the Swedish interest law. If a payment reminder is sent out, a reminder fee will be applied in accordance to the Swedish law.

    Payment for food and drinksAdvance paymentThe Vasa Museum’s Restaurant reserves the right to ask for an advance payment of the total cost (100 %) and a 50 % payment of the rental cost for the restaurant. The payment should be paid no later than 10 days before the date of the event.

    International paymentsPayments for international bookings are due 30 days before the event. If the client fails to make the payment on time, it will be seen as a cancellation made by the client and the cancellation fees stated on page 8 will be debited.

    National Payments/Final debitingThe final payment on outstanding debts must be paid by invoice, no later than 10 days after the invoicing date. Delays in payment will result in a charge of the minimum lending rate plus 8 %.

    Additional Information › If the cost of the event increases due to raised taxes or any other circumstances that are beyond The Vasa

    Museum’s and the Vasa Museum’s Restaurant’s control, The Vasa Museum and the Vasa Museum’s Restaurant retain the right to debit the additional costs to the client. The client will be informed of this in advance.

    › The Vasa Museum and the Vasa Museum’s Restaurant retain the right to cancel any booking without further compensation in situations such as strikes, lock-outs, fires, disturbances in deliveries or any other unforeseen circumstances beyond The Vasa Museum’s and the Vasa Museum’s Restaurant’s control.
