At the back of the Exhibitors’ Information Pack you will find order forms forthe additional services we provide. Please fill in the relevant order forms andreturn them to [email protected]

We require some time to arrange these additional services so we would begrateful if you could return these forms by 3rd April at the latest.

We cannot guarantee that we will be able to provide services requestedafter this date. If they can be arranged, an extra 25% shall be charged.

Toensure that stand set up anddismantling runs smoothly, please remember the following:

• Drivers of delivery vehicles must access the loading bays via an ancillary access road behindthe Conference Centre that leads directly to the loading/unloading area. The bays in turnlead directly to the back of the stages andauditoriums.

• The ancillary access road is for loading/unloading only.No parking is allowed on this road.

• The Valencia Conference Centre provides trolleys and a pallet jack for transporting goods toyourstand.

GOODS RECEPTION AND STORAGELOADING/UNLOADING ROAD

A. All goods must be clearly marked with the name and date of the conference, the name ofthe company, or if necessary Organization, a contact telephone and the stand number thegoods are to be deliveredto.

B. Goods may be received up to 48 hours, or two working days, before the conferencebegins, depending on other events that may be taking place at the Centre. Please confirmdelivery times.

C. Once the stands have been built, any surplus materials should be left in the loading baysspecified by the Conference Centre so that the stand areas are clear.

D. When the conference is over and the stands have been taken down, all goods should be left inthe Centre’s loading bays. Any material left in the exhibition area will be thrown away.

E. All materials left in the loading bays must be collected within 48 hours or two workingdays. After this time, we will assume that the exhibitor no longer wants the materials.These will be removed and the exhibitor may be charged for the removal.

We hope that these guidelines will ensure that the flow of goods and materials in and out of the Centre runs smoothly and will avoid any possible confusion.

For access to, location and size of goods entrances, please see enclosedfloor plan. Very important: The points marked with triangles on theexhibition area are slopes. Please check whether your stand is on a slopeas, if it is, you will need a wedge to level it out. This is not necessary ifyou have ordered a modular or custom-made stand from the ValenciaConference Centre.

Access times for setting up and dismantling your stand are asfollows:

- All merchandise, packaging, etc. must be removed from access walkways by 20:00 on Sunday 3 Mayso that they can becleaned.

- Decorations and finishing touches to your stand are permitted only within the stand itself.

Standdismantling:FRIDAY 8 MAY 15:30 – 20:00

· . Stands may not be dismantled until all delegates haveleft.

For stand set up and equipment, please refer to the descriptions supplied on the followingpages.

· Stands must be left as they are found. Please do not paint them or stick paper to them,unless you use special double-sided tape which leaves no marks on the surface. Theexhibitor will be invoiced for any damage caused to thestand.

Custom-made and pop-up stands:

· The plans for custom-made stands must be sent for approval by the Conference Centre’stechnical department.

· All the stands, including pop-up stands, must be assembled on a carpeted base. Theycannot be set up directly on the Conference Centrefloor.

· Stands which are not custom-made, or are not modular or pop-up stands must bring abackdrop as posters cannot be attached to thewall.

· Should no carpet or backdrop be brought, this will have to be hired from the ValenciaConference Centre, by completing the attached forms, and the cost will be added to theinvoice.

Exhibitors may decorate and equip their stand as they wish, as long as they take the followingpoints into account:

· Stand equipment should not exceed the allocated floor surface area or the height of thewalls. No installations or decoration which could offend any or all of the exhibitors will bepermitted.

· Loudspeakers and other similar devices are prohibited. Pamphlets and samples may only bedistributed within the standitself.

·Adhesive tape may only be used to mark the stand area or to fix carpets with permission fromthe Valencia Conference Centre. A layer of masking tape underneath the adhesive tape willfacilitate its removal after the event. Adhesive carpet tiles may not be used. Damage causedby exhibitors who disregard these rules will be paid for by the exhibitor.

The exhibition halls and walkways will be cleaned after theset up.

Exhibitors are responsible for cleaning their own stand. Anorder form is attached for extra cleaning services. Cleaningwill only be allowed when the exhibition is closed tovisitors.

Exhibited goods, stand components and packaging materials are leftin the Valencia Conference Centre’s exhibition halls or rooms at theexhibitors’ risk.

As a preventive measure, the Valencia Conference Centre advisesexhibitors not to leave small easy-to-carry items unguarded, or toleave their stand unattended whether it is assembled ordisassembled. The Valencia Conference Centre declines allresponsibility for lost or stolenitems.

The Valencia Conference Centre can provide additional security onrequest. An order form for this service isenclosed.

The exhibitor is liable for all damage caused to a third party, eitherby himself or his personnel or by persons authorised to act on hisbehalf.

The Valencia Conference Centre has a contract with an official caterer forthe exclusive rights to provide foods and drinks in the Conference Centre’srestaurant and cafeteria, and to deliver food and drinks to stands. Exhibitorsare therefore required to contact these official caterers for all food, drink,buffet and cocktailorders.

Should you require the electrical installation to be located in a particular part of the stand, pleasespecify.

Electricity is included in theprice.

· The modular exhibition stands (3x2 m) are equipped with a distribution board including a residual currentdevice, a circuit breaker and a 220V socket for loads of up to 500 W.

· Any extra power required in the modular exhibition stands must be requested by the exhibitor and will becharged separately.

· For safety reasons, the electricity supply, any extra power, and any other uses for non-modular exhibitionstands must be hired through the Conference Centre as all electricity connections have to be made using theValencia Conference Centre’s electricity network.

RENTAL CONDITIONS FOR AUDIOVISUAL EQUIPMENT· The rental of audiovisuals includes the assembly of the contracted equipment, dismantling and technical assistance in the event

of a breakdown. If you should require the presence of technical staff, this must be contractedseparately.

· Members of technical staff do not handle or assemble third-partymaterials.

· Rented audiovisual equipment is to be used exclusively in the Valencia ConferenceCentre.

· If the number of hours or days the rented equipment is to be used is extended and this has not been requested beforehand, saidextension must be ordered at least 24 hours in advance, and will be subject to Valencia Conference Centre capacity to renderthe service. Rental prices for extended services shall carry a surcharge of 25% on validcharges.

· If the items are damaged, lost or affected by any irregularities, the latter shall always be on account of the contracting party.
