• The process of planning and creating a presentation is similar to the writing process you use to compose an essay or research paper.

• However, presentations offer many advantages. PowerPoint allows you to incorporate pictures, sounds, movies, and animation effects that bring your information to life. You can even link your presentation to a related Web site.

• To plan and create an effective presentation, follow these steps:

– Prewriting: Brainstorm, freewrite, or draw a cluster diagram to form ideas and establish your lecture notes. Also, list any potential multimedia elements (graphics, maps, movies, sound, and Web sites) you might like to include.

– Drafting: Review your notes from the prewriting activity and begin writing the lecture notes for your presentation. These brief, bulleted points are more effective than lengthy sentences and paragraphs. Be sure to note where you want to incorporate multimedia elements.

– Revising: Read your draft out loud. Look for ways to make it clearer, more precise, and interesting. Have you included all of the necessary details? Do your points flow logically? Is there a media element that would emphasize your point and bring life to your presentation? Do not worry about spelling and grammar at this point.

– Editing/Proofreading: Check your lecture notes for grammar, spelling, punctuation, and capitalization. It is a good idea to use a variety of resources–a dictionary, a thesaurus, a spell checker, and your classmates in this step. – Testing: Run through your presentation from start to finish to make sure everything works properly. The potential for error is greater in a presentation than in an essay or research paper, so be sure to test your presentation several times before you present it. – Use brief, bulleted points. Lengthy sentences and paragraphs are difficult to read on a computer screen and might lose the audience’s attention.

– Use consistent fonts and colors throughout your presentation. Too many fonts and colors may distract your viewers. Keep it simple.

– Keep some blank space on every slide. Don’t clog up your slides with too many lecture notes and graphics.

– Pay attention to line breaks. Avoid jagged margins and sentences in which a single word wraps to a new line.

– Make sure your graphics arelarge enough to be read by your entire audience.

– Do not distract your audiencewith too much visual information when using audio. If they have too much to look at, chances are they won’t pay attention to the sound.

View buttons: The view buttons allow you to view your presentation in a variety of ways.

Menu bar: The menus located in the PowerPoint menu bar list the commands available in PowerPoint.

Title bar: The title bar, located at the top of the document window, displays the name of the PowerPoint file that is currently open.

Minimize, Restore, and Close buttons: Use these buttons to hide, display, and close your presentation or PowerPoint.

Standard toolbar: The Standard toolbar provides shortcut buttons for common tasks, such as opening and saving a document.

Drawing toolbar: The Drawing toolbar provides shortcut buttons for drawing commands such as inserting a picture and changing the color of text.

• To create a presentation, you must first open the Student Presentation Builder template.

Opening and Saving a Presentation

• You should then save the template with a unique name in the assigned directory. This will ensure that you do not overwrite the template or risk having a classmate overwrite your presentation.

• The Slide Master is a special slide that helps you work more efficiently.

Working with the Slide Master

• Instead of making the same change to each slide in your presentation, you can make the change once on the Slide Master, and the change will be reflected throughout the rest of your presentation.

• For example, imagine you have just completed a 15-slide presentation and decide your background on each slide is too dark. You can lighten the background on the Slide Master, and the change will be reflected on all 15 slides.

• To modify the Slide Master, follow these steps: – Click the View menu, point to Master, and select

Slide Master.

– Make your changes to the Slide Master.

• Sometimes you may wish to create a slide that doesn’t use the background from the Slide Master. To omit the background graphic, follow these steps: – Click the Format menu and select Background.

– Check the box labeled “Omit background graphics from master.”

– Click the Apply button.

• WARNING: Do not click the Apply to All button–this will remove the background from all slides in the presentation.

• Each slide in the Student Presentation Builder template file includes text boxes for your lecture notes.

• Depending on the content of the slide, you may need to resize, move, or delete these text boxes or add a new text box.

• Also, depending on how you want your text to appear, you may need to change the formatting in the text box; for example creating indents or adding bullet points.

• To insert text on your slide, you must first insert a text box. To insert a text box, follow these steps:

– Type your text. If you are typing lecture notes, you might want to add bullet points to make your slides more readable. To add bullet points, click theBullets button .

– To deselect the text box so you can move on to something else, click anywhere outside the text box.

– Drag the upper indent marker to indent the first line of a paragraph.

• Instead of using the space bar or a tab to indent lines or paragraphs in a text box, you can adjust the ruler so indents occur automatically. To set paragraph indentations, follow these steps:

• There are many ways to bring your presentation to life. One way to emphasize the points in your lecture notes is to add graphics, such as maps and charts.

• In addition, you can insert images from the Microsoft Clip Art Gallery as well as your own scanned photos and graphics.

• To insert a Student Presentation Builder graphic or your own graphic on a slide, follow these steps:

– Click the Insert menu, point to Picture, and select From File.

– Navigate to the appropriate directory on the hard drive of your computer.

– Click the appropriate graphic.

– Click Insert. Don’t worry if the graphic is not the exact size you need–you will learn how to resize graphics soon.

– To format your chart click the Chart menu and select Chart Options. Adjust the chart format in each of the tabs and then click OK.

Undo Actions

• The Undo command allows you to cancel recent actions if you make a mistake or change your mind. Click the Undo button to undo an action. By default, PowerPoint remembers your last 20 actions.

• PowerPoint will automatically check your spelling as you type, indicating misspelled words with a wavy underline. It is also a good idea to run the Spelling tool when you are finished creating a presentation. To do this click the Tools menu and select Spelling.

Align and Distribute Objects

• One way to give your presentation a professional appearance is to make sure that objects on a slide are aligned and evenly distributed.

• Click the button on the Drawing toolbar, point to Align or Distribute, and select the action you wish to perform.

Rotate Objects

slide in the presentation.

– Press the Space Bar, down arrow, Enter, Page Down (PgDn) key, or the letter N to display the next item on a slide. Clicking the left mouse button also displays the next item. If the last item is already displayed, the program will display the next slide.

– Use the Backspace key, up arrow, Page Up (PgUp) key, or the letter P to move to the previous item on a slide. If no items appear on a slide, the program will go to the previous slide.

– Practice is even more important when delivering a slide show because you must coordinate your speaking points with what is displayed on the screen.

– Refer to your notes, but do not read directly from them.

– Speak slowly enough to be understood, but not so slowly that your audience is bored.

– Speak clearly and change the tone of your voice appropriately depending on the mood of the subject. For example, don’t use an upbeat, enthusiastic tone when discussing war casualties.
