About the Workgroup

The East Central Michigan RSA for Health Care was formed by the Saginaw, Midland, Bay Michigan Works and consists of:

• Health care employers – including hospitals and long-term care facilities• Colleges, universities and training providers• Organizations spanning 19 counties within Michigan that have involvement within the database. See the map on the next page.

The workgroup was formed to tackle the demanding problems within the health care industry. Clinical scheduling in Nursing was just one item that was identified as being an important area for improvement.

Initial Study and Report

A national study of the clinical placement bottleneck was completed as a first step in this project. Many systems, workgroups, consortiums and processes were studied.

The results identified that the automation of Clinical Scheduling produces a 10-20% increase in clinical opportunities.

As a result of this study and many workgroup member comments, a request for proposal for a clinical scheduling and calendaring database was developed. Spicer Group responded to the RFP and joined the workgroup as a development partner in November 2005.

Automating clinical scheduling increases clinical opportunities.Why?

New clinical opportunities and requests get posted within the system by the scheduler. Quickly gets the word out to everyone. Identifies areas that are underutilized.

Saves our schedulers an enormous amount of time. More time allows increase in research, planning and communication. More time allows for innovative ideas. More time increases the possibilities of new clinical opportunities.

Software Features

The project development partners spent considerable time and effort in planning a system that met the needs of all of the workgroup members.

The most important features identified within the system include:

• 100% Internet-based

• Communications Portal

• Guest Area – Sharing of Data

• Printable as Calendars or Spreadsheets

• Calculation of Clinical Contact Hours

• Real-Time Editing and Sharing of Data

• Identifying Open Clinicals

• Identifying Clinical Requests

• Export of all data for independent use

Changes and updates of data are instant. Workgroup members are in complete control of their own data and updates. Health Care Partner enters the clinical events (meeting dates, number of students,

etc.). Educational Partner fills in half the data (instructor, course, etc.).
